What’s New in AccountScout.Net Version 2021.0 Changes, (Nov 2021) Summary The major new functionality in this release includes the following: Reports may now be Memorized and Scheduled for automatic email delivery. Created a new licensing manager that provides for the following enhancements over the prior licensing manager: o An admin user may view all active user sessions and terminate unused sessions to free licenses. o An admin may create license pools and assign users to those pools to distribute license usage. Version 2021.0 Changes, (Nov 2021)

• Scheduling Reports – Allow Selection of ‘Render As’ User: This permission should be used sparingly and is not

assigned to any roles during the upgrade.

o This new permission allows for the selection of a user for which a scheduled report is to be “run as” when

the report is rendered. The default is the user who creates the scheduled report.

• Log Tool – Open: Assigned to roles with permission “Tools: Assign Sales Reps”

o This new permission determines whether a user may open the new Log Tool for viewing log entries.

General Changes • Main Search Bar: Added Advertiser and Contact search for Addressee as well as a search on Street1 and Street2.

Fixed Defects • Retail Order Screen: When scheduling runs and incrementing image numbers “each week” the image numbers were

negative when the runs spanned a second calendar year.

• Classified Import Batch: Imported ads containing images were not correctly saving the ad height with the order and

the runs.

Report Changes • 7.3.1z End of Month has been removed. Report 7.3.1 Bookkeeper End of Month replaces it.

• Added the capability to render the following reports with some or all tables expanded to show details:

o 6.5 Sales Rep Dashboard

o 7.2.1 Manager Dashboard

o 7.3.1 Bookkeeper End of Month

Version 2020.3.3 Changes, (Aug 2021)

Summary This is a small release to fix defects.

Fixed Defects • Classified Order Screen: In some scenarios a “Culture is not supported” error occurred when loading an order.

• Classified Export: When exporting PDF builder ads, the ClassifiedDisplayAd Separator was not getting included in the

tagged output.

Optimizations • Activities: When displaying a table of activities, the memory footprint has been reduced. Activities that contain text

formatting and graphics no longer consume large amounts of memory.

• Classified Orders: When displaying a table of classified orders, the memory footprint has been reduced.

Version 2020.3.2 Changes, (Aug 2021)

Summary This is a small release to fix defects.

Fixed Defects • Main Dashboard: The Email Activity and Proof Status tiles could be not be closed when opening a new AccountScout

session.

• Main Dashboard: In some scenarios, the Email Activity tile was consuming unnecessary memory causing out of

memory errors in AccountScout.

Summary This is a small release to fix newly introduced defects related to the Deal Maker.

Fixed Defects • Deal Stages: When running against a MySql database this screen could not be loaded due to an error.

Version 2020.3 Changes, (Nov 2020)

Summary The major new functionality in this release includes the following:

• Deals: We’ve introduced the concept of sales “Deals.”

o Using the new “Deal Maker,” a sales rep or manager can quickly view the stage of all active deals in one or

more pipelines.

• Calendar Invites:

o Email calendar invite with an ICS file attachment for meetings with advertisers

o Email appointments to your own calendar from the Activity screen.

• Basic Retail Pagination: We’ve introduced our new basic retail pagination capability. The Retail Export has been

enhanced to make laying out your publications more efficient direct from AccountScout without purchasing an

external pagination tool.

o Move unanchored Ad or “block place holders” from an InDesign bridge document onto the publication

page.

• Unanchor Classified Ads:

o Classified Exports: Export classifieds as “unanchored” objects.

• Retail Order Screen Enhancements

o Added capability to update specific attributes of a scheduled run rather than the entire run.

o Updated the screen’s look and feel.

Upgrade Notes • The layout for all forms having a ribbon bar is reset upon first launch for each user.

Recommendations and Things You Need to Do After Upgrading Following is a list of things that you need to do, or recommendations pertaining to this upgrade:

• Settings: Added a new ProofScout setting ("Card Changed by AS User Label”), on the Digital Asset Mgr tab.

CRM Related Changes • Main Dashboard: The following new tiles are available:

o Deals: A new tile is available showing Deals that when double clicked, opens the Deal Maker Dashboard

with deal details.

o Activities: This new tile shows activity information, that when double clicked, opens the Activity Manager

with the activity details.

• Activity Manager Tool:

o Do not auto-refresh the loaded activities when the date or filter values change. The user must now click the

refresh button.

o Email tracking results are now loaded in the background to avoid blocking the UI. When finished loading the

results are displayed within the appropriate columns of the Open and Closed activity tables.

o Activities are now loaded in the background so the UI isn’t blocked when retrieving large amounts of data.

o Removed the “up to today” button as a date range option to prevent large loading times.

• Activity Screen:

o Email an Appointment to Your Calendar: Added an option on the activity screen to email an appointment

to the currently log in user’s calendar with an optional reminder.

o Reduced the time to load the screen when the Personal Email Tracking (PET) module is enabled and there

are activities in the side list associated with tracked emails.

• Send Email Dialog: Calendar Invites

o Added the capability to attach a calendar invite to the email for scheduling meetings and appointments with

advertisers.

• Marketing Campaign Tool:

o Contacts and advertisers are now displayed on “pages” of 500. This reduces load times and memory

consumption when thousands of advertisers and contacts are returned in the query.

ProofScout Changes • ProofScout Viewer: The following defects were fixed:

o An error occurred when clicking on a proof that does not have an associated Order Image record which

contains the Trello card id.

o The ProofScout viewer record was not getting deleted when all runs for the image are deleted or cancelled

from the order.

• ProofScout Viewer: Added another Trello label setting (Settings: Digital Asset Mgr: Card Changed by AS User Label) to

assign to Trello cards when a user updates a card or uploads a graphic.

o This helps the production team identify card changes or know when a graphic is uploaded.

Production Related Changes • Classified Export:

o Classified ads can now be exported as “unanchored” for xTag exports.

o Classification category titles can be exported as “boxed” to allow for easier formatting.

o Renamed the "Town news" export to "Town News, Creative Circle (xml)" export

• Retail Exports: Ads can be exported as “unanchored” that can be moved from an InDesign bridge document onto the

publication page.

o Ads without ad copy are exported as a “block” with the ad’s actual size.

