This Manual

This Test Coordinator’s Manual serves to guide Test Coordinators in sign-in and general test administration activities for the Algebra I and English II End-of-Course Assessments. Instructions for test administration in the classroom are provided in the Test Administrator’s Manual (TAM). The TAM and additional information can be accessed from the Help tab on the Online Administration System (Admin) located at:

All devices intended for use in the administration of the tests must be set up and configured to test using Nextera, Questar’s student test delivery system. If you have any questions, you can contact Questar.

MAP End-of-Course Overview

The MAP End-of-Course Assessments are used to evaluate student performance relative to the standards associated with high school graduation.

The MAP EOC assessment for Algebra I consists of one session. The MAP EOC assessment for English II consists of one online session and a separate paper-and-pencil session for the writing component. Schools should set aside a block of uninterrupted time for the administration of the Algebra I test and a block for both the online portion and the Writing component of the English II assessment. Once a test is started, it must be completed the same day. Schools should schedule additional time for reading the directions and answering any questions.

More information on each assessment, including blueprints and additional resources, can be found on the Mississippi Department of Education Student Assessment website at http://www.mde.k12.ms.us/OSA.

Please note that all references to Test Administrators in this manual and on the Admin site are referring to students’ actual teachers. Test Administrators meant to administer MAP tests to students will be assigned by the School Test Coordinator and will not be shown in the Admin site.

Test Irregularities

Schools must not schedule an interruption to the school day, such as a fire drill, that will affect students in any way during the assessment. If an interruption in testing due to severe weather, a fire alarm, or any other natural or man-made occurrence does take place, the Test Administrator should immediately note the circumstances and the time that the interruption occurred. Both the District Test Coordinator and the MDE must be contacted as soon as it is safe. Test administration should resume as soon as possible after the interruption and students should be allowed the full amount of time remaining when the interruption occurred. If testing cannot continue the same day, contact the MDE prior to rescheduling.

Following an interrupted test administration, officials from the MDE will review the incident to determine if the students’ work will be counted as a valid attempt. The determination of a “valid attempt” will be based on whether the students had a significant opportunity to discuss test content or “cram” for the test with the knowledge gained from the interrupted administration.

In a situation where students have strong emotional reactions (such as an actual fire or another situation that either creates a real or perceived threat, causes damage to property, or injury to a person), this may be difficult to assess, even if testing is completed on the regularly scheduled days. Students taking a test, particularly a high-stakes test, under anxiety-producing conditions may not have performed as well as they otherwise may have performed. The appropriate course of action will be determined following a review of the circumstances.

If any occurrence raises questions or concerns about correct test administration, contact the MDE immediately. All MDE testing irregularity policies must also be followed. These policies may be found on the MDE OSA website.

Multiple user levels exist within the Admin site. Some examples include District Test Coordinator (DTC), School Test Coordinator (STC), and Test Administrator. A complete list of user account types can be found at the bottom of the Accounts tab.

DTCs can add or edit users as needed to allow specific individuals the rights they need for accessing their student information.

A DTC can add or edit these users by going to the Accounts tab.

qTo add a user account, click “New Account.” On the New Accounts page, select the type of user from the drop down box and fill in all the required information. Be sure to click Save once the information has been entered. Once you’ve clicked save, an auto-generated email will be sent to the user’s email address instructing them how to access the Admin site.

w To edit a user account, click the “View” link next to the user’s name in the grid, then click the “Edit” button on the new screen. Once you click Save, you will be prompted to send an auto-generated email to the user.

Note: Only one individual can be listed as the DTC and only one STC can be active per school. However, multiple Test Administrators can be added. Additionally, Test Administrators will be pre-populated into the Nextera Admin after a student roster file is received prior to each administration.

The registration process requires the DTC to enter student testing counts for the upcoming administration. Only DTCs may register schools for testing.

Registration must be completed during the registration window that is defined for each administration. (Refer to the Important Dates section.) Once the registration window is closed, information for the upcoming test administration cannot be edited.

During the Registration window, DTCs will complete the following actions on the Registration page under the Accounts tab:

qAssign or confirm one District Information Technology Coordinator (DITC) for the district and one School Test Coordinator (STC) for each school.

w Confirm district and school information, and the district shipping information are accurately listed.

Select each content area you will administer during the test window for which you are registering.

Enter student testing counts for each school testing in your district.

tOnce information for all schools has been entered, be sure to click Save and then select “Complete Registration.”

