    Introduction

    Hello, and welcome to this Introduction to Microsoft Visiotraining guide. Thisguide was created for the adult learner who would like to learn the basics of Mi-crosoft Visio, has at least some computer skills, and has previous Microsoft Officeexperience.

    How to Use This Training Guide

    This guide has been created to provide the students with a base of informationwhich will be expanded upon in the training sessions. Along with the informationand steps, graphic are included to maintain a visual connection to the ideas beingcovered, which comes in handy if you do not have a computer running MicrosoftVisio in front of you.

    As you cover the training guide, perform the work AND explain the information.Having the ideas explained, and seeing the instructor perform the tasks providesthe students a better learning process.

    On the bottom of the pages, you will see instructor notes. Please review thesenotes as they will make the training segment easier to perform.

    Throughout the training guide, you will see the Try It graphic (below) appear.Inside of the box are tasks meant to give the students additional hands-on experi-ence about the topic just covered. Follow the instructions given in the notes,which also provides a time limit suggestion which are adaptable to class needs.

    Have the students perform the tasks which appear here.It will help to reinforce their new knowledge and skills!

    Starting MS Visio

    Locate the program Microsoft Visioon the computer. Double-click to open the program

    When the program is open and running, you will see the following screen:

    Recently Used Tem-plates

    Shows which tem-plates were used mostrecently.

    TemplateCategories

    Shows the types oftemplates available to

    Other Ways toGet Started

    Allows user to startwith a blank page,

    open existing dia-grams, or find othertemplates online.

    An Orientation to MS Visio

    The MS Visio Ribbon

    At the top of the screen, you will seethe Ribbon area

    Clicking on each word, or tab, will displaya new menu

    The tab titled File will always be shown in blue

    The Home tab contains the buttons most usedsuch as Cut, Copy, and Paste; you will alsofind Font and Paragraph formatting options

    The Insert tab provides the buttons for addingblank pages, illustrations, diagrams, links,

    and text boxes

    The Design tab contains the options for pagesetup, color themes, backgrounds, and

    page layout

    Instructor Notes: Explain that each tab has related options grouped together Point out the groupings (Clipboard, Font, Illustrations, etc.) Explore the common tools also found in other Microsoft products (Clip Art, Text Box, etc.)

    The MS Visio Ribbon (continued)

    The Data tab provides options for creatingand maintaining links to external data

    (Note: This tab is only available in theMS Visio Professional and Premium editions)

    The Process tab is where the subprocessand diagram validation options are listed,

    (Note: This tab is only available in theMS Visio Professional and Premium editions)

    The Review tab is where the proofing,language, comments, markup and reportsoptions are seated

    The View tab gives the options for how theproject is viewed on the screen, includingzoom, grids, and visual aids

    Click on the different tabs and see what is listedunder each one.

    (Most options will be grayed out until a drawing is in progress)

    The Navigation Bar

    When the File tab is selected, you will seethe navigation bar on the side of the screen

    The options of what can be completed withMS Visio files are listed here

    Save and Save As will save your current file

    Open will open a file you have already saved

    Close closes the current file

    Info provides information on the current project opened

    Recent shows the projects most recently opened

    New helps you to begin a new project

    Print processes the project for printing

    Save & Send will save the project and prepare it for sending

    Help provides a list of help option to assist you

    Options allows you to customize parts of MS Visio

    Exit will close the MS Visio program

    Instructor Notes: Tour the navigation bar by clicking on the options Show similarity of options with other MS programs Review the common MS featuressome students may not know/remember

    Beginning MS Visio

    Basic Shapes

    Open MS Visio or begin a new project

    Below Template Categories, select General

    Below Choose a Template, select Basic Shapes

    Double-click to selectOR

    Click once to select, then click Create

    Below Basic Shapes, select Square

    Click and drag the Square icon from the listto the upper left corner of the drawing page

    Instructor Notes: Give intro/description of the templates available in the General Template Category Show what shapes are available in the left-side navigation bar Give students time to go through navigation bar

    Basic Shapes (continued)

