Space Classification System The University Space Classification System (SCS) is an organizational reference structure that describes space attributes. The University of Lethbridge SCS has evolved and been patterned after established systems in use over previous decades at post secondary institutions in the United States as well as other institutions in Alberta prior to the Government of Alberta providing direction on a preferred classification format or system. The SCS is currently organized across 10 space use categories (for classroom, laboratory, office, study, special use, etc.) which describe the measure of our facilities. Other institutions utilize a broader 16 category classification because of the broader space typologies that exist in their institutions. Our space classification system also relates to the organizational structure created by the Council of Ontario Universities (COU) generally accepted by institutions across Canada. Other space related information and processes are provided under subsequent headings below. Campus Space Standards Campus Space Standards describe the quantities of space required for various functions or room uses and staff positions across the institution. They are informed by widely accepted space planning guidelines and metrics provided by the Alberta Government, the Council of Ontario Universities (COU) and good design practices. In partnership with the Learning Environment Evaluation Working Group (LEEWG), a subset of our Teaching Centre and partnership with Campus Planning & Architecture, faculty and other representatives, the institution is performing research based investigation toward establishing instructional space standards for a variety of learning and teaching space typologies. No University sanctioned space standard for teaching spaces exists at this time. The table below identifies the current Campus Space Standard in force for office spaces: University of Lethbridge Office Entitlements Office Type Position Name NASM Office Description
Type A President 32.0 Private Office Type B Vice President 25.0 Private Office Type C Associate VP, Deans 20.5 Private Office Type D Associate Dean, Executive Director 18.0 Private Office Type D University Librarian, Registrar 18.0 Private Office Type H Faculty Office (Typical) 12.5 Private Office Type I Faculty Studio/Office 25.0 Private Office Type H APO (Typical) 12.5 Private Office Type I Support Staff/Supervisor 12.0 Private Office Type J Support Staff/Exempt 10.0 Workstation Type K Support Staff/Specialist 8.0 Workstation Type L Support Staff/Administrative 6.0 Workstation Type M Graduate Student (Dry Lab/Office) 4.0 Workstation Space Resources The cost of space is far to great to not utilize to an accepted level. Campus Planning works with faculty representatives, departments and the Registrar to improve utilization of instructional spaces and to enhance the quality of a range of teaching environments while attempting to meet utilization requirements through scheduling. Campus Planning also defines the occupant load of rooms and the instructional capacity of teaching spaces. For example, an ideal instructional capacity for an average 95 square meter (1,022sf) flat and flexibly furnished
classroom is 30 students or ~3.15nsm/seat. Occupant capacity for teaching environments vary between 2.6sm (fixed lecture) and 3.5sm (active learning) depending on pedagogical requirements. The total costs associated with an average 95 square meter (1,022sf) classroom accommodating 30 students will be a significant capital and operating expenses as part of a larger building. As such, it behooves the institution to utilize its space resources effectively. Space Utilization Campus Planning & Architecture facilitates regular utilization reporting for classroom and class laboratory facilities, often with the assistance of external consultants and the Registrar. Although CP+A strives to emphasize the best‐use of all campus space resources in partnership with departments and administrative units, Campus Planning produces utilization data on our instructional spaces at regular intervals to support this process, as follows: Classroom Utilization The Government of Alberta target for classroom utilization is set at 80% and 80% for seat/station utilization. It is not reasonable to expect room use higher than 80%, nor is it advisable (so that there can be some flexibility in scheduling realities and time available to maintain and care for the space at regular intervals). Instructional spaces in our inventory broadly include lecture theatres, various seminar rooms and new active learning spaces. Class Laboratory Utilization Similar to instructional spaces, our class laboratories are also intended to be utilized effectively, however their target use is affected differently due to their extended 'take‐down' and 'set‐up' times preceding and concluding each lab. The Government of Alberta target room utilization for labs is 60% and 80% for each available lab station. Instructional Laboratory spaces include the following 2 categories:
Teaching Wet Labs (Biology, Chemistry, etc.)
Teaching Dry Labs (Computer Labs, etc.)
Wet laboratories are research spaces where chemicals, drugs, or other materials or biological matter are tested and analyzed requiring water, direct ventilation, and specialized piped utilities. The wet laboratory space types are typically located within a building specifically designed to house them. In biology, genetics or biochemistry, the terms Wet Lab (or Wet Laboratory) distinguish classical experiments handling biological material from Dry Labs mainly for computer analysis research. Space Entitlement Space Entitlement is a comparative analysis of the existing allocated space inventory versus a unit's entitlement as mandated by the university's Campus Space Guidelines. It also makes inter department/unit comparisons for all campus areas. The analysis produces an understanding of where space resource pressure points exist across the institution and where to prioritize efforts to address levels of diminished space capacity to perform a units' operations and responsibilities effectively. Entitlement Studies are performed every 2‐4 years, depending on need and often examine specific space typologies. For example, during 2013 Campus Planning & Architecture is engaged in an Entitlement Study for 'office' and 'office service' related space across the institution.

Facilities Management System (FMS) The Facilities Management System (FMS) is a database maintained by Campus Planning & Architecture that organizes all of our campus building and space inventory assets using the Space Classification System as the basis of its organization for post‐secondary institutions. FMS operates through the Banner environment and integrates with other campus databases in Financial Services and the Registrar’s Office. Campus Planning & Architecture maintains computer generated CAD drawing information for all existing buildings and exterior campus spaces. Actual space metric data is linked from the digital CAD drawings to the FMS database. When renovations occur this archive is updated and the FMS database is updated in sync. These drawings are created from drawings received from the Architect or Contractor responsible for the design project and accurately represent as‐built conditions of all spaces on campus. The FMS interface and Data Sheet for a typical office space is shown below:
Pre‐formatted reports are also available via a web interface for repeat queries, or typical information required by stakeholders external to Facilities. Microsoft Access is also regularly used to access the space database and perform queries and perform manual analysis.