• Retail Exports: <Defect Fix> Fields for column, gutter, and page size were being displayed for export formats that

didn’t use those values.

Store ‘N Send Changes • Documents can now be associated with a Deal.

• Classified Order Email Templates: Added CurrentUserEmailSignature, and current user name merge fields

• Document Screen: <Defect Fix> updating a document link was not working properly.

Marketing Campaign Related Changes • Exceeding Subscriber Lists Allowed: MailChimp free accounts now allow for only 1 subscriber list, referred to as an

Audience.

o The MailChimp error message that occurs when attempting to create a Subscriber list was modified to

reflect that this is often due to the MailChimp account maximum number of audiences being exceeded.

• Advertiser Screen: <Defect Fix> In rare scenarios an error occurred when checking MailChimp campaign results for

an advertiser.

General Changes • Modified ribbon bars and color scheme on screens containing a ribbon bar.

• Advertiser Screen: Updated the color scheme and ribbon bar icons to a newer look and feel.

Fixed Defects • Miscellaneous Order Screen: When entering an order without a publication a sales tax related error occurred, even

though the selected Sales Type is not taxable.

• Activity Quick Note: When resaving a Quick Note an error occurred saying the start time must precede the end time.

• Classified Order Screen: The screen was opening as a mixture of Pdf Builder and Classic mode.

• Retail Order Screen: Price Adjustments were not properly taking into account Feature amounts.

• Retail Order and Classified Order Screens: Quick Payment amounts were not calculating properly if cancelled runs

were scheduled.

• Advertiser Screen: When adding a new contact with the contact’s advertiser screen opened, the contact drop list for

the associated advertiser is erased, or it changes the selection to a different contact.

• Define Retail Contract Rate, and Agreement Screens: Values beyond $999,999 were not allowed.

• Define Billing Office screen: The Invoice and Statement email tabs did not scroll properly.

• Marketing Campaign Tool: In some cases, an error occurred when too much data was loaded.

• Contact Form: In some cases, selecting the Delete Phone or Delete Email menu option was not performing the

deletion.

• Legal Affidavits: Merge fields OrderFeaturePrice, and QuoteFeaturePrice were not displaying a value of zero.

• eTear Hosting Tool: <Defect Fix> In some scenarios, replacing a document was not working properly.

Fixed Report Defects • 3.2.1, 3.2.2 Retail Insertion Orders: In some cases, the Insertion Order was being split unnecessarily onto two pages.

Report Changes • 4.4.1 Classified Orders: Updated the look and feel.

Version 2020.2.3 Changes, (Jul 2020)

Summary This is a larger maintenance release to add new functionality.

Accounting Related Changes • Merge Advertisers Tool: Now advertiser types are also merged.

Classified Related Changes • Classified Order Screen: Added an “Email Order” button that initiates an email to the advertiser, with an option to

create and attach a Pdf of the current classified ad displayed on the order screen.

Store ‘N Send Changes • New Store N Send Template Type: New Email Classified Order template, which is available when clicking the "Email

Order" button on the Classified Order screen.

Version 2020.2.2 Changes, (Jul 2020)

Summary This is a small release to fix newly introduced defects related to ProofScout.

Fixed Defects • ProofScout Emails: Not all merge fields were getting populated such as Description within a ProofScout email

template when sending automated proof emails.

ProofScout Changes • Image files associated with more than one retail order are now moved to a “Duplicate Orders” folder and an error is

reported.

• ProofScout continues to process image files after an error occurs with a particular image file. Previously, the process

halted, resulting in a “log jam” of file.

Version 2020.2.1 Changes, (Jul 2020)

Summary This is a small release to fix newly introduced defects related to ProofScout.

Fixed Defects • ProofScout Viewer: Could not upload digital asset files or create a Note for Trello cards in the proofing stage.

ProofScout Changes • Added the date to the timestamp prepended to the Trello card Description when a proof is uploaded.

Version 2020.2 Changes, (Jul 2020)

Summary The major new functionality in this release includes the following:

• eTear Hosting: The introduction of the eTear Hosting module allows for the uploading, storage, and managing of

electronic tear sheets within the Fake Brains cloud.

• ProofScout Viewer: Added much functionality to include the uploading of digital assets, creation of notes, the display

of Trello card information, and the capability to view ads not yet in the proofing process.

• Emailing Receipts: Simplified the process to email a payment receipt to an advertiser.

Upgrade Notes • The database will be upgraded in this release.

o As soon as the database is upgraded, the Mobile App and Classified Order Entry web services need to be

upgraded as well.

o The ProofScout service running on premise also requires this upgrade.

Accounting Related Changes • Payment Screen: Added an Email Receipt button to render the receipt as a PDF and attach it to an email for sending

to the advertiser.

ProofScout Changes • ProofScout Viewer changes:

o Added the capability to upload and display digital asset files to the Trello card associated with the selected

ad.

o Added the capability to prepend Notes to the Trello card description.

o Ads not yet in the proofing process to include “new ads” and “ads in composing” can now be displayed in

the viewer.

o Counts for New Ads and Ads in Composing are displayed.

o Added the display of Trello card Description, Attachments, and Comments for the selected ad.

▪ Attachment graphic files can be viewed and managed within the ProofScout viewer.

Production Related Changes • <new> eTear Hosting Module: This module allows for storage of electronic tear sheets within the Fake Brains cloud.

• <new> eTear Hosting Tool: This new tool allows for uploading and managing electronic tear sheets to the Fake Brains

cloud that is accessible within eTear emails to customers.

Fixed Defects • ProofScout Viewer: An error occurred when attempting to load an ad or proof without an associated sales rep.

• Settings Screen: Resolved scrolling issue.

Other Changes • Settings: Added a new setting for a “In Composing” Trello list.

