1. Introduction Important Note: This report is not a deliverable; it is just an accompanying document of the Deliverable D.3.2: Pilot Social Network. The present document comprises the main activities that have been carried out by the members of the project through the internal social network (ISN). The ISN for Pilots was created in the first months of the project, through LinkedIn Social Web services, and it can be accessed under request by clicking on this e-link: http://www.linkedin.com/groups?mostPopular=&gid=3376587 This report is composed of three main sections:

• A summary of the communications, discussions and main topics that have been present on the ISN since its very first creation until today.

• The ISN guideline • A short set of the main conclusions extracted from the ISN in these first months.

2. A summary of the discussions and communications on the ISN

The ISN was activated in the first days of March. Since then and in a continuous basis many different topics

Two main topics have been proposed to be discussed during this first week the ISN life:

1. The use of the most widely known Social Networks in benefit of the goals to be achieved in our project

/ pilots:

The use of these SNs may be of great help for our pilots. We can also accompany them with other useful

online tools and services such as RSS feed, blogs, comments on relevant sites, and many others. Depending

on the stages of the project we would need to adapt our strategy in the use of these resources regarding

the kind of messages we transmit to stakeholders and what we can expect from them.

2. Deliverable 1.2 - Scenarios (Uni Bremen is responsible, 28.04.2011 is due date)

Stefan has uploaded a proposal for structuring this deliverable and it would be great to have the feedback

of the ISN members about it.

Two main topics have been active and discussed during the week:

The use of these SNs may be of great help for our pilots. Last week we were discussing about their benefits

and about the ways we could start using them. The opinion of Peggy, as responsible for the creation and

development of People’s website, has been requested. It is expected to receive her valuable feedback in

the next days.

2. Deliverable 1.2 - Scenarios (Uni Bremen is responsible, 28.04.2011 is due date)

Last week Stefan uploaded a proposal for structuring this deliverable. He also asked for pilots feedback. In

relation to this, a comment from ASI has suggested Stefan showing an example for clarifying what the

expected inputs of each pilot for this deliverable are. Additionally, ASI has also suggested Stefan clarifying

Following the calendar of deliverables a preliminary version of the evaluation criteria have been uploaded

to the Wiki. These indicators will be discussed in the next weeks.

Stefan upload a new version of the template for the Deliverable 1.2, providing with better examples on

what he would like to see in the situations’ chapters. He asked for receiving feedback from all of the pilots,

as they are the ones that need to work with the structure of this Deliverable. He also requested to

everybody following the structure proposed on the template for the completion of the deliverable.

2. Evaluation Data at the Wiki

Stefan posed a question about some new data showed at the Wiki. Nina explained that they are some

preliminary tables for the evaluation and monitoring of the pilots that have been uploaded to the Wiki and

that they will have to be discussed and adapted to the different pilots in the coming weeks.

Two main topics have been active and discussed during the week:

1. Innovation using social networks: the PACT methodology.

Nikos, from Thermi Pilot, started a new discussion about a methodology that uses social networks to

promote innovative products. The assumption is that customers are relying on social network for advice

and guidance on purchasing decisions.

Then, the debate was focused on the costs referred to activities addressed to users’ implication ad

engagement. Nicos showed his concerns about the high costs of these activities: They need promotion and

marketing and perhaps, they may be much higher than development cost of PEOPLE’s applications. Lorena

suggested seeing what kind of incentives could be useful for user involvement in each pilot and see if we

could manage to implement them with PEOPLE budget. In this sense, Nicos’ suggested reducing

development costs of applications and freeing budget for user involvement. Increasing synergies among

the pilots and developing common platforms and applications could be an interesting option. An example

of this can be Thermi and Bilbao: They might follow the same scenario and create a common platform for

Central Business Districts of cities. Finally, another option it could be to have applications based on sensors

and smart meters that would be distributed to users.

Stefan suggested having a first draft of the deliverable before 15th April, so that they can have time for

Stefan made a detailed description of his template for structuring this deliverable. Nikos, in Thermi used a

different one. While the combination of both could be possible, an open question is posed: is it beneficial

to use the same template for each pilot or should we use a different one for each pilot (adapted-to-pilot)?

Additionally, Nikos shares with the rest of members a survey they have posted at suveymonkey about

applications and e-services that should be part of the Thermi-Pilot, open to the contribution of any

interested citizen/stakeholder.

Four main topics have been active and discussed during the week:

1.Deliverable 1.2 - Scenarios (Uni Bremen is responsible, 28.04.2011 is due date)

Nikos explains how they are contacting users and stakeholder letting them know about the survey and

asking for their participation. Stefan tries the Nikos’ survey and discovers that some of services and

application proposed by Thermi (parking, information terminals) are similar to the pilots developed in

PERIPHERIA Smart Cities Project BIBA, so Stegan suggested that If similar applications are chosen by the

people in Thermi they could share ideas and approaches about these topics.

