The theme for ESBB's 2015 Annual Conference will be "Biobanking for the environment, nature and clinical medi-

cine". It will take place at the Olympia Conference Centre in London from Tuesday 29th September to Friday 2nd October.

This unique conference will contain a very strong combination of contributions from both clinical and enviro-bio domains of bioban-king. Supporting this theme, the conference has two prestigious local hosts : (1) Imperial College represented by Professor of Mole-cular Pathology, Gerry Thomas, and (2) the Natural History Museum represented by Molecular Collections Manager, Jackie Mackenzie Dodds.

A pre-conference event on Tuesday will be a meeting on "The Role of the UKCRC Tissue Directory and Coordination Centre". This UK-focussed event, organised by Anne Carter is expected to attract large numbers of UK participants.

"Networking the Networks" is the title of the main plenary ses-sion of the conference-proper with speakers including Hans-Peter Deigner, Erik Steinfelder, Jan-Eric Litton, David Smith and Eileen Graham. Additional sessions will include : Nature & Society ; Bio-banking Education ; Ethical, legal and social issues in Biobanking; Interdisciplinary Cryobiology for Culture Collections, Biobanks and Genebanks; Archival DNA : Bringing Dead Collections to Life ; Big Data ; Pathology & Biospecimen Science. The 40 invited speakers include Rob Etches, Barry Fuller, Thomas Leya, Gregor Larson, Uwe Oelmueller, Christina Schroeder, Chris Lyal, Giorgio Stanta, Gunnel Tybring, and many more.

Satellite meetings include : (1) The Chernobyl Tumour Bank and use of its materials organised by Angela Galpine and Gerry Thomas, and (2) Data Enrichment in Biobanking organised by Chris Tomlinson and Gerry Thomas. There will also be contributed paper sessions where talks are selected from submitted abstracts as well as poster viewing and discussion sessions, with prizes for the best posters. In addition, interactive discussion sessions using audience response

technology and numerous working group discussions will be held. Exciting Public Lectures sessions on Friday afternoon include : (1) "Ownership of personal genetic information" with speakers

including Alastair Kent will take place at the Olympia Conference Centre. This is particularly relevant following the launch of 23 andme's full service in the UK last December.

(2) "Use of stem cells to conserve species" with speakers inclu-ding Rob Etches will take place at the Royal Geographic Society (close to the Natural History Museum). These Public Lectures will be supported by the public relations departments of Imperial College and the Natural History Museum and will attract mem-bers of the general public as well as conference participants who will have first priority for admission.

The sessions represent an important opportunity for public engage-ment in the biobanking field.

Purpose-built conference facilities at Olympia Conference Centre include an auditorium, reception, exhibition area, break-out rooms, all on one level. At the conference exhibition, vendors from around the world will demonstrate the latest products in the 1,768 m2 of exhibition space. The programme allows time for attendees to visit the exhibits: each day from Wednesday to Friday there will be a 1.5 hour lunch break and two 30 minute refreshment breaks, and on Wednesday there will be an evening welcome reception in the exhibition area.

As usual for ESBB conferences there will be a Gala Dinner on Thur-sday evening for attendees to unwind and enjoy themselves. It goes without saying that London is an exciting destination. To quote the famous English writer, Samuel Johnson (1709-1784), "When a man is tired of London, he is tired of life". So Friday evening has been left free for delegates to plan as they choose.

Exhibitor Rules and RegulationsMEMBER DISCOUNTOnly «Members in Good Standing» are eligible for the member discount. For ESBB members, this means that the subscription for the period period 1st January to 31st December 2015 must have been paid first, before applying for a member discount on the exhibitor booth. For more information about ESBB membership, please see www.esbb.org

EXHIBITOR BADGESExhibitor Badges must be worn at all times. ESBB provides each exhibitor with a booth space, with two paid registrations that will provide booth staff full access to all scientific sessions and breaks/meals. Exhibitor badges can be assigned at the time the application is submitted. Please contact Etienne Jarry ([email protected]) to update the Exhibit Staff information. Requests received by 29 September 2015 will be included in the meeting program and badges will be prepared prior to the meeting. All other requests will have to be made onsite and in writing. Exhibitors will receive more information about how to purchase badges for additional booth staff prior to the meeting. Badges for additional Booth Staff may also be purchased at the full attendee registration rate onsite at the meeting.

PLENARY SESSIONSponsorship of a plenary session will be recognised by acknowledgement in the meeting pro-gramme book and on relevant pages of the website. The sponsoring company name and logo will also be included in a short sequence of projectedx slides that will be displayed in the auditorium, immediately before and after the session.

SATELLITE EVENTSESBB encourages satellite events during the annual meeting provided that they are not scheduled while any official ESBB scientific sessions or sponsored social events are scheduled.Individuals who wish to schedule a satellite event (non-ESBB event held during the ESBB Annual Meeting dates) should contact Robert Hewitt in the ESBB Executive office ([email protected]) by 30 May 2015.Rules which apply to Satellite events:1. All satellite events must be cleared through the ESBB Executive Office. Should the purpose for any function be misrepresented to the ESBB administrative office, the group sponsoring such func-tion will be penalized by ESBB, including being suspended from participation in future ESBB events.2. Ancillary events must not overlap with ESBB scientific sessions as outlined in the preliminary meeting schedule. (ESBB is not responsible for subsequent schedule changes made by the Program Committee and will inform organizers if their requested time must be changed).3. ESBB does not assist with the planning, promotion, funding, or management of ancillary or satellite events. Organizers will be responsible for all arrangements and costs associated with their events which may include: - room rental, audio-visual equipment, food and beverages.4. Satellite organizers are not permitted to display signs or brochures in any of the public areas of the Convention Center/Hotel. Signs can be displayed outside the meeting room on the day of the event.

