1. HOLDING AND TAKING EXAMINATIONS The Facul ty o f Engineer ing and Sc ience, the Facul ty o f Medic ine and the Technica l Facul ty o f IT and Design at Aalborg Unive rs i ty (here inaf ter AAU) conduct examinat ions in order to assess whether and to what extent the s tudent ’s qual i f icat ions comply wi th the descr ip t ion of the knowledge, sk i l ls and competenc ies s t ipu lated in the program ’ s cur r icu lum. A program act iv i ty typ ica l ly conc ludes wi th one or more examinat ions that are a d i rect extens ion of the program act i v i t y . Th is is des ignated as an ord inary examinat ion . The ord inary examina t ion can a lso be an assessment dur ing the course. I f the conten t and the work ing method jus t i f y i t , a module can be assessed ent i re ly o r par t ia l l y by a requi rement o f c lass par t i c ipat ion. I f the s tudy board wants to use th is la t ter fo rm of assessment , th is must be spec i f ied as an assessment op-t ion in the program’s cur r icu lum. Fur thermore, examinat ions can be held for a program act iv i t y in the t ime per iod outs ide the ord i -nary examina t ion per iods for s tudents who have such requi rements accord ing to the provis ions in Chapter 8 . These exams are des ignated as re-exams, re -exams fo l lowing an appeal , and make-up exams. Students are ob l igated to keep thems elves in formed as to the formats of examinat ions, an-nouncements and other in format ion concern ing the hold ing of exam inat ions, e tc .

1.1. Scheduling and announcement of time and place for examina-tions Exams are normal l y he ld at the end o f the semes ter wi t h in the fo l lowing examinat ion per iods :

The s tudy board schedules and announces the date for an exam no la ter than 4 weeks pr ior to ord inary exams and no la ter than 2 weeks pr io r to re -exams and make-up exams. At the same t ime as th is , the fo l lowing are announced:

1) The date on which the assessment wi l l be d isc losed (c f . Sect ion 7.2) 2) The necessary a ids and equipment as wel l as those permi t ted (c f . Sect ion 3.3) 3) Whether an exam or assessment format ( fo r a re -exam and a make-up exam) other than that

o f the ord inary exam is to be used (c f . Sect ion 8.7) The locat ion and s tar t ing t ime of the examinat ion is announced no la ter than 2 weeks b efo re the examinat ion is to be held .

1.2. Conditions for taking examinations A student can take an exam i f the s tudent is reg is tered for the exam and is not on leave of ab-sence at the t ime of the exam.

1 Tak ing an exam can a lso be subject to whether the s tudent fu l f i ls

or has fu l f i l led cer ta in condi t ions in connect ion wi th the spec i f ic program act iv i t y . A number of such condi t ions can be at tached to the same examinat ion and these can be , for example:

▪ part ic ipat ion in ins t ruct i on, seminars , an in te rnship or the l ike

▪ handing in of wr i t ten ass ignments or the l ike

▪ complet ion of cer ta in – or a l l – program act i v i t ies The condi t ions for tak ing a spec i f ic exam must be met and approved by the s tudy board , and the condi t ions must be spec i f ied in the descr ip t ion of the semester . I f the s tudent fa i ls to comply wi th the condi t ions for tak ing an exam then the s tudent has used an examinat ion at tempt . I f an exam submiss ion is re fused by the the program secretary in that i t has not met these condi t ions, the s tudent receives a n admin is t ra t i ve assessment o f “ not as-sessed . ” I f an exam submiss ion is re fused by the assessors , the s tudent must be reg is tered wi th the lowest poss ib le g rade ( i .e . , e i ther “ -3” o r “ fa i l ” ) .

1.3. Absence from examinations etc. 1.3.1. Absence f rom an examinat ion I f a s tudent is reg is tered for an exam and is absent , the s tudent is reg is tered as “absent ” which counts as an examinat ion at tempt , and the s tudent may not take a re -exam in the same exam per iod. The s tudy board may grant an exempt ion f rom th is in case of unusual c i rcumstances or when spec ia l c i rcumstances re la t ing to the near complet ion of the program apply. Documented i l lness (c f . Sect ion 8.3) and va l id wi thdrawal o f reg is t ra t ion (c f . Sect ion 2.2 ) are cons idered va l id reasons for absence. La te ar r iva l to an exam is handled as spec i f ied under Sec-t ions 3.1 and 3.2. For week- long ass ignments , ora l exams wi th preparat ion, and the l ike, the exam begins by d i s-t r ibut ing the mater ia l tha t is to be the bas is for the exam. For pro ject exams, the s tuden t has taken the exam i f the s tudent has submi t ted a pro ject report regard less of whether the s tudent is absent f rom the ora l exam. In such a case, the s tudent is reg is tered wi th the lowest poss ib le grade ( “ -3 ” o r “ fa i l ” ) . 1 .3 .2. On t ime submiss ion of a paper The s tudy board can, upon appl icat ion , grant an exempt ion f rom the s t ipu lated deadl ine i f there are spec ia l c i rcumstances .

