Mission:

The mission of Greenup County High School is to provide all students with a dynamic, quality education in partnership with families and the community to empower students to excel in society as a whole.

We believe that a comprehensive program of student activities, including extracurricular athletics, is vital to the educational development of our students.

Within this context, it is the purpose of the GCHS athletic department to foster and promote:- Competition, teamwork, and sportsmanship while achieving team goals of success and

participation.- Development of self-confidence, self-discipline, organization skills, decision making skills,

and goal orientation.- Concept of an integral relationship between a sound mind and body leading to a lifetime

appreciation of physical fitness and good health habits.- Development of self-esteem and self-concept. Regardless of the role students play on a team,

they should complete their experience in athletics feeling good about themselves.Finally, the interscholastic athletic program shall be conducted in accordance with Board of

Education policies, rules, and regulations and also according to the Kentucky High School Athletics Association constitution and bylaws.

Athletic Participation Philosophy:

The philosophy of GCHS Athletics Department is that student-athletes shall enjoy as many sport seasons as they and their parents wish them to participate in without influence from any coach to specialize in one sport. All coaches should encourage participation in other sports. In order to embrace this philosophy, our coaches agree that:

- Once the season has begun, no student-athlete which is dismissed from one squad for disciplinary reasons, or who “quits” shall be eligible to compete in another sport for that particular season. All student-athletes will be given full due process, and documentation of such will be completed.

- Student-athletes may participate on more than one team during the same season if it is acceptable to both coaches and does not interfere with school work.

- When a student-athlete is signing a letter of intent as a student-athlete for a college or university, the signing must take place before or after school, or at lunch. This will allow coaches and teammates to attend the signing.

1. Ethics deals with moral duty and obligation.2. Ethical behavior includes being honest, truthful, and doing the right thing even at the expense of

your own interests.3. Contribute to the enjoyment and growth of all, rather than the rise of a few at the expense of

many.4. Ethical behavior enables the strong to help the weak.5. Hard work and commitment are the sources of excellence.6. Ethical participants place fair play above personal gain or victory.7. Ethical behavior promotes equal opportunity to participate regardless of race, gender, or

socioeconomic status.8. Ethical participants understand that unethical behavior undermines the entire process.9. Ethical people lead by example.10. The Golden Rule is what an ethical person adheres to.

The Principal’s Responsibilities:1. All athletic programs at the high school.2. Supervising the AD and Coaches.3. Exercise full authority in all cases involving athletics at the high school.

Athletic Director Responsibilities:1. All financial transactions related to the Athletic Department.2. All forms of communication for the Athletic Dept.3. Designating responsibilities to head and/or assistant coaches (i.e. scheduling games, officials,

etc.).

Medical Training Facilities and Services:

GCHS Athletic Department shall maintain an equitable policy to provide guidelines and procedures for medical/training facilities and services for all student-athletes.

These facilities and services will be governed by the following criteria:- All female and male student-athletes have equal access to the school’s training facilities and

opportunities to utilize the school’s certified trainer.- All equivalent sports shall have the same number of student managers, for both female and

male sports.- Female athletes shall be given the same amount of time and schedule to access the weight

room in and out of season. The weight room shall have appropriate weights and equipment for different levels and types of strength training.

- The weight room shall contain appropriate instructional demonstration posters for both female and male athletes. It must also be decorated in a manner suitable for both genders.

- The schedule for weight room use shall be posted in the weight room. Scheduled use of the weight room must take place through the athletic director. Female sports will be given equal times to use the facility.

Publicity:

GCHS Athletic Department shall maintain an equitable policy to provide guidelines and procedures for publicity for student-athletes.

All publicity for athletic events shall be governed by the following criteria:- GCHS Cheerleaders shall be assigned to perform at all home varsity games in: Boys and

Girls Basketball, and Football. Cheerleaders will be assigned to participate in away post-season contests for Basketball (male and female). Other events may be designated by the Principal and/or AD.

- The Band will be assigned to perform at a minimum of one half the home boys’ and girls’ basketball games.

- Local media (radio & newspapers) will be contacted and given athletic schedules, and encouraged to give equitable coverage for both male and female sports.

- All photographs in all sports programs and the yearbook must include team photos of both male and female teams.

- All pep rallies must support teams for both genders, during same seasons (i.e. girls and boys basketball, football and volleyball, etc.).

- Each GCHS sports team (male and female) shall receive applicable awards at the end of their respective seasons.

