1. KYOCERA Net Manager Series General Overview
1.1. What is KYOCERA Net Manager Series?
KYOCERA Net Manager (KNM) is a simple and organized system for the monitoring and accounting of print and copy jobs. Additionally, it allows secure print, delayed print, automatic modification of print jobs, creating and exporting reports, user management of print jobs, print unification of various systems, and more.
Using the Print&Follow feature, the KNM system simplifies and accelerates all printing requirements of users. It is based on a database containing information on users, user groups, and printing devices. Based on this data, KNM allows system administrators to identify individual users on authorized printing devices and to monitor the volume and frequency of printing and copying. User identification is established when the user logs on to the terminal for the printing device through a valid identification method such as an ID card or a chip card.
Each user has access to the system via web browser and can control his or her own printing costs and print jobs. For system administrators and heads of departments, an accurate statistical report containing data on print volume and printing device utilization by individual users and group of users can be generated. This system has many advantages, whether it be for a small business, an enterprise, or an institution with an extensive organizational structure.
In addition to the coverage of all kind of accounting, printing and copying capabilities the Kyocera Net MangerPro includes built in comprehensive scanning and workflow features to increase user efficiency while strengthen customers document workflow processes at the same time.

1.5. Strength
1.5.1. Multi-vendor support
Since KNM supports multivendor environments, customers can use KNM even though the customer is using different printing systems. KNM will support accounting and direct print features to more than 1700 different devices of various manufacturers*. Whether you are looking to migrate to a single manufacturer based service or have the need for multiple copiers and printer systems, KNM will enable the customer printing device management, reporting, and processes to support a variety of configurations. *The External BOX option will be required to connect non Kyocera devices to allow other than accounting and direct printing functionalities.

KNM is integrated with KYOCERA drivers, utilities and technologies. Since Kyocera develops both hardware and software, KNM is integrated with the Kyocera hardware seamlessly. 2. KYOCERA Net Manager 5.1 New Features
2.1. KX Driver Integration
The KX Driver integration plays an important role in three main components of the KNM system as follows.
2.1.1. Print&Follow
Print&Follow function enables users to print from any designated printer on the network regardless of where the job was sent. Users can enter their KNM user name and password in the driver’s Device Properties or allow KX Driver to use the current Windows login as the user name during Print&Follow printing.
This allows the system to recognize the job’s owner more easily and enhances scalability.

2.1.2. User access control
User access control provides automatic configuration of the driver based on printing policies set for the user in KNM. The driver connects to the KNM server and retrieves the applicable policies for the user, and then adjusts the configuration accordingly.

2.1.3. Job Accounting
KX DRIVER can communicate with the job accounting service in KNM to retrieve account information and to control usage for users and groups. After a user logs in to Net Manager through the driver, the driver receives information on the user’s credit and quotas. Credit or quota accounting restrictions are applied and messages are displayed to the user accordingly. If both credit and quota accounting are set in the KNM server, credit accounting restrictions, which are higher priority, will take effect. Information about these limits may be combined with the policy notifications, and depend on the settings established by the administrator.

2.2. Increase supported devices

From KNM version 5.1, users are allowed to do advanced pull print with Embedded Terminal Lite. Although Embedded Terminal (HyPAS application) can also be used, it is no longer necessary.

2.2.2. Send to Me
From KNM ver.5.1, users are allowed to send Scan jobs to email automatically with Embedded Terminal Lite. Although Embedded Terminal (HyPAS application) can also be used, it is no longer necessary.
For devices supporting the HOME menu, it is possible to customize the HOME screen so that Send to Me (email) options appear on the screen. However, Send to Me folder options will not appear on the screen even after adding them to HOME screen.

2.4. Job Archiving
Starting from version 5.1, KNM can capture every job the user processes on an MFP and prepare it for archiving by
a third party tool. A metafile is created along with each job archived. The following are the types of archiving
available.
Behavior
Print Archiving Uses Job preview feature. Copies PDF to archiving Folder and metadata using custom or default generator class
Copy Archiving Terminal sends each page being copied as PDF and metadata. When last page arrives, creates final metadata file.
Scan Archiving After scan profile is processed KNM copies the attachments to the archive folder and creates metadata file.
Fax Archiving Same as copy.
Note: Even so the archieving feature is free of charge the function needs to be enabled by a adding a special KNM Job Archieving license. This license may be not available in all Kyocera sales territories.
2.5. Remote Device Setup
Starting from version 5.1, Remote Setup allows for easy and convenient setup of device settings as well as
installation of HyPAS.

