Background of the study

SENTRONG PAMILIHAN NG PRODUKTONG AGRIKULTURA NG

QUEZON is the largest Agricultural Business Market Center found in Sariaya,

province of Quezon. This large agricultural product market was established

under the ownership of Mr.Proceso Alcala Sr. to help the Filipino Farmers

especially in the province of Quezon to sell their agricultural product into

market in an easy way. This agricultural market is open for wholesale and

retail, per kilo, per bundle or per sacks of any types of agricultural product like

vegetables, crops and fruits which are delivered and came into different

partand area of Luzon such as in the CALABARZON Region, Cordillera

Region, and Bicol Region.

This Agricultural Center Market was suffering in the flow of process of

business transaction. Specifically in storing and retrieving important records

and data of a customer. With this the proponents would like to offer or make

system for them that will end and ease the problem they always encountered.

We the proponents noticed that the receipt that a box of that and based on

the proponents study, the department records area where all transaction

receipt were admitted event of selling including the manager is suffering while

recording the product-in and product-out because even though they’re having

a system, but still manually encoding to the computer. They are only using a

logbook, calculator and a paper receipt on calculating the sale.

Their system is only focusing on receipting the customer but on saving

the record it is not included which is important. The point is? Even though

they already having a computer on their office department but they do

manually the encoding the sales of the business, through inputting the

records to access or excel every time the manager needs a report. They keep

every copy of the receipt given to a customer to encode and check manually if

it is equally match to the sales expected. And still the operation is very slow, it

is time consumable, manually looking for the receipt, and manually encoding

the data on computer came from logbook is need a serious effort and patient.

Another bad thing is? Sometimes it comes to a point that they are shortened

in terms of money, and whenever they wanted or not, it was deducted to the

marketer or employee salary who is responsible for the mistake. Therefore we

proposed an organized point of sale system, which is automatically restore

and save record from time to time because we wanted to resolved their

problem and make their work easier, fast and comfortable. So, when the

manager needs a report it was automatically display by clicking the print

button the required report will give a clear and right information output result,

and it has no error.

Conceptual Framework

This figure shows the input, process and output procedures that make

the project study possible. It acted like maps that give coherence to empirical

inquiry. It outlined the possible courses of action and presented a preferred

approach to the system analysis and can be thought as a relational model to

Employee Information

The user will tap their thumb finger in the biometric scanner device

then the payroll system will determined the time-in and time-out of employee.

Database Management System

Another input is the Database Management System it is a computer

program that is designed to manage a database, a large set of

structured data, and run operations on the data requested by Procy’s

Agricultural Product Center Incorporated.

Process

Data Gathering

In this phase the proponents gathered all the data that was needed

from Procy’s Agricultural Product Center Market by observing their operation

that will helped the proponents to identify the problems or difficulties occur in

the Procy.

Data Analysis

In this phase the data flow diagram was formed. With this analysis it

was needed in the designing of the system and it solved any problem that will

occur in the system. The data that was gathered were analyzed to know what

are the important things needed or to eliminate the possible things that are

unnecessary to the system.

Designing the system

In this stage, the proponents constructed a user-friendly interface that

is needed by the user. The proponents used an interface with less complexity

so that it will be much easier for the user of our proposed system. The

programming language used in designing the program is Visual Basic 6.0.

Testing

To provide the Procy’s Agricultural Product Center Market with the

information about the quality of the system the services and process that it

makes through a test.

Implementation

In this stage, the system will be implemented to the authorized user of

the system. They will have a tutorial on how to use the system.

In this stage the software application will be tested so that the user of

General objectives

The main objective of the study is to create a system that will lessen

the time of work to do more business operations and double the human

strength and effort with the help of this proposed system, instead of

computing the receipt manually and saving it manually. It can be saved

instantly by a click of a hand. Also by the help of the system all of the

transaction happening inside the business place will be notice such as the

product delivery came from different farmers in the different area of Luzon,

including the time of hours worked of every employee and its salary.

Specific objectives

1. Develop a system for Procy’s business transaction.

2. Develop a program that will compute instantly the receipt and the

salary of employees.

3. Develop a program that will save all the information that is needed.

4. Develop a system that can be run on a windows XP operating

system and above.

5. Develop a system that is reliable to common users.

6. Create a system which is more efficient to the users.

7. Create an easy to use and well maintained system that can be

manage by the user.

8. Develop a user friendly and executablesystem for computer

desktop.

Research hypothesis

• H0 - Employees are manually computing the agricultural product which

has been purchased from the Procy and manually put it into a handle

device that will execute the receipt and sometimes employee forgot to

connect the device from the server that will cause an error to their

transaction because when the device is not connected to the server it

will not be recorded. They also do manual encoding important

information's to their database even though they have already a

system.

• H1 - They can use our system to lessen the time of work to double the

human effort, to do more job. Instead of doing transaction manually,

making receipt and recording shall be done faster without any error

occurred while using our proposed system for them.

Significance of the study

This study will specifically benefit the following:

Head manager–they can easily find out the flow of the business if the market

reaches the expectation income every month and every year.

Administrators and staff –they can manage the business easily. The

payable salary from the staff will lessen.

CSTC College Inc. –This shall serve as the reference of the students in

terms of developing a POS and Payroll system.

Researcher –the researcher may enhance their skill and knowledge in

developing software project.