- Letters will be given for the first year varsity play, and yearly bars presented thereafter (i.e. 1st year varsity athlete gets a letter for their jacket and a bar for each year will be placed on it during their senior year).

- Special awards will be at the head coach’s discretion.- Only athletes who finish the season (including those on the injured list, who still attend

practices and games to support their team) will be eligible for athletic awards.- The AD shall make the community and school district aware of the Athletic Department’s

efforts and accomplishments to achieve the intent and spirit of Title IX through reports to the SBDM, BOE, and local media.

Selection and Responsibilities of Coaches :

- Coaches Pay Spread Sheet (available upon request)- Coaches Contract (available upon request)- A coach cannot be officially hired, until he/she has been recommended for hire by the

building Principal). - Coaches must meet all Central Office requirements (i.e. background check, physical, etc.),

before they are permitted to have any contact with student-athletes.- Once a potential coach has been recommended for hire and meets all C.O. requirements, a

coach will then receive a “letter of hire” and will then be able to begin working with student athletes.

- Criteria each coach must meet:o The Board of Education shall maintain an equitable pay scale for all coaches of male

and female teams. A copy of the pay scale shall be placed in the permanent Title IX File.

o The athletic dept. shall seek qualified adult women for coaching positions as they become available. The Site-Based Decision Making Council and Board of Education shall post coaching positions of female sports that specifically requests that female applicants are desired for such positions. The Athletic Director shall post coaching positions on the KHSAA website to allow a statewide posting of the position(s) to reach more qualified female applicants. The AD shall seek out former female student-athletes that have become educators and encourage them to apply for coaching positions at their alma mater.

o The ratio for assistant coaches and student-athletes shall be the same for equivalent male and female sports teams.

o The SBDM Council shall make every effort to hire coaches with similar levels of competence and experience for male and female teams.

o Coaches of female and male teams shall have the same equitable opportunities to attend various clinics, in-services, conferences, and seminars.

o The Principal, SBDM Council, and AD shall maintain (when possible) a balance of on-campus/off-campus coaches for teams for both genders.

Coaches are expected to be positive influences on the student-athletes in which they are responsible for. Each head coach is required to create and submit a set of team rules and guidelines for approval by the AD and/or Principal. Once these are approved and implemented, these rules and guidelines are to be adhered to by all coaches and student-athletes.

Training Rules and Regulations:

Due to the physical and emotional demands of interscholastic athletics upon high school students, all head coaches are authorized to establish and expected to enforce training rules and regulations pertaining to discipline and conduct in connection with the particular team’s members they are supervising.

Cancellation of Contests:

All practice schedules, events, and try-outs shall be subject to the principal’s approval. There shall be no scheduled practices or games on Sunday, except for post-season games that cannot be scheduled otherwise. Practice during the periods in which school is dismissed due to inclement weather shall be limited to high school practice for previously scheduled competition for that week (within reason). This may be subject to principal approval, depending on severity of current or upcoming weather conditions. Status of games due to early dismissal or school cancellations will be made by the high school principal and/or athletic director as soon as possible. Once the decision has been made, the head coach of each team will be responsible for contacting team members and/or parents concerning the status of contests or practices.

- The AD and Principal shall inform the Booster Club that their efforts and expenditures cannot exceed Title IX guidelines and expectations.

- The Principal and AD shall insure appropriate administrative oversight of Booster Club activities, and insure that there are written procedures for the AD/Principal/BOE approval for fundraising and expenditures that benefit athletic teams.

- The Principal and AD shall calculate and monitor the amount of money spent by the Booster Club, per male athlete as compared with the amount spent per female athlete.

- The Principal and AD shall meet with the Booster Club at the beginning of each school year to establish accounting, fundraising, expenditure procedures and guidelines, and Title IX rules. The AD shall meet with the Booster Club as needed with concerns or to assist in determining their future course.

- All fundraisers must be pre-approved by the Principal, AD, and Central Office.- All purchases or receivings of $500.00 and up must be approved in the same manner as

fundraisers.- Booster Club Agreement: must be filled out and submitted, before any fundraising or

expenditures can be done.- Club Officers: must be submitted in conjunction with Booster Club Agreement.- By-Laws: must be submitted in conjunction with Booster Club Agreement.- Annual Financial Report: must be submitted at the end of each fiscal year. Income and

expenditures must all be included in this report.