3.1. KYOCERA Net Manager System Overview
3.1.1. Complete solution for printing services
KNM is a universal tool that provides a complete set of services related to print, copy and scan, all in one package. The flexibility of the KNM system allows the customer to use only the features that are currently needed, and to extend them easily any time in the future if required.
3.1.2. Easy installation and management
Integration of all monitoring and printing features into a single unified system results in easy and intuitive operation with minimal requirements for installation and system administration.
3.1.3. Technology compatibility
To fulfill real market requirements, KNM assures the highest possible level of compatibility in the IT environment, device management, and ID technology.

3.2. KYOCERA Net Manager Basic Objectives
3.2.1. Comprehensive monitoring of printing services
Having correct information about the usage of print services in an organization is necessary for monitoring and optimization. KNM employs a unique combination of several methods for communicating with printing devices and for monitoring print spoolers. This combination provides a sophisticated system of acquiring precise counter status and generating transparent reports.
3.2.2. Print environment optimization
Once all the data about the current print environment is known the optimization can begin. KNM can indicate which devices are not being used effectively, which users are printing more than expected, as well as the printing costs of every user or department. KNM can also monitor the service alerts from all the devices and detect devices that are less efficient due to high demand for service and support. Based on this information, a complete restructuring of the printing environment (including replacing old devices with newer, more efficient models), or just a simple rearrangement of existing devices, can follow.
3.2.3. Security issues and user login
Based on the previous optimization results, local personal printers that are found to be less efficient can be replaced with a central device shared by multiple users from different offices. This raises the importance of security: an unauthorized person may be able to get access to documents printed by another user on the shared device. However, you can simply avoid this situation by equipping every shared network device with the KNM hardware Terminal and enabling user login. The print jobs are then stored on the server and printed only if the user is correctly identified by PIN, ID card, or ID tag.
KNM allows connecting almost every type of identification technology available on the market – from simple PIN identification, chip card and magnetic stripe card readers, to a wide range of contactless readers. Select printing devices can be equipped with a special KNM embedded Terminal that provides many advanced functions and an intuitive user interface.
3.2.4. Print, copy and scan accounting
The next step in the optimization process is reducing the number of printed and copied pages. KNM can be used to monitor the number of pages printed and copied by every user, including those using locally-connected personal printers. Further control of printing is possible by setting quotas for each user and department, or by running project accounting for monitoring the print costs of particular projects.
Institutions that provide commercial print services to the public can appreciate the features for credit accounting when print functions are only available to users with prepaid credit. This method is often used at schools and libraries.
3.2.5. Job management / Print&Follow printing (Follow me Printing) / Scan management
Although user identification on the printing devices creates restrictions for users, it also allows them to manage their print and scan jobs. After a user has logged on the device, print jobs stored on the server can be searched and then printed, deleted, reprinted, or marked as favorites for easy access.
The print jobs are not fixed to one device, but are accessible from all connected devices depending on user privileges. This means that any job sent to print can be released on any device in the network that the user logs on (also known as Print&Follow printing). The result is time saved and increased efficiency in the workplace.
User identification on the printers and MFPs can also simplify the network scan process. By just pressing one button the scanned document is sent to the email address or shared folder of the logged on user.
4. KYOCERA Net Manager Features
4.1. Main features
4.1.1. Secure copying
Device panels are locked by default. After logging in through a valid identification method, the panel is unlocked and the copy function is enabled. When a user completes a copy job, he or she is logged off the device. The number of copied pages is then logged. If the user forgets to log out, the system logs him or her out automatically after a period of inactivity.
4.1.2. Direct printing
After a user sends a job to print, the job is processed by the system and is immediately sent to the appropriate printing device. After the print job is finished, the number of printed pages is added to the user’s account. Direct printing can control print volume, but does not have any advanced functions such as secure printing and Print&Follow printing. With direct printing, no Terminal for user identification is needed.
4.1.3. Print&Follow
After a user sends a job to print, the job is processed by the system and stored on the server. After the user logs on a printing device, the job is sent to this printer device. Secure printing enables users to print from any designated printer on the network regardless of where the job was sent (also known as Print&Follow printing).
4.1.4. Scan management
Scan management simplifies network scanning on multifunctional printers. After logging in at the device with either a PIN or an ID card or other available authentication, all scanned jobs are automatically sent to a shared folder or to the email address of the user currently logged on. The user does not need to set a destination folder or select an email address. If you own any OCR software (Optical Character Recognition) or have purchased the Kyocera Print&Follow Advanced OCR and Workflow License, KNM integrates this software into the scan management process. Once communication between KNM and the OCR software has been set up, users can receive their scanned documents in editable format or design enhanced scanning workfows.
4.1.5. Driverless and Email printing
KNM allows printing PDF, Word, Excel, and PowerPoint documents directly via email to the KNM server and also from the user’s KNM web interface without the need to install any print driver or other application. It gives KNM users great flexibility for printing documents from any PC on the network while still retaining a high level of security and all the advantages of Print&Follow printing.
4.2. User administration
4.2.1. User import
KNM supports automatic import of users from Microsoft Active Directory, Novell eDirectory, Open LDAP, Lotus Domino, CSV files, and other KNM Master servers. A comprehensive selection of user import settings ensures correct loading of all necessary data as well as combined imports from Active Directory and CSV files when, for example, data such as card numbers are not stored in the Active Directory and it is necessary to load them from a different database.
When importing users, random PIN numbers can be automatically generated for every user and sent to them by email. Users can change their PIN numbers at any time from the KNM web interface.
4.2.2. User registration
Users can register a new account from the KNM web interface. Once a user is registered, the system will generate a PIN number for them.
4.3. Printer device administration
4.3.1. Printer device searching and automatic driver installation
Printing devices can be easily searched and automatically activated in the KNM system. You can search devices in different subnets based on how the network is set up. KNM also supports fully automatic Windows driver installations by IP range, model, type of device, etc.
4.3.2. Printer device status monitoring
KNM monitors the current status of all printing devices, including error and warning messages and actual toner levels. Furthermore, it regularly updates all function counters. A special report containing the history of all error and warning messages can be generated to give accurate information about the devices.

