The Whole Band

o The Marching Rams Band Corp work together as a team to support the entire entity of the Marching Rams. For example: If you’re a Instrumentalist parent you may be in charge of overseeing the activities of the Color Guard, or if you’re a Color Guard Parent you may be in charge of overseeing the activities of the Marionettes, etc.

o Whatever your assignment may be, our job is to support the Marching Rams as a whole to the best of our abilities.

o First opportunity to work in the Band Corp will be Rookie Camp (next week) and Band camp (week after next). Please come out and help us and see your kids work hard! Band Corp hand outs are available for preparing for these.

Fundraising

o Amy & Jonathan Morris: Fundraising Chairpersonso Throughout the year there are many fundraising

activities which will need parent volunteers (apple canvassing, quarter days, etc.).

o Please be available after football season is over for help with Band, Marionette and Color Guard competitions, trips, concerts, etc.

o We will contact you via e-mail as to the needs for each.

Practices & Rehearsals

Afternoon/Evening Practiceso Tuesdays - 6:00 p.m. to 8:30 p.m. (in the Stadium)

o Thursdays – 3:00 p.m. to 5:30 p.m.(on the front practice field)

Students need YOUR help! Please Sign-Up with Michelle DeSanto!

Football Games

o Please complete the sign-up sheet and indicate if you wish to be in the Band Corp.

o You will be notified approximately one week prior to the game via e-mail to check your availability to be there.

o Game and report times will vary, depending on location. o Approximately 20 to 22 parent volunteers are required

per game. Also, we will need 5 or 6 parent volunteers for the Concession Stand.

o Only those selected to participate will receive a Band Corp badge and may enter the game without paying an entrance fee.

Friday Committee Band Corp

Concession: You will report directly to the stadium and meet with Joe & Liz Tito for your assignments. Joe & Liz will have Band Corp badges for you when you arrive. Please remember to log your hours in the Dividend Book the next time you are in the Band Room.

Water: Bottled water will be available to all students/volunteers at both home and away games. 200-700 bottles must be on ice prior to the games. A parent or two will be asked to oversee this at every game.

Spirit: You will report to Spirit Chair for Instructions..

Friday Night Football Games

o Lots of things happening at once! o Concessions, Water, Tape, Gate, Safety and most of all – FUN!

It’s not all work!!

Chaperone Assignmentso Each volunteer will have an assignment. For example:

– Podiums– Aprons– Caution Tape, Water, Drum Carpets & Cymbals– Plumes– First Aid– Half-Time Seat Watch– 3rd Quarter Seat Watch– Gate Watch– Restrooms– Concession Stand Workers– Escorting Students– Truck Driver– Opposing School Band Bus Greeters– End of Evening Door Watch and Parking Lot Protection

After Friday Night Football

o SAFETY FIRST! Cars, darkness, and pedestrians are all distractions.o A volunteer's main goal is to protect the well-being of the students!

First Aido First Aid Kit will travel with us.o Medical Book with student medical & parent contact Information will be

inside the First Aid Kit. o School Board Policy states that volunteers are Prohibited from dispensing

any medication, even for headaches, and also states that students are prohibited from sharing medication.

o We will have at least one volunteer assigned to ‘First Aid’ duty and will attend to minor medical concerns or injuries.

o If there is a serious illness or injury, volunteers are to contact emergency personnel. Emergency personnel are at every game.

Things To Knowo Please feel free to slip off to take a break, whenever needed. Be sure to

let someone know so that they can cover your assignment for you.o Volunteers are free to roam the areas adjacent to the band (i.e. stands, by

the gate, or the band concession area.) Please be available until time for your designated assignment, with the exception of the First Aid Person, Gate Watcher and Chaperone Coordinator.

o At games, students returning to the band room or restroom, after Mr. Mitchell’s approval will be accompanied by an adult volunteer.

o Volunteers should try to avoid the Band Room as much as possible on Friday evenings. Please enter through the side doors and meet in the Piano Room before and after games for assignments, name tags, etc.

o Homecoming Senior Night & Middle School Night: Extra volunteers will be needed, as they are very busy nights. Senior Band Parents will not be expected to volunteer on Senior Night.

Student Conducto Students will behave responsibly/respectfully at all times. o Students will wear their uniform properly at all times. o Students will not use cell phones in the stands.o Students will not be allowed in the spectator stands or to go to the other

side of the field during breaks. o Public displays of affection are not allowed while students are in uniform. o Students will be back from break and in their seats by the beginning of 4th

quarter.o No food or drink (except water) in the stands. o Students will use the stairwells to enter/exit the stadium. o While on the bus, students and volunteers in the Band Corp (with the

exception of leadership and quartermasters) will remain on the bus until instructed to disembark.

Student Conduct (Cont.)o If you feel like a student is doing something wrong, make a suggestion to

them first, for example – “Do you really think that you should be doing that?”

o If to no avail, then speak to a band officer or a Chaperone Chair concerning the situation at hand.

o Of course, you are never expected to tolerate rudeness, foul language, or uncooperative behavior. Please notify Mr. Mitchell or the Chaperone Chair immediately if this occurs.

o The Marching Rams are for the most part, very mature, responsible and well informed students. Mr. Mitchell will give instructions to the Marching Rams and the Officers. The Officers are responsible for carrying out his instructions with the students.

o Our job is to assist in any way we can to ensure the safety/well being of the students and to support them.

Sibling Policy

There are reasons why chaperones are encouraged to not bring younger siblings when chaperoning.

o Parents volunteering cannot properly chaperone the activity because they would have to look out for the younger child instead.

o Lake Mary High School cannot be put in a position to where they are held responsible for the younger sibling if something were to happen.

We will completely understand your situation if perhaps volunteering another time would be better for you.

