WELCOME TO YOUR COURSEThis qualification will allow you to understand the role to work in business administration and to be aware of the skills needed to become an effective administrator.

The aims of the qualification are to help learners to:

Understand what working in business administration can be like. In particular, understanding roles of those they are working with, how to carry out routine tasks and the appropriate way to present themselves.

Develop knowledge, skills and understanding of administrative tasks associated with welcoming visitors.

Carry out tasks such as producing documents, storing information, and it is essential to understand the purpose of office equipment and how to use it safely and efficiently.

ADMINISTRATION (Business Professional)LEVEL 1 AWARD (8 credits) Working in Business and Administration This unit gives learners an overview of what working in business administration can be like. In particular,

understanding roles of those they are working with, how to carry out routine tasks and the appropriate way to present themselves.

Learners will be introduced to the different activities carried out by people working in administration and they will be required to follow instructions in order to carry out routine administrative tasks, using key office equipment. Learners will also gain an understanding of the role that a person working in an administrative role has, in helping the team to achieve its goals.

 Welcome Visitors This unit aims to develop learners' knowledge, skills and understanding of administrative tasks associated with

welcoming visitors. Learners who are interested in working in a business administration role are often required to welcome and deal

with visitors, either while working on reception or as part of a wider role. Using Office Equipment in a Business Environment All administrative roles need office equipment to carry out tasks such as producing documents, storing information

and taking calls, and it is essential to understand the purpose of office equipment and how to use it safely and efficiently.

In this unit learners will develop their knowledge of the different types of office equipment that are available and how to use the equipment to carry out administrative tasks. Learners will also develop their understanding of how to use equipment safely and efficiently. The types of equipment used will reflect a typical modern workplace and are likely to include the telephone, fax machine, franking machine, photocopier and scanner.

Assessing your work Your workbook will be marked by myself

Please use correct grammar (capital letters and punctuation) and be careful with your spellings. If you are unsure, ask.

Keep your workbook tidy

Any corrections will be given back to you and marked again once completed

Completing the workbook and ALL associated tasks (to meet criteria) will give you a Level 1 Award in Business Administration

Work outside of class timeYou will be given tasks/assignments to complete, outside of class time

These will be set each week and they should be completed by completing the task either in your workbook/on paper or by logging into ItsLearning* (you will be emailed your log in details for this)

This work needs to be completed as it will always relate to the criteria and sometimes will expand on what we have covered in the session

Create Group Rules In groups of 3 write a list of ground rules that you would like

everyone (including yourself) to adhere to for the next 7 weeks

Each team will have the opportunity to share their ideas and then negotiate with other teams if they would like to keep/get rid of their proposed rules

If you do want to get rid of a rule then you MUST explain why

Tutor will type up the agreed list for you to sign next week

Paper Airplane GameSo that we can get better acquainted with one another, we are going to throw some paper planes around the room…You will be given a sheet of A4 paper. On this sheet ……

• Write your name• Your favourite food/Most unusual food eaten• A hobby or interest • Something that we don’t know about you

• Then fold the sheet of paper into your best airplane.• When we are all ready, we will commence throwing the airplanes from one

end of the room to see whose airplane reaches the furthest (These are not to be thrown at each other)

• Pick up someone else’s plane and we will begin to introduce the person on that plane.

Business administration covers all features of managing day-to-day operations and decision making for a company or non-profit organisation.

It includes efficient organisation and management of employees and other resources to focus operations toward organisational goals.

As an administrative assistant, you would be making sure that day-to-day office tasks run smoothly. How does the work of an administrator help a team achieve its goals?

Administrators help to achieve the team goals by co-ordinating the efforts of the whole team toward the path of achievement of the final goals.

The first way administrators help achieve team goals is to motivate and guide including giving instructions and prioritising work, setting time limits.

For example the administrator would give clear instructions and setting a time limit for that task, provide motivation and prioritise tasks to each specific employee making the team run smooth and effectively.

HOMEWORK Using the internet or newspapers, find administration job

vacancies or job profiles. There is a link on ItsLearning for administrative and clerical job profiles, if you wish to use that.

�Identify at least 5 different ACTIVITIES that the administrator may be expected to do in their role and describe how each one may be done, using your own words.

Example 1; � Answering telephone calls - The administrator may get a call from a customer, their colleague or a manager. This could be an enquiry or an instruction. They made need to take notes whilst they are on the telephone to ensure they have the full information. The administrator would be polite when using the telephone and clarify what the message is or what they are required to do.
