Meeting of the Executive of the Woodsworth College Students’ Association

Monday, September 28th, 2015119 St. George Street

Agenda:1. Call to Order2. Updates 3. Muslim Students’ Association BBQ Rental4. TTC Tokens5. Equipment Rental Policy6. CCR Notation

1. Call to Order 4:18 pm

2. Updates

Ouellette: I finally got my emails down to single digital digits yesterday and but it came back to 30 today. It has been a crazy couple of week for athletics portfolio. I’ve had some trouble with the system on IMLeagues, it won’t let me add teams. I am currently the captain on every single team and the captains are getting a little frustrated. Coming up we have our High Park run, I would love to snag a few TTC tokens to give people an incentive to come. It will be the week after thanksgiving. It will be the first of the Workout with Woodsworth imitative. In the PR request I would ask for a logo we could put on stuff as a brand we could build for this year. Some of my intramural teams defaulted on their first game, which means we will be charged for that, so keep an eye out for that invoice.

Lakhani: I got a call from GoDaddy, the people we bought our domain name from. They wanted me to talk about why our .com displays our contact info publicly if looked up in a database of all websites and asked if I wanted it private. I said I didn’t think it’s a big deal since we publish it anyway. They also wanted me to update our contact information. Last time Alison Read was put down as a contact, so I’ve updated it and put my contact info. I've been making posters for Gala coordinators and advertising the Welcome Back Social. I’ve been putting events up on the residence TV so they know what’s happening. There hasn’t

Page 5: mywcsa.commywcsa.com/wdw/wp-content/uploads/2015/10/Board-P…  · Web view$5,419.24. Casino Entertainment. $ ... I have direct contact with Woodsworth students daily and would be

been anything else major going on. I’m going to start advertising WCSA wear more; I put something up on Instagram advertising the scarves.

Cookson: Our office staff has been hired! It will be Radha, she signed the papers this morning. Kevin and I trained her a little bit. We set her hours for the rest of the week. She’ll be ratified at the board meeting in October. Elections seems to be going well, I haven’t had any complaints from Klara or anything. A lot of students are requesting a UC residence director position. That’s something we could look into this year and add to our by-laws. All candidates meeting will be held on Wednesday night. It will be an overview of policies and polling period. It is at 7 in the principals’ room. Candidate speeches are next Wednesday. We might push it to 8 because it’s the UTSU AGM meeting and they’re voting on the board restructuring. If any of you can make it that would be great.

John: I don’t have anything new from last week but there was an issue that came up, WINDS is confused about our definition of groups and clubs, there was correspondence with Woodsworth residence about booking space there. Lisa sent an email today saying that WINDS, after using the space had left it in a disaster. I said that’s unfortunate and I contacted Shack and he said that he contacted res and they said everything is fine. I’m meeting with Lisa to talk about it; I think there was some miscommunication. I haven’t forgotten about the Mercy Ships club application, I’m still looking into it. I am still working on the Legacy Project as well. Those are my two goals for this week.

Tsui: Everything is finalized for Welcome Back Social, I placed the order for food. Just waiting for confirmation. I’m using a lot of the leftover frosh resources that I spoke with Chantal about. The promotions were out last Friday. I also sent an email to all the board members. I also dealt with homecoming, and I’m meeting with UC’s social commissioner to do the Undie Run again. Last year’s collaboration was not very successful, we just collected clothes and brought it over. I’m waiting to get Welcome Back Social out of the way and then contact Lisa directly about the Streetcar Pub Crawl. We’re also considering a Coffee crawl, the Upper Years Student Directors proposed a cross portfolio collaboration to do a café crawl around Kensington. Ryan and I are meeting with them soon. The doodle is out so they’re looking to do it in October. Logistically speaking, it’s just a plan at the moment.

John: What’s the Undie Run?

Tsui: Its sort of a like a marathon where students start with all their clothes on, and each stop they remove an article of clothing to donate. By the end of it, they’re only running in their underwear. The promotion last year was very last minute so the Woodsworth turnout wasn’t high. That’s only if UC is going to do it again this year.

John: Are we having wings night?

Tsui: Ryan and I planned for next semester, but that’s a preliminary thing if we can fit it in. Nothing is solidified.

Page 6: mywcsa.commywcsa.com/wdw/wp-content/uploads/2015/10/Board-P…  · Web view$5,419.24. Casino Entertainment. $ ... I have direct contact with Woodsworth students daily and would be

Lakhani: What kind of food did you order for the Welcome Back Social?

Tsui: Cupcakes of all dietary restrictions from Almond Butterfly, pizza, and random snacks from frosh. We’ll also have tea, hot chocolate and juice boxes. 3. Muslim Students’ Association BBQ Rental

Ouellette: I got a call today from Miriam from the Muslim Students’ Association. We’ve collaborated with them before on their Iftar event. They are a great group with a huge board. They called asking for a barbeque that they would need this Wednesday from 11-4 pm. The barbeque is on the UTSU lawn. They want to borrow ours for part of charity week. We would be allowed to table and have a presence as WCSA if we wanted. I personally think this is okay, we could charge them for the propane.

Cookson: Can they refill it for us?

Ouellette: It is pretty full since I bought a new one.

Tsui: They know they need to bring it down there themselves?

Ouellette: Yeah, they know they will have to drag it down and scrub it down.

Tsui: Doesn’t UTSU have a barbeque they could use?

John: No they only have one.

Ouellette: Yeah and they need two. I was thinking we could charge $20 for the propane and have them sign an equipment rental form. If you’re okay I could tell them to come Wednesday morning. I’m having a meeting with my captains here at 10 am and I can have them sign the form.

Tsui: We should also have a deposit, like credit card information on file in case anything happens.

Lakhani: Yup we will.

Ouellette: Okay I’ll text her and let her know its okay.

Cookson: Tell them that we need the credit card info and we reserve the right to charge the card the full amount if anything happens.

Lakhani: We could give them rave cards?

Ouellette: Sounds good!

Cookson: We could give them like 50 rave cards and we’ll charge them $30 for the propane assuming they’ll use about half of it. .

Page 7: mywcsa.commywcsa.com/wdw/wp-content/uploads/2015/10/Board-P…  · Web view$5,419.24. Casino Entertainment. $ ... I have direct contact with Woodsworth students daily and would be

4. TTC Tokens

Cookson: We have a bunch of tokens left over from frosh since we bought them as a contingency plan. We have about 500 left. Danielle has requested to keep some of them for the High Park Run.

Lakhani: How many?

Ouellette: I would like 50, so 25 people could come and go back.

John: I was thinking we could give it to off campus students?

Ouellette: We could do it in the raffle.

John: We could have a draw for like 10 tokens.

Tsui: If Streetcar Pub Crawl gets passed, we could use them for a safety measure.

Cookson: We could save 100 for it?

Tsui: Maybe more for someone bringing people home.

Cookson: Okay so 120 maybe? 70 for Athletics for the Run? 20 to Off Campus for WCSA Wednesday draws. I don’t know exactly how many tokens there are.

Lakhani: If the streetcar thing doesn’t get approved, then would you use them to get people from one place to another?

Tsui: Based on my meeting with Lisa we would need to see if the event gets approved.

John: Any other events that would require tokens?

Tsui: Not this semester so far. Ryan and I are trying to build a social committee for October and have them lead an event for November. If they form an event that requires some movement then we could use it.

Lakhani: We should set aside some for a potential event.

Cookson: Yeah, let me count exactly how many there are first. We can keep another 100 of them aside maybe. Or 150 and have another 150 to sell.

Ouellette: How many for WCSA Wednesdays?

Page 8: mywcsa.commywcsa.com/wdw/wp-content/uploads/2015/10/Board-P…  · Web view$5,419.24. Casino Entertainment. $ ... I have direct contact with Woodsworth students daily and would be

Cookson: 20. We could do more. Actually we have 700 tokens. I will email Novera and Sam and see how many they want to raffle off. We’ll finalize next meeting how many we want to sell.

5. Equipment Rental PolicyCookson: Kevin and I have been talking this week, and we’ve been getting a lot of requests from students to rent the camera and projector. As these are quite valuable we should have a stricter policy and conditions about the rental. We’ll have a 24 hours policy but it can be extended on case-by-case basis if students need it for a project or event or something. We will require the person borrowing it to leave credit card information and if there is any damage we have the right to charge the card the repair fees. If it is late we will charge a daily fee as well.

Lakhani: If it’s a week late do we consider it gone?

Cookson: We could add it in that we write it off after a week of the return date.

John: Is a week too long? They are very valuable.

Cookson: We could make it 3 days. And also add that we will charge the full replacement fee to the card. Also if it is returned in good condition their credit card info will be shredded immediately.

Tsui: Should we include who is able to rent it?

Cookson: It is typically for Woodsworth students and Woodsworth affiliated groups, other groups will be dealt with on a case-by-case basis.

Lakhani: We could give priority for Woodsworth students.