For certain print jobs it can be useful to modify their data. KNM offers options for forcing stapling, duplex printing, and number of copies by using PJL commands. Administrators can also specify custom PJL commands.
4.4.2. Job Preview
A preview of every sent job can be displayed from the KNM web interface of the user or administrator. The preview is stored in PDF format.
4.4.3. Print job rules
Jobs can be automatically deleted, paused, or forwarded to more efficient or more economic devices based on the size of the job, number of pages, source application, or job name.
4.4.4. Private queue support
For users who need to print sensitive documents, there is a setting for automatic deletion from the server that occurs immediately after printing. Private queue is often used when printing financial data and other confidential information.
4.5. User access
4.5.1. Web interface
User access to the KNM system is available through a web browser. After logging in, the user’s profile and print jobs are displayed. The print jobs are separated into folders according to their status (printed, queued, etc.). Users can sort the jobs, pause them, delete them, or return them to the job list. Users can also access their own statistics such as print quota and credit balance information.
There are settings available for reloading account credit, displaying and managing devices, viewing and scheduling reports, and more. Privileges to access these settings can be assigned to specific users.
4.5.2. Devices
Users can manage their print jobs stored on the KNM server directly from the KNM Terminal after logging on any of connected devices. Simple ID card registration is also possible through the KNM Terminal.
4.5.3. Mobile Terminal
Users can manage print jobs stored on the KNM server from a mobile terminal without installing any software. User can access KNM Server through the Web Browser. Other user functions such as checking quota status, recharging credit, and unlocking the printer are also available in the mobile terminal. The mobile terminal runs on any mobile device that supports HTML5, which includes iOS, Android, and Windows mobile devices.
4.6. Accounting and reports
4.6.1. Detailed monitoring
KNM system provides features for detailed monitoring of an entire print network and helps organizations optimize workflow and employee time. It provides data on private prints and can reveal any inefficiency in printing company emails and other documents. It provides departments with exact numbers for print cost distribution across individual cost centers. It can also reveal any dead load or overload of printing devices so that you can begin to optimize how and where the devices are placed.
4.6.2. Automatic reporting
KNM includes an automatic report sending feature. The report includes actual data of all printing processes in a specific period of time. Report settings can be customized so that only certain information is sent to individual users. Reports can be displayed online on the KNM web interface. They can also be sent periodically to specific email addresses, or stored in predefined folders. Many kinds of reports are available and are based on printers, departments, users, jobs, and projects. (See Appendix information in more details) You can change the order of the columns by paper format (A4, A5, etc.). Customized reports can be quickly generated at any time. The reports are available in PDF, HTML, TXT, XML, and CSV formats.
4.6.3. Credit accounting
Credit accounting is necessary for running printing devices in public places such as schools, libraries, and government offices. Users can buy identification cards charged with credit that can be used for printing, copying, and network scanning, until they run out of credit. After that, the KNM Terminal prohibits the user from logging on the printing device and the user has to recharge their identification card. The KNM credit system can be combined with job accounting. The cards of every user or group can be preset for either credit accounting or job accounting. For example, a public library can have a multifunctional printer set up so that their library members use credit accounting (and therefore have to recharge their cards when their balances are low), while employees of the library would use a regular accounting system without the credit subtraction.
Credit recharging is possible directly through the KNM web interface by authorized users, or by purchasing recharge vouchers with a preset amount on them. After the users purchase the voucher, they can register to activate it and apply it to their account credit through the KNM web interface, embedded Terminal, or mobile Terminal.
Other possibilities include using external payment providers. Currently, Mokipay System and VIS are supported. More payment providers can be added in a future custom version depending on customer request.
4.6.4. Setting quotas for printing and copying
Quotas for printing and copying can be set up to limit the number of pages available to a user. For each user, a quota limit can be set to a specific time period or repeating period. If the limit is exceeded, the system disables printer operations according to available options. Limits can be set for total number of pages, color pages, scanned pages, or total price for a specified period of time. There is also a feature for automatic email notifications when the warning level or quota has been reached.
4.6.5. Project accounting
Project accounting is a powerful solution for companies working on multiple projects for different customers. Employees can assign print, copy, and scan jobs to particular projects, and then distribute the print cost among them and charge it to the appropriate customer. Project accounting can be also used as another independent level of internal accounting in conjunction with devices, users, and departments For example, it can be useful for keeping count of private print jobs sent by users. The project accounting feature on embedded Terminals lets you assign print jobs to projects without the need of any additional applications.
4.6.6. Coverage accounting
There are new settings for color coverage accounting available for select device models. You can define the price of each of the three coverage levels for printed and copied pages: low (Level 1), medium (Level 2), and high (Level 3). If the device does not support this feature, the Full-color price is used. You can also set the price for each paper format: A4, A3, A5, B4, B5, Folio, Leger, Legal, Letter, Statement, and Other.