Version 2020.1.1 Changes, (Jun 2020)

Summary This is a small release to fix newly introduced defects, and to add features to ProofScout.

ProofScout Related Changes • Ready to Publish Files: Files that circumvent the proofing process and go directly to “ready to publish” status now

show up in the ProofScout viewer.

• Ready to Publish Drop Tool:

o Added the capability to copy files to a 2nd on premise repository, when the ProofScout service runs on a

local computer.

o Trello cards are now moved to the “ready to publish” list even if the card did not go through the proofing

process.

o Changed the background color of the screen to light green to make it easier to distinguish from the Ready to

Proof Drop Tool.

• ProofScout Viewer: Now images are displayed for “done” ads that have been copied to the retail repository.

• ProofScout Service: Added a command line switch to email error messages to Fake Brains Support.

Version 2020.1 Changes, (May 2020)

Summary The major new functionality in this release includes the following:

• The introduction of the ProofScout module used for emailing and tracking ad proofs with advertisers.

• Personalized Emails may now be scheduled to be sent at a date and time in the future with the Personal Email

Tracker module.

• The new Ready to Publish Tool allows for press ready ads to be easily uploaded to the retail repository.

Upgrade Notes • The database will be upgraded in this release.

o As soon as the database is upgraded, the Mobile App and Classified Order Entry web services need to be

upgraded to Version 2020.1.

CRM Related Changes • Sending Personalized Emails: These emails can now be scheduled (if using the Personal Email Tracker module) to be

sent at a date and time in the future.

Retail Order Related Changes • Retail Export: Added a new Xml export option for exporting retail ads to digital platforms.

Production Related Changes • New ProofScout Module: ProofScout can now be used to automatically email ad proofs to advertisers on from their

sales rep.

o ProofScout Viewer: Sales reps can use the new ProofScout viewer to monitor the production and proof

status for ads being designed.

o Proof Status Tile on Dashboard: A new tile on the dashboard will show the real time status of ad proofs

associated with advertisers for which the user has access.

• Ready to Publish Drop Tool: This new tool allows for “press ready” files to be dropped onto this window to

automatically place those files in the appropriate retail repository folder.

General Changes • Production Main Menu: The Tools menu has been split to move the production related menu items to the new

Production menu.

• Main Dashboard: The following defects were fixed:

o The MailChimp and Email tiles could not be hidden unless an API key was entered in the Settings.

o Added scroll bars to the Tiles panel.

Version 2020.0.2 Changes, (Apr 2020)

Summary This is a small release to fix newly introduced defects:

Fixed Report Defects • Report 4.3.6 Classified TFN Orders: The report could not be displayed because of an error introduced in V2020.

Version 2020.0.1 Changes, (Mar 2020)

Summary This is a small release to fix newly introduced defects and to add minor functionality.

Upgrade Notes • After applying this upgrade, a Fake Brains team member needs to run a query to clear the MailChimp log records.

o This will happen automatically with the next upgrade that requires a schema change.

Significant Changes • Marketing Campaign Tool: Following are the major changes:

o The campaign result data is now saved to and loaded from the AccountScout database instead of from

Mailchimp (which should speed up campaign result load times significantly).

o The user interface is no longer blocked when loading campaign results, so the user is free to continue

working in AccountScout while the results are loading.

• Retrying Failed Database Queries that Retrieve Data: AccountScout will automatically retry the query after waiting 3

seconds rather than reporting the error and halting the process. If the query fails again, an error is reported.

Fixed Defects • Send Email dialog: The following defects were fixed:

o When right-clicking Email Advertiser from the advertiser side list (from the main executive) the Send Email

dialog is not always displayed in front of the main executive.

o When selecting an Advertiser Email Template, Aging merge fields were not getting populated.

o The merge field values were sometimes retained the blue font.

o Inactive advertiser email templates were showing in the drop-down list

• Store ‘n Send Document Screen: The following defects were fixed:

o When Sending email from the Document screen, unchecking "Attach document" still attaches it to the

email.

o When sending an email, the advertiser for the loaded document is not already selected in the list, even

though the contacts list is populated with the contacts for the advertiser.

o When loading an unsupported document format for viewing such as an InDesign ".indd" file, a "not

available" message was displayed without the filename.

• Define Document Templates Screen: The custom spell check dictionary was not working properly.

• Document Category Screen: A user was allowed to delete a leaf category that contains documents.

• User Email Settings Screen: The following defects were fixed:

o Sending a Test Email required the screen to be closed and reopened. Now the User record is automatically

saved when clicking the "Send Test Email" button.

o After saving email changes the user had to logout of AccountScout for the changes to take affect when

sending an email.

• Mailchimp Dashboard Tile: Not all campaign results to show clicks, opens, and sends were included in the

counts.

Other Changes • Document Category Screen: Updated the look and feel of the side list to be more readable by formatting the main

categories and indenting the sub categories

• Classifications Screen: Updated the look and feel of the side list to be more readable by formatting the main

categories and indenting the sub categories.

• Activity Screen: Added the display of up-to-current time tracking counts and last open/click for email activities.

Report Changes • 7.6.1, 7.6.2, 7.6.3, 7.6.4 - Publication Analysis reports: were modified to provide options to exclude cancelled runs.

The default is now "All runs Except Cancelled, and Non-Invoiced."

Version 2020 Changes (Feb 2020)

Summary This is a very large release with lots of new functionality that is too much to describe here! We will be releasing videos and

The major new functionality in this release includes the following:

• Store ‘N Send: This new product has been embedded within AccountScout. It’s free for up to 5 GB of

AccountScout cloud storage! See the details below.

• MailChimp Campaign Results: Now AccountScout downloads and stores campaign results to allow for quicker

interaction and to store the results for long-term safe keeping.

o A new dashboard tile allows for a user to quickly see the latest advertiser interactions across all

Mailchimp email campaigns.

• Personalized Email Tracker Module: This new module, (available for a small monthly fee) allows for users to see

open and click activity with emails they send directly to single advertisers and prospects.