2. EXAM REGISTRATION AND WITHDRAWAL

2.1. Registration for program activities and examinations Regis t ra t ion for a program act iv i t y extends automat ica l ly to reg is t ra t ion for that act i v i t y ’s o rd i -nary exam(s) . Regis t ra t ion for a program act iv i ty is done by the s tudent v ia the STADS sel f -service system. Exam regis t ra t ion may be subject to approved compulsory e lements spec i f ied in the curr icu lum, fo r example c l in ica l p lacements or o ther sk i l ls -based e lements . I f the s tudent does not pass the exam on the f i rs t a t tempt , the s tudent handles the reg is t ra t ion for a second exam at tempt . In such a case, the s tudent may reg is ter for a re -exam in the same exam per iod or reg is ter for a subsequent ord inary exam. W hen regis ter ing for a th i rd exam a t -tempt , the s tudent handles the reg is t ra t ion and normal ly may only reg is ter for an ord inary exam. The s tudy board may grant an exempt ion f rom th is . Regis t ra t ion for a re -exam is done wi th the p rogram secretary. Regis t ra t ion for a re -exam mus t take p lace no la ter than 12.00 noon f i ve work ing days before the exam is to be held ( for p ro ject exams, bachelor ’s pro jects and master ’s theses, the s tar t t ime of the exam is cons idered to be the t ime for submi t t ing the wr i t ten repor t ) . For s tudents in the f i rs t year o f s tudy of a bachelor ’s or a bachelor o f engineer ing program regi s-t ra t ion is handled by the univers i ty for the f i rs t and second semesters . For s tu dents in a master ’ s program who only need to pass the master ’s thes is , reg is t ra t ion for the thes is seme ster is a lso done by the univers i ty ( i f the s tudent has not reg is tered themselves ) . Students who a re absent f rom or do not pass the master ’s thes is are a utomat ica l ly reg is tered fo r the re -exam. The ru les on th is are descr ibed in more deta i l in Sect ion 8.6. A s tudent who has leave f rom the program cannot reg is ter for or take any type of exam dur ing the leave per iod. The Danish Agency for Sc ience and Higher Educat ion may grant an exem pt ion f rom th is i f the re are spec ia l c i rcumstances. Once the per iod o f leave has ended, the s tudent can take the exams and tests in the program where the s tudent has had leave.

2.2. Withdrawal of exam registration For s tudents who a re enro l led in a fu l l t ime program i t is poss ib le to wi thdraw the i r exam regis t r a -t ion f rom the f i rs t exam at tempt i f th is is done before the expi ra t ion o f the reg is t ra t ion per iod outs ide the normal dead l ine

3 (except for s tudents in the f i rs t year o f a bachelor ’s or bachelor o f

engineer ing program and for s tuden ts who only lack the thes is semester o f the master ’s pr o-gram. For the reg is t ra t ion per iod outs ide the normal deadl ine, reg is t ra t ion is cons idered b ind ing and the module can thereaf ter no t be r ep laced by other e lements regar d less of whether i t is an e lect ive o r compulsory module. Students in the f i rs t year o f s tudy in a bachelo r ’s or bachelor o f engineer ing program and s t u-dents who a re reg is te red for the thes is semeste r o f the master ’s program cannot wi thdraw the i r reg is t ra t ion fo r the f i rs t exam at tempt . The s tudy board may grant an exempt ion f rom the ru les on reg is t ra t ion and wi thdrawal o f reg i s-t ra t ion i f the s tudent is an e l i te a the lete, i f the s tudent has a d isabi l i ty or i f there are spec ia l c i rcumstances (c f . Sect ion 2.3 ) . For s tudents who must make a second and th i rd examinat ion at tempt and for s tudents under the Part - t ime Order wi thdrawal o f exam regis t ra t ion can take p lace no la ter than 12.00 noon f ive work ing days before the day the e xam is to be he ld ( for pro jec t exams, bachelor ’s pro jects and master ’s theses the s ta r t t ime of the exam is cons idered to the the t ime for submi t t ing the wr i t ten report ) . Students who a re reg is tered fo r the thes is semester are exempted f rom th is ru le s ince they are automat ica l ly reg is tered and cannot wi thdraw the i r reg is t ra t ion for the second and th i rd exam at temtps. W ithdrawal o f reg is t ra t ion does not apply to exams where assessment is made on the bas is of c lass par t ic ipat ion, e tc .

2.3. Exemptions The s tudy board , upon appl icat ion , may exempt the s tudent f rom the ru les for reg is t ra t ion o r wi thdrawal o f reg is t ra t ion i f the s tudent is an e l i te a th le te, i f the s tudent has a d isabi l i t y o r i f there are spec ia l c i rcumstances . Under normal c i rcumstances , an exempt ion cannot be gran ted af te r the t ime the examinat ion should have commenced. W ith submiss ion of the pro ject report bachelo r ’ s pro ject , or master ’s thes is the s tudy board can grant an exempt ion f rom the submiss ion deadl ine ins tead of wi thdrawing the exam student ’s re g-is t ra t ion. The s tudy board can grant t h is type o f exempt ion i f there are spec ia l c i rcumstances and the s tudy board a lso determines that an extens ion of the deadl ine is more appropr ia te than wi thdrawal o f the exam regis t ra t ion. I f an exempt ion is to be granted accord ing to the above provis ions , no t i f i cat ion of the exempt ion is a lso submi t ted to the head of s tudy, the programme secretary, and the facul ty who then han-d les the reg is t ra t ion or wi thdrawal o f reg is t ra t ion on behal f o f the s tudent .