To Print Student Authentication Credentials:

qSelect Test Administrations under the Test Administrations tab.

w Find the appropriate Test Administrator/Class and click on View.

Under the test information, you will now see Student User IDs and Passwords for this Test Administrator/Class. To print sign-in credentials click on the “Print Labels” button. Choose how you would like to print the sign-ins, then click “OK.” A PDF of sign-in credentials is generated to fit your choice. Please refer to the Test Administrator Manual for security protocol of online test materials (e.g., labels with student sign-in credentials).

District Test Coordinators are the only users who have the option of clicking the “New Test” button to schedule test windows.

Any test that is paused longer than 20 minutes will require a Proctor Password for the student(s) to sign back into the test. Test Administrators will contact their School Test Coordinators to obtain the Proctor Password, if needed.

To access the Proctor Password in the Administration site, make sure you are on the Home tab:

qAt the top left of the screen, confirm or select the applicable school.

w You will see a listing including the School name, STC name, and the Proctor Password for that school. Note that the Proctor Password will be the same for all Test Administrators within the same school, but each school will have a unique Proctor Password.

Click on the View link to review or edit a Test Administrator’s information. You will see the Test Administrator Profile displayed. To make changes, click the “Edit” button while viewing a profile. Change information as appropriate and click Save when you are done.

To Add or Edit a Student:

qSelect Students under the Students tab.

w You will see the Students page displayed. You may sort Students by Student ID, Name, or Class.

Click on the View button to review or edit a Student’s demographic information. To make changes, click the “Edit” button while viewing a profile. Change information as appropriate and click Save when you are done. Once testing has begun, the district, school, class, and/or form(s) CANNOT be changed.

Click the New Student button to add a new Student not listed.

NOTE: Students uploaded as part of the registration file cannot be edited. Only students who were manually created in the Admin site can be edited. Changes can only be made before the test window opens.

t You will now see a blank student demographic information page displayed. Enter all required information for the new Student, including any accommodations. NOTE that all fields with a bold title are required and must be completed. All other fields are optional. Be sure to click Save at the bottom of the page when you are done.

y Marking a single student’s online testing or classroom accommodations can be done while creating a new student. Scroll to the bottom of the student profile and click Modify. This button will only be visible after a student is assigned to a class. Select the necessary accommodations and click Save. For more information on marking accommodations, see page 17.

Note: In order for sign-in credentials to be generated, the student must be assigned to a class. See the Moving Students section for instructions.

A test should be invalidated when a student cheats, marks most or all answers randomly, or loses a significant amount of time during that test. If a student’s test session needs to be invalidated, the Test Administrator should notify the STC immediately following the invalid test session.

A test should be marked as Do Not Score if a student was registered to test, but took no portion of the assessment.

qTo mark an invalidation or student not tested, select Test Administrations under the Test Administrations tab. Select View next to the appropriate Test Administrator’s name.

w Under “Registered Students,” find the student’s name and select Set under “Status Codes.” A new window will pop up with options to select Do Not Score or Invalidate.

Marking Accommodations for Multiple Students

Two types of accommodations, testing and classroom, can be set in a mass edit. Testing accommodations should be set if students require an accommodation during online testing. Testing accommodations are not for students taking Large Print, Braille, or Paper/Pencil assessments. Classroom accommodations do not impact the test-taking experience and are set for reporting purposes. To assign testing or classroom accommodations to a group of students at the same time:

qSelect Multi-Student Edit under the Students tab.

w Select and verify the students you wish to assign accommodations.

Clicking an accommodation’s icon will toggle it on or off. When choosing some accommodations, such as Reverse Contrast, you will be presented with a list of options to choose. Select the desired setting and click Apply.

When you are finished, click Save.

Students are assigned to classes based on the information Questar receives in the Pre-ID file from MDE. If you added students manually you will need to follow the steps below to “add or move” students into classes. If a student is not assigned to a class, he or she will not be given any sign-in credentials to take the test. To add a Student to a Class:

qFrom the Classes tab, click View for an established Class (or select New Class if you want to add a new one).

w Once you are viewing details for an established class, click Edit to edit the existing Class.

Select a Test Administrator or confirm the correct Test Administrator is displayed.

Name your new Class or confirm the correct existing Class name is displayed.

t Select the check box next to the Student(s) in the left column whom you wish to add.

y Click the right arrow button.

u Student name(s) will be added to this Class. Be sure to click Save at the bottom of the page once you are finished.

IMPORTANT: Classes cannot be modified after the test session has begun. If a change is needed, please contact Questar Assessment Customer Support.

