    Winter Session Program

    Monthly Summary – September 4, 2018As part of BGSU’s decision to create a new Winter Session between the Fall and Spring semester, ITS has been collaborating with a number of offices across campus to ensure that both new and existing business processes are built to accommodate the new session. There are 9 total projects that are required to produce the necessary system and business process changes and 5 have been successfully completed. The team anticipates the remaining projects complete before October, allowing the appropriate amount of leeway before Winter Session begins in January. End-to-end test cycles have started to ensure that all Winter Session related business and technical processes work as intended (scheduled to complete EOM Sept).

    Upcoming Milestones• End-to-end testing to complete end of month September• Faculty contracting and modifications for Recreation and Wellness

    should be moved into Production in October• Dining changes are expected to be migrated in October• Winter Session Reporting has had some submitted requests and

    discovery/development has begun

    Winter Session Mods to Faculty Contracting

    Monthly Summary – September 4, 2018The Winter Session Modifications to Faculty Contracting project’s objective is to develop an electronic method of creating, signing, and approving faculty contracts for Winter session, similar to the process used in Summer semester. The college testers successfully completed their testing, while an issues was identified on the automation of the data through the HR and Financial systems. The project want back to development to correct the issue and was returned back to user testing in August. Given a request from the Controller’s Office, testing resources will not be available to complete testing until late Sept/early Oct, shifting the go-live date back one month, however, this date change will not impact contracting business processes for Winter.

    Winter Session Mods for Dining Services

    Monthly Summary – September 4, 2018The Winter Session Modifications for Dining Services project’s objective is to develop a systematic process to accommodate meal plan and residence hall sign-up for BGSU’s Winter Session. Initial testing of the new Winter Session configuration in StarRez was completed by Dining and Res Life in August, however, per Dining’s request, full testing is being delayed until mid-to-late September due to their current workload. The current testing and go-live schedule has the solution being approved and ready for migration by mid-October.

    Monthly Summary – September 4, 2018Beginning in January 2019, BGSU is adding an optional Winter Session within Spring Semester 2019 to provide additional and flexible academic opportunities for students to study abroad, conduct research, or take an additional class. Reports in FalconInfo display academic data based on semester, but not on session code. There is a need to separate Winter session from Spring semester on some reports.

    Winter Session End-to-End TestingGREEN

    Monthly Summary – September 4, 2018Beginning in January 2019, BGSU is adding an optional Winter Session within Spring Semester 2019 to provide additional and flexible academic opportunities for students to study abroad, conduct research, or take an additional class. The Winter Session End-to-End Project Team has begun the definition of a testing schedule, starting August 27, 2018 (immediately following the scheduled QNA refresh) and ending September 27, 2018. During that period, Winter Session classes will be configured, students will be enrolled, core office critical process testing will take place (including any processes representing Winter Session modifications) and miscellaneous office interfaces will be tested. In addition, appropriate regression testing will be determined and scheduled. Project documentation is complete and approved by the project team.

    Liferay Upgrade GREEN

    Monthly Summary – September 4, 2018This project is an upgrade of the Liferay application that runs the BGSU portal. This critical application is currently out of date, and the University needs to upgrade it in order to maintain vendor support. This upgrade will not change the user interface and should be transparent to the end user. The project is scheduled to go live the first week of January 2019. This project is currently on schedule.

    Monthly Summary – September 4, 2018This portfolio is a continuation of the Provost Performance Metrics. Projects have been established for the following: persistence and retention (metric 2), co-ops and internships (metric 5), global immersion (metric 6), learning communities (metric 8), contribution margin ration (metric 9), and students earning 60 units in two years (metric 12). Work is completed on metric 2. Development work complete on metric 6. Work has started on metrics 5, 8, 9, and 12.

    Data Center Migration Project GREEN

    Monthly Summary – September 4 , 2018The Data Center Migration project will consist of relocating the primary data center services from the existing data center located in Hayes Hall to the Buckeye Telesystems data center located in Toledo, Ohio. This project was started in July, 2015 and has a targeted end date of December 31, 2018. There are 10 different work streams that fall under this project. Each work stream will be managed as a separate, but interconnected project, and have a project Lead and project team assigned. The Director of IT Security & Infrastructure will have responsibility for managing the overall budget for the Data Center Migration project and all of its sub projects.

    Upcoming Milestones• Continued work on other applications that are in UAT. • Continue planning on other migrations for 2018 and ensuring this

    project remains a priority and resources can be scheduled to perform the migrations and testing required.

    Past Month’s Key AccomplishmentsACI Project: 100% completion.Data Center Interconnect Project: 100% completed.Load Balancer/Content Switch Project: 100% completed.     Monthly Summary – September 4, 2018The Residence Life Department uses StarRez to handle Housing applications, bookings, payments, reporting and other options to ensure students obtain housing. Currently the department is on version 9.6. However, we need to move to version 10.4. This version is a web-based platform and fully supported by the StarCare cloud.