3. RULES FOR CONDUCTING EXAMINATIONS ETC.

3.1. Oral examinations The s tudent must br ing a va l id s tudent ID and i t must be presented on demand. Students must arr i ve a ha l f -hour before the exam is to begin . In the case of la te arr iva l , the s t u-dent can be g iven the opt ion to take the exam at a la ter t ime i f the head of s tudy

5 spec i f ica l ly

judges the delay to be reasonable. 3 .1 .1. Access to the examinat ion room Oral exams are publ ic ; see however the except ions below. A paper wr i t ten by severa l s tudents in a course module can be fo l lowed up wi th e i ther a g roup or an ind iv idual ora l examinat ion. Cl in ica l exams wi th pa t ient par t ic ipat ion a re only publ ic wi th the pat ient ’ s permiss ion. The s tudy board can l im i t access to the examina t ion room fo r adequate space reasons or in cas-es where cons idera t ion of the s tudent o r any s igned agreements on conf ident ia l i ty ca l l for th is . Ind iv iduals can be denied access to the exa minat ion room or be removed f rom the room i f i t is deemed necessary to ensure the necessary qu iet and order . L ikewise, the s tudent may be re -moved f rom the examinat ion room i f i t is deemed necessary wi th regard to complet ing the exam or to other examinees. 3.2. Written examinations with invigilation The s tudent must br ing a va l id s tudent ID and i t must be presented upon en try to the exam room. In order to ensure that the exam star ts on t ime, the s tudent must arr ive a ha l f -hour before the exam is to begin. W i th regard to the durat ion o f the examinat ion , the c lock s tar ts when a l l the examinees that have arr i ved on t ime have been g iven the exam a ss ignment . A s tudent who has arr ived la te on ly has access to the exam room i f the person respons ib le for the course spec i f ica l ly deems the delay to be rea sonable and has ru led out that th is s t udent has had access to in format ion about the exam. Students wi l l not be a l lowed entry to the exam room la ter than a hal f -hour a f ter the exam has begun ; ext ra t ime for the exam is not normal ly a l l owed in the case of la te a rr i va l . On account o f la te arr iva ls , those s tudents who do not wish to take the exam are permi t ted to f i rs t leave the room a ha l f -hour a f ter the exam has begun.

Students must not leave the i r p lace wi thout f i rs t check ing wi th an invig i la tor o r leave the exam room ( to use the washroom, or the l ike) wi thout be ing accompanied by a guard. I f doubt ar ises about an exam ass ignment , inc lud ing th at which is due to an er ror in the ass ign-ment , s tudents can have ext ra t ime f o r the i r paper accord ing to the judgment of the person re-spons ib le for the exam. 3.3. Aids and equipment for the exam Announcement of the a ids and equipment for the exam – those necessary as wel l as those pe r-mi t ted – must occur no la ter than the announcement of the t ime the exam is to be held. U nless the s tudy board has drawn up genera l ru les regard ing the use of a personal computer or s imi lar e lect ron ic equipment dur ing an exam, the exten t to which a personal computer can be used dur-ing the exam must a lso be commun icated at th is t ime.

3.4. Special circumstances The s tudy board , upon appl icat ion , can arrange spec ia l exam condi t ions for s tudents wi th phys i -ca l or menta l d isabi l i t ies ,

7 s tudents wi th a nat i ve language other than Danish and s tudents wi th

comparable d i f f icu l t ies . This presumes that the s tudy board deems, for the spec i f ic examinat ion, that th is is necessary in order to ensure th at such s tudents are on equal foot ing wi th others in the exam s i tuat ion. I t is a lso a condi t ion that this o f fer does not resul t in lower ing the leve l o f the examinat ion. In some cases the s tudy board may dete rmine that the d isabi l i t y is such that the s tud ent must be of fered spec ia l exam condi t ions for a l l exams in the program. The s tudy board ’s exem pt ion must spec i fy whether th is appl ies to par t icu lar exams (and i f so, which ones) or whether th is appl ies to a l l exams in the program. I f the s tudent documents a re levant , spec i f ic d isabi l i ty , and spel l ing and prof ic iency in wr i t ing are not a s ign i f icant par t o f the exam’s ob ject i ve , th e s tudy board , upon appl icat ion , may exempt the s tudent f rom the cur r icu lum’s requi rement that an assessment o f spel l ing and p ro f ic iency in wr i t ing a lso en ters in to the assessment o f an exam paper. Unless otherwise ind icated in the curr icu lum, or un less spec ia l c i rcumstances exis t , the appl ic a-t ion for spec ia l condi t ions must be in the hands o f the s tudy board no la te r than s ix weeks before the exam is to be held. Students wi th phys ica l o r menta l d isabi l i t ies may a lso apply for spec ia l pedagogica l support f rom the SU Off ice. I f the s tudent receives a ids th rough the spec ia l pedagogoica l support system that are to be used for one o r more exams, s tudents must apply to the s tudy board for an exem pt ion to use the a ids. For example, th is can re la te to us ing computers wi th ass is t ive technology equipment or books that are loaded onto a d ig i ta l medium.

3.5. Academic dishonesty Academic d ishonesty inc ludes, among other th ings, cases where the examinee, dur ing an exam:

▪ obta ins or g ives another examinee unauthor i zed help in tak ing an exam

▪ uses a ids and equipment that are not permi t ted

▪ uses fa ls i f ied data or submi ts another ’s work as h is /her own work (p lag ia r ism) or