Store ‘N Send Integration This new product that we have created and integrated into AccountScout allows for the creation, uploading, storage, emailing,

and sharing of documents within AccountScout. You really need to see a demonstration of this to understand the power

behind it! Following are the high points:

“Store”

• Storing Documents: Users may create their own documents within AccountScout similar to MS Word, or they may

upload any file into the AccountScout cloud.

o Documents created within AccountScout are saved directly in the database.

o External documents are saved in the AccountScout Microsoft Azure cloud.

• Document Categories: Much like Classifications in your Classified Ad section, you can now create multi-level

categories for organizing your Advertiser and Company documents.

o Each document, whether it’s uploaded or created within AccountScout is assigned to a “Document

Category”.

• Document Search: All documents created within AccountScout are fully searchable. Also, all text is extracted from

PDF and Word documents that you upload to the AccountScout cloud which are included in full text searches as well.

o Fast Text Searches: Similar to the Advertiser search pane, the document search is fast as well!

• Document Templates: When creating a new document, such as a contract or proposal, users may select a template

that may contain Merge Fields for auto-populating information about the Advertiser.

o Templates Associated with Document Categories: The templates that are available depend on the selected

document category, and its parent categories.

• Document Restrictions: Users must have the appropriate permission to access a Document Category, and those

documents within it.

“Send”

• Send Direct Emails: Users may now send personal emails formatted with rich text, graphics and attachments direct

from AccountScout.

o Selecting Recipients: Select the advertiser and their contacts that should be included in the email with

single clicks.

o Attachments: Search for and select documents and files to attach to the email by simply “checking off”

those documents to include.

▪ Documents created within AccountScout are automatically converted to PDF and attached to the

email, or you may have AccountScout create a PDF, upload the document to the cloud, and create

a shareable link to embed in the email.

o Activities: An Advertiser or Contact activity may be created with the formatted content of the email, the

list of recipients and list of attachment names.

o Office365 and Gmail Accounts: Emails sent through AccountScout show up in your normal “sent items” if

Office365 or Gmail manages your email account.

• Personalized Email Tracker Module: The addition of this new module (for a nominal monthly fee) allows for each

AccountScout user to track recipient opens and clicks of their personalized emails much like with mass emails sent

through MailChimp.

o With Store ‘N Send, document links can be created for “clouded documents” whose clicks can be tracked

directly from AccountScout.

• Email Templates: Users may select email templates created by administrators for sending emails formatted with rich

text, graphics and attachments direct from AccountScout.

o Merge Fields: Similar to “merge fields” in MSWord, fields can be inserted into the email template to auto-

populate information such as the advertiser’s company name, contact name, account balance, etc.

Upgrade Notes • The database will be upgraded in this release.

o As soon as the database is upgraded, the Mobile App and Classified Order Entry web services need to be

upgraded to Version 2020.

• The classified custom spell check dictionary is now stored in the database. The shared dictionary file is opened during

the upgrade and added to the database.

o Make sure the “User Dictionary” path is valid (as specified in the AccountScout Settings: General tab), or an

error will occur during the upgrade, providing an option to continue without importing the dictionary.

Recommendations and Things You Need to Do After Upgrading Following is a list of things that you need to do, or recommendations pertaining to this upgrade:

• Set role permissions for the newly created permissions (see below).

• User Email Accounts: Setup email accounts for each user on the “User” screen.

o Users may enter their own email user name, password and signature on the new “User Email Settings”

Order Entry and Mobile web services.

Fixed Defects • Classified Import Batch Tool: Fixed a defect the classified text in the imported orders had a rather narrow column

width, or an “overlapping page margins” error occurred during the import.

Summary The major new functionality in this release includes the following:

• New PDF Builder Tool for Classified Display Ads: There is a new tool available on the Classified Order screen, to

create classified and classified display ads, called the “PDF Builder” tool. This tool allows for the creation of more

complex classified and classified display ads, which has a “look and feel” and capability similar to that of Microsoft

Word. When using the PDF Builder to create a classified ad, the ad will always be exported as a pdf (or jpg in some

cases for digital outputs). Any basic classified ads (i.e. word ads) however can be converted to PDF Builder ads,

making all of the PDF Builder editing capabilities available.

o New AccountScout PDF Builder (i.e. “aspb”) Classified Ad Filetype: The aspb filetype was created to share

documents generated in the PDF Builder and the Document Template creator in AccountScout. You can

save any Document Template or PDF Builder Ad as an aspb file, and share it with other AccountScout.

There are many aspb files on our website to give you sample Classified Ads and Legal Affidavit templates

which you can use freely to help you get started.

• New Legal Affidavit Generator: You may now generate Public Notice (i.e. “legals”) Affidavits directly within

AccountScout, to include a custom layout you define, along with an image of the actual Public Notice printed in the

publication!

o Define your own custom Legal Affidavit templates in the new text editor that we’ve created (similar to

Microsoft Word) which can be filled in with data from Report 4.5.1 in AccountScout. The purpose of our

Legal Affidavit Generator is to replace the complex “mail merges” or the need for you to create affidavits

one at a time outside of AccountScout.

▪ By opening Report 4.5.1, selecting the data which you would like to include, and choosing a saved

Legal Affidavit Template, you will see a text editor pre-filled with the generated affidavits. You

may then edit, print, or save these affidavits as one of many different file types (including .docx,

.jpg, .rtf, .html, .pdf, etc.) to be edited and opened outside of AccountScout. You may also print

the affidavits directly from AccountScout.

o Document Templates: The Legal Affidavit Generator requires a “Document Template” to populate the

“Merge Fields” with Report 4.5.1 data. You can create or edit your Legal Affidavit Templates under the

“Define: Document Templates” menu. To add the regions which are to be filled with data from Report 4.5.1,

simply right-click while editing a document template and hover over “Add Merge Field” in the right-click

context menu. This will provide a list of all available fields to be filled into the Legal Affidavits when the

affidavits are generated by Report 4.5.1. Clicking any Merge Field from this list will add it to the place that

you right-clicked in the document.