Responsibilities of Faculty and Staff:

Faculty and staff shall be available to assist with a pre-established number of home varsity games in some of the following sports:

- Fall:o Footballo Volleyball

- Winter:o Girls Basketball o Boys Basketball

- Spring:o Softballo Baseball

Staff must be diligent in updating and posting grades and keep record of absences, and discipline referrals. This information is crucial in determining a student-athlete’s eligibility each week. Grades, attendance, and discipline will be checked each week.

Attendance:

Any student participating in athletics must be present at least one half of the school day in which a contest or practice is scheduled. If the student is not present, they will not be permitted to practice or participate that day. Exceptional situations may be appealed to the AD or principal.

Absences:

Students must be in attendance for all practices and games. The same criteria will be in place as an excused absence from school. A student will not be tardy for practices or games unless excused by the coach. The same criteria for excused tardy to school will be in effect. If such time the absences become a detriment to the academic process for the student or hinders the progress of the team, the coach has the discretion to remove the athlete from the team.

Detentions:

Any detention assigned for afternoon attendance will take precedence over practice or games. If a student-athlete is assigned day-time detention or ISI (also called ISS), they will not be permitted to attend practice or games on that day.

Suspension:

During the time period an athlete is suspended from school, he/she will be unable to participate in practice, games, or other official team activities. Out of school suspension for three or more days during season will result in the student-athlete being dismissed from the team.

Sportsmanship:

Any student-athlete who displays behavior that the coaches deem inappropriate and/or unsportsmanlike according to the established rules shall be disciplined accordingly. These behaviors are described in the KHSAA handbook.

Personal Appearance:

All student-athletes at GCHS are expected/required to represent their school in positive ways. Any student-athlete who detracts from this positive image by their appearance or behavior will be denied participation until such actions are stopped. This rule applies to, but is not limited to such things as visible tattoos, hair styles not in the mainstream, etc. Uniforms will be worn in accordance with KHSAA guidelines. School provided uniforms will be worn, and shall not be altered in any way.

Alcohol and Drug Use:

All GCHS student-athletes shall not use, purchase, transmit, sell, or have in his/her possession any form of alcohol or illegal drugs (including prescription medicines not prescribed for the individual). Students who deviate from this will be dismissed from the team, and will face legal consequences.

Tobacco:

Tobacco use by student-athletes in any form (smoking or chewing) is prohibited. Students deviating from this shall be dismissed from the team, and face school punishment.

Guidelines for Coaches Dealing with Students Involved in Drug Abuse:

The following are steps, which should be taken with student-athletes who are suspected of being under the influence of drugs or alcohol:

- Attempt to get the student to an area that is out of the public eye, with a witness present.- If the student seems like they could harm themselves, do not leave them alone and possibly

restrain them (if necessary).- Calmly question the student about the incident.- Call parents and ask them to come to school.- School administration shall take further action with reference to rehabilitation and/or

discipline.Each situation will be different. Use common-sense and caution. Keep in mind that we are here

to do what is best for our students.

Theft:

Any GCHS student-athlete who is guilty of stealing from teammates, adults, or peers will be dismissed from the team. They may also be faced with legal consequences.

Ejections:

Players:

Any student-athlete who is ejected from a game shall be ineligible for the next two contests. If this ejection occurs during the last game of a particular season, it will transfer to the next season of sports they participate in. If a student athlete is ejected twice in the same school year, they will become ineligible for the current season and the rest of the school year.

Coaches:

If a coach is ejected from a game, he/she will be suspended from coaching for the next two contests. He/she may attend the events they are suspended from, but will not be allowed any contact with their assistant coaches or players. They must sit in the spectator section during the contest. If a coach is ejected for a second time during the same season, he/she will be suspended for the rest of the season and until they attend mandatory counseling to improve their social skills.

GCHS Athletic Department shall maintain an equitable policy to provide guidelines and procedures for Gender Equity Review Committee to address services for all student athletes.

All gender equity review committee services shall be governed by the following criteria:- The GERC shall meet at least three times per school year (once for Fall Sports, once for

Winter Sports, and once for Spring Sports).- The GERC shall consist of the Principal, AD, a coach from a boys’ sport, a coach from a

girls’ sport, a parent, a male student-athlete, and a female student-athlete.- All GERC meeting minutes must be recorded and kept in the Title IX master file.

Travel and Per Diem Allowances:

GCHS Athletics Department shall maintain an equitable policy to provide guidelines and procedures for the travel and per diem of student-athletes.