Cookson: Yeah I’ll add all this to the policy and draft it up.

6. CCR Notation

Cookson: Any position on the WCSA board is approved to have CCR accreditation. Chantal set out a list of requirements for board members to get approved. I’m modifying this, and one requirement was that they need to hold an event per month. Since most of our board isn’t filled, I’ll modify this to hold 2-3 events per semester. I’ll add it as a stipulation, they must attend both workshops this year, the first one about equity and diversity and one about professional development in the second semester, and strongly recommend they attend the Are You Woodsworthy? conference. I’ll hopefully finish editing this week and send it to Liza to see if she thinks its reasonable and then I’ll send it out to you guys and the rest of the board.

John: I contacted CCR folks regarding creating a passport system for students who were involved in Woodsworth and can put it on the CCR record. I was thinking there could be a

Page 9: mywcsa.commywcsa.com/wdw/wp-content/uploads/2015/10/Board-P…  · Web view$5,419.24. Casino Entertainment. $ ... I have direct contact with Woodsworth students daily and would be

point system of sort and was hoping this would get more people involved. She responded saying that I should contact Christina with more information about the types of activities the students would be involved in, so I’ll talk to her about it. I also asked CCR about getting recognition on students’ records for the Brands For Canada volunteer database I’m working on with them. I really wanted Woodsworth to be the college that initiated this. They said that the only way this could be recognized on CCR is for it to be a recognized U of T club and that it would probably be on it next year since they are a new group.

Cookson: Speak to Christina, I like the idea of having CCR notation for clubs.

John: When you talked about the board members, were you including committee members?

Cookson: Just people on the Board of Directors. I’d talk to the club about getting ULife recognition to see if they can get on CCR. It would be up to them to take initiative to get on the CCR record.

7. Other Business

John: I looked at the Mercy Ships constitution and budget. It was quite a lazy application, they just sent me what they sent the UTSU to be recognized.

Lakhani: If they’re part of UTSU they can’t be under us.

John: They want to start a Woodsworth chapter.

Lakhani: I thought they couldn’t be a part of both.

Cookson: That’s an unofficial policy for budgeting reasons. I think we should create two separate policies for Woodsworth founded and run clubs, and one for affiliated groups that we will not provide funding but they could use our spaces and we can advertise for them.

John: This would affect a lot of Woodsworth students; at the very least we should have a contract or policy so we can start working on it. I want the new person coming in to have everything ready.

Tsui: Can I get a reminder of the gala coordinator hiring timeline?

Cookson: Applications are due October 9th. Interviews will happen the week after thanksgiving. This is where it gets confusing, according to our by-laws the coordinators have to be hired by a hiring committee consisting of the VP social, and associate social. But the hiring policy states that the president and VP internal always have to be present and one other. It will have to be a group of 5.

Tsui: The next board meeting won’t be in time to strike a new hiring committee.

Page 10: mywcsa.commywcsa.com/wdw/wp-content/uploads/2015/10/Board-P…  · Web view$5,419.24. Casino Entertainment. $ ... I have direct contact with Woodsworth students daily and would be

Cookson: Our hiring committee right now is me, Olivia and Kristine. If Kristine is still okay with doing it, then you and Ryan can be our fourth and fifth member. I’ll email Kristine to see. Is that an okay timeline for you Ongio? They’ll be ratified at the October 19th board meeting and that’s when their work term starts.

Tsui: Yeah that works. We’ll have to organize times for interviews then.

Cookson: Once applications are closed, we’ll review them and then create a doodle for interviews. Once they’re all done we’ll review the applications again and then send out offers.

Adjournment at 5:24 pm.

Moved: Cookson Seconded: Tsui

Appendixa. Email thread with CCR

Hi Aakanksha, Thank you for your email! In terms of the first activity, I would recommend meeting with Christina who just started at Woodsworth (Cc’d here). I think we need more information about what kinds of activities they would be volunteering at, and there should also be ideally a training and reflective component. In terms of Brands for Canada—the only way I can see this on the CCR is by making it a recognized U of T club (https://www.ulife.utoronto.ca/page/view/slug/apply) In order for groups to be on the CCR, they need to be recognized somewhere. Also, since it’s a new group, they probably couldn’t get on until next year once they are established. Let me know if that makes sense and if you have any questions!Best,Kim

Hi there, I was interested in creating two initiatives centered around volunteering for Woodsworth College and UofT as a whole.

The first was for students that volunteered around Woodsworth; creating a sort of CCR passport system wherein they could earn points to make up a full CCR credit. This was more to do with Clubs and the College Students' Association, trying to incite participation and volunteerism from their students.

Secondly, WCSA (Woodsworth College Students' Association) is currently collaborating with a registered charity called Brands For Canada. I wanted to help create a university-wide volunteer database for the charity, wherein in students all over UofT could sign up to volunteer with them for various activities and still get CCR-notified.

Is there anyone I could talk to so I might know whether these ideas are possible albeit the fact that they obviously need more work etc. ?  Best,Aakanksha JohnInterim VP External RelationsWoodsworth College Students' Association University of Toronto 119 St. George Street, Toronto, ON, M5S 1A9Office: 416-946-3333

Meeting of the Executive of the Woodsworth College Students’ Association

Tuesday, October 5th, 2015119 St. George Street

In Attendance: Olivia Hauck (President)Danielle Ouellette (Vice-President of Athletic Affairs)Shonali Lakhani (Vice-President of Public Relations)Ongio Tsui (Vice-President of Social Affairs)

Regrets: Teeka Cookson (Vice-President of Internal Affairs) Aakanksha John (Interim Vice-President of External Affairs)

Agenda:1. Updates2. WCSA Wear For Teams3. UTSU Homecoming Letter4. Halloween Event5. Student Lounge6. Other Business7. Adjournment

1. UpdatesHauck: SGRT meeting on Friday, went well. Talked about AGM a lot. Its on Wednesday 5:30. Decided to do pre-AGM rally in trinitys quad. Free food, poster making, get as many students. Happening at OISE. Voting on new board structures. By-elections at 8:00 PM on Wednesday.

Tsui: Welcome back social success. 27 people signed up for social committee, another 3 gala coordinator apps picked up. Good food, great feedback. Board members to mingle with students, which was good. Relaxed, no pressure. Good response and that there wasn’t restrictions. Planning coffee crawl, doing field work and getting sponsors. Next 3 weeks or so it will happen. Hopefully October. Brians taking the lead. Halloween event coming up. Meeting with Lisa tomorrow.

Ouellette: #yaysports. Couple teams defaulted - Ultimate frisbee and co-ed flag football. Getting second chance. Basketball try-outs. Mens soccer team good numbers. Going really well for intra murals so far. Have other captains. Raptors tickets are purchased. High-park run.

Lakhani: Welcome back social – 3 people signed up for PR committee. People on the committee during summer, continue on. Wants to talk to club heads and student captains. Nothing major besides advertising

2. WCSA Wear For Teams

Page 13: mywcsa.commywcsa.com/wdw/wp-content/uploads/2015/10/Board-P…  · Web view$5,419.24. Casino Entertainment. $ ... I have direct contact with Woodsworth students daily and would be

250$ for equipment. Want more soccer teams. Wolfpack t-shirts. Can we subsidize them? Thoughts? Selling with a reduced price for team members if they have a password or something or if we want to subsidize from the budget? It depends on the team and how many people want to purchase the shirt. At least 5-7$ dollar shirts. Volleyball would want it, basketball, ultimate Frisbee. S - Numbers from these teams if they’re interested to see if we have enough? It can happen that people say yes now but back out later on. If there were a lot of people on the team and then there wont be enough for the students. Teeka said no before for the shirts. Double check with Teeka. Need a solid number because there aren’t a lot of t-shirts. Order more with athletics budget. Order them - Woodsworth athletics – and then sell them at a cost. Buy the normal wolfpack shirts. Take into account shipping and tax. See if there is enough order – will contact the team captains and see if they are interested. Will talk to teeka and see what she says.

3. UTSU Homecoming Letter

Talked about this at the last to last meeting. Have drafted the email for UTSU about withdrawing our contribution. There’s no contract signed but there was an idea that student societies were going to give money. Just because they event was not successful, is it fair not to give them money? Don’t think the event benefitted our students, but is it morally right? “Did Amanda give you an update if they gave money back?” “No”.

Questioning whether or not Woodsworth students’ money went into use. The money would not be the 1000$. Do we offer to give them something or do we say that they didn’t do a good job and we don’t give them money?

Don’t want students coming and challenging our budget.

At the end of the day it was a contract and then they didn’t live up to it and so, it is assumed that if we contribute money that it will benefit our students and that it didn’t happen. We can say that it wasn’t our contract, it didn’t deliver and so we won’t pay. And/or we don’t want to give you money because our students didn’t even attend the event. There was no advertising.

Motion to send email to UTSU regarding withdrawal of financial contribution to homecoming.

