Are you concerned about correctly identifying risks in your workplace?When you sign up to Mentor’s Health & Safety Compliance Service, an adviser will contact you by phone to conduct an information-gathering call. From this call, you will be provided with an appropriate Compliance Plan, highlighting key actions required to meet your statutory obligations.

Alternatively, if you choose Health & Safety Compliance Plus or Health & Safety Alliance, a Mentor Consultant will conduct an on-site Health & Safety Audit; an in-depth assessment of your current practices. The audit report will highlight areas of risk and specific priorities for you to consider. By following these recommendations you can feel confident that your business is doing all it can to keep the ongoing health & safety of employees paramount.

And should you need more support, our interactive online resource MentorLive features full guidance on managing health & safety, including policies, forms, risk assessment tools, accident/incident reporting and statistics, as well as access to documents relevant to your business.

Would you be able to meet the legal fees needed to defend a Health & Safety prosecution?By following the actions from your Health & Safety Compliance Plan or Audit, coupled with the support from our 24/7 Advice Service, you are more likely to meet your legal obligations.

Should a relevant enforcing authority believe that you are not meeting your legal obligations, resulting in an improvement notice, prohibition notice or prosecution, rest assured that (subject to conditions) you’re protected by Mentor’s Health & Safety Legal Defence insurance. Specialist solicitors may be appointed and the cover you have under the insurance will protect your business for up to £100,000 of legal fees per case and £500,000 annually of legal expenses for the defence of Health & Safety prosecutions.

If a serious accident happened in your workplace, would you know what to do?Whichever service option you choose, you can access additional crisis management support. In the event of a specific incident, such as a serious accident, a Health & Safety Consultant will be available to advise you, liaise with the enforcing authority and assist with any subsequent investigation.

A fire within your business, or even in the surrounding area, could have a devastating impact. Many businesses understandably find estimating how quickly they could get back up and running a challenge, but there are some ways in which you can plan for such an occurrence.

If a fire gets out of hand, it can destroy your property, taking with it computers, paper documents and stock. Knowing your responsibilities and planning how you would recover are vital processes that Mentor can help you put in place.

Fire Risk Assessment

What do you need to know?

Fire risk assessments are a legal requirement – they will identify what you need to do to prevent fire and keep people safe

If you are an owner, landlord or occupier of a business or any other non-domestic premises, you’ll be referred to as the ‘responsible person’ and have responsibility for fire safety within your business. If you share premises, it’s likely there will be a number of ‘responsible persons’, so you’ll need to co-ordinate your efforts to ensure everyone is complying with the law and meeting their legal responsibilities

Business Insurance could be invalidated without a robust Fire Risk Assessment in place

Local Fire and Rescue Services inspect premises and can issue fire safety notices telling you about changes you need to make. In extreme cases, they have the authority to close down part or all of your business

Non-compliance could lead to substantial fines and/or imprisonment.

What can you do?

Make arrangements to have a Fire Risk Assessment undertaken at any property for which you are the ‘responsible person’. As the ’responsible person’, you should have training in general fire safety awareness. If you do not feel confident that you have the skill set, expertise or time to carry out a proper fire risk assessment, you’ll need to appoint a ‘competent person’ to help. At Mentor, we have a nationwide team of fire safety experts on hand to carry out such an assessment. You should ensure that your fire risk assessment covers;

– all areas of your business – all processes undertaken within your business,

including the maintenance of machines and machinery

– times when your property is not occupied, such as at night

– the risk of arson and/or malicious damage.

Environmental Management

Sustainable success

Environmental issues are increasingly relevant – from regulatory requirements to enhancing the service you offer your customers. Mentor can help your business enhance its green credentials.

You have a responsibility to comply with environmental regulations. For example:

However, acting in an environmentally responsible way can go far beyond basic environmental compliance. The long-term success of your business, and its future profitability, can be greatly enhanced by putting environmental management procedures in place and working towards a certified Environmental Management Standard such as ISO 14001.

Crisis managementIf you suffer an incident, like a pollution leak, we’ll initially deal with the crisis over the phone. If it’s serious, a Mentor Environmental Consultant will visit the site to make an assessment and liaise with the appropriate authorities.

You may also benefit from Environmental Management Legal Defence Insurance Cover which provides protection for up to £50,000 per case, and £500,000 of annual environmental legal expenses as long as our advice has been sought and followed. So if you suffer a major event, you’re covered for legal fees.

The Mentor Environmental Management Service provides you with options, depending on what your business needs.

Are you unsure of your legal requirements around environmental management?It can be difficult to know if you are doing enough to ensure your business is meeting environmental requirements and complying with the law. Mentor allows you to choose from an assessment of your needs over the phone, or an in-depth on-site audit of your current Environmental Management arrangements.