• Mailchimp for a Single Advertiser: We’ve added the Mailchimp aspect of the Marketing Campaign Tool to the

Advertiser screen as well. Now from the advertiser screen, the selected advertiser’s e-mail or advertiser’s contact e-

mails can be added to a List and/or Tag in your Mailchimp account. The advertiser or contact’s lists or tags, campaign

results, and a list of any actions (clicks, opens, e-mails sent) can also be viewed from the advertiser screen for a

particular advertiser and any of the advertiser’s contacts as well.

• Public Notice Classified Export: We’ve added a new export format (Public Notice PNI) for classified ads and legals, to

export to a “PNI” xml file used by most press associations for online distribution of public notices.

Upgrade Notes • Default Gutter Width: There is a new Setting to specify the default gutter width when creating a classified order

using the “PDF Builder” tool. This value is automatically set to 1 pica, during the database upgrade. Change this value

in the Settings and/or for each Classification to match the gutter width used in your publications.

abbreviation with the publication id, to use as the “newspaper id” for mapping publications on the PNI site.

• Export All Ads as PDF Option: All Xtag and InDesign export formats, now have an option to save ALL ads as a PDF

document that will be flowed into InDesign or Quark. For the HTML output format, there is an option to save all ads

as a JPG file.

• Exports – RGB/CMYK: Print export formats for PDF Builder ads can be saved as CMYK or RGB via a checkbox in the

“Settings: Classified Export” tab

• TownNews Export: For the TownNews export format, an option was added to save all ads built with the "Pdf Builder"

as a jpg image only, and no text. If this option is not selected, the unformatted text is outputted, along with a list of

all images residing within the ad, as is done for non-pdf builder ads.

User Permission Related Changes • There are new permissions for each of the new reports in the section below.

Fixed Defects • Digital Asset Manager Export Tool: Fixed a defect where the sales type for the order was being considered for

exclusion from exporting to the DAM, rather than the Sales Type of each run.

• Contact Form: Long save times have been substantially reduced.

• Sales Type Screen: The Inactive check box was not being displayed.

• Auto Logout User after Inactivity: Fixed an issue where a user set to log out after “0” minutes of inactivity could not

be saved.

balance, grouped by the sales type associated with the billable item.

• 4.5.1 Legal Affidavits: Used for filtering and generating legal affidavits needed by sales rep, billing office, sales office,

sales type, advertiser type, and a specified date range. Legal affidavits can then be created by selecting a template

that has been created in the “Define” – “Document Template” screen. The fields in the template will be filled by the

fields from the report. The generated affidavits are then displayed so that they can be edited, printed, or saved for

later use or further editing outside of AccountScout. Currently available affidavit save formats are .docx, .pdf, .jpeg,

.rtf, and .html.

• 6.2.2 Payments and Credits by Advertiser’s Sales Rep Unapplied: This report may be useful for calculating sales rep

commissions for commissionable payments received that are not yet applied to an invoice.

Fixed Report Defects • 1.3.1 Contact List: This report was loading slower than expected when filtering on a small number of Advertisers in

some scenarios.

• 7.5.6 Dormant Advertisers: For large date periods, and/or large amounts of data, an out of memory error sometimes

occurred during report processing. This memory limit has been greatly increased to accommodate larger data sets.

Report Changes • 6.2.1 Payments and Credits by Advertiser’s Sales Rep All: Updated the look and feel and added a filter for Sales

Production Digital Asset Manager Changes • Trello: Allow for Excluding runs associated with a publication from exporting to Trello.

• Trello: Allow for Trello cards to be updated even when moved to a different board. The label on the card will remain

and continue to be updated if labels with the same text exist on the board the card is moved to as well.

• Trello: Changed the card "Due Date" to be the card's first run on or after today's date. In the past, it was set to the

order's first run.

Other Changes • Screen Sizes: the size of each screen is no longer saved each time when closing a form. The window sizes are now

only saved when the “Save Layout” button is clicked.

• Classified Order Screen Default Layout: with the addition of the PDF Builder tool on the Classified Order Screen, the

default screen layout has been changed.

• Marketing Campaign Tool: This new Tool allows for you to open a table of Advertisers and Contacts, and select a

o To complete the link between AccountScout and Mailchimp, you must first either register or sign in to your

Mailchimp account and provide AccountScout with an API Key in the AccountScout Settings screen. More

chosen period of inactivity so that their license may be used by another user.

payment can be deleted. If the charge cannot be Voided, the message says to issue a credit card refund and to create

an offsetting AccountScout refund.

Retail Order Related Changes • Retail Order Screen: The Ad Copy now has an option for PDF documents, to zoom to fit the width of the ad into the

available window.

Production Related Changes • Trello Digital Asset Manager: As mentioned above, Trello has been added as a Retail Order Digital Asset Manager.

o The viewer will render the PDF file if both a PDF and another image format such as JPG exists for the order's

image number. In the past, JPG files had priority over PDF files.

o The priority for displaying Ad Copy images has changed as follows: PDF (unless the file exceeds the 10 MB

limit), JPG, PNG, TIF, BMP, and GIF files, in that order.

• Retail Order Form: Added the extension ".jpeg" to the list of available Ad Copy image types in the "Upload Ad Copy"

dialog.

General Changes • Search Tool: Added the capability to search on an email address. The search is performed on both Contact and

Advertiser email addresses.

General Changes • Advertiser List Search Behavior: The behavior of the search/filter feature in the Advertiser List used on the side of

o After 3 characters of search text are entered, the search looks for matches anywhere in the column (such as

name or phone) being searched.

Summary The major new functionality in this release includes the following:

• Capabilities that facilitate sharing of an AccountScout database across multiple properties through the definition of

Billing Office Sets and Rate Cate Sets.

• Capability to customize the order entry selections, Discounts, Sales Types, Sections, and Group Classification, based on

Rate Card, like the existing behavior for Features.

• Classifieds can now contain tabs as well as bulleted and numbered lists that are retained for InDesign exports.

Billing and Accounting Related Changes Following is a list of billing and accounting related items associated with the new V11.0 features.

