•We heard from the 3 PPD Climate Survey action teams Nov.12
•We formed a small response team to discuss priorities and executability, and recommend implementation plan/steps: - Josh Frieman, Ilene Winston, Kevin Burkett, Saskia Charity, Luke
Martin, Giuseppe Gallo, Gaston Gutierrez, Vivian O’Dell, Frank Cheblana, Vadim Rusu, Luz Jaquez, Bogdan Dobrescu
• This group has met twice (3rd mtg next week) and is working through the recommendations from all the subgroups, to develop a plan for implementation

•Promotions- Initial division allocation for FY20 promotions has been received- We have a list of proposed promotions from your input- If there is anyone you would like to propose for promotion, but have

Hiring
• Following the retirements at the end of 2019, we are low on staff in some areas
•Rather than trying to immediately replace everyone, we have to focus on hiring in critical areas
• Justify replacements based on critical skills and expected work
• Let us know what openings are most important for you to fill and work with division management to develop the hiring strategy and push the req through

Workforce Planning Exercise•A lab-wide workforce planning exercise has been started to analyze our needs through the next decade, based on the known set of lab activities• This was requested by DOE•Coordinated by Erik Gottschalk through IPPM•Based on IPPM database of lab activities and goals•Estimates collected from all divisions, combined, and presented at a 2-day workshop earlier this month
• This was not the end of the exercise. After seeing the results, we need to revisit and refine some of our estimates
•Many thanks to all of you who provided input for this exercise

Workforce Planning — Basis of Estimates
•PPD has approximately 50 activities•Relevant experts, department heads, facility managers, etc. were asked to complete the estimates for their activities
• Project needs were taken from P6 where possible• Future project needs represent the roles we expect to play• Where more detailed profiles are available (e.g., Mu2e
operations), the estimates are consistent with those profiles

EXAMPLE: PPD Activities by Strategic Theme: Precision Science
• g-2 operations expected to finish in FY22, with analysis continuing for a few years before final publications are completed•Mu2e project already ramping down, with operations ramping up and
continuing for most of the decade •We included rough plans for Mu2e-II, which will have to be endorsed
by Snowmass- Pre-CD0 effort on research following first Mu2e data- Project launches in the second half of the decade- First operations starting around FY30

Initial Conclusions for PPD from WFP exercise• After combining the estimates for all PPD activities, the total need
to meet our commitments is approximately 10% more than the existing PPD staff-We are now refining our estimates• There is some double counting in scientists/RAs• The needs for engineers and technicians may be underestimated
when taking project needs from P6-We should be able to use this exercise to identify the biggest gaps
between our current staff and what will be needed
• Lab management understands that we are down to our last expert in many areas that are critical for the success of our projects- The need for succession planning is clear, to manage a smooth transfer
of knowledge to new staff- Need to develop a strategy to address this within budget constraints

Lab Budget Briefing to DOE: February 10-11• This year’s budget briefing to the DOE will be two full days, covering FY21 and FY22- One talk for all physics research B&Rs from Joe Lykken- One talk on detector operations from Jim Amundson- One talk on Detector R&D and Test Facilities from Petra
•Wide range of uncertainty in planning, representing uncertainties about full-year CRs, etc. For example:- Research in FY21: -2% up to +3%- Operations in FY21: 0% up to “optimal” budget
•Practice talks in progress this week- If you are asked for additional material, please respond promptly- We need to help the speakers make the strongest possible case

•Use part of each meeting to hear updates from Departments- 2-3 Departments per meeting, so we can hear from each
department ~quarterly- Today we will hear from: Theory, EED- February: Astrophysics, Alignment, Finance(TBC)
•One of the PPD climate recommendations is to make the slides from this meeting available to all. •Speakers: Please let Connie know if you need to change content for any sensitive items before your slides are posted.