All athletic travel and per diem of student-athletes shall be governed by the following criteria:- The athletic department will not provide money for the purchase of meals during the regular

season.- In the event that a team or individual makes the “state tournament” in their sport, the athletic

dept. will purchase one meal per day during their stay at the contest. Meal money allocated for any team shall be $15.00 per athlete/coach. Individual players for individual sports (i.e. golf, cross country, or track) will receive an allocation of $15.00 per athlete/coach as well.

- Meals purchased by Booster Clubs for athletes must equitably allocate the same amount of money for each meal for males and females. Money amounts for each meal must be the same for girls and boys from equivalent sports (i.e. girls and boys basketball, baseball and softball).

- Hotel rooms paid for by boosters for athletes must equitably allocate the same amount for males and females. Money amounts for each room must be the same for girls and boys of equivalent sports.

- The athletic dept. will equitably provide all transportation at the current Kentucky Dept. of Education rate for athletic events for male and female sports. All buses and vans will be comparable for both male and female teams.

- Male and female sports shall be given equitable travel opportunities for regular season tournaments, post-season tournaments, out-of-region and out-of-state events. Each female and each male athletic team will be given the opportunity of participating in one out-of-state contest/tournament each year. All out-of-state and/or over-night events must be approved by the Board of Education.

- Out-of-state trips must have the same equitable location for each team and/or program. For example, if the boys’ baseball team wants to play in Florida, the girls’ softball team must be given the same opportunity to play in Florida as well.

- Student-athletes must ride the athletic bus/van to and from any and all scheduled events. - All student-athletes traveling by bus to school sponsored activities must return to the school

on the same bus, unless parents/legal guardians have submitted a travel waiver and had it approved prior to the scheduled trip (a new waiver must be submitted and approved for each individual trip). If a travel waiver has been submitted and approved, the parent/guardian must see the head coach and sign their child out before they leave with them.

- Student-athletes may not be released to ride with any person other than their own parent or legal guardian unless approved in writing by the parents, administration, and coach in advance.

- Student-athletes with extenuating circumstances may request approval in writing for another means of transportation, by the coach, principal, or athletic director.

Finances:

The athletic fund is maintained and accounted for by the Athletic Director and Principal. Payout invoices must be submitted to the AD for approval. If approved, a Purchase Order will be made by the AD and Principal, and directed to the school district treasurer for payment. The AD and Principal must sign off on all purchases. In the event that the AD is unavailable, the Principal may sign for the two of them. Otherwise, both the AD and Principal’s signatures must be present for a PO to be valid. Any coach, sponsor, or booster who orders without following this process will be responsible for paying the balance themselves.

Fundraisers:

All fundraisers must be approved by the AD, Principal, and Central Office before they can be implemented. Coaches, Boosters, and any other entity must adhere to this policy. The process is as follows: obtain copy of “Fundraiser Request” form and fill it out; submit to the AD and he/she will review and approve or reject the proposed fundraiser; if approved, the AD will sign and submit to the Principal; if the principal approves, he will sign and submit to Central Office; if Central Office approves, it will be signed and returned to the AD. After this process is complete and the fundraiser is signed by everyone, it may go forward. If any level rejects the request, it cannot move forward.

Passes and ID’s:

Any individual who possesses a pass or form of identification that grants them free admission to athletic contests must present this credential before they will be permitted to enter without paying admission, each and every time. To be fair and respectful to all patrons, this policy will be followed very strictly.

Also, these passes and ID’s only apply to the individual they are issued to. Anyone accompanying them (over the age of 5 years old) must pay admission to enter. Again, this is to ensure that we are fair and respectful to all of our patrons.

Uniforms for male and female students (of equitable sports) must be of similar quality and cost. When ordering uniforms, you must collaborate with your equitable sport and the AD to make sure we stay within KHSAA (& Title IX) guidelines. Purchase Orders must be filled out and turned in to the AD for approval and application of athletic funds.

Facilities Usage:

School facilities are extremely limited. Therefore, all scheduling for use of these athletic facilities must be coordinated through the Principal and/or the Athletic Director. Booster Clubs are permitted to use areas of the building for meetings and activities, but events must be scheduled in advance.

Absolutely no athlete is permitted to use any indoor or outdoor facility (i.e. gym, weight room, etc.), without a staff member being present.

- Locker Rooms: assigned to each athletic team (male and female LRs of equivalent sports must be of equal size, accessibility, and quality) that requires such.

