Backing up

• Lots Of Copies Keep Stuff Safe (LOCKSS): make multiple back-ups

• Keep back-ups in a separate location to the original

• Use different types of storage media, eg CDs, USB sticks, networked storage, external hard drive

• Back up frequently

• Check your back-ups periodically

• Refresh back-up media every few years

Set up a calendar reminder to back up

Use a paper diary/calendar or an on-line tool -whatever works best for you

Use automated software or backup service

Schedule your backups to run regularly at a particular time

Cloud-based storage & sharing

• Examples: GoogleDocs, Dropbox, SpiderOak …• Often provide some free storage• Good for sharing documents with colleagues• Good for accessing files using multiple devices or from

different locations• Not all cloud-based storage solutions are secure

• Avoid use with sensitive information• Consider using encryption to increase security

• Using cloud providers for back-up may break the terms of your grant if data need to be stored in the UK or EU

Encryption

• More secure way of transferring and storing files

• Many tools are free, for example:

• SafeHouse (Windows only, but good for portable USB devices)

• TrueCrypt

• GnuPG

• Aim for a minimum of 256-bit encryption

• Make sure you do not forget your password