OPENING RECEPTIONThe opening Reception will gather all the delegates and vendors on the first evening. Sponsorship of the Opening Reception will be recognised acknowledgement during the reception. The sponsoring company name and logo will also be mentioned in signage around the tables at the time of the reception.

GALA DINNERThe Gala Dinner will take place on the second evening. Sponsorship of the Gala Dinner will be recognised acknowledgement during the dinner. The sponsoring company name and logo will also be included in signage around the tables at the time of the reception.

AFTERNOON COFFEE HOURThe sponsoring company name and logo will also be included in signage around the tables at the time of the coffee break.

PROMOTIONAL ITEMS AND ACTIVITIESCompanies wishing to conduct contests or drawings should contact the ESBB administrative office at [email protected] for guidelines and permission.Exhibiting companies are permitted to distribute promotional materials and other items at their Exhibit Booth location only. All items distributed must be useful to the professional activities of the meeting attendees, and be made available to all meeting attendees as long as supplies last.No solicitation of registrants is permitted in the aisles, in other exhibitor’s booths, or in any other area of the congress venue. The distribution of literature or other promotional items is only allowed at your designated booth during exhibit hours.

SUBLETTING EXHIBIT SPACESubletting any part of the exhibit space by an exhibitor is prohibited.

Exhibitor Benefits & Promotion Included with your ContractEXHIBIT SPACE RENTALThe exhibition will be held in a single exhibition hall. Standard booths are 2x3 meters (depth x width). The maximum height in the exhibit area is 4 meters. Please contact the ESBB administrative office if your space will include customized construction. Furniture and additional services have to ordered separately on the Exhibition Center Order Form provided with the technical booklet.

MEETING PROGRAMA floor plan of the Exhibit Hall and a list of exhibiting companies will be included in the final Meeting Program and will be posted on the ESBB website at www.esbb.org.

REGISTRATION LISTExhibitors will receive the meeting attendee list (after the meeting) free of charge. These lists include mailing addresses only.

CLIENT MEETINGSESBB has contracted for meeting space for Exhibitors to arrange informal client meetings during non-exhibit times (not during scheduled breaks or meals). There will be a limited number of times-lots available. Please contact the ESBB Office to arrange these meetings prior to the show.

BIOPARTNERINGThe ESBB Office will give contact details of interested attendees willing to meet vendors during the event. These meetings will take place at the vendors’ booths.

SHIPPINGShipping arrangements are the responsibility of the exhibitor. Shipping instructions will be sent to you by Com&Co in August 2015.

Sponsorship General Conditions1. COMPANIES’ OBLIGATIONS

1.1 The total amount summed up on the present Booking Form is due and shall be paid by the

Company 60 days before the event in Euro, by Bank Check to Com&Co Events or by BankTransfer.

1.2 Any local taxes or fiscal obligations referred to the present Booking Form shall be covered entirely

by the Company.

1.3 Should full payment not be made within the period established in clause 1.1 or on page 4 by

mutual agreement, the Company shall pay Com&Co Events interest on the amount outstanding at

a rate of 2,10 % per month from the payment due date and until full payment is actually received

by Com&Co Events.

1.4 As the exhibition will take place in United Kingdom (European Union), the vendors are not submit-

ted to pay the VAT charges, therefore, a VAT identification number is required for invoicing.

1.5 50 Euros insurance and fee files are compulsory and will be complimentary charged through

the invoice.

2. ORGANIZER’S OBLIGATIONS

2.1 Com&Co Events will do its best to allocate the booth spaces to the Companies according to their

expectations. However Com&Co Events reserves the right to modify or cancel any arrangements

should it be judged necessary for the process of the congress, without any compensation for the

Companies. Any decoration or special fitting out must be previously agreed by Com&Co Events.

3. CANCELLATION

3.1 The cancellation of the Partnership will not be accepted unless received within seven working

days from the date of the present document, accordingly written and signed by the same individual

who, in the name of the Company, signed the present contract. The cancellation document should

be sent by registered or certified mail to Com&Co Events. Companies wishing to cancel within this

period will compensate Com&Co Events for the amount of 50% of the value agreed in the present

document in terms of administrative, printing, and general expenses in which Com&Co Events may

have incurred.

3.2 Com&Co Events will refuse any demand for cancellation beyond this time limit.

4. THE SIGNING PARTIES AGREE ALL DISPUTES ARISING FROM THE PRESENT CONTRACT CAN BE

SETTLED FINALLY BEFORE THE COURT OF COMMERCE OF LEIPZIG.

5. FINAL PROVISION

5.1 This contract can only be modified in writing by both parties. Therefore any notification submitted

by each party and / or any modification introduced in the present contract must be established in

writing, signed by the same individual who signed the contract on behalf of the Company and accor-

dingly accepted in any case by both parties.

5.2 Partial modifications shall not have the effect of rendering the contract invalid.

5.3 This contract will take effect from the date the Company signed on page 4.

5.4 The signing up of the present contract implies the commitment to neither organize nor encourage

meetings, venues or events held during the schedule of the official program without the agreement

of Com&Co Events.