- Practice and Game Facilities: assigned to each athletic team (male and female facilities of equivalent sports must be of equal size, accessibility, and quality).

- Storage Areas: assigned to each athletic team (male and female storage areas of equivalent sports must be of equal size, accessibility, and quality) as needed.

- Outside Entity Usage: any outside group or entity must apply for any school facilities by filling out and submitting a building/facility use request. These requests are subject to approval from the AD, Principal, and/or Central Office (depending on what is being requested).

Scheduling Policies and Guidelines:

1. All scheduled athletic events must be approved by the principal and/or the athletic director, and submitted for Board approval (if applicable).

2. The athletic schedule shall fulfill all district, and/or regional requirements as set forth by the KHSAA.

3. Games should be scheduled with schools so that travel distances are minimal.4. Scheduling of facilities, practice times and game times for both boys and girls shall be in keeping

with applicable provisions of Title IX.5. Games should be scheduled to avoid conflicts of being on the same date and time, at the same

site. 6. Games should not be scheduled on Sundays.7. No regular season games may be scheduled on a date that would require loss of instructional

time for travel or play, unless approved by the Board of Education.8. Games should be scheduled to avoid semester/term ending exams.9. Basketball head coaches shall ensure that at least 40% of the girls’ basketball games are during

“prime dates” (Fridays or Saturdays).10. In the event of a boys and girls basketball “double-header”, head coaches must ensure that the

girls’ varsity team play in the second game of the night at least 50% of the scheduled contests. This rotation should be conducted every other contest.

11. All varsity basketball games shall be secured via KHSAA contract forms with KHSAA competitors so there is a balance in the number of home and away games each season.

12. All athletic facilities usage schedules (i.e. practices, scrimmages, and games), including the gymnasium and athletic fields, shall be posted on the athletic calendar and bulletin board/wall in each locker room.

Practice Sessions & Try-Outs:

All practices must comply with KHSAA guidelines (in season and out of season). There shall be supervision when boys and girls are on and off the field/court. If there are “try-outs” the head coach must have previously set criteria for each player to meet. No “cuts” can occur until after at least 3 hours of practice has been completed by any individual athlete, and evaluated using set criteria. How “cuts” are announced are the coach’s responsibility (as long as it is professional and in no way singles an athlete out).

Playing Time:

There is no guarantee of any amount of playing time. As athletes move through the program, there could be very limited playing time given. Coaches determine who plays, what positions they play, and for how long they play. These decisions will be determined by: player ability, practice participation

and attendance, rules being followed, and effort/attitude. When there is any questions about playing time the athlete should speak with the coach.

Limitation of Seasons:

No sport (male or female) can exceed the limit of contests set by the KHSAA. These individual limitations (for each sport) are listed and described in the KHSAA Handbook.

Multi-Sport Policy:

Student-athletes may participate on more than one team during the same season if it is acceptable to both coaches and does not interfere with school work. Student-athletes are encouraged to play other sports, during different seasons as well. Coaches are expected to support student-athletes who wish to play other sports, as long as it is not detrimental to the student’s academic success.

Athletic Awards:

Greenup County Athletic Department shall maintain an equitable policy to provide guidelines and procedures for the recognition of the success and accomplishments of our student-athletes. All athletic awards for equivalent male and female teams shall be equal in quantity (ratio) and quality. The amount spent on these awards must also be equitable.

All team and individual athletic awards shall be governed by the following criteria:- Banners: every sport offered at GCHS shall eventually have a post-season achievement

banner hanging on or near their game facility (i.e. basketball – gym, football – football

stadium, etc.). Only KHSAA approved District and Regional team championships will be recognized by title and year. A team that wins a state championship will receive a separate banner with the championship year.

- Awards and Trophies : all trophy cases in the main entrance shall display all female and male KHSAA district, regional, and state winners for all sports.

- Banquets : athletic banquets may be organized and funded by each individual sport’s booster club. The amount each booster club spends must be approved prior to the event, if it exceeds the $500.00 limit of expenditures. A building request form must also be submitted and approved, if the event will be held using school facilities. Clean-up after the event will also be the booster’s responsibility.

Academic Awards:

Awards will be given to student-athletes who achieve academic success during and after their season. These awards will be at the discretion of GCHS Principal, AD, and BOE.