To Remove a Student from a Class:

oSelect the check box next to the Student(s) in the right column whom you want to remove.

a Click the left arrow button.

s Student name(s) will be removed from this class and return to the left “unregistered” column. Be sure to click Save at the bottom of the page once you are finished.

qDTCs may move a student between schools in their districts or from a school outside their district into a school within their district. To do this, click New Student from the Students page and enter the student’s ID number. After you enter the ID number and move to another field, the system checks whether the student ID already exists in the Nextera Admin.

w If it already exists, a note will appear at the top of the page and you will be asked to click a link. In the window that appears, you need to enter the student’s last name, and then click Move Student. If you provided the correct last name, a confirmation window appears displaying the student’s ID, full name, grade, and date of birth. If the correct student is displayed, click Move Student and the move is complete.

NOTE: Only the student’s school is changed. The student’s class assignments from his/her prior school remain intact; however, the student can be assigned to a class within the new school from the student’s profile. It will not be possible to edit the student’s class from the Classes tab if the student is still assigned to a class from his/her prior school.

If circumstances require it, a student may be added to a class for one subject at his or her school of record and also be added to another class at a different school or district. In order to add a student to multiple schools or districts, please contact Questar Support.

You can review Students within a Class as follows:

qClick on the Classes tab.

w You will now see the Classes tab displayed.

You may see information about any Class by clicking the View button.

You can also create a new Class by clicking on the New Class button. You will see a screen similar to the Add and Remove Students screen.

The Order Materials page under the Help tab allows you to enter an Additional Material Order (AMO), accommodated material order (Large Print, Braille, and Paper/Pencil test books), review an existing order, and track material shipments. The Materials tab is available to DTCs only.

Once on the Order Materials page, select the service you want to access. Clicking the Additional Material Order, Review an Existing Order, or Material Tracking Information links will open a window for Questar’s ServicePoint™ application. Using this application, you can add and review orders and track shipments. For additional information about ServicePoint™, refer to the Quick Reference Guide posted on the Help tab.

Materials will be packed in boxes by school, but will be shipped to the District Test Coordinator. The DTC should store materials in a secure location until distributing them to schools. It is recommended that secure materials leave the district no more than three school days before the start of testing. In the shipment, DTCs will receive a return kit for after testing. Included in the kit are blank Group Information Sheets (GISs) that should only be distributed if any information on the pre-slugged GISs is incorrect.

Upon receiving materials, STCs should inventory the materials against the box content list. If the contents do not match the box content list, contact Questar Customer Support. STCs should store materials in a secure location at all times, except when they are being used for testing. If additional materials are needed, contact your DTC to order more.

Day of Testing

STCs should distribute materials the morning of testing and collect them again at the end of the day.

For Algebra I and English II tests, materials needed are as follows:

• Student Authentication Credentials printed from the Admin site• Accommodated Materials

For the Writing test, materials needed are as follows:

• Writing Test Books• Accommodated Test Books• Pre-ID labels for test books (if they haven’t already been placed on test books)

After testing is complete, be sure that Student Authentication Credentials are destroyed. All other materials must be returned to Questar.

Returning Materials

After testing, all materials, used and unused, must be returned to Questar. Use the following lists to organize materials for return.

For School Test Coordinators:

qCollect all materials from Test Administrators. For each class, complete a GIS and place it on top of the used writing test books inside the return envelopes. Unused test books should be kept separate.

wComplete a Transmittal Form for your school.

Even though accommodated materials arrive in a separate shipment, they are to be returned to Questar with all other materials. See page 26 for more information on Accommodated Materials. Place unused and accommodated materials in the bottom of the box in which the Writing test books arrived. Envelopes with the used writing test books should go in the box next, with the Transmittal Form on top.

Place an Orchid Carton Return Label on each box of materials. Number the box(es) 1 of x, 2 of x, etc. and return the box(es) to the DTC.

For District Test Coordinators:

qPlace UPS Shipping Labels on each of the boxes and return them to Questar.

For students requiring accommodated materials such as Large Print, Braille, or Paper/Pencil test books, all responses for the Algebra I assessment and the non-writing portion of the English II assessment must be transcribed into the online system. The writing portion of the English II assessment does not have an online option and therefore cannot be transcribed.

After a student completes testing, the transcriber must copy the student responses from the accommodated edition of the test book into Nextera’s student webclient. All responses must be transcribed into the online system. Ensure that all accommodated materials are collected and returned to Questar with the Writing test books (see page 23).
