6’ TABLETOP SPACE:Height Restrictions: As indicated on form, prices vary depending on location. Inner Tables located in the center of the ballroom have height restrictions. To keep the view open, from the floor, nothing can be over 72”. No space can disrupt view of neighboring space. (See “Use of Space” below)
REGISTER EARLY! Spaces will be reserved on a first -received, first-assigned basis. A minimum 50% deposit is required with registration. EXHIBIT SPACE - TABLETOP EXPOEach space is carpeted and will include: 1 draped 6’ table only and two chairs. Electrical and Internet access is NOT included but can be ordered from the hotel for an additional charge.
BADGES and CLEAN UPEach company will receive 2 exhibitor badges per booth. Additional badges may be purchased for $350 each. Each badge will permit entrance onto Tradeshow Floor, and Workshops. Any meal function in the exhibit hall is included with the badges. Breakdown can start at 9:30 AM, Tuesday, June 30, 2020.
EXHIBIT SPACE LOCATIONLocation assignments will be based upon first-received and completed registration form and 50% deposit. Full payment must be received by May 1, 2020. CFDA will assign exhibit space to preserve exhibition continuity. Every attempt will be made to assign space in preferred “Section” requested by the Exhibitor, however, in rare occasions, it may be necessary to reassign space location. CFDA retains the exclusive right to reassign space at its discretion. Checks or CC information may be mailed with registration. Faxed and Emailed registration must include CC information.
USE OF SPACETo maintain uniformity and prevent visual obstruction of adjoining space, inner displays must not be higher than 6’ and in all locations nothing may be erected which interferes with the view or visitation of adjoining spaces. Exhibit hall fire exits and safety equipment must be left accessible and in full view at all times. Display materials and equipment of significant size must be submitted in writing and pre-approved by CFDA by May 1, 2020. All exhibit materials and equipment must be contained within the space purchased. CFDA reserves the right to ask that exhibits be redesigned on the spot if necessary. Under no circumstance is booth sharing allowed including display/distribution of another companies material.
NOISESound or amplifying systems that project beyond the exhibit space are prohibited.
LIABILITYThe exhibitor assumes the entire responsibility and liability for losses, damages, and claims arising out of exhibitor’s activities on the Hotel premises and will indemnify, defend, and hold harmless CFDA and the Hotel, its owner, and its management company, as well as their respective agents, servants, and employees from any and all such losses, damages, and claims. Exhibitor will give CFDA and the Hotel prompt notice of any claim made or suit instituted against the Hotel which would result in indemnification by Exhibitor hereunder, CFDA and the Hotel shall have the right to compromise or participate in the defense of same to the extent of its own interest.
CFDA’s Annual Convention Terms & ConditionsSECURITYThe Ballroom will be locked and secured each evening and morning hours, exercising reasonable care for the protection of exhibitor’s materials and equipment. Neither CFDA, the show facility, nor any officers, directors or staff thereof will be responsible for the safety of property or exhibitor personnel.
RESTRICTIONSCFDA reserves the right to prohibit any display or exhibit, or any part of a proposed exhibit, that it deems unsuitable or not in accordance with the accepted professional ethics of its members.
TAX DEDUCTIONContributions or gifts to CFDA are not deductible as charitable contributions for income tax purposes.
EXHIBITOR REPRESENTATIVESCFDA shall have sole control over all admission policies at all times. Up to two (2) exhibitor representative badges per space are available. Exhibitor badges must be worn at all times. Badge swapping is strictly prohibited. Additional badges are available for $350 each.
CANCELLATION POLICYCancellations must be received in writing and will be confirmed by envelope postmark or fax transmittal dates. In the event an exhibitor must cancel, the following refund policy applies: A full refund will be issued if space is cancelled by March 6, 2020; a 50% refund will be issued if space is cancelled by April 3, 2020; no refund will be issued for cancellation received after April 3, 2020 .
RIGHT TO REFUSECFDA reserves the right to review and reject any registration for exhibit space without prejudice.
NO EXHIBIT DECORATOR THIS YEAR - YOU ARE ON YOUR OWN.Easy Move In - Tabletop Ease - Easy Breakdown - No big shipments - Please clean up after yourselves when leaving. No union, no extra costs to you and your company! If you use one of the three corner space you are still responsible for loading / unloading labor. There is no shipping dock, no additional workers and no forklift. It is your sole responsibility.
FOOD AND BEVERAGEAll food, beverage, and miscellaneous concessions prepared, sold or consumed on the tradeshow floor must be supplied by the Convention Hotel. No popcorn, etc.
INSTALLATION AND DISMANTLINGIf the exhibitor fails to set up its display in its assigned space by 4:00 PM, Sunday, June 28th, leaves its space unattended during show hours, or fails to remit payment at times specified, CFDA shall have the right to take possession of the space and utilize such space in any manner. Exhibitor may not breakdown until the Tradeshow closes on Tuesday, June 30th, at 9:30 AM.
AGREEMENT TO TERMS, CONDITIONS AND RULESExhibitor agrees to observe and abide by the foregoing terms and conditions and by such additional terms, conditions, and rules made by CFDA from time to time for the efficient and safe operation of the Exhibition. In addition to CFDA’s right to close a display and withdraw its acceptance of the registration, CFDA in their sole judgment, may refuse to consider for participation in future trade shows any Exhibitor who violates or fails to abide by all such terms, conditions, and rules. This registration represents the entire agreement between the Exhibitor and CFDA concerning the subject matter of this registration.