Transfers:

Transfer from one school or school district to another without a change in physical address (residence) of parents or legal guardians, divorce, death of one or both parents/guardians, will result in that student-athlete’s being deemed “ineligible” for athletic participation for one calendar year (KHSAA Bylaw 6).

Athletic Eligibility:

- Grades: according to KHSAA guidelines, no student will be academically eligible for athletic participation who has received more than two “Fs” out of seven classes; more than one “F” out of six; one “F” out of five or four classes.

- Age: a student who turns 19 years old before August 1st of the upcoming school year will be ineligible for athletic participation of any kind for the entire school year.

- Physicals:All student-athletes must have an Emergency Medical Authorization form filled out and

signed by their parent or guardian. A KHSAA sports physical form (filled out by their physician) must accompany this form. Without these two documents, a student will not be able to participate in practices or games. The head coach should collect these and submit them (while retaining one to carry at all times) to

the “on-site” Certified Trainer (if there is one), or the Athletic Director (if there is no “on-site” trainer). In the event of an emergency, both the Certified Trainer or AD and Head Coach will/must have copies of these forms in their possession during all practices and games. Blank forms can be found on the Greenup County Schools website (www.greenup.ky12.us/), or picked up at the main office.

Each student-athlete will be issued necessary equipment, for their specific sport/sport activity. This equipment is the property of Greenup County High School, and student-athletes are responsible for its maintenance and care. Student-athletes who fail to return equipment in acceptable condition, or fail to return it at all will have holds placed on their records. These holds will remain on their records until they return the equipment or pay to replace it.

All equipment and/or supplies purchased for athletics must adhere to the following criteria:a. All athletic equipment, supplies, and uniforms shall be inventoried on the district’s inventory

sheet, and submitted to the Athletic Director within 30 days of the conclusion of each sports season.

b. Coaches will maintain an accurate record of equipment/supplies purchased and include the items in the annual inventory report.

c. Athletic uniforms will be purchased for each sport (according to the uniform rotation) by the athletic department. Each team will be on a 4 year cycle (will use the same uniform for 3 seasons before being eligible to purchase new ones). Money allotted to each team will be determined on cost and individual need of each sport. Male and female teams of the same or equivalent sports will be allocated the same amounts for uniform purchases. Volleyball, Cross Country, Track, and Golf will be determined by the number of projected participants.

d. Replacement of uniforms prior to the teams’ turn in the four-year rotation will be based on need. Any money allocated for replacements prior to their rotation will be deducted from the team’s own budget for equipment and supplies, for that season. Entire sets of uniforms will only be paid for by the athletic department, when it is their rotation. The only exceptions are: loss due to fire or water damage from an unforeseen cause. Negligence (i.e. improper care or storage) will not be excused.

e. The quality and quantity of uniforms purchased for Greenup County High School athletic teams will be the same.

f. Coaches will submit three bids, in writing, from companies for uniforms and equipment to the Athletic Director and Principal for approval.

g. All uniform and equipment purchases must be approved by the AD and Principal.h. Equipment purchases for equivalent sports (i.e. girls and boys basketball; softball and

baseball) shall be on an equal basis. In the event that equipment is shared (i.e. indoor batting cage) the money shall be divided equally between the two sports. Each sport will have the same equal access to all equipment and facilities, for both males and females.

Greenup County High SchoolEmergency Action Plan for Injured Athletes:

These procedures should be clearly understood and practiced by everyone involved in the care of an injured athlete so that each person will be prepared for a potentially life-threatening or fatal situation. The school personnel designated in the emergency plan MUST remain calm and respond in a professional manner. A telephone should ALWAYS be accessible with emergency telephone numbers posted nearby. The Head Coach is the designated person to act in the case of an emergency. Therefore, the Head Coach will take the responsibilities in this outlined procedure and will act accordingly.

SERIOUS INJURY

A serious injury is one which required hospitalization and/or there is little or no time to consult with a physician before taking action.