Finally, and regarding the D1.2, Stefan explains that for the deliverable it should be ok to attach the

potential applications they have with the structured table they uploaded at PHPCollab. Those are meant as

the storylines as the DoW calls it. Bremen is preparing a collection of applications provided by their key

stakeholders and lead users. They are shaping the wiki-form information.

2. PEOPLE project on the streets!

ASI recalls the importance of being physically present on the streets of the pilots. PEOPLE, apart from being

present on the internet, through social networks, websites and other ICT tools, needs to have a broad

presence in the core of the cities, where the stakeholders and citizens are…

3. Use of the PhpCollab as shared space for documents.

Stefan asked about the location of certain docs of the project. He received assistance from other members

and he finally found them.

4. Deliverable status for end of April-milestone

Bremen shows his interest in knowing the status of the deliverables, offering his contribution in the case

anyone needs some information from them.

2. Clarification on the indicators to be used during the project

During the last audio conference there were some doubts on the use and scope of the different indicators

used in the project. ASI has provided a table which summarizes all these indicators, their scope and

partners responsible.

3. ISN Guideline Together with the creation of the work group on LinkedIn, a Guideline was created and distributed to all

PEOPLE’s partners. This guide contains all the details on about the log-in procedures, type and frequency of

communications and the connection of the ISN with other deliverables.

2. PEOPLE INTERNAL SOCIAL NETWORK

2.1 ISN aim and main goals.

ISN responds, firstly, to the necessity of creating a common virtual space for PEOPLE’s members where any of them can share with the rest their progresses, particular views and specific needs of their pilots. Secondly, it responds to the open approach and open innovation methodology that is being used in PEOPLE. Finally, ISN responds to the obligation of creating an Internal Social Network as stated in DoW (D.3.2). Summary of the ISN main goals:

� To create a collaborative environment through which to interchange and jointly analyze information.

� To contribute in the population of the methodological/knowledge Wiki. � Organizing internal benchmarking workshops � To contribute to PEOPLE Pilots benchmarking.

2.2 How to become a member of the ISN.

3. CONTRIBUTION OF THE ISN TO OTHER DELIVERABLES: PEOPLE SCOREBOARD AND EVALUATION

Among other uses, the internal social network will be used to specify and adapt the indicators and the process of evaluation that will be followed in each one of the pilots.

Process & Results Indicators (Linked with D1.7): These indicators will be continuously present at the Wiki. Pilot’s leaders will fulfill these indicators with the results obtained in their

pilots. Before that, the ISN will be used to specify what indicators will be used and the minimum grade of completion they shall reach. These indicators may be adapted, when necessary, to the different realities and complexities of each pilot. All these indicators will be the ones that there will be present in the Wiki to be fulfilled and evaluated afterwards.

PEOPLE Scoreboard (Linked with D1.6, D1.7 & D3.1): Also known as PEOPLE’s Indicators (DoW p.61). These are other sort of indicators. Through the ISN the project members will define a common scoreboard for the formal evaluation of pilot smart urban ecosystems and embedded ICT services, which will be useful for monitoring the progress in fulfilling the project aim and objectives but, also, as an implementation tool for future PEOPLE pilots after the end of the project. The Wiki will contain, show and maintain this Scoreboard for future references for projects related with Smart Cities.

4. ISN COMMUNICATION ACTIVITES AND INFORMATION SHARING

All of the outcomes to be reached by defining the above indicators will be carried out, implemented and guided through communications and debates, initiated by ASI, as methodological responsible in the project or any other member of the consortium wanting to share any experience or having any issue to discuss. Pilots leaders will be requested to give their opinion and own views about the indicators proposed, with the aim of obtaining realistic and adapted indicators to be used in the evaluation of each pilot.

4. Benefits perceived from using the internal social network. The use of the ISN has contributed significantly to the creation of synergies among all partners. Within this context, the ISN has also contributed to:

• Create an early warning system. • Make sure knowledge gets to people who can act on it in time. • Connect people and build stronger relationships. • Provide an ongoing context for knowledge exchange that can be far more effective than memoranda. • Attune everyone in the organization to each other's needs and more people will know who knows who

knows what, and will know it faster. • Create an ongoing, shared social space for people who are geographically dispersed. • Amplify innovation and when groups get turned on by what they can do online, they go beyond

problem-solving and start inventing together. • Create a community memory for group deliberation and brainstorming that stimulates the capture of

ideas and facilitates finding information when it is needed. • Improve the way individuals think collectively.