    Repeat the steps to add:

    a Circle to the top right corner a Triangle to the bottom left corner a Rectangle to the bottom right corner

    Click on the Square to select it

    A blue outline with dots appear

    Click and drag the bottom right dotto change the size of the square

    As you drag it, the size will changeas shown by the measurement inbottom left corner of the screen

    Make each of the shapes larger

    Instructor Notes: Point out the Grid, Ruler Guides, and Width and Height Measurements Show how there are red guide lines to line up the shapes on a page when you move them around Talk while performing tasks - INCLUDE THE STUDENTS

    Modifying Basic Shapes

    Click on the Square to select it

    Under the Home tab on the MS Visio ribbon,select the Fill drop-down arrow

    Select Yellow, and the square is now yellow

    Repeat the steps to make:

    the circle Red the Triangle Light Blue the Rectangle Orange

    Click on the Square to select it

    Under the Home tab on the MS Visio ribbon,select the Line drop-down arrow

    Under the Line menu, select Weight Under the Weight menu, select 6 pt Repeat the steps for all four shapes

    (A right-click of the mouse button will alsobring these option up on the screen)

    Instructor Notes: Explore the options for fill color and lines

    Show how the shape/line on the screen previews colors as you scroll over the color options Give students time to see the options

    Connecting Shapes With Lines

    Under the File tab, select Recent

    Click on the recently created diagramsaved as {your name} Basic Shapes

    The diagram will open andappear on the screen

    Select the Connector tool under the Home tab

    Click the center of the Square and dragthe line to the top of the Triangle

    Click the center of the Circle and drag the

    Line to the center of the Triangle

    Instructor Notes: Help students to open saved file through the Recent option

    Before beginning, make sure everyone has their file open If necessary, have student recreate the diagram (shown at the top of this page)

    Modifying the Lines

    Click on the line from the Circle to the Triangle

    Under the Design tab, click on the Connectorsdrop-down menu and select Straight Lines

    Click on the line from the Square to the Triangle

    Under the Design tab, click on the Connectorsdrop-down menu and select Curved Lines

    When you have modified the line to a Curved Line

    you will see to additional points appear on the line

    Click and drag the top point to the left andthe bottom point to the right

    The points will remain active to allow foradjustments when the line is actively selected

    Instructor Notes: Explain/show how the Connector Lines will snap to different areas of the shapes to connect

    Show how to change the location of the Connector Lines Show how to modify a Connector Line with color, width, style

    Creating an Organizational Chart

    Open MS Visioor begin a new project

    Below Template Categories, select Business

    Below Choose a Template, select Organizational Chart

    Double-click to selectOR

    Click once to select, then click Create

    Instructor Notes: Assist students in locating/opening MS Visio, if needed

    Give intro/description of the templates available in the Business Template Category Briefly review shapes in the left-side navigation bar

    Adding Levels of the Organization

    Under Organizational Chart Shapes, choose theIcon that best represents the level of the organization

    Click and drag the Executive iconto the drawing page

    Click and drag the Manager iconover the Executive icon just addedto the drawing page - it creates aConnection automatically

    Repeat the previous step to see howadditional connections are added

    Click and drag the icons on the drawing pageto reposition as needed.

    Instructor Notes: Discuss how a connection is made automatically when dragging a new icon over existing icon

    Show and explain how the icons and lines can be moved/resized Inform the students that this could also be used for creating a Family Tree

    Customizing the Icons, Text, and Lines

    Double-click the icon to edit the fontor the icon

    Additional editing options are availableby right-clicking the icon

    Right-click the Organizational Chart Shapeto modify the fill color

    Select a Connector Line to modify the color,style, or width

    Double-click a Connector Line to add textto the line

    Create an organizational chart to show the following:

    1 Executive (Ms. Jones)3 Managers (Mr. Brown, Mr. Smith, Ms. Green)Each Manager has 1 Assistant and 1 VacancyManagement should be shaded blue

    Assistants should be shaded yellowSave it as Try Organizational

    Instructor Notes: Show how the editing toolbox appears when text is selected and the arrow is moved upwards