Motion passes.

Have to stay true to our principles. Akshan headed –we are deteriorating our relationship with him. When you sign up for an event and attend it even if the event wasn’t good, we are kind off supposed to contribute. Most colleges aren’t doing so.

4. Halloween Event

Suggestions for alternative events if pub crawl cant happen. Wonderland? Have a timeline to have Halloween event on Friday or Saturday. Haunted corn maze? Out of the city, have to

Page 14: mywcsa.commywcsa.com/wdw/wp-content/uploads/2015/10/Board-P…  · Web view$5,419.24. Casino Entertainment. $ ... I have direct contact with Woodsworth students daily and would be

have already started planning them to do it. Halloween Club night? By-foot pub crawl. Had a bell. Fox/fiddle, brunny or go down college street. Have to pay cover? But UC does on foot pub crawl.

Non-pub events – try to flip It every month. Its not just that its popular. It’s one of the few traditions this college have. Can go over points about extra precautions and risk management. Harder because frosh was dry, now you’re going out alone.

Ongio – if you’re bringing us so much business on a weeknight and then we might as well book it out for you. See what Lisa says. One specific club night or doing pub-crawl that we need to decide on.

5. Student Lounge

Phone board thing. Composites? Have to get in touch with Garry. Not sure what the delay is. Did some touch-ups. Having a composite wall, every single year. And it goes up on the board and we add up on every year. We have all the years except 2011-2012. Should’ve gotten it a while ago. UC writes their names on the walls without their pictures. Maybe we can do it – name walls. Same position on the same line – only probable – more money and very self-serving. Don’t think it’s important enough to student fee on – but recognize them for their work. But we get a lot of it anyways.

That isn’t inclusive enough. Printing out them – banner would be at the very top of the wall, in a line of 4.

Make sure that its okay that we are putting up stuff on the wall. Asked Barbara – as long as you don’t damage it. A lot of people don’t even realize what that room is and if we make it more known and have the composites. Depends on the size that we print it. Phoneboard 58 for 3x16 inch, 3x2 or coroplasts. Have to look at all the different sizes and how big that should be. If we cant find that one year, we would have to skip it because there’s no record. Have to do them all. We don’t have composites for all those years. Recent ones and the ones before it.

Try to get a composite from last year and this year and the names for before. Or go back as much as we can.

What about the election results?

Would the deans office have records of that?

Currently we have 3, 4th will be added and then 5th will be ready.

Can talk to Lisa tomorrow.

Space issue – can figure it out.

6. Other Business Email from maple leafs sports – 70 Marlies game November 22nd.

Are we going to be able to sell Marlies? Problem – getting very close to the exam season. Will bring it up next week. Sell them later. Don’t sell out fast if its been up for so long. Wouldn’t do 70, prefer 50.

January – raptors. Don’t have a spring event – so should I save up money for that? It would be a pre-season game for jays. One or the other.

Bring it up at board meeting and see what the consensus is. Diversity in the teams you go to. Hockey games.

Adjournment 4:55 pm

Motion passes.

Ouellette: No real updates form the athletics. People are still trickling for intramurals, with more and more interested, I’m hoping it stays high. Still haven’t done high park run but we’ll fit it in somewhere! Currently in the process of looking at another major league sporting event, hopefully for the fall. I’m going to start talking to captains about hosting their team bonding night. Things are going well, all good!

Hauck: Not much new with me, I was at the UTSU AGM last week, I couldn’t stay for all of it because I had to run over to by-election speeches. I got an update from SGRT. Unfortunately the board proposal supported by the colleges didn’t pass. I think they had to end the meeting after that; they couldn’t discuss the other proposal. I think it goes to the SGM then, so its not dead yet. The SGRT and some student groups involved are going to meet and try to figure out next steps since the amendments didn’t pass. By-election speeches also went really well! I’m also going to the Alumni Association Board Meeting tonight.

Cookson: The results are out for the by-elections! We had an okay voter turnout, 221 votes. Considering we don’t have much of an active population that’s alright. This year’s Full-Time Students’ Directors are Alyy and Zack, Associate Finance director is Dylan and First Year

Page 17: mywcsa.commywcsa.com/wdw/wp-content/uploads/2015/10/Board-P…  · Web view$5,419.24. Casino Entertainment. $ ... I have direct contact with Woodsworth students daily and would be

Directors are Justin and Barbara. The new VP external is Amanda and the VP of finance is Aadil. The board meeting will be next week at 4 pm when we ratify the committee officially. We’ll also have to have internal elections for the positions that weren’t filled, which are they Mature Students’ Directors, Part-Time Director, and the Chestnut Residence Director. I’ve already had two people email me and express interest in some of the positions. They would have to come to the board meeting and speak to their experiences for the board. They would then leave the room and we would discuss and vote. They wouldn’t have voting rights; they would sit on as ex-officios. Gala coordinator applications are up, we have 3 complete ones but a fourth one has a great cover letter and resume but didn’t send an event proposal. I’ll follow up since applications are still technically open and ask her to send an event proposal by the end of the week to see if we can look at it. We also still need to clean out Room 100 from frosh week. Its on WCSA now, we can use stuff like napkins for events, but the beads and paint we can store in a designated space for frosh next year.

3. Halloween Pub CrawlCookson: There’s been issues in the past regarding risk management with drunk students getting on street cars. Liza has been quite hesitant on the event in the past but this year she’ll let us go ahead with it provided we implement more risk management procedures. Ongio sent me a preliminary event proposal. He wants us to have a risk assessment meeting with Ryan and Liza. It would be us going over the plan.

See appendix item 1.

In theory this is a good system, but in terms of the timeline and implementing it, it would be very difficult. I asked Ongio to have a meeting with him regarding this tomorrow, but he hasn’t gotten back to me. I’m more than happy to meeting with him and Liza on Thursday, but he only has two weeks to organize this that means. If it’s something we can’t implement for Halloween, we can do it in November, but then we need to plan something else for Halloween.

Hauck: I don’t really understand how people having to check with the leaders when they enter and leave the bars will affect anything.

Ouellette: I think it lowers risk.

Hauck: But we had issues come up when people stayed at the bars, but we can’t force people to leave.

Cookson: I’m a little concerned that he doesn’t have project bar fees in his proposal and he’s already $400 over budget.

Hauck: Last year the streetcar was about $2000-$2500. Not the $3500 he has.

Cookson: Okay good, that can shave $1000 off the budget, but I’m worried if this is the quote they gave him for being last minute.

Page 18: mywcsa.commywcsa.com/wdw/wp-content/uploads/2015/10/Board-P…  · Web view$5,419.24. Casino Entertainment. $ ... I have direct contact with Woodsworth students daily and would be

Hauck: I’m also worried that it might be a little unrealistic to try to have this on a Monday or Tuesday night, a lot of bars won’t open for a private event unless you pay them a lot. Which is why we typically had it on a Thursday or Friday and a space in the bar reserved.

Ouellette: Yeah, and we had drink tickets so the bars were guaranteed sales at least.

Cookson: Also, we may have issues finding sober leaders, most people who go to Pub Crawl, drinks.

Hauck: Yeah and the $750 allocated for their gifts is a little much.

Cookson: We can also use frosh stuff for identification.

Hauck: We basically need to talk to him and make sure he knows all the details.

Ouellette: It would suck if we can’t get Pub Crawl but planning in such a short notice will be hectic and having people check the participants will be too much.

Cookson: I like how we did it at frosh where the sober leaders inside dealt with them inside the club and anyone outside we can handle.

Ouellette: The buddy system is too much in my opinion. People don’t want to be stuck with one person the whole night, they just need someone sober they can be in contact with and know they won’t judge.

Cookson: Also checking people in and out of the streetcar is a little excessive; we could just check their wristbands when they enter.

Hauck: Yeah that sounds good.

Cookson: I’ll hopefully talk to Ongio on the phone tonight about it.

4. Frosh Reflection

Cookson: The frosh binder will be completed by the end of this week or this weekend before the board meeting. Chantal and Sabrina will give a presentation to the board meeting as a final farewell. We decided not to put the entire binder in the appendix because that’s a little ridiculous and there is some sensitive information in there that should not be available to the public, so they will create a summary and that will be put in the appendix. The full binder will be available for the board. They are also writing a reflection on how spearheading the orientation process went. I was also wondering if you guys could write a reflection too since you were very involved with orientation.

Hauck: Yeah!

Ouellette: Sure!

Page 19: mywcsa.commywcsa.com/wdw/wp-content/uploads/2015/10/Board-P…  · Web view$5,419.24. Casino Entertainment. $ ... I have direct contact with Woodsworth students daily and would be

Cookson: Great, I’ll have one too, but my lines were a little blurred since I was VP Internal and WOLF Coordinator but I’ll still write one.

