1DETERMINE YOUR EVENT GOALS (WHY)
Identify the strategy behind the
event. Do you want to acquire
new clients, increase customer
engagement, secure new leads,
schedule meetings? Having a clear
objective from the get-go will help
you develop strong key messages
and delivery mechanisms.
4CHOOSE A CONCEPT OR THEME (WHAT)
Planning your event around a
concept or visual theme will
generate interest, tie it together
and make it memorable. For some
fantastic ideas, read up on the three
reasons an event theme is more
important than you think (page 60).
6BOOK A DATE THAT IS CLEAR OF KEY DATES (WHEN)
To maximise attendance, ensure there
are no major events due to appear on
your chosen date. Do your research
on public holidays, school holidays,
cultural and religious dates, sporting
events, community festivals and large
business events.
5CHOOSE A VENUE TO SUIT YOUR NEEDS (WHERE)
Once you have decided on a concept
for your event this will become much
more straightforward. Our venues

2DEFINE YOUR TARGET AUDIENCE (WHO)
Having a good understanding of the
interests and requirements of your
attendees will guide you in planning an
enjoyable event schedule. A good way
to do this is to search your database of
clients and examine their information
patterns and behaviours (business size,
industry, contact position, purchase
history). Then segment them into
different groups and select your most
represented cluster to target.
3ESTABLISH A BUDGET (HOW MUCH)
This step is no brainer. To avoid nasty
surprises, make sure you account for
everything! Even the small things like
paper for marketing materials or run
sheets should be included from the
start. We suggest planners put aside
a contingency budget of 10 to 15% to
account for any unforeseeable costs.

Follow these first steps to planning a successful corporate event
and you will be on the right track. We’ve organised them into the
most useful order for event planners.

to what they are eating these days.
No matter the setting, more and more
clients are opting for nutritious and
healthy options, designed to energise
and recharge. Our event experts predict
an increased demand for fresh, meat-
free and low carb options in 2017.
With cocktail events and stand-up
conference catering becoming increasingly
popular, so too has the demand for food that
is served up small. More than ever, food items
need to be comfortable to hold in one hand,
providing the opportunity for guests to eat
while mingling. Self-serve stations also make
it easier for guests to serve themselves as
little or as much as they like.
Not too heavy and not too light, our team
predicts mezze and antipasto stations
will continue to be popular choices for
event organisers. Ideal for larger functions
and pre event mingling, the variety of
vegetarian and meat options ensures there
is something to suit every guest’s tastes.
The world has gone global and so have our
catering requests. Many customers are
looking to serve up unique and interesting
menus, looking for inspiration from around
the world. Popular cuisine predictions
for 2017 are Vietnamese, Spanish and
Mediterranean.
They’ve been a popular choice for a while
now and it looks as if food stations are here
to stay. Perfect for large groups and social
functions, food stations offer an exciting
way to present food and drinks to guests.
International cuisines, dessert and health
food stations will be popular catering choices
for cocktail parties in the coming year.
Doughnut walls burst into popularity back
in 2015 and the requests just keep on
coming. Thanks to social media and the
Internet, clients love the idea of doughnut
walls because they double as dessert and
decor. These walls are fun, interactive and
in all cases ‘instagram-worthy’.
Riding on the back of the delicious doughnut
trend, old-school carnival foods are also on
the rise. Think popcorn, fairy floss, hot dogs
and taco stations. Our event experts predict