    Creating a Calendar

    Open MS Visio or begin a new project

    Below Template Categories, select Schedule

    Below Choose a Template, select Calendar

    Double-click to selectOR

    Click once to select, then click Create

    Below Calendar Shapes, select Month

    Click and drag the Month icon from the listto the drawing page

    Instructor Notes: Assist students in locating/opening MS Visio, if needed

    Give intro/description of the templates available in the Schedule Template Category Briefly review shapes in the left-side navigation bar

    Configuring the Calendar

    In the Configure box, choose the desiredcalendar setup

    Choose month Type in year Choose the day to begin the week Choose the language Select shading for weekends Click OK

    A new calendar has been created

    To change the calendar configuration, right-clickon the calendar and click on Configure in the menu

    Create a calendar (in English), for December, 2011.Begin the week on Sunday, and shade in the weekends.Save it as Try Calendar

    Show the following on the current calendar:

    Friends Birthday on December 10Team Practice on December 19Vacation on December 28Resave as Try Calendar

    Adding Icons and Text

    If not already opened, open the file Try Calendar

    Scroll down the Calendar Shapes list to locateicons such as balloons or a diamond

    Click and drag the Attention icon to the upperleft corner of the December 1 square

    Once the icon is placed on the calendar,double-click the icon to type in text

    Type in Tuition Payment Due

    Instructor Notes: Review Calendar shapes, the ability to format the shapes and the text

    Creating a Flowchart

    Open MS Visio or begin a new project

    Below Template Categories, select Flowchart

    Below Choose a Template, select Basic Flowchart

    Double-click to selectORClick once to select, then click Create

    Click and drag the Start/End icon fromthe Basic Flowchart Shapes list to the

    upper-left corner of the drawing page

    Click and drag the Decision icon to the rightof the Start/End icon, using the red guidelinesto line them up

    Click on Connector under the Home tab and

    draw a connector from the Start/End iconto the Decision icon

    Instructor Notes: Remind students how the red guidelines help to line up the icons on the drawing page

    Explain how using the hover-and-drag method helps by already creating a Connector

    Expanding the Flowchart

    Hover the pointer over the right-hand side ofthe Decision icon and choose the Process icon

    Repeat the action, creating a Processicon from the bottom of the Decision icon

    Double-click the Start/End icon andtype in Wake Up

    Double-click the Decision icon and

    type in Am I Hungry Double-click the Connector Line to the

    right of the Decision icon and type No Double-click the Connector Line to the

    bottom of the Decision icon and type Yes Double-click the Process icon to the right

    of No and type Get Ready for Work Double-click the Process icon below the Yes

    and type Make BreakfastContinue The Flowchart

    Connect 5 or more additional icons to the flowchartAdd text to continue morning routine flowchartSave it as Try Flowchart

    Creating a Network Diagram

    Open MS Visio or begin a new project

    Below Template Categories, select Network

    Below Choose a Template, selectBasic Network Diagram

    Double-click to selectOR

    Click once to select, then click Create

    Click and drag the PC icon from

    the Computers and Monitors list to theupper-left corner of the drawing page

    Click and drag the Laptop icon to the rightof the PC icon, using the red guidelinesto line them up

    Click on Connector under the Home tab anddraw a connector from the PC iconto the Laptop icon

    Instructor Notes: Remind students how the red guidelines help to line up the icons on the drawing page

    Explain how using the hover-and-drag method helps by already creating a Connector

    Expanding the Network Diagram

    Hover the pointer over the bottom side ofthe Laptop icon and choose the Laptop icon

    Repeat the action, creating a PC icon fromthe bottom of the PC icon

    Right-click the top PC icon andfill it in with green

    Repeat with bottom PC icon and

    fill it in with purple

    Repeat with top Laptop icon andfill it in with red

    Repeat with bottom PC icon andfill it in with blue

    Continue working with the Network Diagram

    Add and additional 6 PC/Laptop icons

    Color the iconsDouble-click each icon and label each with a nameResave as Try Network Diagram