▪ uses h is /her own previous ly assessed work wi thout re ference (se l f -p lag iar ism) . Addi t ional l y, cases where an examinee at tempts to in f luence the assessment or change the bas is of the assessment a f ter the exam, inc lud ing by cont inu ing an answer a f ter the examinat ion has been conc luded, are a lso cons idered to be academic d ishonesty . I t a lso const i tu tes academic d ishonesty or a t tempted academic d ishonesty i f the examinee’s technica l equipment communicates or a t tempts to communicate wi th equipment not author ized for the exam wi thout there being expl ic i t permiss ion for th is . 3.6. Expulsion from an examination Expuls ion f rom an exam may take p lace in cases where acad emic d ishonesty or a b reach of e x-aminat ion ru les has been determined . Expuls ion may take p lace prospect ive ly or re t roa ct i ve ly and means that the s tudent has used an examinat ion at tempt and does not receive an asses s-ment o f h is /her per formance . The head of s tudy, the person author ized by the head of s tudy, or the assessors in agreement are author ized to expel a s tudent f rom the exam whi le the exam is in progress. In such cases, a dec is ion must then be made based on the d iscip l inary ru les where the mer i ts o f the expuls ion are evaluated. The head of s tudy is au thor ized to review expuls ions ret roact i ve ly. I f the c i rcumstances are e x-t raord inary, the Rector , upon request , can dec ide whether the review of the case is t ransfer red to the Recto r . I f a s tudent is expel led f rom an exam, any assessment wi l l be annul led and the s tudent receives and admin is t ra t i ve assessment o f “no t assessed . ”

4. TYPES OF EXAMINATIONS With the determinat ion o f the format o f the examinat ion the s tudy board must ensure

1) that an ind iv idual assessment of the s tudent ’s per formance is made , 2) that i t is poss ib le to assess to what extent the s tudent fu l f i ls the module ’ s learn ing ob jec-

t ives , 3) that the examinat ion ’s fo rmat is in agreement wi th the course’s other d idact ic var iab les

4) that the examinat ion ’s content corresponds wi th the a l lo t ted examinat ion t ime. Unless otherwise ind ica ted in the curr icu lum, the exam is based on the evaluat ion cr i ter i a as they appear in an addendum to the Jo int Program Regulat ions .

4.1. Examinations in course and Case modules Examinat ions in course modules can be ind iv idual exams, g roup exams or a combinat ion thereof . I f the format o f the examinat ion in a course module is not fur ther s t ipu lated in the curr icu lum , the person respons ib le for the course no t i f ies the s tudents and the s tudy board as to the fo rmat and the durat ion of the examinat ion , no la te r than two weeks af ter the s tar t o f the course . The s tudy board can requi re the person respons ib le for the course to use a pa r t icu lar format for the examinat ion . The se lec t ion of an examinat ion format must comply wi th the gu ide l ines set out be low as wel l as any addi t ional provis ions in the curr icu lum for the ind iv idual program. Examinat ions in courses can be wr i t ten o r o ra l o r a combinat ion thereof and i t is poss ib le to per-form assessment dur ing the course. Al l types of exams must be prec ise ly descr ibed and access i -b le for the spec i f ic semester in addi t ion to what i s s ta ted in the cur r icu lum. W ith ora l exams at least two assessors a lways par t ic ipate. W ith week- long ass ignments , ora l exams wi th preparat ion and the l i ke, the exam begins wi th d is t r ibut ion of the mater ia l that serves as the bas is for the exam. 4.2. Examinations in project modules9 As a bas is for the examinat ion, each pro ject group jo in t ly p repares a pro ject report where the ind ividual examinee’s contr ibut ion is not ind icated . The report conta ins an account o f the p ro ject work ’s issues, resul ts and use of theory and methods. The s tudy board can approve a fo rmat o f report ing o ther than a p ro ject report , such as a sc ient i f ic ar t ic le , through a genera l ru le in the curr icu lum, or based on pr ior appl icat ion. F ina l pro ject reports

10 must provide a summary in a fore ign language . I f the pro ject report is wr i t -

The point o f departure for the examinat ion is the pro ject report and the examinat ion cons is ts o f a jo in t presentat ion, a jo in t d iscuss ion and ind iv idual ly or iented quest ions. The quest ions must be based on the p ro ject report submi t ted by the group and must incorporate the centra l top ic s wi th in the pro ject module ’s learn ing object i ves . The examinat ion is normal ly conducted by the students ’ main supervisor (s) (examiner ) . The as-sessors can a l l ac t ive ly contr ibute dur ing the examinat ion . Time a l loca t ions are as fo l lows: fo r pro jects of 15 ECTS credi ts and over , 45 minutes per exam i-nee for the examinat ion and grading process wi th a maximum of f i ve hours in to ta l fo r the ent i re pro ject group; for pro jects of less than 15 ECTS credi ts , 35 minutes per examinee wi th a maxi -mum of four hours in tota l for the ent i re pro ject group ; for bachelor ’s pro jects (both bachelor ’s programs and bachelor o f engineer ing programs) , master ’s theses, master ’s (cont inu ing educa-t ion) pro jects , 60 minutes per e xaminee.

4.2.2. Assessment Only the assessors can be present dur ing the grading process . However , the head of s tudy may dec ide that fu tu re examiners may observe the grading process . An ind iv idual assessment o f the s tudent ’ s per fo rmance is made. This assessment must evaluate to wha t degree the s tudent ’s per formance fu l f i l l s the pro ject module ’s learn ing object i ves . The assessment is made of the ind iv idual s tudent based on the learn ing object ive. The asses s-ment must a lso be based on an overa l l eva luat ion of the pro ject report ,

11 the presentat ion, the

jo in t d iscuss ion and the ind iv idual l y or iented quest ions . In order fo r the examinee to pass the exam, a l l these aspects must be sat is factory. The pro ject report is thus par t o f the overa l l bas is for the assessment , and is not g iven an independent grade. When s tudents have submi t ted a pro ject report on t ime and in accordance wi th the formal r e -qui rements of the curr icu lum, the s tudy board is ob l igated to ho ld an ora l examinat ion. When the assessment is made, each ind iv idual s tudent is to ld h is /her g rade. The examinee has the r ight to be to ld h is /her grade and the reasoning for i t wi thou t the par t ic ipat ion of the other examinees or the audience . Subsequent l y, the en t i re pro ject group receives feedback f rom the in te rnal and external examin-ers on the pro ject repor t , the presenta t ion and the rest o f the exam process.