5. Right to Excite

Cookson: A U of T grad is running this program to turn good writers in to great writers. It’s a 6-week course to teach students how to write essays and reports. There are 5 modules available. I’m not sure if there’s a cost to it for us. He wants to host an information session in conjunction with us for Woodsworth students. Defne was approached by him during Street Fair and she said she would be more than happy to come to the October board meeting to speak to it. I think we should pass it along to Sandleen and the new Full time directors Zack and Alyy.

Hauck: It sounds like he wants us to help him have an info session to get students to sign up or pay for this workshop.

Cookson: There’s nothing about costs, I can ask Defne about it, but I’m okay with it, anything that would be beneficial to Woodsworth students, I’m down for.

Ouellette: Yeah I think it’s worth getting Defne to come in and speak to it.

6. Reallocation of Funds

Ouellette: I sent out an email to my captains about the shirts. I’m going to order a bunch of the Wolfpack t-shirts and sell them to athletes for $5 so they have a uniform. I have $250 budgeted for equipment, but it turns out the rugby team wants 20-30 shirts. So I’m up to 70 shirts now. 50 shirts if $545, and with another 20 shirts, I need more money. I ran a surplus on the Blue Jays game, I budgeted $3000 and spent $2640, so I have $360 left over. So if I reallocate this money to the t-shirts, the total is $610, but I still don’t think it will be enough.

Cookson: Do you know how much the shirts will cost?

Ouellette: He said he’ll give me a quote when I put in the order. I’m not sure if I should cap it at 50 because we still have 50 of the old Wolfpack shirts.

Cookson: We could do that, how long does it take to get delivered?

Ouellette: 3 weeks, which sucks.

Hauck: You’ll also get money back from the sale of shirts, so you can use it if you need to order more.

Page 20: mywcsa.commywcsa.com/wdw/wp-content/uploads/2015/10/Board-P…  · Web view$5,419.24. Casino Entertainment. $ ... I have direct contact with Woodsworth students daily and would be

Ouellette: Yeah that’s true I’ll cap it at 50 then for now. I’ll still ask to reallocate the $360 for the t-shirts and buy as many as I can with $610.

Motion to reallocate $360 from Blue Jays budget line to the Equipment line.

Moved: Ouellete Seconded: Cookson

Motion passes.

7. Marlies Game Discussion

Ouellette: I’m in contact with MLSE, we can get tickets for a Marlies game on November 22. We have $2500 budgeted for a Leafs event, this is the money supposed to be for a Leafs preseason game. For Marlies, he can get us 50 tickets and that will sell for $27 in the platinum area. I am a little unsure, November 22 is kind of close to finals, it’s on a Sunday, and I’m not 100% sure Marlies tickets will sell out. On the pro side, I like the idea of getting the students to a hockey game, its very Canadian, some of the international students may want to go to a hockey game specifically. I also don’t have a game for the spring; I have the Raptors game in January.

Cookson: What if we do a varsity hockey game? We could do a Woodsworth tailgate party, contact Varisty and get the Woodsworth Bleed Blue shirts and it’s free with a T-Card.

Ouellette: What would I do with the $2500 then?

Hauck: You could do another Jays game?

Ouellette: I’ve already done 4 Jays games already, I kind of want more diversity. I do like the idea for varsity sports though. Keep reminding me about that. But do you think we should do Marlies game? It would put us under budget.

Cookson: I’m just concerned that it may not sell out, it is very close to finals and people will have papers due that week.

Ouellette: Every time I think something won’t sell out, it always does, I don’t think we should worry too much about it. We have a reputation for major league sport games selling out.

Cookson: Okay I think we should do it. 50 tickets sound good.

Ouellette: Great I’ll let him know we can do it!

8. Federal Election

Hauck: I had a quick question, Jasmine from the UTSU message me wondering if we were doing anything the night of the election. I wasn’t sure if she meant if we had a Facebook

Page 21: mywcsa.commywcsa.com/wdw/wp-content/uploads/2015/10/Board-P…  · Web view$5,419.24. Casino Entertainment. $ ... I have direct contact with Woodsworth students daily and would be

group like ‘Woodsworth Goes to the Elections’. She hasn’t gotten back to me yet. Should we do something for it? Or advertise that it’s happening?

Cookson: We could get Shonali to put it in the newsletter, and we’re also having the debate this week in Kruger Hall.

Hauck: Oh yeah I forgot about that! Perfect, I’ll let her know she could come and speak about voting.

9. Other Business

Cookson: Sam and Novera were wondering if they could get 200 of the 770 TTC tokens for the WCSA Wednesdays draws.

Hauck: Maybe 100?

Ouellette: I think 200 is reasonable, they are commuter students. But most do have a TTC pass.

Cookson: I could ask them to drop it to 150 so we can save some for Pub Crawl, the Marlies game and the High Park run.

Hauck: We aren’t selling them?

Cookson: We could see how much we have left and sell the remaining in January.

Hauck: it would be great to have some around so we don’t have to expense people back when we’re running around for events.

Cookson: Yeah that’s perfect.

4) Approval of the Previous Board of Directors Meeting MinutesMoved: Hauck Seconded: Cookson

Medrero: My last name was misspelled at the end.

Motion passed.

5) Approval of the Board ReportsMoved: Hauck Seconded: Cookson

Hauck: I’ve been very busy. Not much new with my portfolio. There was an SGRT and Vice Provost meeting the past month. Couldn’t attend SGRT but I was at the Vice-Provost, it was a quick introduction so she could get to know us, went well. For those who don’t know, SGRT is the St. George Round Table with all the colleges presidents. Other than that, not is much new. Frosh was really really successful! Cookson: The past two weeks have been really busy with frosh, which, like Olivia said was amazing. Thanks for everyone that helped out. This week we have hiring for office staff, by-elections and locker rentals happening. If you want to get involved, check out the website. Our audit was also completed successfully. Good luck with the first week of classes.

Tsui: I’ve been catching up after being gone for the summer, but I was dealing with frosh on the OEC helping the OCs out. I went to the homecoming meeting, so we’re getting a move on, it is on Sept 19th. They are using our frosh entertainment company Chantal and I suggested since they were good with us. I also finalized details with Danielle for the Jays game as well as planning for our Welcome Back Social, which is on Oct 2nd in the afternoon.

Cookson: We do have an Interim VP External, Aakanksha John. She has been in contact with the clubs seeing who is active. We are helping planning their events; Aakanksha has been great with that. Hopefully the position will be filled after the by-elections.

Ouellette: September is absolutely the busiest month for athletics. I’m setting up the teams now, there is a paper and online registration which is due Thursday. I have a meeting with the captain of our soccer team, which is probably our biggest team. We have enough people to have three teams, two in division 2 and one in an open division. I also had a phone call with our contact at Maple Leaf Sports, I bought out Raptors tickets for January 18th. The game is against the Brooklyn Nets and there’s only 40 tickets. I’m also looking for Leafs

Page 27: mywcsa.commywcsa.com/wdw/wp-content/uploads/2015/10/Board-P…  · Web view$5,419.24. Casino Entertainment. $ ... I have direct contact with Woodsworth students daily and would be

tickets, the only thing I’m worried about is that it’s close to the Jays game. But the Jays game did sell out in 8 minutes. If not the Leafs, we can do a Marlies game. Miranda and I will be attending the intramural meeting on Saturday morning. Everything is good but it’s going to be a busy couple of days!

Lakhani: I’ve just been advertising the new events and initiatives in September. We have the recruitment, hiring new office staff, Welcome Back Social and locker rentals. I’ve also taken pictures during frosh week, which will be uploaded on Facebook soon. A newsletter will be sent out weekly this year, which I’m setting up now.

Jeong: Hey Woodsworth! I hope you enjoyed your summer and welcome. This summer Ongio and I worked on solidifying our budget and helping out with frosh week, which was a success. We will be planning the Welcome Back Social and have been planning the jays game.

Li: I don’t have much to add since our awesome VP of Athletics covered everything. I’m just excited to work with everyone this year!

Azam: Hi guys, I hope everyone is feeling good on the first day back. I’m just getting back into my role after being away for 5 weeks. I want to get right back into planning the conference. I want to survey students to see what they want to see in the Are You Woodsworthy? Conference. Also the hiring for the conference committee will be coming up as well.

Khan: Sam and I have been super busy with orientation. We have our off-campus Facebook page running. WCSA Wednesdays start this Wednesday on the 16th in room 101. The applications for the OCC have been successful, we have 26 members in the OCC now, and we will be closing the applications now.

Medrero: Congratulations on frosh it was amazing! We have some first years interested in filling in our positions. We have finalized the details for our Princeton review events in October and February. We were also talking about having a walking tour on campus, if anyone wants to collaborate, let me know!

Issa: Congrats to WCSA, you guys were fantastic during the week. Thanks for all your love and support. Orientation was a success in our eyes. We did have a lot of feedback from incoming students saying they enjoyed it. We rolled through the punches when they came up. There were a few issues that we will write about in detail in the orientation manual, which will be released next month. Our leaders were great, we did have to fire one of our head leaders but that was the only issue we had. If you have any questions, please let us know, we’ll be around for a bit longer; we’re still cleaning out room 100.

