INTRODUCTION

A payroll system involves everything that has to do with the payment of employees and the filing of employment taxes. It helps a lot in such a way that it makes work more progressive and productive and in many ways such as organizing, storing and manipulating data.

Statement of the Problem

ASSF is currently using manual system in managing the payroll. One of the major problems that their manual system could not do is render transactions in a given period of time .They can’t also avoid human errors in generating the employees contributions, monitoring the daily time records of their employees, calculating their loans, cash advances and charges. The administration experiences a hard time in scheduling payroll in early times that makes the employee worried because of lack of budgets .

It often times result in misposting and understating of each employees data of plenty of files that is hard to accommodate.While the treasurer is having lack of time preparing essential reports for the payroll system. A lot of jobs are assigned to the payroll maker and accounting clerk, with cause’s inconvenience to their services. It is also a laborious process because the manual procedure take a long time to finish the task is due to many steps and processes to undergo. There is the collection of data such as DTR, remittances and individual manual calculation of payroll. Individual data is transferred through sheets, encoding and double checking after calculating. All this process requires labor and effort to complete the task.

Objectives of the study

General and Specific Objective

To design and develop an automated payroll management system for ASSF that ensures all information needed is complete, accurate and valid. And only the authorized users could enter and retrieve records.

General Objective

The study’s main objective aimed to help the Archdiocesan School of San Fabian have an efficient and effective way of monitoring their employee’s time keeping and payroll system to give a higher quality of service.

Specific Objective

•Develop a system that will improve ASSF process in the timekeeping and payroll.

Mostly of the problems we can encounter in manual payroll system is having a hard time to monitor the time records of their employees and the exact amount that they can get in their salary.

•Develop a system that will monitor employee’s data that is efficient to useUse biometrics tool (Fingerprint Scanner) that will provide an easy log in and log out of the employees and staff.

•Secure the records of the employees and to have more manageable files. Calculate payroll transaction easily.

Summarize all the deducted contributions of the employees. Automatically calculate the gross pay, subtract the deductions (SSS, PHILHEALTH , PAGIBIG) then generate the net pay and print out the pay slip.

Assures that there will be no data redundancy and all transactions related to employees’ wages will be recorded properly. 

Scope and Limitation

This study focuses on the payroll system of ASSF with regards to the issuance of their employees pay slips. This record will be kept in the proposed system and retrieve if needed.Upon issuance a computerized record will be provided. It covers the process of preparing the pay slip for each employee, keeping of records safety, and computing the exact wages foreach employee. It also includes report list of employee such as their monthly salary and their employees' time in and time out will be recorded .Each time their employees undergo overtime, this will also be recorded.

It will also record their employee’s cash advance and will automatically be deducted in their net salary. Some deductions such as the taxes and contributions will also be computed in the proposed system .

Thus, this proposed computerized payroll system ASSF is expected to generate pay slip of each employee, report list of actual employee, and payroll form for every pay period.

Limitation

The proposed computerized payroll system for ASSF does not support network topology implementation and online program or online transaction.

Methodology of the Study

The spiral model is a risk-driven process model generator for software projects. Based on the unique risk patterns of a given project, the spiral model guides a team to adopt elements of one or more process models, such as incremental,waterfall, or evolutionary prototyping. Proponents preferred the said model because it allows them to develop the system in a series of incremental releases.

DATA FLOW DIAGRAM

A data flow diagram (DFD) is a graphical representation of the "flow" of data through an information system, modelling its process aspects. A DFD is often used as a preliminary step to create an overview of the system, which can later be elaborated.[2] DFDs can also be used for the visualization of data processing (structured design).

This section presents the analysis and interpretation of the gathered data from the respondents to the test the acceptability of the developed system. Data gathering was done through the questionnaires that were distributed to the respondents to test the acceptability of the system.

SummaryThe Archdiocesan School of San Fabian is a Catholic school of the Archdiocesan of Lingayen-Dagupan. It is a parochial school of the Parish of St. Fabian, Pope and Martyr. The ASSF is offering complete and full Pre-Elementary, Elementary and High School studies. It is bringing with her 35 years of formational experience. Summary of pay-outs every day and every week were kept on folder and store in the stack. The main disadvantage of this system was majority of works were done manually and prone on losing the documents.

Computer based payroll system will be design by the proponents mainly to solve the problems of ASSF. The system could quickly generate payroll (automatically calculate the net pay, gross pay). It filters every information enter by the user and ensures data validity and integrity. It also provides a pay slip for employees that that accurately and lawfully explains every detail of their salary.

Conclusions

Based on the findings of the study , the proponents arrived at the following conclusions: The existing system of ASSF is a manual system in managing their employees. The existing system is slow and prone to human errors. The proposed system can also save physical space, since the data will be stored in a hard drive.This proposed system allow for greater efficiency in performing specific tasks both more accurately and more rapidly .The proposed system can make the process of payroll timely, accurately, and conveniently.