Cloud support is useful for companies with multiple branch locations; one license code can be used across all KNM servers in the cloud (the volume can be split and shared between branches). KNM can be set up as a master server that manages licenses for printing devices and Terminals on the site servers (and fulfills other cloud functions); however, it cannot be used as a print server. The site server downloads the required amount of printing devices and Terminals from the master server.
With KNM 5.1 or later a maximum of 40 Kyocera Net Manager or Kyocera Net ManagerPro licenses will be required to connect unlimited devices to the customers KNM Cloud environment. New is that this now also will include all connected side servers within the KNM cloud.
Note: There will be no unlimited licensing for Embedded Terminal or Embedded Terminal Lite!
4.7.3. Software maintenance licenses (software insurance) for Kyocera Net Manager
All software licenses include the first year of a software maintenance (software insurance).
The software maintenance starts from the date of its first activation.
It is not possible to combine Kyocera Net Manager Basic and/or Kyocera Net Manager Pro licenses within one Kyocera Net Manager cloud environment.
Additional licenses of a software maintenance can be added only to the same type of software
license with the same number of devices. In case there are more software licenses within the customers cloud all of them have to be covered by an adequate number of software maintenance licenses. In case not all licenses covered with equal duration of software maintenance the software maintenance will become invalid at the time the first license will run out of maintenance.
If the software maintenance expires Kyocera Net Manager system will continue to work but it cannot be updated or upgraded anymore. In case of reinstalling Kyocera Net Manager system it is possible to install any Kyocera Net Manager version launched in the period that was covered by a valid software maintenance.
The valid Kyocera Net Manager software maintenance (software insurance) covers following:
o Hot fixes o Bug fixes o Updates (e.g. version 5.0 to 5.1.x etc.) o Upgrades (version 5.x to 6.x etc.) o Support to migrate KNM/P to a new HW Server within non VMHA environments o Standard SLA conditions: Response time of NBD (Next Business Day)