4.3. 5. LEARNING OBJECTIVES, EXAMINATION AS-

5.2. Formulation of the examination assignment

Assignments for a wr i t ten examinat ion wi th inv ig i la t ion are formulated in accordance wi th the ins t ruct ions of the s tudy board and are submi t ted to the program secretary no la te r than 14 days before the examinat ion is to be held. The exam ass ignment must be submi t ted to the exte rnal examiner fo r comment before i t is submi t ted to the program secretary. I f assessment is in ternal or the exam is assessed by only one assessor , the exam ass ignement must be reviewed by a re levan t co l league at AAU. Along wi th the examinat ion ass ignment , the p rogram secretary must be in formed of the name and te lephone number of the person des ignated by the s tudy board as respons ib le for the examina-t ion. The person respons ib le for the exam must be avai lab le by te lephone dur ing the ent i re exa m so that any quest ions that may a r ise about the ass ignment can be quick ly resolved. The text o f the ass ignment must inc lude in format ion about the a ids, permi t ted and necessary, as wel l as prec ise in fo rmat ion about the na ture and number of a t tachments .

5.3. Releasing examination assignments and examination papers The s tudent has the r ight to obta in a copy of both the examinat ion ass ignment and h is /her own exam paper.

6. INTERNAL AND EXTERNAL EXAMINATIONS

6.1. Internal and external examinations Examinat ions a re e i ther in ternal or external . An in ternal exam is an exam that is assessed by one or more teachers (examiners) des igna ted by the s tudy board f rom among the teachers at AAU. An exte rnal exam is an exam that is assessed by one or more examiners and one or more external examiners appo inted by the Danish Agency fo r Sc ience and Higher Educat ion . Both ex-aminers and external examiners are de s ignated as assessors .

6.2. Designation of examiners and external examiners External examiners are appointed by the chai r o f the re levant corps of external examiners on the recommendat ion of the study board. Aalborg Un ivers i ty must not use external examiners who are employed or who have been employed wi th in the las t two years at Aalborg Univers i ty For an in ternal exam in a pro ject , in addi t ion to the examiner(s) who have supervise d the s tu-dents in the semester in quest ion, a t least one addi t ional examiner is des ignated who has not taught the s tudent in the semester in quest ion.

An in ternal examinat ion can be rep laced by an exte rnal exam, upon approval f rom the s tudy board, i f for example the module in quest ion inc luded s tudents under another cur r icu lum requi r -ing exte rnal examinat ion . ▪ Examinees ’ papers f rom wr i t ten examinat ions

▪ Quest ions prepared in advance fo r use dur ing an ora l exam inat ion Assessors must be not i f ied that they have been ass igned the task of examiner or external exa m-iner in enough t ime to have the opportun i ty to become fami l iar wi th the mater ia l re la t ing to the exam. For exams based on a p ro ject report , the assessor, under normal c i rcumstances, must have the repor t in hand no la ter than two weekends before the e xam.

6.3. Duties of the external examiner 14 The external examiner must ensure,

1) that the requi rements fo r the content o f the examinat ion comply wi th the object ives, com-petences and other requi rements s t ipu lated fo r the program ( inc lud ing in the program’s minis ter ia l order and cur r icu lum)

2) that quest ions prepared in advance a re comprehensive 3) that the examinat ion is carr ied out in accordance wi th the current l y va l id ru les 4) that the s tudents receive uni form and fa i r t rea tment and the i r per formances receive a re l i -

ab le assessment in accordance wi th the ru les on grading in the Min is ter ia l Order on t he Grading Scale and Other Forms of Assessment o f Univers i ty Educat ion , inc lud ing ru les st ipu lated on th is in the program’s curr icu lum and other ru les on the p rogram .

7. ASSESSMENT AND GRADING

The assessment is g iven by the examiners , or , i f there are s evera l assessors , fo l lowing a d is -cuss ion among these. Each assessor must make notes dur ing the g rading process on the i r evaluat ion o f the per fo r-mance and on the determinat ion of the grade fo r u se in any appeal . The notes must be kept fo r a t least one year , and in addi t ion to th is , unt i l any appeal is c losed.

15 The assessors must keep

the s tudent ’s exam paper for a t least one year . Once an examinat ion has commenced, an assessment is g iven unless the exam is in terrupted by i l lness, which jus t i f ies a make-up exam. I f an exam is in terrupted by an expuls ion, the resul t “not assessed ” is reg is tered and the s tudent has used an examina t ion at tempt . In order to pass an examinat ion, i t is requi red that the s tudent achieve a grade of a t least 02 or the assessment “Pass.”

15 The notes a re regarded as persona l documents that are not a t tached to a case and are not encom-passed by adm in is t ra t i ve l aw o r pub l i c law regu la t ions rega rd ing r ight o f access to doc uments . 7.1. Disagreement over the assessment 7.1.1. Disagreement over grading accord ing to the 7 -point sca le I f a f ter a d iscuss ion the assessors are in d isagreement over a grade, the in ternal and any exte r-na l examiners each g ive a grade . I f there are seve ra l in ternal and exte rnal examiners , then the groups each g ive one grade . The grade for the examinat ion is an aver age of these g rades rounded of f to the c losest grade in the grade scale. I f the average l ies between two grades, the f ina l g rade is the c losest h igher grade— i f the external examiner has g iven the h ighest gra de , and otherwise the c losest lower g rade. I f there is d isagreement over a grade wi th in the in ternal examiner g roup or wi th in the exte rna l examiner group, each in ternal or external examiner g ives a grade. The grade fo r each group is the average of the grades g iven wi th in t he g roup rounded of f to the c los est grade in the grade scale. I f the average l ies between two grades, i t is rounded up to the c losest h igher grade . 7 .1 .2. Disagreement over assessment as “Pass” or “Fai l ” I f a t least ha l f o f the assessors assess the per formance as “Pass,” th is is the resul t , un less one or more external examiners take par t and these a l l assess the per formance as “Fai l . ”