• Billing Office Set: A new Define Billing Office Sets form was created to help bookkeepers manage statement, invoice,

and interest batches as well as deposits across properties sharing a database. Billing offices are now assigned to a

Billing Office Set to group billing offices during accounting related tasks.

• Invoice, Statement and Interest Batch forms: The following changes were made:

o A Notes field was added to allow a bookkeeper to describe the purpose of the batch and to provide

instructions on the changes necessary for each month.

o A Billing Office Set drop list was added to the form and the user may only generate batches for Billing

Offices associated with the selected Billing Office Set. The side list of batches is now restricted to show only

the batches for which the user has access.

• Deposit form: The following changes were made:

o The Deposit Account is automatically selected when creating new deposits and the list contains a single

active Deposit Account.

o A Billing Office Set drop list was added to the form. A user may only add payments to the deposit for the

billing offices associated with the selected billing office set. The side list of deposits is now restricted to

show only the deposits for which the user has access.

Rate Card Related Changes Following is a list of rate card related items associated with the new V11.0 features. The referenced forms are accessed from the Define menu.

• Rate Card Sets: A new Define Rate Card Sets form was created to help manage retail and classified rate cards on the

order screens, across users at different properties, sharing a database.

• Define Open Rate Cards, Define Contract Rate Cards and Define Classified Rate Cards forms: A Rate Card Set drop

list was added to the forms and contains only rate card sets for which the user has access. The side list of rate cards is

now restricted to show only the rate cards for which the user has access.

• Restricting User Access to Rate Cards: An administrator may restrict rate card access by creating and then assigning

Rate Card Sets on the Define User form. This restricts rate card selection on the Retail Order, Classified Order and

Agreement forms to those rate cards associated with Rate Card Sets for which the user has access.

• Restricting Group Classifications on Rate Cards: An administrator may restrict Group Classifications by Rate Card

using the Define Open Rate Cards, Define Contract Rate Cards and Define Classified Rate Cards forms.

• Restricting Discounts on Rate Cards: An administrator may restrict Discounts by Rate Card using the Define Open

Rate Cards, Define Contract Rate Cards and Define Classified Rate Cards forms.

• Restricting Sales Types on Rate Cards: An administrator may restrict Sales Types by Rate Card using the Define Open

Rate Cards, Define Contract Rate Cards and Define Classified Rate Cards forms.

• Restricting Sections on Rate Cards: An administrator may restrict Sections by Rate Card using the Define Open Rate

• InDesign Classified Export: Ads containing basic bullet and number lists are now exported for import as lists into

InDesign. Quark exports do not support bulleted and numbered lists.

• Classified Text entry:

o In the Classified Text area, the default tab stop intervals were reduced to 9 points (1/8 inch) from a previous

interval of over 56 points.

o In the Classified Text area, the user may use basic bulleted and numbered lists which are now exported to

production.

• Classified Order Ad Details:

o The Classified Order form layout has been changed to move the selection of Rate Card and Rate before

other Ad Details. This is required in order for the Sales Types and Group Classifications selections to be

linked to Rate Card.

o For selections that are required when entering a new order, when there is only one value in a drop list

menu, that value will automatically be selected.

o When loading an order, if the order was saved with a value that is no longer active or no longer valid (e.g.,

no longer allowed by the selected rate card or no longer allowed for the current user), the value will be

included in the drop list menu for the current order. However, runs cannot be scheduled when that value is

selected.

General Changes • Agreement Form: The following changes were made:

o A user may now change all fields after saving a new Agreement, so long as the agreement is not "in use."

o A user may now delete an Agreement that is not "in use."

• Define Menu: The Advertiser Set and the new Billing Office Sets and Rate Card Sets menu items were added to a new

Sets sub-menu.

• Advertiser Quick List: Modified the list to always display advertisers in inactive billing offices to which the user is

permitted. Previously advertisers in inactive billing offices were only displayed if there was only one active billing

office to which the user was permitted.

Fixed Defects • Various Text Entry Fields: Typing ctrl-x in the many fields throughout AccountScout when selecting partial text, was

causing AccountScout to crash.

• Advertiser and Activity forms: Inactive contacts were being included in the contact drop list.

• Pricing Adjustments on Order forms: When an existing order is loaded, the "order price before sales tax" value was

not initialized on the Pricing Adjustments tab. This resulted in incorrect pricing adjustment calculations when

adjusting the order price by a specified percentage.

• Define Open Rate Card and Define Contract Rate Card Forms: When a current rate card is loaded, clicking the New

button was not retaining all of the values (except for the Name) for the previous loaded rate card.

• Retail Order form: If a classified display sales type is selected, group classifications were being displayed in the

classification list. Selecting one of these values resulted in an error.

• Dashboard Revenue Tile: The stated revenue did not match the 2.2.x billable item report's revenue totals. The

dashboard revenue was including "quoted" runs in the revenue total and in the charts. Also, cancelled, invoiced runs

were incorrectly being excluded from the total and the charts. The revenue and charts now match the default

behavior for billable item reports.

• Settings: Added a new setting, "Xtags Maximum Box Height" to the Classified Export tab. This setting determines the

maximum height of boxes when exporting to an Xtag format. Verify the default value of 9 inches is what you would

like. It is recommended this setting is less than the height of your smallest publication's page.

• New Permissions: A new role named "Full Report Data Access" was created and assigned to each AccountScout user

during the database upgrade. It provides access to the three new permissions that can limit the data rendered on

reports. Determine which users should limit report data to the Users, Sales Reps and Billing Offices associated with

the user account. By default, users will continue to have access to all data for all users, sales reps, and billing offices.

Classified Related Changes • New Classified EM Xtags Export setting for Maximum Box Height: This new setting on the Classified Export tab,

• 6.3.3 Sales Comparison by Sales Rep, 6.4.3 Sales Comparison by Advertiser's Current Sales Rep: These reports

show sales rep performance by comparing sales totals by publication and sales type for two date period.