4.7.4. Master server for reporting
If KNM is installed in multiple branch locations, collecting data from the branch with the KNM servers and displaying it on the master server is possible. This functionality is useful especially for users who run several branch offices and want to have overall statistical information accessible from one place.
4.7.5. Job roaming
Users travelling between multiple branch offices can also transfer their print jobs from one location to another. After logging on an embedded Terminal or the KNM web interface, users can check their print jobs that are available on other branches, select the ones they want to print, and move them to the branch in which they are currently located.

4.8. KYOCERA Net Manager Easy Cluster
Easy Cluster allows you to switch between the active KNM server and the backup server in case of any unexpected downtime. To use the Easy Cluster application, you must install the KNM active server and backup server on two different physical servers with the correct parameters.
In the case of server downtime (if the downtime period is longer than interval setup), the KNM backup server initiates the following actions:
The backup server automatically turns the active server off, retrieves its IP address or host name, recovers its database from the active server backup, and activates KNM.
The backup server automatically sends a notification to the system administrator and waits for approval. Once the approval has been made, the backup server starts the same actions mentioned above.
The system administrator is notified about all these actions. The system administrator may repair the active server and confirm if it’s functioning. With this confirmation, the backup server automatically restarts all the functions of the main KNM server.
The server on which the backup KNM server is installed should not be assigned to any application other than KNM.
4.9. Secure run of KYOCERA Net Manager system
Secure communication can be configured in KNM. KNM applications and functions such as Embedded Terminal, Easy Job Manager, Mobile Terminal, printing jobs, and cloud licensing now fully support secure communication. You can easily upload your security certificate through KNM Easy Config for HTTPS communication. This secures communication protocol uses Port 8090 instead of the standard Port 8080 for web access. With this simple switch, all the unsecured ports are automatically closed.
4.10. Terminal modification
The latest version of the embedded application in the new KNM lets you define not only the complete look of the embedded application, but also the behavior of all the buttons. Thanks to the user friendly environment, you can customize the look and features for each department or for each user. Everyone can use a different Terminal, defined exactly according to their needs to further simplify their work that involves the use of an MFP. Buttons can be sorted into folders so you can organize a large number of buttons according to their different functions, how frequently they are used, etc.

5.2.2. KYOCERA Net Manager Software specifications
The installation file contains the KNM system as well as the Firebird database server, Apache web server, and PHP application. With Scan Management activated, the KNM system uses the proper SMTP server. To avoid any conflicts, the SMTP server cannot be used by any other database, web interface, and PHP or email server. We recommend installing KNM on a server with a newly installed operating system. KNM supports installation on a virtual server environment.
Note: A KNM VMHA license will be required in case Virtual Server environments are automatically changed to new host hardware or running in a cluster environment.

7.2.1. What is maintenance license?
Maintenance license supports any latest updates and upgrades, bug fix and trouble shooting.
7.2.2. What happen when maintenance license is expired?
The customer cannot receive any latest updates and upgrades, bug fixs for trouble shooting.
7.2.3. How can the customer receive any latest updates and upgrades?
The customer should purchase maintenance license including the blank period in case of bug fixes and troubleshooting are required when maintenance has already expired.
7.2.4. Should we purchase the maintenance license from 1st year?
KYOCERA Net Manager/KYOCERA Net Manager Pro license and Embedded Terminal Lite/Embedded Terminal license include 1st year software maintenance. Maintenance lisence will be needed from second year and further.
7.2.5. Can we purchase only maintenance license for embedded terminal?
No, you can’t. You have to purchase both maintenance license for KYOCERA Net Manager Device license and embedded terminal license when you purchase maintenance license.
7.2.6. What is unlimited feature about KNM/P device license?
Since Kyocera KNM version 5.1 the KNM Cloud licensing will accept unlimited number of connected devices and servers as soon the central license server has activated 40 Business or BusinessPro licenses. All connected site servers will be allowed to use unlimited number of printers/MFPs.
7.2.7. Would unlimited feature be available when customer purchases the license step by step?
Yes. If customer purchase less than 40 devices license (1/4/10 device(s) license) separately, unlimited feature is available as soon the amount of license reaches 40.
