JOB DESCRIPTION & PERSON SPECIFICATION ICT Trainee

College Department IT

Position: Full-Time ICT Trainee

Tenure: 12 month period only Commencement: 15 January 2018

JOB DESCRIPTION 1. Summary of the broad purpose of the job in relation to the College’s goals.

(Expected outcome and how it is achieved.)

The ICT Trainee is required to deliver friendly, efficient customer service to our College community. The ICT Trainee is responsible for providing support services to staff, parents and students of the College. The ICT Trainee is required to demonstrate initiative and work as an enthusiastic flexible team member in accordance with the College’s IT routines and procedures.

The role encompasses assisting the Computer Systems Manager with the day to day running of the ICT department at St Martins Lutheran College.

The ICT Trainee is required to complete a Certificate III in Information, Digital Media & Technology.

2. Reporting / Working Relationships

(To whom the person reports, staff for whom the person is responsible and other significant connections and working relationships within the College.)

The ICT Trainee reports to the Business Manager through the Computer Systems Manager. The role requires daily contact with students and staff.

All staff are ultimately responsible to the Principal.

3. Special Requirements

The ICT Trainee will be required to hold a First Aid Certificate (this will be undertaken as part of the Certificate III), Approved Mandatory Notification training (this will be undertaken as part of the Certificate III), a Department of Communities and Social Inclusion (DCSI) check and a Current Driver’s License.

A 3 month probationary period will apply.

4. Extent of Authority

The ICT Trainee works under the direction of the Computer Systems Manager.

The ICT Trainee will abide by College policy and procedures and perform all duties as requested by the Executive Team.

The responsibilities of the ICT Trainee in each KRA include:

Provide ICT support for students and staff of the College.

Assist in day to day ICT operations.

Keep ICT equipment and areas tidy and in working order.

Installation/removal of equipment on a permanent or temporary basis.

Create and maintain documentation and instructions.

Manage user accounts and passwords across various systems.

Use helpdesk software to manage jobs.

Contact vendors for support/warranty issues.

Ability to troubleshoot and resolve issues.

General

Reflect the Lutheran ethos of the College.

Answering phones.

PERSON SPECIFICATION

1. Educational / Vocational Qualifications

Completion of Year 12.

Qualifications in First Aid to a minimal standard of Basic First Aid (this can be organised by the College).

Approved Mandatory Notification training (this can be organised by the College).

Current Driver’s License.

Department of Communities and Social Inclusion (DCSI) background screening.

2. Personal Skills, Abilities & Aptitude

The skills, abilities and aptitude of the ICT Trainee must reflect the professional management of all aspects of student support and care including the handling of sensitive files and data. These encompass the following:

Skills High level skills in Microsoft Word, Excel and Outlook software.

Organisational and time management skills including the ability to cope with high volumes of work, changing priorities, working under pressure and meeting critical deadlines.

Well developed communication skills (phone, email, verbal, written correspondence).

Interpersonal skills that portray a welcoming atmosphere, friendly disposition and helpful nature.

Ability to Work cohesively in a team environment as well as working autonomously where required.

Take an objective approach to challenges and effectively use initiative.

Use diplomacy, discretion and tact as required in a professional work environment.

Provide positive, enthusiastic support to staff, students, parents and members of organisations associated with the College.

Deal with situations on a strictly confidential basis.

Aptitude A personal commitment to the College Vision, Mission and values underpinning the delivery of a Christian

based education to students in the College community is essential.

Have a full understanding of how to securely handle and manage the personal data of staff and students in a school environment.

Be a lateral thinker, proactive and be prepared to undertake an innovative approach.

Have an interest in supporting others and providing exceptional levels of service to a student body.

PERSON SPECIFICATION 3. Experience

Experience in IT would be an advantage.

Experience working with young people would be an advantage.

4. Knowledge

Basic understanding of Microsoft suite of applications (MS Word, Excel, PowerPoint & Publisher).

Basic understanding of database maintenance and management of highly sensitive data.

Have a good understanding of recent operating systems and software including Microsoft Windows, Mac OS X, iOS and Microsoft Office.

Have a good understanding and knowledge on WHS, particularly related to ICT.

Knowledge of Chromebooks and Google Docs would be an advantage.

5. Classification Level

The position of ICT Trainee is provided under the conditions of the Commonwealth Government’s New Apprenticeship Scheme.

6. Performance Standards & Review

A Trainee Performance Review is undertaken with the Business Manager to determine capacity to meet the demands of the role; where additional skills training is required and what level of job satisfaction is being obtained. The basis of the Performance Review is utilising the Key Performance Indicators (KPIs) identified in Appendix A.

PERFORMANCE MANAGEMENTAPPENDIX A In relation to setting goals and managing performance, Key Performance Indicators (KPIs) are put in place within each Key Result Area (KRA) so that effort can be measured and performance rewarded.

Study schedule has been maintained to complete all study units within 12 months.