• 6.4.1 Sales by Advertiser's Current Sales Rep: This report shows billable item totals grouped by the sales rep

assigned to the advertiser which is helpful in determining sales goals based on the previous year.

• 6.4.2 Sales by Advertiser's Current Sales Rep with Detail: This report shows billable item totals grouped by the sales

rep assigned to the advertiser.

• 7.1.8 Dormant Advertisers: This report is used to identify advertisers that may have ceased advertising, so a sales rep

may call on them.

verification of URLs process generated an error.

Other Changes • Settings - ETears: A protocol such as "http://" may now be specified for the Root URL. If none is provided, "http://" is

• Added a new AccountScout “ASCLS” classified import/export format that provides the capability to share classified

o Added a "Features" tab to allow for the selection of zero or more features that are available for classified

automatically applied, (e.g. bold, italic) or selected by the user. For example, a legal rate card may not

want a "bold" feature to be automatically applied.

General Changes • Contact Form: The following changes were made:

o Added the display of advertiser address, phone and email information to allow for easier data entry of items

• GetScheduledAds Request: <Defect Fix> The request was raising an exception when attempting to return a

moderately large number of ads (326).

• GetScheduledAds Request: Modified the behavior of this request so that it continues processing runs if an exception

abort and return no ads if an error occurred on any run. Any errors that occur while processing runs are collected and

returned in the response.

o Note: This change modifies the signature of the GetScheduledAds request. Web service clients that use this

occurred after the given “as of” date.

marked for eventual removal from AccountScout. A new 7.3.1 Book Keeper End of Month report replaces the

previous report. This report can be generated for months in the past, where activity that occurred after the ending

date is “backed out.” This provides for the capability to reconcile for virtually any month in the past. The report also

does the reconciliation for you, eliminating the need for the supplemental spreadsheet.

Recommendations and Things You Need to Do After Upgrading Following is a list of things that you need to do, or recommendations pertaining to this upgrade:

• Update Billing Offices: On the Billing Office screen, enter email information for each billing office to include the

following:

o From Name and From Email Address

o Email Subject and Body for emailed invoices

o Email Subject and Body for emailed statements

• Update Settings: Enter email information on the Settings screen's new Email tab.

o We recommend selecting the option to automatically create an activity after sending an email.

o You may also select the "Run in Test Mode" option to send all outgoing emails to a fixed address rather than

to the advertiser to “try out” this capability.

• Set Advertisers to receive their invoices and statements via email. Update the "Email Invoices" and "Email

Statements" checkboxes for advertisers (using the Advertiser screen), that should receive their invoice and/or

Fixed Defects • Payment form: If a new payment (or advertiser credit) is entered and applied to a debit and then a different

advertiser is selected (all without saving the payment), and the applied credits are cleared, the Remaining Amount

was not getting reset. This can result in an inconsistent payment being saved and the advertiser's account balance

being incorrect.

• Memory leak: In some cases resources were not getting released properly.

o Forms containing an advertiser quick list control were not releasing their resources properly.

o At times, a significant delay (of possibly a few minutes), was occurring when the Save button on any form

was clicked.

• Retail Order Form: When tabbing out of the Section drop list, the focus was being placed on the group classification

Version 7.1 Changes, (Aug 2012)

Summary The major new functionality in this release includes the following:

• HTML Classified Export: Classifieds may now be exported in an HTML/CSS format to generate a classified ad web site.

The classified ads and single column classified display ads (created as retail orders), may be exported as a single page,

or a classified index can be generated with links to separate pages for each classification. HTML header and footer

files allow for your web developer to customize the look and feel of the generated markup directly from the

AccountScout Settings screen. For example, a simple change to the header file can be made to place all images to

the left of the ad text, while scaling all of the images to the same size.

• End of Month Reconciliation: Changes to report 7.3.1 End of Month in how cancelled, non-invoiced runs are treated

allow for easier reconciliation. New account balance reports have also been added to include only “Earned” revenue,

to help in reconciling the AccountScout A/R with the General Ledger.

Recommendations and Things You Need to Do After Upgrading Following is a list of things that you need to do, or recommendations pertaining to this upgrade:

• User Action Required After Upgrading Database: Ad administrator needs to select the Billing Offices that should be

associated with each user. Otherwise, the advertiser side list will be empty, since it is now filtered by advertisers

assigned to the billing office associated with the user. For users that should have access to all advertisers, you may

check the new "Advertiser Side List: Show for All Billing Offices" option for the pertinent Role(s). Selecting this role

option does not require the selection of billing offices for those users.

• Database Time Out Setting: The release introduces the capability to increase the amount of time before a database

command responds with a “time out” error. You may want to set this value (see general changes section below) if

you are experiencing “time out” errors most likely when running some reports.

Accounting Related Changes • Statement Batch (Volume Discount Related): When a volume discount immediate credit is created for a generated

statement, the credit is now automatically applied to the most recent invoice on the statement.

• New Account Balance reports (2.1.12, 2.1.13, 2.1.14) that reflect only earned revenue: These advertiser aging

reports exclude invoiced billable items after the reference date, (e.g. non-published runs are excluded as though they

were never invoiced).

• Apply Credits tool: Added a billing office filter so that the user can load only those credits for advertisers associated

with a set of billing offices. A column for the billing office has also been added to the list of credits.

Classified Related Changes • Settings Form: Added the Classified HTML Export tab which allows for changes to the HTML/CSS header and footer

markup, as well as options to determine whether or not classified counts are included on the HTML classified index

page.

• Classified Export: Added options to create multiple files during the export where all ads within a "root" classification

are exported to separate files, all adds within a "leaf" classification are exported to separate files, or all ads are

exported into a single file.

General Changes • User Form: Added the capability to associate a user with one or more billing offices. This limits the advertisers

displayed in the advertiser side list to those advertisers assigned to the selected billing offices associated with the

user.

• Settings Form: Added a "Database Timeout" setting to the General tab, which determines the amount of time

allowed before a database command responds with a "time out" error. This value (in seconds) can be increased to

accommodate slow data connections.

