Introduction

Perfections of Africa is a leading tourism marketing company, filling the gap between the supplier

and buyer offering affordable yet result based solutions. Collectively we bring more than 30 years’ experience in tourism and marketing to the business successfully introducing and positioning our clients in the market place. Constantly building and maintaining relationships between our clients, buyers and ourselves. Through this our main aim is to create a sustainable business environment for our all our clients, thus enhancing the entire tourism industry. Each establishment retains its own unique individual identity. Being promoted under our established brand and forming part of our portfolio guarantees and increases market awareness. Our philosophy is not to simply sign up properties, but to rather qualify each one individually ensuring that it meets our standards and that it will add value to the portfolio and secondly that we will be able to add value to the property. Perfections of Africa has over the years established a portfolio of quality products in their niche markets ranging from Safari Lodges, Guest Houses, Country Lodges, Hotels and Beach Resorts. We understand that when travelling it’s about the whole experience, hence the fact that we work side by side with the properties on our portfolio ensuring that guests expectations are met. This includes creating lasting memories for the guests and delivering on the physical appearance of the property, cuisine, facilities, activities, attitude and flexibility offering an entire package which all makes up the guests experience.

Assistance in tailor-made marketing strategy for each individual property.

Experienced representative calling on tour operators, travel agents, PCO’s, corporate and clients.

Marketing collateral distribution and exposure to our extensive local and international database.

Representation at all major associations (Membership fees applies)

Creating packages with other properties, airlines and car rental companies.

An online document management system which ensures that our products and information is available

24/7 internationally. Currently we have 300 plus agents registered onto the system.

Network opportunities at functions, associations, meetings and other trade and corporate events.

Negotiation STO contracts and rates with prospective clients.

Negotiate brochure inclusion of properties and itineraries with wholesalers and tour operators.

Arranging of site inspections to the properties.

E-mail marketing through a mass mail system. This gives the ability to send as many emails to an unlimited number of recipients and as many time as required. Simply we have no restrictions.

Database assistance and management.

Distribution of all specials for individual properties as well as packaging group discounted deals.

Negotiate and arrange press trips.

Monthly marketing reports which include all client details and notes regarding the meetings.

In addition to the report you will also receive an “action plan” detailing what needs to be done and by whom within a specific time frame.

Sales lead follow ups.

Quarterly marketing meetings with owner and or General Manager where occupancies and reservation revenues are discussed.

Reservations sheets analysis and strategy development regarding marketing activities.

Certain aspects of this division support Perfections of Africa properties and are available to our

members. The following detailed services are on offer to existing and new clients.

›E-mail Marketing

Perfection of Africa manages its own mass mail software system. This allows Perfections of Africa the option to offer this service to all existing and new clients who require email marketing. Most mail systems are found online and often come with a multitude of restrictions. Further to that cost are based on number of recipients which can prove expensive. Through the Perfection’s mail system clients are able to send mails to an uncapped number of recipients as many times as they require. We able to through the system manage all subscriptions bounced mails and unsubscribes. This ensures that each client’s database is kept up to date with active contacts. Further we send each product mailer not only to their database but to the Perfections of Africa extensive database. These consist of operators, agents, incentive houses, professional conference organizers, corporates and direct clients.

›Product Manager

Into today’s tourism business climate, communication between supplier and buyer is most important. We often hear of situations with either the buyer (operator/agent) battles to obtain rates, information, photos and other marketing collateral. Products often complain about having to send information several times which either it is not received by the buyer or misplaced by the buyer. Product Manager is the solution to this age old problem. By uploading the product’s information once operators and travel agents, both local and international, have immediate access anywhere in the world 24/7. This means: • No more waiting for emails to send • No more waiting for emails to download • No more spam filters blocking mails due to size • No more time zone delays for international agents • No more resending information due to agents misplacing the original mail • No more lengthy time wasted on yearly contracting

Perfections of Africa will assist members in all aspects of marketing & media administration for the

purpose of advertising, press releases, editorials, rates etc. as per the marketing plan. Other services include, brochure & website design consultation. Over the years we have established strategic relationships with various service providers such as graphic designers, website designers, printing companies, professional photographers and other strategic service providers whom offer all our clients highly competitive rates.

Assistance in compiling of an Advertising Plan for each individual client including travel trade, consumer and other trade magazines and/or newspapers.

Assistance in setting up an advertising budget for each individual client.

Setting up international media coverage.

Arrangements in the design of adverts where required.

Negotiating barter agreements for advertising and editorials in both travel trade & consumer magazines

Negotiating prize give-away and promotions in both travel trade & consumer magazines.

as a member of Perfections Of Africa you receive mass savings on these services because you are consolidating the costs with fellow members. As and when these services become available, all members will be given the opportunity to participate, the more members that participate the less the total cost per member becomes.

We offer a fully operational Reservation office for properties looking to maximize their sales and effectiveness.

›Services offered:

Professional reservation consultant who will manage the reservation enquiries, Provisionals, confirmations and all aspects thereof.

Set up and implementation of all reservations procedures.

Dedicated mail account to be supplied by the lodge.

Dedicated phone number for the lodge.

Set up and development of the reservations system. We have used Nightsbridge for a number of years and found it to be the most efficient system on the market. The monthly cost for the system is included in the management fee

Weekly arrival and departure reports sent to the lodge management with all guests relevant information

Invoicing and collection of outstanding payment for bookings.

Monthly reservation report showing source of business and turnover

GDS (Global distribution system). Through Nightsbridge’s GDS system we are able to load the product onto over 40 website around the world and have real time availability for guests wanting to book. This booking link will also be added on to the products web page.

After office hours the reservation’s office line is forwarded to a cell phone ensuring a 24/7 support for guests and the lodge.

Perfections Of Africa is also expected to have a consistent supply of promotional material including brochures, cd presentations, high resolution pictures etc. It must be noted that Perfections Of Africa is not a sales company as our main objective is to create sales opportunities through successful marketing, leading to sales off course. These sales opportunities need to be converted by the client’s reservations department. We will however assist in the process.