2012 - 2013Band Camp/Rookie Camp

Training Session

Name Badges & Volunteer Attire for Band Camp• When you arrive – sign in to record Dividend Hours on

computer, if available.

• Volunteers must wear some kind of “BLACK” shirt.

• Comfortable clothing such as shorts, tennis shoes, etc. (it will be VERY Hot). Please remember this is a school function and dress accordingly – you are a role model.

• Sunglasses, hat, bug spray, snacks, water for your own personal consumption (students will be required to bring their own water).

• Folding lawn chair (to take with you while the students are on the field).

8:00 AM to Noon Shift(Field Volunteers) Where to Report:

1. After signing in, you will report to the Band Corp Tent on the Field. Please be sure to take necessary items.

2. Make yourself comfortable until needed by Mr. Mitchell or any of the students.

3. Be on the lookout (by scanning the field frequently) for students who may become dehydrated or sick from the heat.

4. Feel free to bring any student to the tent who appears overheated or needs assistance.

Noon to 5:00 PM Shifts(Inside and Field Chaperones)

Where to Report:1. After signing in you will find a seat in the hallway located between the Band Room and the back of the

Auditorium.

2. At this point, the students will be on their lunch break until approximately 12:45 PM. You can mingle around to make sure everything is running smoothly. Feel free to bring your lunch and eat with the students.

3. At approximately 12:45 PM, the students will start their afternoon rehearsals. Your station will be in the hallway located between the Band Room and the back of the Auditorium until needed by Mr. Mitchell or any of the students. Please keep First Aid Kit with you, just in case it’s needed. (Feel free to bring a book if you would like).

4. At approx. 3:30 PM, the band will be instructed to take to the field until 5 pm. Band Corp Volunteers will take all necessary items with them to the field.

5. At the end of the practice, gather up all field items and return to the Band Corp room in preparation for the next day’s camp. Clean & stow all materials, dry out coolers and sprayers. All used towels will need to be washed by a volunteer to be ready for the next day.

After signing in/getting your Name Badge you will Report to the Uniform Room in the

Band Room for further instructions.

Items To Take To Field From Band Corp Room

List Will Be Provided At Band Camp

Instructions for Field Volunteers(Mornings & Early Evenings)

When arriving at the field, fill a small cooler (that is half full of water) with ice and place white towels inside. These towels will be used for students who become overheated -- place towels on student’s forehead, top of head, back of neck, arms or wrists.

PLEASE DO NOT RE-USE TOWELS! Once used, place in plastic bag.

When you get to the field, place 24 bottles of water in cooler for student’s emergency water.

Place juices in small lunch box cooler and place ice over them when you get to the field.

At end of your shift, please make sure that First Aid Kit is straightened up and re-stocked.

When arriving at the field, you will fill the bug sprayers and water fans (water already in them) with Ice. You will use these to spray the students while on their breaks. Use the clip board/note pad to record each student that seeks assistance (name, date, time & complaint).

All items will be returned to the Band Room when shift is complete.

Place wet towels in plastic bag on chaperone shelf for volunteer to wash and return the next day.

Students and Water/Ice

1. Students shall be responsible to bring their OWN water jugs and/or Camelbacks.

2. Students may fill up their water jugs/Camelbacks with ice from the large cooler with wheels when they are on break from the field. When doing this, a chaperone will use the scoop to scoop the ice for the students as they fill up. DO NOT let students put their hands in the ice and contaminate.

3. Students may re-fill their own water jugs/Camelbacks in the band room or in the bathroom.

4. Chaperones will not be giving water to students unless it’s an emergency situation.

Medical

• School Board Policy states that Chaperones are Prohibited from dispensing any medication, even for headaches and also states that Students are prohibited from sharing medication.

• Some students have medical issues like severe allergies to food/bees, diabetes or asthma that can result in a medical emergency on campus. It is the parent's responsibility to inform the band director/volunteer coordinator about any medical issues ahead of time, and provide the student with any necessary remedies. The appropriate paperwork must be on file with the school main office.

• It is the student's responsibility to have quick access to those remedies at all times. (e.g. in case of allergy, the Epi-pen must be outside on the field with the student, not secure in their band locker.) Chaperones will gladly store the supplies for the student under the shade tent during Band Camp.

• If a student becomes too sick to stay at band camp - once the situation has been assessed by the volunteer , the student’s parent should be called.

• In case of immediate emergency, using your own parental discretion, please do not hesitate to call 911.

Keep Them Cool!

A Chaperone’s Main Goal of Band/Rookie Camp

• A volunteer’s main goal of helping out with Band/Rookie Camp will be to watch and monitor ALL Students to make sure that they do not become sick/dehydrated from the heat or sun.

This includes: Instrumentalists, Percussion, Color Guard and Marionettes.

• When outside on the Field, please scan the Field periodically, even walking out onto the Field if you feel a student is not acting right.

• The Safety and Well-Being of our Students is our PRIORITY!!!!!!

Treating the Overheated Student

If a Student Becomes Overheated/Sick

• Move the student out of direct sunlight, preferably into a cool, shaded area.

• Hydrate well with lots of water.• Place a cool wet towel on student’s forehead, top of the head, back of

the neck and arms or wrists. • If the student feels dizzy, have the student lie flat and elevate his or her

feet. Return student to Band Room if needed.• Remove heat-retaining clothing, such as hats, shoes, socks, etc.• Have the student rest quietly.

Signs & Symptoms of Heat Stroke:•Severe headache •Nausea •Hot, dry skin without sweat •High pulse rate •High body temperature •Unconsciousness •Fatigue •Slurred speech or hallucinations

THIS IS A TRUE MEDICAL EMERGENCY! CALL 911 IMMEDIATELY, AND

THEN NOTIFY PARENT!