Motion passed.

6) Extension of Office Staff contractBIRT the WCSA BoD extend Kevin Bublitz’s Office Staff contract until December 31 st, 2015.

Page 28: mywcsa.commywcsa.com/wdw/wp-content/uploads/2015/10/Board-P…  · Web view$5,419.24. Casino Entertainment. $ ... I have direct contact with Woodsworth students daily and would be

Moved: Cookson Seconded: HauckCookson: WCSA was only approved for only one work study position this year and we usually get two. This means that under a work study contract you can only work 12 hours per week. This isn’t enough for the office to be open. What we discussed at the previous executive meeting and what I’m proposing now is that Kevin will work 6 hours to extend his contract from his summer to supplement the work study position. He will be paid bi-weekly from the budget for the second work study position.

Hauck: Kevin has been great, I don’t know how the office would run without him this summer.

Motion passed.

7) Hiring Committee BIRT the WCSA BoD dissolve the current Hiring Committee, effective immediately.Moved: Cookson Seconded: Hauck

Cookson: We’re going to be hiring office staff so I wanted to dissolve the previous one.

Motion passed.

BIRT the WCSA BoD appoint Hauck and Kristine to the Hiring Committee, to be chaired by Cookson.Moved: Cookson Seconded: Hauck

Cookson: We need a director on the hiring committee, I will give you each a chance to speak and we’ll go to a secret ballot.

Medrero: I was on the hiring committee on the summer. I have a good knowledge of what we need for the office staff.

Secret vote.

Motion passes.

8) Ratification of the CROBIRT the WCSA BoD ratify Klara Kovar to the position of Chief Returning Officer for the up-coming WCSA by-election period.Moved: Cookson Seconded:  Hauck

Cookson: Our previous CRO was Savannah, but she is no longer with Woodsworth. Klara has been stepping up to some of the roles and has been doing a fantastic job. I asked her to be our CRO during the by elections and she graciously accepted.

Kovar: I’m honoured that Teeka asked me to step in this role. I was a Woodsworth student and now I’m working the Dean’s office and was res life, so I have experience and

background information and knowledge about Woodsworth. I’m looking forward to this exciting opportunity.

Motion passed.

9) Office HoursNo Motion.

Cookson: As you all know it is required that each of us hold at least 2 hours of office hours every week. I have sign up sheets here with me. I’m asking that you do not fill out the same time as someone else. One of my goals is to have the office open as much as possible so we are as accessible as possible. I understand if it conflicts with classes, but no more than 2 people at once in the hours. I’ll post one in the lounge and on in the office. It is expected you are there every week. If you miss more than 3 office hours in a row you will get a written warning. We will be adhering to the absenteeism and non-performance of duties policy. If you have any questions let me know. I’m looking forward to having you guys officially in the office and around!

10) Frosh ReviewNo Motion.

Cookson: A huge thank you to all of you for helping out and being around. I know most of you were leaders or OEC. It was a huge success and you were all a big part of that. It was smooth and cohesive and presented a great front. We got a lot of interest form first years about WCSA. If you have any comments about frosh week, email me or to Chantal. If you want it anonymous we can set a system up. We would love to hear your feedback.

11) Motion to strike Social CommitteeMoved: Tsui Seconded: Cookson

Tsui: This year with the social portfolio we really wanted a consistent social committee, Olivia and I tried to get it going last year but it kept on dying down. We have a solid budget this year and want it to get going this year. We have a lot of interest from all years so Ryan and I are confident we can get it going this year. We will have sign up sheets at the Welcome Back Social. It will be a great way for students to get involved with WCSA with less time commitment. It will be chaired by Ryan and I.

Motion passed.

12) Other Business

Ouellette: Just regarding the barbeque this Friday, I’m hoping for a high turnout because it will also be recruiting for intramurals. I would love for you guys to come out to represent

WCSA. I also don’t know how to work the speakers so if someone could help that would be great.

Issa: I can come help set up. Sabrina and I will come

Ouellette: That would be great. It would be awesome to have strong WCSA presence.

Cookson: I can skip class.

Tsui: The Welcome Back Social tentative start time is 3:30 pm. We ask for as much WCSA presence as possible. Executives who have committees or will strike committees, I want to ask you to come recruit.

Lakhani: We have a collaboration with APUS coming up, I was wondering if anyone is available on September 26th 11:30am – 1pm to help set up and table. If anyone is free let me know.

Cookson: Please review the elections policy, especially those on the elections referenda committee, which is me, Miranda and Novera, chaired by Klara. If you are on the elections referenda committee please do not endorse someone running. For those who are not, if you like or share something on social media, please do so for all candidates. Your name is attached to WCSA and represents us. Its not an actual policy but it is something I would like us to adhere to.

Hauck: If you are on the committee you also cannot sign someone’s nomination sheet.

Cookson: When I was sending out the Board of Directors meeting dates I wasn’t paying attention and realized they fell on fall reading week and thanksgiving. The new dates will be October 14th at 9 pm and November 11th at 9 pm. We will hopefully be ratifying the other board members then, which Klara will be helping us out with.

4) Board Reports

PresidentHey Woodsworth!

I hope you are all surviving this busy time of year!  I know how crazy it can be and I wish you all luck on your upcoming midterms and assignments!  The past month has been exceptionally busy for WCSA with by-elections, gala coordinator hiring, event planning, WCSA Wednesdays, intramurals, providing services, and so much more!

WCSA successfully held their by-election and I am so excited to work with all the incoming board members.  Congratulations to all those who were nominated and thank you to all the students who voted!  I can’t wait to see what the new execs and directors have planned for their portfolios!

I am continuing to work with Shonali, our VP Public Relations, to update the student lounge.  Our goal is to make the space more welcoming and accessible to students.  Some of our plans include adding couches to the space, displaying WCSA composites, updating the book collection, and so much more!  If students have any ideas for the space please email me, I would love to hear them!

As always, if you have any questions, concerns, and/or ideas please do not hesitate to email me at [email protected]!  #1<3WW

Best,

Olivia

Vice-President of Internal AffairsHey Woodsworth!

I hope everyone has survived the first month of classes and that midterm and paper preparations are going well!

This month has been extremely busy for in the Internal portfolio. We hired our new office staff, Radha, so I’d like to welcome her to the WCSA team! We held a very successful by-election, in which most of our vacant positions were filled. We had a great voter turnout so thank you to everyone that got involved. I’d like to say huge congratulations to everyone that was elected, and take this opportunity to welcome you to the team! I am so excited to work with all of you ☺ I have been very busy getting everything organized for this transition, but it looks like we’re on track for a successful start with a full board! For the positions that weren’t filled, we will be holding internal elections at this board meeting.

We are also in the process of hiring Gala Coordinators. Applications were extended until last Friday (the 16th) and interviews will be taking place this week. Halloween streetcar pub crawl preparations are coming along well, and we will have everything finalized by tomorrow (the 20th).

Frosh is finally being wrapped up, with the budget being officially closed and the transition reports being completed this week! I am also in the process of organizing and equity training workshop for the Board, so keep an eye out for that!

As well, I know that the next few months are stressful times for everyone, so I am working on planning a few de-stress events (puppy playtime therapy may be on the horizon)!

As always, I’d love to chat to you if you have any ideas, questions, or concerns, so please don’t hesitate to come by my office hours (Tuesdays 10am-12pm in the WCSA Office) or send me an email at [email protected].

Happy studying!

Vice-President of Social Affairs1) Welcome Back Social: This year's Welcome Back Social in early October was a success. Ryan and I executed our first event together and although there was a rocky start, it ultimately garnered positive feedback. Many student leaders were present and committee sign up was strong. Great beginning of the school year for Woodsworth students.

2) Coffee Crawl: The first cross-portfolio event of WCSA this year is spearheaded by the Social Portfolio, the Off-Campus Portfolio, and the Full-Time Students Portfolio. Ryan represented the Social portfolio for the most part, and the event will happen on October

Page 33: mywcsa.commywcsa.com/wdw/wp-content/uploads/2015/10/Board-P…  · Web view$5,419.24. Casino Entertainment. $ ... I have direct contact with Woodsworth students daily and would be

23rd. The event is the first of its kind and will showcase various cafes close to campus. Participants will be shown different study spots and will be able to taste amazing coffee.

3) Halloween Streetcar Pub Crawl: After much speculation, the Halloween Streetcar Pub Crawl will happen this year, during the last week of October. Final details are being confirmed at the moment, and will allow students to dress up, socialize, and experience some of Toronto's exotic establishments. This year, there will be many changes to enhance the experience, to keep our students safe, and to create a positive environment for participants. There have been multiple meetings discussing risk management, and the Social Portfolio along with WCSA hopes to bring an enjoyable and safe evening for pub crawl participants.