Future Researcher – this study will serves as the basis and guidance for

them in making software product for their research project in the future.

Scope and Limitations of the Study

The proponents gathered some of the information from the reliable

websites in the internet, unpublished thesis and journals. And this study will

only focuses on a POS and Payroll System about Procy Agricultural Center

Market.

Scope of the Study:

Encrypted password protection will be used to secure the accounts

of the holders.

It will lessen the time of finding receipt when some customer

comeback and try to retrieve their receipt.

Customers will have a computerize receipt and the transaction will

automatically save to the database of our system.

Date and time of transactions are included.

Payroll system regarding the employee will have an equality to the

salary based on their worked hours.

Payroll system will record the total time for a day and automatically

compute the total salary of the employee.

Only the authorized personnel will have a chance to access the

system.

System with Biometric scanner. These researches include some studies

that is already happened and done in the past. The theories about Point of

Sale and Payroll System with Biometric device and its compatibility issue

to the software that is needed in the development of the software project.

inventory items dealing with product lines, namely books, uniforms,

prowares marketing materials, education related materials, supplies and

courseware. Manual monitoring of the movements of above mentioned

products may cause complexity in processing records of products and

defective goods, short deliveries, determining and monitoring the re-

ordering levels of stocks and generating necessary reports.

The assessment of related literature is very essential because our

study must be based upon the past knowledge. This is so because past

knowledge tell us what is already known, as well as what is still unknown.

This study is very important especially to the researchers because, we get

some tips on how to develop our proposed project, such as research

methods used in the past, instruments used in gathering data, the

statistical computation applied to the past research and the findings and

conclusions of the past investigation which we may relate to our findings

and conclusions. This review of related study serves as the basis and

guidelines in the development of the software project. It provides a lot of

information in the past research, which we may relate to our current study.

Also this review concludes to the researchers to create and think some

concepts that may applied to the proposed system.

Research Design and Methodology

This chapter deals with the used of research methods in developing

the software product. Together with the research methods used, the research

design, the respondents of the study, instruments that will be used, validation

of the instruments as well as data gathering procedures and the statistical

treatment of data.

Research Design

The Proponent used Descriptive Method of Research also known as

Statistical Research. The main goal of this type of research is to describe the

data and characteristics about what is being studied. The idea behind this

type of research is to study frequencies, averages, and other statistical

calculation. Therefore under the descriptive method of research we used

Survey Method.

In this Survey Method of Research, the participants must be reliable in

answering the questionnairesadministered to them. It must be based on their

satisfaction to the software. And respond actively to the interview questions.

After the participants answer the questions, therefore the researchers

describe the responses given. And in order for the survey to be both reliable

and valid it is important that the questions are constructed properly. The

questions should be written and printed clearly so they are good in the eye

and easy to comprehend. Another consideration when designing questions is

whether to include open-ended, closed-ended, partially open-ended, or rating-

scale questions. While in preparing interview questions it must be brief, clear

and focus and always choose the right person to interview, the one who is in

the best position to provide you with an information you need to complement

your research. The interviewee must be knowledgeable, reliable and must be

available for the interview by asking for an appointment before you start to

conduct an interview.

Method used in Developing the Software Product

The Prototyping Model is a systems development method (SDM) in

which a prototype (an early approximation of a final system or product) is

built, tested, and then reworked as necessary until an acceptable prototype is

finally achieved from which the complete system or product can now be

developed

We chose to use Prototyping model to develop our software project

because this model are easily modifiable, either by the developer, or

customer specifications. Prototype or design of this model will be used

because the desired system of our client needs to have an interaction with the

system. Prototyping ensures that the end users constantly work with the

system and provide a feedback which is incorporated in the prototype to

result in a useable system. This model are excellent for designing good

human computer interface systems.

Method used in Evaluating the Software Product

The same with the other software paradigms, the process of

prototyping model is also begins with from of gathering data or identifying the

basic requirements before starting the initial prototype or design, review it

from the users of the system, and finally revise and enhance the system

based on the customer specification.

Requirements

what is the possible solution for their problem.

Design

Designing the interface of the system for the customer and employees

beneficiary, and the staff of the Procy’s to fully understand the system

requirements.

This will be the stage of creating or developing a system for Procy’s

Agricultural Product Center based on their satisfaction for the final prototype

implemented by the proponents to them.

Testing

The Procy’s Agricultural Product Center will test the system if it is

exactly appropriate and meet their satisfaction for the system and if it is

working properly as the researchers said.

Deployment

When the system is approved and the Procy’s is willing to use the POS

and Payroll system for them. They can deploy or open it and make it available

to their business.

Maintenance

The system will be maintained by a professional or the developer of

the project so that they will know what to do in case of any problem

encountered or appeared in the system.

In addition, project develop with the use of prototyping model must be

built in a manner that enables maintenance to be performed expeditiously.

remaining 48 users of the software or 87.27% of the total respondents were

chosen because they are the person who will use the system.

Data Gathering Procedure

The interview question, check list and survey method was the main

instrument to be used in this study. The researcher create a reliable interview

question and sought permission from the President of Operation at

to disseminate our questionnaires to our target subject to get and assure the

reliable information and response that the respondents would provide.

consolidating the survey form and will analyzed and interpreted the data using

the appropriate statistical treatment.