• License Manager: Added the capability to attempt to automatically delete floating license semaphore files (i.e.

“as00x.net” files), when a floating license cannot be acquired. After the deletion, another attempt is made to acquire

a floating license.

• Advertiser Side List on the main executive and many forms: Clicking the Refresh button now reloads the advertiser

list from the database to pick up changes made by other users.

User Permission Related Changes • User Roles: Added a new advertiser side list permission to "Show for all Billing Offices", which if set, all advertisers

are displayed in the advertiser side list. Otherwise, only advertisers assigned to the billing offices associated with the

user are displayed.

Fixed Defects • Classified Export: <Introduced in V7.0> Tags for the font name and size were incorrectly being written for classifieds

whose font name and size did not deviate from the Font values defined on the settings form.

• Reset Form Layouts: Only the first checked layout was being reset.

• Statement Batch (Volume Discount Related): When a statement containing a volume discount immediate credit

that has been applied to a debit is deleted, the credit itself is deleted, but the credit was not "unapplied" from the

associated debit. This defect resulted in an incorrect advertiser account balance.

• License Form: When an existing license that is of type Fixed with associated “Fixed License Computer” records is

modified to be of type Server and saved, the computer records listed with the fixed license were not getting deleted

correctly.

• Rebuild Indexes: Rebuilding indexes after an upgrade or when initiated from the main menu could result in a timeout

error. Now, the amount of time allowed before displaying the error is set to 12 times the Database Timeout value on

the Settings screen.

• Volume Discounts: If a volume discount is defined with a "does not apply to advertisers whose oldest unpaid debit is

1 day past due", an advertiser with an unpaid debit that is due on the Statement End Date was not getting excluded

from receiving the volume discount.

• Classified Order form - Unit Rate Feature Pricing: <Introduced in V6.5> When scheduling runs, if a feature that is

defined with "Unit Rate" pricing is manually selected, an error message was being displayed and an incorrectly priced

run was being added to the scheduled runs list.

• Invoice Batch Form:

o The “Undo” process failed if one of the generated invoices has been included on a statement or falls within

the locked accounting period. Now the process skips over these invoices and notifies the user that some

invoices could not be deleted.

o In some unlikely cases, a double click on the Generate button could result in the potential for multiple

invoices (with different billable items) being generated for each advertiser in the batch.

• Interest Batch Form:

o The “Undo” process failed if one of the generated interest charges has a credit applied, has been included

on a statement, or falls within the locked accounting period. Now the process skips over these interest

charges and notifies the user that some interest charges could not be deleted.

o In some unlikely cases, a double click on the Generate button could result in duplicate interest charges

being generated for each advertiser in the batch.

• Statement Batch Form:

o The “Undo” process failed if one of the generated statements falls within the locked accounting period.

Now the process skips over these statements and notifies the user that some statements could not be

deleted.

asking if you would like to save the record. Clicking "Yes" caused an error to occur.

• Export Retail Ads: The Managing Editor - Ad Force export was not exporting to a UTF-8 file format.

• Advertiser Agreements: An error occurred when trying to load the agreements for an advertiser when one or more

of the agreements were created with the same agreement start and end date.

Fixed Report Defects • Cannot Run Many Reports Due to a Time Out Error: Many reports are "timing out" which aborts the report. As a

result, the reports cannot be run at all. A setting can now be modified to increase the amount of time allowed before

displaying this error.

• Advertiser Form - Reports for Inactive Advertiser: When an inactive advertiser is loaded, the advertiser reports

generated from the ribbon bar, displayed the reports for all advertisers, rather than the loaded advertiser.

• 1.2 Advertiser List: The primary contact column was not getting populated.

• 1.9.2 Classified Tear Sheet Listing: In some cases not all of the advertisers needing a tear sheet were being displayed.

• 2.2.x Billable Item Reports: When selecting the option to show Cancelled Only Runs, Miscellaneous Billable Items

(which cannot be cancelled), were included in the report results.

• 2.4.2.1 - 2.4.2.5 Open Item Statement reports: When an advertiser has a credit balance, the unpaid debits were not

displayed on the report.

• 2.5.1.4 Payments by Deposit: An error occurred when selecting a date range of "All," although the report then

• Losing a Floating License: When network connectivity to the system hosting the server license is interrupted,

AccountScout now attempts to automatically reacquire a floating license. The user is notified only if a floating license

cannot be reacquired.

Version 7.0 Changes, (May 2012)

Summary The major new functionality in this release includes the following:

• Retail Ad Copy Management: Production files for retail ad copy can now be viewed within, and managed by

AccountScout.

o Users may associate ad copy with a retail order or run, by browsing for, or by dragging and dropping the

production file directly onto the retail order screen. The ad copy is rendered within AccountScout and

saved in the designated shared directory on your network.

▪ Supported file formats include PDF, JPG, PNG, TIF, BMP and GIF.

o If ad copy has not yet been created at the time the order is created within AccountScout, the insertion

order and manifest reports display the filename and directory where the production department can place

the file when it’s ready. AccountScout will automatically find and display this file the next time the order or

run is loaded.

o When deadline approaches, the new Retail Ad Export screen can be used to generate an electronic

manifest. During the export, the ad copy files are pulled from the AccountScout “repository” and placed in

the output directory, eliminating the need for production to manage and “pull” these files manually.

• Flow Retail Ads Directly into Quark and InDesign, with or without Ad Force: The new Retail Export screen (Tools:

Export Retail Ads menu option), similar to the Classified Export screen allows for retail ads to be exported directly to

an electronic manifest in Ad Force, emSoftware XTags, InDesign, or Quark tag formats.

o When exporting to the emSoftware XTag format, you may now “flow” your retail ads, grouped by section,

onto a temporary page within Quark and InDesign. From there, you can easily cut and paste those ads into

your publication.

▪ Pagination information and manifest notes are display below each ad image to alert production to

any special requests or placement requirements.

o For Ad Force users, you may now save directory to the Ad Force format without the need to take the file

into Excel.