4) Coffee Cupping: Currently in the works, the Social Portfolio would like to continue the coffee event series with a simple cupping and tasting event to be hosted in November. Many students run on coffee and Toronto has an amazing indie coffee culture.

5) Social Committee: The coordination of the committee is in full swing, and will hopefully be able to meet in the near future. There have been over 30 students who have signed up and both Ryan and myself are extremely excited to work with all the enthusiastic students.

Vice-President of Public Relations I've put together a PR committee to help with social media, photography at events and promotions in general. I have also started to work with Jing, the incoming Associate Director of Public Relations, through the PR committee until ratification. Besides working on a lot of posters, updating the website, and sending out newsletters, there has not been too much else that has changed in the PR portfolio. I have been working with the other executives on ideas for the Student Lounge, and trying to make more students aware of its existence, along with increasing signage in the College, so that students know where to find us! WCSA wear sales have been increasing as the word is spreading and the weather is getting cooler.

Associate Director of Athletic AffairsHey guys! First of all I want to say a big congratulatioins to our newly elected board members! I'm very excited to be working with you this year, and hope we can make some magic happen for our students. Just a quick update from your athletics portfolio. As most of you know, I bought Raptors tickets a while ago for January 18 against the Brooklyn Nets. We got 40 tickets for this game. I also just purchased Marlies tickets! I know we were hoping to do another pre-seaon Leafs game but prices were way too high this year (which doesn't make sense considering their recent performance....). We were able to get 50 Marlies tickets for November 22, which is a Sunday. It's still a major league event and I think students will be excited to get the variety of baseball/hockey/basketball we are able to offer. Keep an eye out for ticket sales! Intramurals are going quite well, with a fairly strong presence on all our teams. We did have a few defaults but teams were allowed a sort of second chance, which really kept up morale! Our recruitement BBQ paired with the Jays game on Sept 18 was a great success, with lots of people interested in getting involved with intramurals. Thanks to the captains who made an appearance there to represent their teams! In regards to ticket sales, since we always sell out of major league events within minutes I am interestd in pursuing a lottery-style selling system, to prevent the mad rush of students trying to get tickets. I was also recently involved with the Woodsworth Political Society's all-candidates panel hosted on October 14. This was a very well attended event and really great for students! We should be very proud that we enabled an event like this to go forward and represented our college and UofT at large so well. Looking forward, I am going to get some passive programming for our Work Out With Woodsworth initiative. There space on the bulletin board outside of WW101 that I will be using for information regarding staying active throughout the year, athletic posters, and activie living resources around campus. Miranda and I will also be hosting a run in High Park in early November where we will provide tokens for stufdents to accompany us to the park and get some excersize! I am very, very proud of everything the board has accomplished so far this year. Mad props to some of directors such as our Upper Year directors for the upcoming Coffee Crawl and the off-campus portfolio for pulling through with WCSA Wednesdays despite the grill challenges. Our directors are so inspiring, and it is amazing to see such a strong foundation for the future of WCSA. LOVE YOU ALL.

Off-Campus Students’ Directors

Hey there Woodsworth!

We hope that you are successfully surviving your midterms and getting through the brutal month of October. It has been a busy month for the Off-Campus portfolio, with some setbacks here and there, but we our trying our very best to get WCSA Wednesdays more organized and much more fun for all of you (we promise)! We had our very first meeting with the Off-Campus Committee earlier this month and we have a bunch of initiatives and events planned for you. We will be holding various contests, both online and during WCSA Wednesdays, this month to give out free Metro passes and TTC tokens. Later this month, the Off-Campus, Social and Upper Year portfolio will be hosting a ‘Coffee Crawl’ where students will get a chance to explore the various remarkable coffee spots in Kensington. Additionally, students from Woodsworth College will now be featured every month on the Off-Campus page on Facebook and share their 'do's and dont's' of commuting in our new series called the ‘Commuters of Woodsworth’.

Please let us know if you have any suggestions, comments or concerns.

Best,

Novera Khan and Samantha Davis.

Upper Year Students’ DirectorsHey Woodsworth! October is a busy month for the Upper Year portfolio, as we have 3 events planned. The first was the Cram Jam, which happened on Friday, October 16 th, and the next two will be the Coffee Crawl on Friday, October 23rd, and finally the Princeton Review event on Monday, October 26th. The Cram Jam was the first of four for this year, and things went pretty smoothly. Hopefully the Coffee Crawl will be successful as it is the first event of its kind for WCSA. That’s all from me, have a great October!

NOMINATION PERIOD

The nominations period lasted two full-weeks, beginning in mid-September and ending at the end of the month. This permitted candidates enough time to submit packages just as classes began. During the nomination period, candidates could find the Nomination Package at the WCSA office or online at www.mywcsa.com. They were asked to fill out the nomination package and drop it off with CRO and also to email their personal statements to the CRO. All nomination packages were verified to insure that candidates met the nomination requirements

Page 38: mywcsa.commywcsa.com/wdw/wp-content/uploads/2015/10/Board-P…  · Web view$5,419.24. Casino Entertainment. $ ... I have direct contact with Woodsworth students daily and would be

(primarily, that they were not on Academic Probation), and that all of their nomination signatures were from currently registered Woodsworth students. There were no issues with nomination packages. There were 14 total submissions, and only a few contested positions: Full-Time Students’ Director (2 positions), First Year Students’ Director (2 positions), and Associate Director of Financial Relations. There were a number of positions that did not receive any candidate nominations, including: Part-Time Students’ Director, Mature Students’ Director (2 positions), and 89 Chestnut Director. Each candidate or their proxy was present for the All Candidates Meeting, which operated smoothly and in a timely matter. It might be helpful to tell candidates to come to the meeting with their planners so that they can sign up for the tabling portion of the campaign period.

CAMPAIGN PERIOD

The campaign period lasted exactly one week, beginning at the conclusion of the All Candidates Meeting, and ending with Speeches in the Waters Lounge. There was one policy infraction with regards to physical campaign materials; one candidate did not have their posters approved by the CRO. Facebook was widely used during the campaign, and candidates were asked to tag the official WCSA CRO Facebook account in any of their posts or comments. There was one infraction regarding the misuse of social media: a candidate used Instagram. Candidates received strikes and warnings for violations such as not tagging the CRO in material, or creating unapproved groups. Twitter was not overly used by candidates to advertise their campaigns.

Tabling was used effectively in the Woodsworth College Residence, although there was a strike issued to one candidate who campaigned for longer than permitted. Not all candidates tables or campaigned. The campaign period ended two hours before the Candidate Speeches at 8:00pm, where Candidates were given the option to present a speech to their peers. If they were unable to attend, they were encouraged to submit an audio visual recording which was posted on the WCSA website for student to view or listen to. Two candidates did not show up for the speeches, nor did they send any other material to be shared with students.

VOTING PERIOD

The voting period began at 12:00am on October 8th

without any issue. There were 221 students who cast their votes, which is 3.7% voter turnout. Polling Stations were located in the Woodsworth Residence Lobby and in the College outside of room 101. Perhaps the best location in the future will be just the Woodsworth College Residence Lobby, as was done in the spring elections. Poll clerks were required to give 2 hours of their time for this cycle, as there were not many candidates and we needed to meet the constitutional requirements for polling station hours. Poll clerks were asked to maintain neutrality, and told that anything that could be construed as campaigning for a specific candidate could warrant disciplinary action against the candidate that provided them as a volunteer. A better system of checking in with the poll clerks and making sure that they were there would be beneficial. Perhaps this can be done in the spring elections now that the new Student Life Coordinator has been hired and has seen how the election processes and CRO duties are done.

All candidates were informed of the results via email from the CRO after the voting closed at 11:59pm on October 11, 2015. Results were sent to candidates on October 13, 2015 since

was Thanksgiving. As there were not an abundance of election infractions, none of the candidates were disqualified. There were no appeals submitted during the appeals period. The unofficial results were publicized by WCSA at the end of the appeals period on Thursday, October 15, 2015.

Write To Excite is a six-hour prep course that teaches students how to get great marks on essays and reports. Specifically, we aim to help good writers become great writers.

Because of our niche focus, we suggest that only two types of students enroll:

1.Students who already consider themselves to be strong writers, and want to become excellent writers; and

2.Students who are bright and motivated but struggle with writing.

Development of the Prep Course:

A group of tutors developed the prep course by studying hundreds of writing assignments. They concluded that five aspects of the writing process challenge students most, and then designed the course to address those aspects. They are:

1.Paying attention to detail, Name of course module: Attention To Detail

2.Writing prose that's exciting to read, Name of course module: Write To Excite

3.Being clear, Name of course module: Clarity

4.Having structure in a written piece, and Name of course module: Structure

5.Arguing persuasively. Name of course module: Content

Our prep course teaches students in all faculties how to master these areas.

