1PROFILE INFORMATION

! Since 2011 Smyle have been incorporating a sustainability management system into their HQ activities, planning of events and elective onsite events. As a result, Smyle are proud to be one of the first event and production agencies globally to gain third party certification in ISO 20121:2012, certified by BSI, a UKAS approved body.

! To further development Smyle’s sustainable event initiatives we came up with the idea of the Sustainable Event’s Summit Community so to galvanise thought leadership and action between brands, agencies, suppliers and venues.

! One of Smyle’s actions, taken from the Community’s first live Sustainable Events Summit in January 2013, was the clear requirement to create an engaging post-event ROI report that simplified and incorporated the presentation of a GRI Report for an event that was aligned to ISO20121. This has resulted in Smyle’s EASI Report, which delivers key sustainability and ROI results and analysis in an informative and visual format.

BACKGROUND TO THE EVENT

! This report covers the planning and delivery of the Sustainable Events Summit event which took place on 18th February 2014. The organisational information gathered relates specifically to Smyle and our role in the Summit event. For this report, we have used the Global Reporting Initiative sustainability reporting framework, and it’s Event Organizers Sector Supplement. The information was gathered using the online monitoring and measuring tool, EventSustainability.

! Encouraging clients to ask their suppliers the key questions as part of their procurement strategy, and correspondingly the supply chain to be more pro-active in being able to answer these questions by demonstrating the results of ongoing policy initiatives in action

! Maintaining brand awareness and managing income for a young initiative! Producing new content whilst ensuring it remains relevant

! The Sustainable Events Summit was the second live engagement of the online GSES community, designed to encourage networking, showcasing of case studies, sharing of knowledge and a platform for future initiates. It was designed to be delivered in compliance with ISO 20121 so as to adopt sustainable best practise alongside delivering the key event objectives.

All technical equipment is owned by Smyle and is stored in our warehouse and moved using our own 7.5T truck. There was no equipment onsite that can't be reused.

There was little event waste, and what was produced was recycled and disposed of by the venue, meaning that it couldn't be littered around the local area.Other considerations:

! Next year we will look at alternative methods to collect delegate transport data as using the event web app and post event eshot only gathered 17% of the overall attendance. We will look at collecting methods and mileage at registration or on the door.

! All suppliers and attendees were encouraged to adhere to our standard policy which promotes the use of public transport and aims to minimise the impact of all travel through efficient logistics and planning. Our choice of venue supported this.

! The event did not take place early in the morning or late at night, so there were not likely to be many disruptions to the local community.

! Choosing a central venue which is easily accessible by public transport, can be used in any weather, and is of the closest proximity for the majority of attendees are the key initiatives in minimising risk for this event.