    Migrate EMS to EMS CloudGREEN

    Monthly Summary – September 4, 2018EMS is used by Conference and Events Services to book spaces for events on campus. EMS has recently introduced a cloud hosting option that the Office of Conference and Events Services would like to migrate to. This hosted solution will not only allow the application to stay up to date, but also include Single Sign On. The hosted solution will also allow the vendor to perform more efficient troubleshooting when needed. This past month the team worked with the vendor on final details for the contact. This coming month we will work to sign the contract and start the project.

    Enterprise Training System RFP

    Monthly Summary – September 4, 2018The Enterprise Training System RFI project’s objective is to review the wider institutional needs of a University-wide training platform by gathering requirements and determining which vendors offer an appropriate solution/application. All of the anticipated vendor demos have taken place and the committee’s score cards have been consolidated. The selected vendors have also provided pricing information, leaving the final solution recommendation to be made, as well as determining next steps.

    Monthly Summary – September 4, 2018The Financial Aid Process Improvements project’s objective is to collaborate with the selected consultant company (Sierra-Cedar) to work on 7 specific SFA topic areas and to complete a thoroughly business process review and health check for Student Financial Aid. The team has been through approximately 25% of the SOW’s total hours and have created a number of configuration items for SFA to pursue, as well as defined a number of technical updates to processes to be worked on in collaboration with ITS.

We almost finished gathering all information needed to finalize the current state of all of these processes. Once this has been completed, we will focus on developing the future state.

    Monthly Summary – September 4, 2018The Graduate Assistant Budget and Contract Process Review’s project objective is to evaluate BGSU’s current GA budgeting and contracting process to determine the most efficient process possible and provide a recommended “future state” of GA contracting. The full group met to set project expectations and decided to split into 3 sub-groups to cover ground in an efficient manner. Thus far, 2 of the 3 groups have met, with the final group meeting mid-September. The first goal is to build the current state before the team turns to evaluating options and recommending a future state.

    Academic Partnerships Implementation Project

    Monthly Summary – September 4, 2018BGSU has joined with Academic Partnerships (AP) to create a new online MBA program from the College of Business. BGSU will provide the instruction and degree-granting authority while Academic Partnerships is responsible for recruitment and some student support. For this effort, ITS will create three technical interfaces. Data will be drawn from Slate to provide AP with pre-student information. Statistics will be extracted from Canvas and placed into PeopleSoft CSS. From there, the Canvas data and other CSS records will be sent to AP. Specific details of the agreement are still under discussion, after which a technical spec can be developed. All is pending approval from the ODHE.

    Study Agreement Load ProcessGREEN

    Monthly Summary – September 4, 2018This project will consist of developing a process that will batch load the study agreement codes to a student's term activation record eliminating the need to manually process these one by one. Individual Offices across campus will utilize this new Study Agreement Load Process to automatically load the Study Agreement codes into PeopleSoft CSS each Semester. This project is scheduled to go live in September 2018 and is currently on schedule.

    Experiential Learning Tracking Project

    Monthly Summary – September 4, 2018To comply with state regulations for experiential learning reporting, the BGSU Career Center is in need of a tool to maintain and report on students’ activities with regard to internships, practicums, non-course information, and employer documentation. The basis of this tool will be a new OnBase solution fed with data from PeopleSoft and supplemented by designees in each college. This will replace existing process handled by various spreadsheets and e-mail, allowing more efficient reporting by the BGSU Career Center. Launch of the OnBase solution will take place the week of September 24th for use with Fall 2018 data.

    NSC Interface Modifications

    Monthly Summary – September 4, 2018Registration and Records requested several changes to the National Student Clearinghouse (NSC) Enrollment Interface to maintain compliance with Federal Financial Aid Reporting. They requested changes to resolve data issues with Enrollment Status, Graduate Information, Foreign Addresses, and Program Data. In order to maintain more than 90% compliance as an institution, Registration and Record is making manual updates to the current NSC Interface to resolve the data issues. We need to modify the NSC Enrollment Interface to accurately report financial aid data to National Student Loan Data System (NSLDS) and avoid manual corrections to the interface file. During the past month, Registration and Records has been performing User Acceptance Testing in QNA. A few items were identified during user testing that required rework. All rework is now complete and user testing continues in QNA. User Testing is very complex for this process. Sue Lau requested an additional extension to the project due date (from July 22 to Sept 23) to allow enough time to complete user testing along with grade processing for Summer 2018 and start-up of Fall Semester 2018.