What Sets Us Apart:

I. We Focus on Both the Big Picture and the Sentence Level

At many top writing services, instructors focus predominantly on the big picture. For example, they help students order the paragraphs in an essay.

This approach presupposes that students are writing adequate sentences. However, students have difficulty communicating their thoughts in writing, and need help at the sentence level too. We focus extensively on sentences, as well as the big picture.

II. We Improve Grammatically Correct Writing

In high school, students learn how to write without making grammar errors. In other words, they learn how to become good writers. That is not enough training to

Page 50: mywcsa.commywcsa.com/wdw/wp-content/uploads/2015/10/Board-P…  · Web view$5,419.24. Casino Entertainment. $ ... I have direct contact with Woodsworth students daily and would be

consistently get great marks on university writing assignments.

To be near the top of the class, writers need to excite their readers. While naturally gifted writers are able to do this, lots of bright students are not. At Write To Excite, we teach the techniques that make writing come alive. We explain how to improve grammatically correct sentences, to excite professors, admissions boards, and other readers.

Event Summaries for the Week

Due to the confidential nature of many of our assessments of events, we are submitting only a summary to the WCSA BoD appendix. A full evaluation and

suggestions for each event can be found in the Orientation Manual meant for the newly hired OCs for next year.

Monday

Residence Move-InResidence move-in went smoothly. Residence Move-In was largely run by the Residence team, and was set up in stations similar to previous years. There were a few issues that we believe could be rectified in future years which have been outlined in the manual. All in all leaders were very helpful and it was a great opportunity to start making those initial connections with froshees. We also worked with the Varsity a lot this year and had members from the Hockey, Basketball, and Volleyball team present to help assist with move in. They were a helpful addition. Further comments are made in the manual.

Residence Special ProgrammingUnfortunately our initial planned programming was not able to be followed through with. However, the WRC/WCSA Residence barbeque ran really well, with the WRC taking care of almost everything. Leaders mainly helped with crowd control and getting the word out to first years. First years were given priority to eat but the Varsity Athletes and Leaders were able to eat as well later in the day.

Residence AssemblyResidence changed this last minute from the standard residence assembly to a more casual meet and greet with the Dons over pizza. This was largely unstructured, which helped us since there was a bit of a time crunch with the Varsity Tailgate and football game. The event seemed well-attended, as Kruger Hall was pretty full. The POM POM team also partook in this event. Their role was to act as a welcoming committee at the entrance of Kruger Hall to great students. Once students were inside and settled they also taught the students the UofT unity cheer.

Tailgate and Varsity GameSetup for the tailgate only took about 20 minutes, as it was just putting supplies out around the quad and setting up speakers. The event didn’t start until about 6:15 PM as there were a few rain showers after we had set up in the quad. The leaders were really helpful getting all the equipment (including the sound equipment) under the awning the second it started sprinkling. While we waited to see if the rain would stop, we told all the leaders shifted what the rain plans would be depending on the calls we made. This was extremely helpful as when we made the final call to move forward with the event in the quad (minus the poster station, and with the sound system moved under the awning) the leaders knew exactly what was happening. The varsity game is a really great event to go to. A lot of the divisions go and there are tons of giveaways at the event. A lot of students did enjoy themselves and liked the idea of having sections blocked off for just WW seating as it ensured that most students could sit together.

TuesdayRegistrationThe major change we made to registration this year was to add in the boarding pass as our means of receiving information from students. The registration area is really loud, so having them give names verbally, especially with unique names, makes finding people very difficult. When students had the boarding pass printed and filled out, it made registration extremely quick. However a lot of students didn’t have the pass (due to a variety of issues, no printer, not receiving the email, etc), which slowed the process down a bit. We found it worked better to send a leader up and down the line with pre-printed boarding passes (printed in the WCSA office) to those who didn’t have it, as well as pens for them to fill in their information. This reduced the people in line at the WCSA office to only those who were buying a package last minute.

As more students showed up, the line did get pretty long (almost to residence), so more leaders were sent out along the line to entertain the froshees and teach them cheers. Giving out the #woodsworthbleedsblue shirts that weren’t given out the night before was also really helpful in keeping them engaged.

Lunch/Quad Party/T-shirt DecorationLunch went extremely smoothly. The flow of people within the room was pretty smooth and students did appreciate the variety of choice.

The quad party was pretty informal before opening ceremonies started, with most students sitting around eating lunch or mingling with leaders. We sent Shaver out pretty early before opening ceremonies (around noon), which students loved as they had a chance to get photos with him.

T-Shirt Decorating was extremely successful, especially as it’s something a lot of students requested in previous years.

Opening Ceremonies

Page 55: mywcsa.commywcsa.com/wdw/wp-content/uploads/2015/10/Board-P…  · Web view$5,419.24. Casino Entertainment. $ ... I have direct contact with Woodsworth students daily and would be

People loved the flash mob during opening ceremonies! As always happens, we had issues with sound getting to people at the back of the quad. The students did enjoy the icebreakers, especially the newspaper tower. We did send different groups into the college in order to give everyone room to play which was very helpful in crowd control.

Scavenger Hunt

The scavenger hunt had mixed reviews, partly due to the weather. This was the first year we could actually execute this event. Because of the heat students were very tired and didn’t want to walk around. This caused a lot of students to be separated from their groups. The leaders also figuring out the locations before the clues were fully read which didn’t assist in the educational part of the scavenger hunt about having first years learn about the buildings. Other colleges were also roaming around campus at this time, which lead to some great cheer offs.

Sex with SECSex with SEC had a very good response from the students attending, and they found it a good length. The anonymous questions section at the end was very popular, as quite a few students did submit questions. They also enjoyed the raffle, and found it was a good introduction, especially for the international students that attended the event.

Around the World KaraokeAbbey Road took care of all the set up of equipment beforehand, so there was very little for the leaders shifted to help set up other than to change around the chairs in Kruger. Though we rented a generator, there was actually no need for it, as the set up worked plugged in directly to one of the wall outlets in Kruger. When Battlefield dropped of the generator, they were super nice, showing us how to use the generator.

Once the event started, it was super well received by everyone! Kruger being a bit darker with no spotlight helped everyone be a bit more comfortable and be themselves, especially as karaoke can often be a bit a nerve-racking for people. It turned into more of a dance party, with everyone singing and dancing a long, and went strong right until the end of the event, when people had to be turned away from signing up for a spot.

We had originally planned to have a couple of the classrooms for foreign language karaoke run through youtube on the podiums, but everyone stayed in Kruger so those rooms weren’t used.

Capture the Flag vs. EngineeringThis event involved a lot of improvisation on our part. We played on the Eastern half of Kings College Circle, with the north side being one team and the south being another. Boundaries were marked by two of the OEC walked up and down the no-man’s land marking the boundary, also marked by the Emergency First Responder station.

Each team was half of the Woodsworth and half of the engineering students playing together. More students did show up as the event continued and the teams ended up being very large, larger than expected. Most people seemed to enjoy the event although the

length of the games, which got longer and longer as rules were added last minute by different members, seemed to tire people out. WednesdayZumbaZumba went extremely well! Due to the rain we had to move it into Kruger Hall, and we did start a little late (about 5-10 minutes) due to starting set up, though we still ended at the right time. However once we got started, everyone loved it. The instructor from MoveU was great getting everyone to have fun. It was also great for participation that dons decided to come with their students to the event, which encouraged them to wake up at 9am!

UTSU Clubs FairThe Clubs Fairs had a delayed start (probably due to the weather) but there were no other complaints from students. Once it started, it was very crowded and all the students were saying how much they loved seeing all the opportunities on campus.

Block PartyIt ran smoothly and was extremely well received by all the first-years and leaders. A ton of planning went into this event and it was a great attraction for sponsorship. It was a collaborative event with Trinity and it seemed to be well received by them as well. Hart entertainment was a great company to work with and we would suggest them in the future as well.

DinnerDinner went relatively well with no major line-ups. There was a lot of extra food (at least 50 full boxes of pizza), and some were brought to the Res front desk, a few boxes to the frat across the street (as a peace offering of sorts), and the rest brought to the Salvation Army.

Ghost Tours (Add On)The Ghost Tour add-on was extremely successful, and was the first add-on to sell out. People did appreciate that it was a bit more of a relaxing/chill event in comparison to the rest of the day. It was a good opening for us regarding transportation off campus/busses. The wristbands were extremely helpful, but we did still need the list to ensure no one was getting on the bus who shouldn’t have.

Explore TorontoThose that did participate did seem to enjoy it, as they were able to make connections with leaders, and follow up with leaders following the event was great. There was no set guidelines for this event as it was meant to be casual and something for those people that have never been to Toronto before do to get to experience the city.

ThursdayProgram BrunchProgram brunch had double the turn out of last year, and a few trips had to be made to grab more food. The upper years/ementors enjoyed the event as well.