7.2. Announcement of the assessment The resul t o f the examinat ion must be d isc losed, i .e . , communicated to the s tudent . Unless the assessment i s to ld to the s tudent immediate ly fo l lowing the examinat ion, the date fo r when the assessment wi l l be d isc losed must be communicated at the same t ime as the an-nouncement of the date the exam is to be held (c f . Sect ion 1.1 ) . The t ime per iod for communicat ion of the assessment must l ie wi th in the fo l lowing t ime l imi ts :

1) For ora l exams, the assessment is g iven immediate ly a f ter the exam is he ld16

2) For wr i t ten exams, the assessment must be communicated to the s tudent no la ter than 20

3) For assessments dur ing a course, the assessment must be g iven no la ter than 15 work ing days af ter the course ends i f the exam is not in the Dig i ta l Exam system. I f the exam is in the Dig i ta l Exam system, the assessment must be reg is tered no la ter than 20 work ing days af te r the course ends.

The assessment is personal . Students thus have the r ight to receive an assessment o f an ora l per formance wi thou t the par t ic ipat ion of the other examinees or the audience . In cases where the assessment is not communicated immediate ly a f ter the exam, s tudents are in formed via the STADS sel f -service system.

8. RE-EXAMS AND MAKE-UP EXAMS Re-exams, re-exams (omprøve) and/or make-up examinat ions (sygeeksamen) in a program act i v-i ty are he ld for s tudents who requi re th is in accordance wi th the provis ions in Sect ions 8.2 or 8 .4. Make-up exams are held as a ru le at the same t ime as re-exams. A re-exam (reeksamen) is an exam in a program act iv i t y he ld due to the s tudent having taken and fa i led an exam. A make-up exam (sygeeksamen) is an exam in a program act iv i ty for s tudents that were unable to par t ic ipate in the act i v i t y ’s ord inary exam due to documented i l l ness in the t ime per iod for the ord inary exam. A re-exam (omprøve) is understood as an ext raord inary examinat ion in a program act iv i ty he ld due to the fact that the univers i ty ident i f ied er rors or omiss ions in connect ion wi th ho ld ing an exam and cor rec ted the error o r omiss ion by hold ing a new exam . For the th i rd at tempt on in ternal examina t ions that are assessed so le ly by one in ternal exami ner , the s tudent is ent i t led , upon wr i t ten request to the s tudy board, to have more than one a ssessor par t ic ipate. I f the s tudent wishes to make use of th is opt ion for addi t ional assessors , the s t u-dent must submi t a request to the s tudy board a t the same t ime as reg is ter ing fo r the th i rd exam at tempt .

8.1. Number of examination attempts etc. Examinat ions that have been passed cannot be re - taken unless i t is a re -exam (omprøve) . Stu-dents cannot take exams for modules that a re credi t - t ransfe rred. A s tudent has the r ight to a to ta l o f three examinat ion at tempts . The s tudy board , upon appl ica-t ion, can permi t addi t ional examinat ion a t tempts i f there are spec ia l c i rcumstances . A lack of academic apt i tude must not be inc luded in the s tudy board ’s evaluat ion of whether there are spec ia l c i rcumstances . At the request o f the s tudy board, t he facul ty terminates the enro l lment o f the s tudent who is unable to cont inue the p rogram due to the fact that s /he has exhausted a l l examinat ion at tempts .

8.2. Holding and taking re-exams and make-up exams Students who have taken but not passed the ord inary exam must reg is ter for a re -exam them-selves. The except ion to th is is s tudents in the thes is semester o f the master ’s program who have not passed the f i rs t exam at tempt ; in th is case reg is t ra t ion for the re -exam is done by the univers i ty. I f the s tudent is absent f rom the f i rs t exam at tempt the s tudent cannot reg is ter for the second exam at tempt as a re -exam in the same examinat ion per iod. The s tudent may only reg is ter fo r the next ord inary exam.

17 The s tudy board may grant an exempt ion f rom th is i f there are unusual

c i rcumstances or when spec ia l c i rcumstances re la t ing to the near complet ion of the program apply The date the re -exam and/or make-up exam is to be held , as wel l as the locat ion and the s tar t ing t ime for the exam, is announced in accordance wi th the provis ions in Sect ion 1.1. Students who are ent i t led to take the re-exam or make-up exam must have th is poss ib i l i ty . To the extent pos-s ib le , re -exams and make-up exams are held w i th in the fo l lowing t ime l imi ts , though ear l ies t 14 days af te r the s tudent has received the assessment o f the o rd inary exam :

1) For ord inary exams held dur ing the spr ing semester (su mmer exam): No la ter than August 2) For ord inary exams held dur ing the fa l l semester (winte r exam): No la ter than February