    HEI Interfaces and Modifications

    Monthly Summary – September 4, 2018The Higher Education Information (HEI) System is a comprehensive relational database that includes student enrollment, course, financial aid, personnel, facilities, and financial data which is submitted by Ohio’s colleges and universities. This data is used for a variety of purposes that include: reporting on higher education outcomes, funding formula, financial aid program support, policy analysis, and strategic planning. As of Fall Semester 2017, the Ohio Department of Higher Education released new File Layouts for several HEI Interfaces and BGSU needs to modify the following files: 1) AP – Academic Program, 2) AC – Alternative Credit, 3) CN – Course Enrollment, 4) CU – Credit Update, 5) DC – Degrees / Certificates Earned, 6) SE – Student Entrance, 7) SN – Student Enrollment and 8) ST – Course Sections Taught. In addition, we need to modify the corresponding point in time extracts (HEI DEMO and HEI CRSE) that are used when building the HEI Interface files. Registration and Records identified 2 additional HEI Interface Files that need to be modified to resolve outstanding issues: OC – Off Campus Course Sections and CI – Course Inventory. This past month, we completed Rework to resolve outstanding testing issues for HEI AC and completed User Acceptance Testing in QNA and PPD. Sue Lau asked to wait until Nov 4 to install HEI AC (since Reg & Records is in the middle of HEI 30-Day-After Reporting for Summer in Production CSS).

    Adaptive Insights Integration with FMS/HCM

    Monthly Summary – September 4, 2018The Budgeting Office within Finance & Administration uses Adaptive Insights cloud based system for their budgeting software. Currently, the Budgeting Office is receiving queries from PeopleSoft FMS and HCM and manually entering the corresponding budgetary information into Adaptive Insights. This process is very labor intensive and difficult to keep up with numerous position changes that occur throughout the year. Haley Collingwood requested an automated solution to extract this information from PeopleSoft FMS / HCM and import into Adaptive Insights. During the past month, we completed 90% of development for the HCM Personnel Extract file. We also performed User Acceptance Testing for the FMS Account Balance Extract and imported file into Adaptive Insights Sandbox environment. We are still working through some integration issues with Adaptive Insights related to FMS Account Balance Interface. User Acceptance Testing for HCM Personnel File is in progress in HCM92QNA.

    Monthly Summary – September 4, 2018Due to the Foundation financial system conversion from Agresso to FMS, the Annual Donor Report had to be developed in WRL for FY2017. The report was developed but not all components of the revised report could be implemented for the FY2018 reports.These enhancements will improve the look and feel of the annual donor reports along with providing greater accessibility for the end users. This past month the team was able to start reviewing the raw data for each report to ensure the numbers were correct. This next month, the reports will undergo final approval before moving to production.

    Library OCLC Tipasa Migration

    Monthly Summary – September 4, 2018Tipasa is the new cloud-based solution provided by our existing library vender, OCLC. This solution streamlines the interlibrary loan process, reducing the manual steps to process loan requests made by BGSU affiliates and other libraries. OCLC’s plan involves a 6-8 week migration from Illiad to Tipasaled by OCLC’s Services team. ITS has been asked to assist with the SSO and patron load process with the rest of the migration and training to be handled by OCLC. Now that a PeopleSoft resource is available, development on this project can resume. In consultation with OCLC, the Library has set a firm migration date of November 19th.

    Implementation of 911 Cellular – Phase 1

    Monthly Summary – September 4, 2018911Cellular has been chosen by BGSU as the new vendor to coordinate AlertBG communications. Phase one of the implementation will focus on a like-for-like transfer of our notifications systems to the new provider. ITS will provide SSO integration, a CSS interface for user load, web development for affiliates’ cellular and e-mail options, and coordination with marketing and communications for social media updates. 911Cellular will provide software hosting for the product itself, along with training for administrators and those staff who may activate the system. Phase one will have full implementation over winter break 2018-19.

    Implementation of Presence Project

    Monthly Summary – September 4, 2018OrgSync, the existing student organization management software provided by Campus Labs, will be discontinued in early 2019. After a successful RFP, Presence has been chosen as the new vendor for the Office of the Dean of Students. ITS will provide SSO integration and a calendar interface which will allow events to be visible on the master calendar. When PeopleSoft CSS resources become free, an interface will be created to move student data directly into the new product. By the end of the implementation, the final disposition of the OrgSync data will be determined, although files will not be directly placed into Presence.

    Export Notes from Handshake to EAB SSCGREEN

    Monthly Summary – September 4, 2018A separate interface must be defined between Handshake and EAB SSC that will pull all the counseling notes from Handshake into the EAB SSC application. Based on the Handshake technical team’s response, the best long-term solution is to develop a process using a Handshake API. This will select specific fields to pass to the EAB SSC application. A similar process was created to retrieve notes from the WorkNet application and post them to EAB. This can be used as the model for importing data into EAB SSC. The API/BGSU Load process will run on a specific schedule to pick up the data elements, format them as required by the EAB Grades First Integration process and import them to EAB SSC. This project has a due date of March 31, 2019.