Campus Tours

Page 57: mywcsa.commywcsa.com/wdw/wp-content/uploads/2015/10/Board-P…  · Web view$5,419.24. Casino Entertainment. $ ... I have direct contact with Woodsworth students daily and would be

Everyone who participated enjoyed the campus tours for being clear, though many students showed up a bit late, so tours started a little late.

Pre UofTStudents said they enjoyed the programming. The whatsapp group between Head Leaders and OCs was extremely helpful in assisting students find where they were supposed to head to for their specific hub, and the WOLF OCs were added to the group at this time to help answer Pre U of T questions as they were the primary contacts for the event.

LunchDid have a late start due to some issues beforehand with the space. Lunch itself was extremely rushed, and we would have benefited from more time for eating, especially as it was more of an actual sit down meal, and many people wanted to sit and fully enjoy the meal. The pre-plating we had intended to resolve this timing situation a bit could not work out because of the late start we had. It also prevented us from getting a large amount of students down to Kings College Circle for Bed Races until the races had just about started. However, students really enjoyed the food, and leftovers went to administration as their lunch for the next day, as well as to the Salvation Army again.

Bed RacesOnce the event started students really enjoyed it, even though Woodsworth wasn’t as successful as we may have hoped. The one thing they found disconcerting was the amount of mean cheering from other colleges that they weren’t prepared for. We also didn’t have time to paint any of the students or runners before going down to Kings College Circle, while some students at other colleges were painted head to toe. We did find that having multiple runners, so as to substitute in alternates when the initial runners was helpful. However, we did forget to bring extra water bottles for the runners, and we didn’t have much time to paint them before leaving.

WoodsworthlandAbbey Road was great with set up again, and helped us place the generators in the far corner, so as to minimize the noise interference with the music. Though it took a while to get dark, everyone did enjoy the lights, though we could have started the event later in the evening. Rhys was also great, and we found the placement of the equipment was helpful in keeping it safe. Clean up was quick with all the leaders.

Games NightThe biggest request during games night was for cards against humanity. There were lots of leftover donuts, which were used during breakfast the next morning. Leaders were all helpful, the food/drinks amount was good, and cleanup was very smooth.

Club NightWe met with venue security prior to the event when we got there for the DJ, and went over the details for the night, which helped whenever problems arose with entry. We were checking names and wristbands at the door, and just wristbands for bus loading at WW.Security was very good about sending students that were visibly intoxicated home, and leaders were amazing about taking them to residence etc in cabs (their receipts went to the

Page 58: mywcsa.commywcsa.com/wdw/wp-content/uploads/2015/10/Board-P…  · Web view$5,419.24. Casino Entertainment. $ ... I have direct contact with Woodsworth students daily and would be

OCs who passed them on to WCSA). We walked a couple groups to the nearby TTC station as well, as quite a few students wanted to go home prior to the busses starting up again. The DJ Albi was great. The venue continually asking the DJs to turn down the volume as they have an agreement with a next door restaurant to keep it down until the restaurant is closed. The venue management and security were great, though we did have an issue with water. All the students that stayed through the night seemed to enjoy everything, and many brought inflatables to the club. Most of the dancing was downstairs, with a more relaxed atmosphere on the upstairs level. The glow sticks and frosh shirts on leaders also helped identify them to froshees when they needed help, though the shirts were most identifiable. Busses going back to WW started at 12:30AM, though we had a lot of students asking us if there were busses yet starting around midnight. Our last bus left the venue around 1:30 AM, a bit earlier than we had anticipated

FridayBreakfast with WCSAWCSA breakfast went extremely well, with a ton of people attending. The line went up the stairs and into the front hallway, so the leftover donuts from the night before were cut into halves and handed out to those in line. At first it was WCSA members doing the pancakes, but they later switched out for leaders so those in WCSA could mingle with the students.

Cheer Off and PrepSet up began pretty early and was relatively easy as it was just placing supplies around the quad. We did tell all the leaders present the restrictions on supplies. We filled the water guns that morning with the help of a couple leaders so we could put them in the truck for the parade. We decided to have the water guns be for froshees only that afternoon. Unfortunately we had very few froshees at the cheer off, partly due to the time misunderstanding and because of the bad weather, but more and more arrived as the event continued. We used the whatsapp group to communicate the cheers we would be doing as part of the cheer off from the bleachers, so all the leaders were on the same page, and they spread this information to the froshees.

UTSU ParadeThe parade as a whole was great. The perimeter of leaders we had planned was extremely successful, and the leaders and OEC were integral to the success. The supplies we had on the truck were extremely successful, though we underestimated how hot it would be (but still cooler than past years). The juice boxes and UTSU water bottles were very useful, and the granola bars were useful, but more juice boxes would have been helpful as we still had a couple granola bar boxes left at the end of the parade. The food was passed to OEC and leaders at the front of the crowd who then distributed them among the students (as well as OEC handing out goodies like necklaces, water guns etc to the froshees). There were also leaders with trash bags moving through the crowd collecting everyone’s trash

SaturdayLunch

Page 59: mywcsa.commywcsa.com/wdw/wp-content/uploads/2015/10/Board-P…  · Web view$5,419.24. Casino Entertainment. $ ... I have direct contact with Woodsworth students daily and would be

As usual, we had a lot of extra food, which went to the Ronald McDonald House (we called ahead), as the Salvation army was closed on Saturdays. We also went to all the booths at the WOLF Opps Fair with pizza.

Closing CeremoniesUnfortunately a lot of the students who won prizes were not present at the event, so many of the prizes went to the WCSA office. The Alumni Association ran most of the event, and brought in an alumni to talk about her experiences at U of T.

Boat CruiseThe cruise went very well, with good reviews on the boat from both leaders and students. The third open floor (with the tarp cover) was a very popular dance floor, and the outside breeze made it a perfect temperature with all the people, so it wasn’t too hot or cold. The smaller size was also helpful, as it felt like more people were there. Everyone also enjoyed that they received a full meal on the boat. The three bars was helpful with students who were ordering drinks as it cleared congestion. Luckily for the way back, we managed to fit everyone on the five busses, so no one had to wait for a second round of busses.

f. Personal Statements for Available Positions

i. Chestnut Director

Julia Standish

Being a little of a distance from campus and a pretty decent distance from Woodsworth College, it is fairly easy to feel as if Chestnut is a little disconnected from our college. Living in Chestnut, I sometimes even feel this. That is why this position has become important to me. I believe I can help bridge this gap, in order to create a louder sense of community. I live on the “Woodsworth Floor” at Chestnut; therefore, I have direct contact with Woodsworth students daily and would be able to coordinate with my don to “get the word out” about activities more often. I really feel like Chestnut students aren’t as involved sometimes simply because didn't know about the activities themselves! Woodsworth has so many opportunities, and I would hate anyone to miss out them by simply being uninformed.

Shazre Khan

I believe I would be an excellent candidate for the Chestnut director. I'm a second year social science student. I happen to live on the Woodsworth floor. I'm also a member of the residence council as a secretary. I help Amy, the floor don, organize and advertise events. I also have a work-study position in the Chestnut residence office as a programming assistant and so I am well integrated into community life at Chestnut and will be able to be a great median of communication between students and WCSA. I am a social, interactive and helpful individual who is always looking to go the extra mile. I've joined the WCSA

public relations committee under Shonali and I am looking for more ways to get involved. This experience, I believe, makes me an excellent candidate for a Chestnut and Woodsworth collaboration.

Joshua Efe

I am a second year student studying Bioinformatics and Computational Biology along with Math and Physics. In first year I was involved in a couple different clubs and student groups including varsity fencing, the Journal of Undergraduate Life Science and Tetra. Although I felt pretty involved with U of T in general  I did not really feel like Woodsworth was really a part of my U of T experience, because despite being part of the college, I was not living at Woodsworth, I lived at chestnut. When I was a 2015 Frosh leader, I really felt connected with my fellow wolves and wanted to become a active member of the Woodsworth community. Through this experience I hope I can connect other students who don’t live on res to Woodsworth and demonstrate how amazing our community is.ii. Part-Time Students’ Director

Daniel Murray

Dear Sir or Madam,

I am writing with excitement and enthusiasm to apply for the position of Part-time Student's Director at WCSA.

I am currently a fourth-year part-time student of Woodsworth College and majoring in French Linguistics and Latin. I am always looking for opportunities to broaden my experience on campus beyond just academics, and am excited by the prospects of what I can bring and learn from the position of Part-time Student's Director. I have volunteered for a variety of positions in the past, including St. Christopher's House as an Adult literacy tutor, the LGBTOUT committee right here at U of T and more recently the Christian Resource Centre as an assistant in their meal program. From my involvement in such positions and projects, I have developed an ability to effectively communicate with people from various backgrounds and communities and am well-aware of many of the challenges and adversity part-time students face while studying and beyond.

Thank you kindly for your consideration, and I hope to meet in person to discuss my application in greater detail.

Sincerely,

Daniel Murray