8.3. Documented illness and make-up examinations In the case of i l lness, the program secreta ry must be contacted as quick ly as poss ib le . For absence due to i l lness, the s tudent is re gis tered as “absen t ” un less a doctor ’s cer t i f ica te , that documents that the s tudent was i l l a t the t ime the ex am was held, is submi t ted to the p ro-gram secretary . The same appl ies i f i t was necessary fo r the s tudent to leave an examinat ion room due to i l lness dur ing the exam and is ent i t l ed to a make-up exam. In genera l , the doctor ’s cer t f icate may only be accepted as documentat ion of a va l id reason for absence i f the s tudent has consul ted wi th the doctor no la ter than the actual day of the exam. The s tudy board can address the conten t o f the doctor ’s cer t i f icate when the s tudy board eval u-ates whether the s tudent should be g iven an exempt ion. Any expenses for obta in ing the cer t i f i -cate are paid by the s tudent . The doctor ’s cer t i f icate must be submi t ted to the program secretary no la ter than two weeks af te r the exam is he ld . W hen the program secretary receives the do ctor ’s cer t i f icate i t is sent immed i -a te ley to the facul ty who, w i th submiss ion of the doctor ’s cer t i f icate on t ime, reg is ters the absent s tudent as “ i l l ” and the absence thus does not count as an examinat ion a t tempt . I f the p rogram secreta ry is in doubt a s to whether the s tudent ’s documentat ion of i l lness is a c-ceptable, the program secretary contacts the s tudy board . In such cases, the s tudy board de-c ides whether the s tudent ’s documentat ion is adequate and on tha t bas is whether the s tudent is reg is tered as “ i l l . ” Make-up examinat ions a re held under the condi t ions that apply for re-exams.

8.4. Re-examination and re-assessment following an appeal A re-examinat ion fo l lowing an appeal is understood as an ext raord inary ho ld ing of an examina-t ion ( i .e . , outs ide the ord inary exam per iods) in a program act iv i t y where hold ing the exam is due to the s tudent having been of fered a re -exam in connect ion wi th a compla in t or an appeal , or is due to an exam, in connect ion wi th a compla in t or an appeal o r because of an er ror or omiss ion in an exam, is annul led and a re-exam is a rranged. The dean ’ s o f f ice may review a case concern ing errors and omiss ions in connect ion wi th an e x-aminat ion on i ts own in i t ia t ive. In th is context , the facul ty can of fer an ext raord inary re -examinat ion to a l l s tudents whose exam suf fers f rom the erro r or omiss ion. The spec i f ic c i rcum-stances for tak ing any re -examinat ion wi l l appear in the facul ty ’s dec i s ion. Re-assessment means a re -evaluat ion of the case f i le , inc lud ing the ass ignment , the ans wer to the ass ignment , the compla in t , the s ta tement o f the o r ig ina l assessors , the compla inant 's s ta t e -ment , the compla inant 's comments and AAU’s decis ion by new assessors , prompted by the s tu-dent having been of fered re -assessment o f a wr i t ten exam in connect ion wi th a compla in t o r an appeal . I f a s tudent wishes to accept the of fer o f a re-examinat ion or re-assessment fo l lowing an appeal , s /he must submi t an appl icat ion to the s tudy board before the exp i ra t ion of the deadl ine s t ipu la t -ed in connect ion wi th the of fer be ing g iven. The deadl ine is ca lcu lated f rom the t ime when the s tudent has received the of fer . A re-examinat ion or re -assessment in connect ion wi th an exam appeal can resul t in a lower or a h igher grade than that which was g iven fo r the examinat i on which the appeal concerns . Assess-ment fo l lowing a re -assessment or re -examinat ion cannot be b rought before another admin is t r a -t ive author i t y un less the appeal concerns legal i ssues. The s tudy board is respons ib le for ensu r-ing that a re -exam or re -assessment fo l lowing an appeal is done as soon as poss ib le .

8.5. Re-exam or make-up examination in project modules A re-exam in a pro ject module can take p lace in the fo l lowing ways:

a) The s tudent is assessed accord ing to the ru les corresponding to those of the p revious ex-aminat ion on the bas is o f the or ig ina l pro ject report .

b) The s tudent submi ts a pro ject report that is revised and/or extended in re la t ion to the or i g-ina l report . The revised pro ject report is handed in before the expi ra t ion of a deadl ine agreed upon wi th the main supervisor . The s tudent is assessed accord ing to the ru les cor-responding to those of the previous examinat ion, but on the bas is of the new pro ject re-por t .

c ) The s tudent is assessed on the bas is of a new pro ject . Make-up examinat ions take p lace accord ing to le t ter a . I f the s tudent does not submi t the pro ject report on t ime, the s tudent is reg is tered as absent . I f th is is a f i rs t exam at tempt ,

the s tudent cannot take the next re-exam ( the except ion to th is is s tudent in the thes is s e-mester o f the mas ter ’s p rogram).

I f a re-exam is due to the fact tha t the s tudent has not passed an exam, a short wr i t ten s tate -ment must be p repared on the in i t ia t ive of the main supervisor and sent to the s tudent and the s tudy board no la ter than e ight days a f ter the exam is he ld. The s tatement must inc lude in fo r -mat ion on the reason that the s tudent ’s per formance could not be cons idered as fu l f i l l ing the object ives of the pro ject , and a substan t ia ted recommendat ion s tat ing in which of the above ways the re-exam should take p lace. In connect ion wi th th is , gu idance i s g ive n to the s tudent as to what improvements wi l l lead to the s tudent be ing able to fu l f i l l the object ives of the pro ject . The s tudy board makes a dec is ion on the way the re-exam must take p lace. The dec is ion is made on the bas is of a recommendat ion f rom the main supervisor and a s tatement f rom the s t u-dent ob ta ined wi th at least one week’s not ice. The t ime per iod fo r ho ld ing the exam is s t ipu la ted by the s tudy board on recommendat ion f rom the main supervisor and the s tudent wi th four weeks ’ not ice. The deadl ine can be shorter than four weeks i f th is has been accepted by the s tudent . Par t icu lar l y for maste r ’s theses, the s tudent hands in a p ro ject report wi th a revised formulat io n of the subject mat ter wi th in a deadl ine s t ipu lated by the head of s tudy af ter which an exam is he ld on the bas is of the new pro ject accord ing to ru les corresponding to those of the p revious exam.

