Subject: Annual Report of “Al-Falah Educational Scholarships”

Hope you will be in the best of your health and faith.

We feel gratified to submit the Annual Report of “Al-Falah Educational

Scholarships” that helped 332 students to get better educational services

throughout the year with your kind support. This project was aimed to provide

“Scholarship” facility for deserving but competent students in Pakistan.

The report aims to provide comprehensive information regarding activities

involved during the project and details of beneficiaries as well. ICNA Relief

Canada funded this project with the total amount of PKR 9,840,000 (C$

106,957) for the year 2013. The project has been successfully completed within

the sanctioned amount and time. We hope you will continue your support in

the coming years.

Project Objective: This project aims to promote educational culture among underprivileged communities by

encouraging students from low socio-economic background to strive for higher education.

The project financially supports the needy and talented students to reach their full potential

to sustain themselves, their families and contribute towards national development which

will be ultimately helpful to establish civilized, democratic and prosperous society in

targeted area.

Beneficiary Selection Process and Scholarship Procedure:

New applications were received from all over Pakistan.

Applications were verified through AFSS inquiry officers and coordinators.

On-ground economic condition of the applicants was verified and recorded on a prescribed format.

Verification officer also interviewed some of the reliable persons of that locality to access the financial need of the applicant.

Bank accounts of newly selected beneficiaries were opened for the disbursement of

the scholarships.

Project’s financial matters and scholarship records were monitored and evaluated by Finance Committee.

Alfalah board of directors directly monitors each and every activity of the project at different levels

Meetings of Alfalah’s board of director are arranged in order to ensure the proper implementation of the project activities according to the set plan.

Note: This procedure was fully adopted to select best suitable candidates for scholarship. Al-Khidmat Foundation Pakistan through its designated committees monitored the whole scheme throughout the year.

Evaluation and Monitoring Process:

AFSS-Pak evaluates and reviews the program in various meetings; the detail of activities

carried out in this quarter is given below:

o Quarterly Review Meetings

o HR, Finance and Approval Committee Meetings

o Monthly Staff Meetings

Quarterly Review Meeting: AKFP arranges Quarterly review board meetings. Board members review

progress of the management team and all other activities according to the action

plan. Board also reviews the budget and its utilization. Program Manager shares

the plan of upcoming activities and the project requirement of resources for

various activities.

HR, Finance and Approval Committee Meetings:

AKFP arranges different meetings of the HR, Finance and Approval Committees

from time to time on requirement basis. All the decisions are made by convening

respective committee and their directions are properly recorded in the form of

minutes of meeting. Actions are taken in accordance with the rules and

regulations.

Monthly Staff Meeting:

AKFP arranges Monthly staff meeting in the first week of each month to review

progress of previous month and to plan upcoming activities. All the staff

members participate in this meeting, share their monthly progress and submit

their plans of upcoming activities.

Program Transparency Mechanism: To ensure efficiency, transparency and monitoring, AFSS Board has specific sub-Committees.

These committees are responsible to do research and make recommendations for directions

and decisions. AFSS has four Sub-Committees:

Human Resource Committee: This committee consists of three Board members and is responsible for hiring,

probation evaluation, promotion, of AFSS staff.

Finance Committee: This committee consists of three Board members and is responsible for finalizing

annual budget, ensuring regular review of financial matters, monthly audit and

setting pay structure for staff.

Purchase Committee: This committee consists of three Board members and is responsible for the purchase

of equipment’s, furniture, and other assets.

Approval Committee: This committee consists of four Board members and is a final authority for the

approval and or refusal of applications for scholarship.

Project Progress: Assistance from ICNA Relief Canada has been provided to students in form of scholarship

under a set of competitive parameters to 332 students of various levels including schools,

colleges and universities from all provinces of Pakistan throughout the year.

Total number of beneficiaries was 332 out of which 80 students have completed

their education.

In the fourth quarter we enrolled 10 new students to refill the empty slot of the

scholarship.

As the matter of fact such students who cleared their funded degree were replaced

by new deserving students. This didn’t only increase the number of beneficiaries but

also helped us in spending the funded amount in more efficient way.

Annual Career Counselling Seminar was held At University of Gujrat

Non-Muslims Pakistanis Convention 2013 was held at Skyways Restaurant Kharian on

7th September 2013.

Sungi Workshop was held at Abbottabad in which Program Manager (AFSS) &

Finance Manager (AFSS) attended three days Sungi Workshop on “Proposal

Development and Report Writing” from September 11, 2013 to September 13, 2013

at Omar Asghar Khan Centre for Development, Abbottabad.