Example: 1. Stoppage of breathing/heart 2. Severe bleeding 3. Obvious serious fracture/dislocation. 4. Possible back, head or neck injury. 5. Heat stroke 6. UnconsciousnessPROCEDURE

A. The Head Coach shall attend to the athlete and evaluate the injury and situation. B. The Head Coach shall provide the necessary first aid.C. The Head Coach or an Assistant Coach shall take the following action:

1. Call 911 and activate the Emergency Medical Services System and give the following information:

a. Your name and titleb. Nature of injuryc. Location of the injured athlete (BE SPECIFIC).

d. DO NOT hang up until the dispatcher hangs up.2. Telephones are located in the:

a. Front Officeb. Athletic Director’s Office

c Cell Phone3. Call the athlete’s parent/guardians and inform them of athlete’s injury and determine which hospital the athlete should be taken for treatment. (Remember – If a life-threatening situation exists and you are unable to contact the parents/guardians, the student must receive immediate medical attention at the nearest hospital as quickly as possible. The Head Coach must accompany the injured athlete in the ambulance with the Emergency Information Form and remain with the athlete at the emergency room until a parent/guardian arrives.)4. Pick up the athlete’s Emergency Information Form so the parental permission for emergency treatment can accompany the athlete to the hospital. 5. Return to the field/court and assists in any way possible.

D. An assistant Coach should assist the Head Coach in any way possible while the ambulance is being called.E. A designated coach/student shall meet the ambulance and direct them to the proper place.F. Once the ambulance service personnel arrive on the scene, they are responsible for the athlete’s treatment and transportation.

G. A coach or school representative shall accompany the athlete to the hospital if the athlete’s parents/guardians are not present. (Another student or athlete is not allowed to accompany the injured athlete to the hospital in the ambulance.)H. The Head Coach should make arrangements for the athlete’s clothes and personal belongings to be taken to the hospital.I. Call the hospital emergency room that the athlete is being transported to and inform them that the athlete is being transported to their facility.

OTHER INJURIES REQUIRING MEDICAL ATTENTION

Examples: 1. Lacerations which require suturing.2. Possible fractures/dislocations3. Orthopedic injuries that should have an early medical diagnosis (knees, moderate to severe sprains and strains).

PROCEDURE

A. Determine the degree of seriousness and asses the pain level.B. The Head Coach will administer the necessary first aid.C. Contact the parents/guardians and inform them of the POSSIBLE injury. Be sure to give your

name and title.D. Suggest that their son/daughter may require further medical attention.E. Discern from the parents/guardians whether they wish to come and pick up their son/daughter

and then transport them to a doctor/hospital, or whether the parents/guardians wish the injured athlete transported to the emergency room via ambulance where they will meet the injured athlete. If transported by ambulance, determine if the parents/guardians have a preference in hospitals.

MINOR INJURIES

Examples: 1. Minor cuts & bruises.2. Minor sprains and strains.

SEVERE WEATHER POLICY

These guidelines are established to protect all individuals from severe weather.

1. Establish a chain of command that identifies who is to make the call to remove individuals from the field. (this should be the athletic trainer)

2. The athletic trainer shall monitor local weather forecasts as well as the sky for imminent danger.3. Designate a safe shelter at each venue to where athletes can go if severe weather occurs.4. Use the flash – to – bang count to determine when to go to safety. By the time the flash – to –

bang count approaches 30 seconds all individuals should already be in there shelter.5. Once activities have been suspended, wait at least 30 minutes following the last sound of thunder

or lightning flash prior to resuming an activity outdoors.6. Avoid being the highest point in an open field, in contact with, or proximity to the highest point,

as well as being on the open water. Do not take shelter under or near trees, flag poles or light poles.

7. Assume the lightning safe position (crouched on the ground, weight on the balls of the feet, feet together, head lowered and ears covered) for individuals who feel their hair stand on end, skin tingle, or hear “crackling” noises. Do not lay flat on the ground.

8. Observe the following basic first aid procedures in managing victims of lightning strikes:a. Survey the scene for safety.b. Activate the local EMS.c. Lightning victims do not carry a charge and are safe to touch.d. If necessary, move the victim with care to a safer location.e. Evaluate airway, breathing, and circulation, and begin CPR if necessary.f. Evaluate and treat for hypothermia, shock, fractures, and/or burns.

9. All individuals have the right to leave an athletic site in order to seek a safe structure if the person feels in danger of impending lightning activity, without fear of repercussions or penalty from anyone.

Safe shelter

1. A safe location is any substantial, frequently inhabited building. The building should have four solid walls (not a dugout), electrical and telephone wiring, as well as plumbing, all of which aid in grounding a structure.

2. The secondary choice for a safer location from the lightning hazard is a fully enclosed vehicle with a metal roof and the windows completely closed. It is important to not touch any part of the metal framework of the vehicle while inside it during ongoing thunderstorms.

3. It is not safe to shower, bathe, or talk on landline phones while inside of a safe shelter during thunderstorms (cell phones are OK)