A s imi lar procedure is used wi th any addi t ional re-exams.

8.6 Particularly for re-exams in Master’s (Kandidat) Theses I f the s tudent does no t submi t the master ’s thes is on t ime, the s tudent uses one exam at tempt and is automat ica l ly reg i s tered for the re -exam. The s tudent submi ts a revised formulat ion of the sub ject mat ter in the sa me top ic area tha t is approved by the head of s tudy and the main supe r-visor . The revised fo rmulat ion must be approved no la ter than 14 days af ter the submiss ion deadl ine has expi red .

months f rom the date of approval for the revised formulat ion.20

I f the s tudent does not pass the master ’s thes is in connect ion wi th the ora l exam, the s tudent must submi t a revised formulat ion of the subjec t mat ter wi th in the same top ic area that must be approved by the head of s tudy and the main supervisor . The new deadl ine for the revised form u-la t ion is set by the head of s tudy and must be wi th in three months af ter the revised fo rmulat ion is approved . The revised formulat ion must be approved no la ter than on e month af ter the s tudent has not passed the exam. I f the s tudent does not submi t a revised formulat ion on t ime, the s tudent use s one exam at tempt . In such a case, a new deadl ine of 14 days i s set for submi t t ing the revised fo rmulat ion of the subject .

8.7. Re-exam or make-up examination in courses The t ime per iod for a re-exam in a course is s t ipu lated (c f . Sect ion 8 .2 ) . The da te the exam is to be held is communicated to the s tu dents in accordance wi th the provis ions in Sect ion 1.1. For both re-exams and make-up exams, the s tudent must submi t a n ind iv idual , wr i t t en reg is t ra t ion to the program secre tary. The examiner may dec ide that a re-exam or make-up exam in a course can have a d i f ferent exam format than the ord inary exam i f the opt ion is spec i f ied in the curr icu lum . I f another exam format is se lected, th is must be communicated to the s tudents no la te r than the announcement of the date the re -exam is to be held . Students who must have the i r c lass par t ic ipat ion evaluated a second t ime can demand to take an exam instead. Class par t ic ipat ion that invo lves p ract ica l exerc ises, however, can not be rep laced wi th an examinat ion . The s tudy board must be not i f ied no la te r than by the s tar t o f the course.

9. CONDUCTING EXAMINATIONS ABROAD OR AS VIDEO CONFERENCES

9.1. Exams abroad The s tudy board can approve conduct ing examinat ions abroad when the s tudent and the re levan t examinat ion s i te agree to th is , and when i t is substant ia ted tha t the s tudent cannot take exams in Denmark due to pract i ca l or economic re asons . An examinat ion may only be held abroad i f secur i ty measures in connect ion wi th conduct ing the examinat ion correspond to those tha t apply in conduct ing examinat ions in Denmark. Thus, one or more invig i la tors must be des ignated who must be wi th the examinee th roughout the exam and manage the pract ica l i t ies of conduct ing the exam. Unless the s tudy board has s t ipu lated other ru les, the s tudent must pay fo r the addi t ional e x-penses connected wi th conduct ing the examinat ion abroad. In th is connect ion , i t is ensured tha t the s tudent has dec lared beforehand in wr i t ing that s /he is wi l l ing to pay the re levant expenses on the bas is of the s tudy board ’ s reported est imate of the expected amount . The s tudy board can make conduct ing the examinat ion abroad condi t ional upon advance payment of the amount .

9.2. Exams as video conferences The s tudy board can approve conduct ing examinat ions as video conferences or us ing other tec h-n ica l measures. Secur i t y measures fo r conduct ing such exams tha t cor respond to what is nor -mal ly va l id for conduct ing the exam must be ensured . The s tudy board appoints or approves i n-vig i la tors who must be wi th the s tudent du r ing the exam. Assessors may s tay other p laces than the s tudent , but must conduct the examinat ion and a s-sessment in accordance wi th curren t ru les in genera l .

10. ISSUING DIPLOMAS ETC. 10.1. Issuing diplomas A dip loma is issued in accordance wi th current ru les i f a l l examinat ions are passed. The f ina l examinat ion is used as the bas is for issu ing a d ip loma. The graduate must rece ive the d ip loma no la ter than two months af ter the las t exam is conc luded and the resul t d isc losed. The month of Ju ly does not enter in to the ca lc u lat ion of the two-month deadl ine .

10.2. Issuing documentation for partial completion of a program I f the s tudent leaves a program wi thou t complet ing i t , the facul ty o f f ice , a t the request o f the s tudent , issues documentat ion for the par ts o f the program that have been successfu l ly comple t -ed inc lud ing a s tatement o f the assessment and the number of ECTS cred i ts earned.

APPEAL AND EXEMPTION To the extent that there are spec ia l c i rcumstances and the exempt ion does not contravene or is not prec luded by min is te r ia l order , the s tudy board may grant an exempt ion f rom the examinat ion pol icy, upon a substant ia ted appl icat ion in advance f rom the s tudent . An appeal regard ing an in ternal or external examinat ion is submi t ted to the facul ty o f f ice by the s tudent . The appeal must be in wr i t ing, wi th s ta ted reasons and s igned, and must be submi t ted no la ter than two weeks af ter the d isc losure of the assessment .
