2. Update on City Website and Launch

City staff continues to make progress on the new city website design with a heavy focus on rebranding and reorganizing content. The final design components of the homepage have been approved. 3. Update on My SC Mobile App

There have been a total of 79 downloads through Google Play and 214 through iTunes. The city has received a total of 13 requests through the app since the launch last month. Staff has expanded the service requests to include a general “Ask Santa Clara a Question” option. IT will be meeting with Parks & Recreation to see what options may be available for implementation. Staff will work with various departments and stakeholders to market the app. Ideas discussed were promotional downloading at the Art and Wine festival, utility inserts, sharing with the Chamber’s businesses members, emailing the community through e-notify, and sending out a press release to local media. Staff has included information regarding the app on various social media websites and Channel 15.

4. Update on Branding Use and City Staff Feedback

Overall branding use and city staff feedback has been positive. The new city publications have been released with new design templates and color print. The city budget was passed last night at the city council meeting. The budget included funds to be used for marketing in the next fiscal year. Staff asked Committee members about their interest in participating in a joint marketing campaign in FY2015-16 to market Santa Clara as a destination. Committee members responded positively. Staff volunteered to schedule a focused meeting with Committee members to discuss interests and opportunities.

5. Update on Local Events for Super Bowl 50

A. Budget: Budgets have continued to take shape. Staff reviewed a status of the budget for local events noting when the City decided not to proceed with the parade the budget was applied to other events to ensure high quality events. B. Fundraising: Kennedy Event Marketing (KEM) has reached out to approximately 65 companies on our original list and is in discussions with 17 potential sponsors. KEM will be meeting with several companies over the next few weeks including several Super Bowl/NFL sponsors referred by the Host Committee. KEM is in discussions with potential sponsors for the Presenting Partner package, Tree Lighting/Ice Rink package, Commemorative Art package, Gridiron Glory exhibit and Innovation Showcase. Interest seems to be building as we finalize more event details and companies begin to focus on the Super Bowl and their budgets for the latter part of 2015 and 1st quarter of 2016. KEM is working with the Chamber to identify member businesses to add to the prospect list. Committee members offered to review the prospect list and make suggestions on contacts. C. Event Entertainment: A contract for Harmony Artists is currently being finalized to assist with the entertainment aspect and booking of events for the Tree Lighting, Super Concert and Super Celebration. A request for proposals (RFP) for sound, video, stage and seating will be released in July. The city has applied to use West Valley Mission College for super concert event. E. Tree Lighting & Ice Rink: Staff is working to continue planning the various aspects of this event. The Tree lighting will take place on December 4th. An agreement with Special Ice was approved by council and 35 foot tree is reserved. The city has quotes for decorating from last year but would like to have more lights and decorations that usual. Planning for the event is underway including such elements as a “Santa’s Village,” snow park, bands, cheerleaders, former football players, and Great America characters. A tree lighter will also need to be selected. The Committee discussed informing other groups that typically hold events the weekend of the tree lighting so that they are aware of potential conflicts. F. Public Art: A RFP was released and the Cultural Commission selected an artist for a commemorative sculpture to be placed in front of the Tasman garage. The sculpture will be made of bronze and will be a life-size football player and a youth which will each weight about

450 pounds. The figures will be mounted at ground level and be impervious to weather and human touching. The agreement with the selected artist, Linda Serrao, will go to council on June 23rd for approval. An unavailing and reception is tentatively planned on January 6, 2016. G. Exhibit: The Gridiron Glory exhibit is known as the best of the pro football hall of fame and will be coming to the Triton Museum of Art between January 18 - February 4, 2016 with a possibility of extending a reduced exhibit through March. The exhibit will include 5,000 square feet of artifacts, rare documents and award-winning photography. The agreement is expected to go to council for consideration on July 7th with a budget of $300,000.00. H. Run Event: A contract with Easy Day Sports (EDS) has been approved by council and has been fully executed. City staff will meet with EDS staff in July begin to discuss the planning process, resources needed from the city and event branding. The run is tentatively planned for January 31, 2016. I. Black and Gold Ball: This event is designed to be a signature event to honor all members who helped make the Super Bowl happen. The event will honor community leaders and key stakeholders. There will be a formal, elegant, high-end reception and gala will a full program of entertainment and celebrities. Guests will enjoy a red carpet entrance and a commemorative gift. The Ball will take place Friday, January 8, 2016 at the Mission City Ballroom at the Santa Clara Convention Center and host approximately 700 guests. Staff is working to negotiate final agreement with event management company and develop ticket sales & sponsorship plans. Staff has explored several ticket models and will be recommending a two tiered ticket model with 50% sold at $250 and 50% sold at $1,000-$1,500 depending on sponsorships received, with the higher amount commensurate to greater benefits i.e. VIP reception, player at the table, etc. J. Super Community Celebration: The Super Community Celebration will take place at Santa Clara University on Saturday, February 6th, 2016, the day before the historic Super Bowl 50. The Super Community Celebration will include a full day of programming. The Flavors of Santa Clara will take place at the Levi Center Parking Lot and will serve as the hub of the event featuring food, community music, local craft beers, and a diverse array of regional wines. Located at The Leavey Center, The Pep Rally will offer two sessions for guests, including a morning session of programming featuring presentations and signings with NFL greats and an afternoon of programming featuring opportunities to see some of the interactive elements of the Gridiron Glory Exhibit. The Fan Experience, taking place at Stanton Soccer Field will offer guests a chance to experience an authentic tailgate environment that’s fun for the whole family. Bellomy Field will feature The Community Youth Zone designed to get kids active though sport while a VIP Experience will be created at the Locatelli Center for select guests to relax and enjoy. The Celebrity Sweat Flag Football game will take place at Stevens Stadium offering guests a chance to take part in a celebration of football, spectacle, and fandom. Also at Stevens Stadium will be the main stage which will be the culmination of the celebration with a concert and fireworks show. Staff is working to complete event management agreement and MOU with the university and will bring forward the event management service agreement in July, 2015.

6. Update on Gifts for City Visitors

This item was deferred to the July Committee meeting. 7. Stakeholder updates Hotels are starting to book around time of Super Bowl and hotels expect business to go up

as football season gets closer and Super Bowl is talked about more in the media. Great America is working to plan events for Super Bowl at the park and will share with

committee as more information is available. Convention employees will be attending a national catering event tonight with the host

committee. SVP is working to finish logo lock ups with correct branding guidelines. Cultural Commission has performer playing at the Silicon Valley BBQ Friday at 5pm.

Cultural Commission is sponsoring the Summer Solstice Festival on Saturday. Art on electric boxes is being reviewed in an effort to re-start program. Silicon Valley Power (SVP) is making significant progress on their co-branding campaign.

SVP is moving from their previous tagline to “Powering the Center of What’s Possible” and is working to finalize logo combos, which have been used on their new website design.

• Easy Day Sports is working directly with the NFL to determine the best day for the event that will work for all involved parties

Black & Gold Ball January 8, 2016 Background • To celebrate hosting Super Bowl 50, the City of Santa Clara plan to

hold a signature black tie fundraising gala. The purpose of the event is to honor community leaders and key stakeholders, bring focus to the City of Santa Clara and surrounding region and raise funds for local non-profits. Guests would include community/civic leaders, VIPs, representatives from local businesses, City partners and sponsors.
