Halal Application Approval System (HAAS) is an online system that enables a Certification Body (CB) to manage their Halal application processes from start to finish. The system is convenient to CBs as it keeps track and manage all applications online. Halal Applicants (HAs) are able to track their progress and status of their applications, any products nearing expiry dates and any pending documentation.

HA can submit for new and renewal certification.

APPLICATION MANAGEMENT

HA can manage and track application progress from submission stage to approval stage.

CERTIFICATION QUOTATION

Certification Quotation can be uploaded by CB into HAAS with notification sent to HA; who is able to review and accept the quotation through the system.

AUDIT

CB can schedule audit via Audit iCalendar (.ics file) invitation and CB auditors can conduct the audit using the online checklist as well as record findings and evidence during the audit exercise through the system. CB auditors can generate reports instantly.

CERTIFICATE PRINTING

CB can manage certificate printing requirements, print certificates and keep track of cancelled certificates.

REPORTING

CB can view various reports such as product verification reports, audit reports as well as operation performance reports. HA can review non-conformance reports & submit evidence of corrective actions taken.

COMPANY PROFILE, FACTORIES & CONTACTS

HA can manage details as and when necessary. Changes will be notified to the CB upon new application or renewal submission.

INVOICE & PAYMENT

CB can manage quotations and invoices, while HA can upload payment proof and get notified of any pending billing status.

SYSTEM INTEGRATION

CB can integrate HAAS with other systems such as QuickBooks and Sage online accounting software, DocuSign or Adobe Sign Enterprise for paperless and digital signing; and can integrate document backup and storing through Dropbox, Google Drive and OneDrive integration. In addition, CB has the option for online payment integration such as PayPal and 2checkout to accept credit card paymentsfrom worldwide Halal Applicants.

HAAS is designed in such a way that the integrity of

information circulated within the application

processes is secured and limited to authorised

personnel only. Information on ingredients is the

most critical element for Halal certification. This

information is highly confidential and may jeopardise

the HAs business growth if it falls into the hands of a

third party. Hence, HAAS has embedded the

necessary data protection mechanism into the system

as per ISO 27001 requirements, ensuring the

information is highly secured.

Halal application process differs between each CB

across the world. Therefore, HAAS can be customised

CUSTOMISATION CREATES A UNIQUE CUSTOMER VALUE

Different countries apply different Halal standards

and compliance. Malaysia and Gulf Cooperation

Council (GCC) countries have the most

comprehensive and recognised standards used by

most CBs around the world, which are the Malaysia

Standards (MS) and GSO Standards. Both these

standards have been successfully integrated into

HAAS while conforming to the respective CB's

internal processes.

COMPLIANCE REQUIREMENTS INTEGRATION

HVE, a collaborative effort with JAKIM, is a digital data

repository of authentic, genuine and valid Halal

certificates issued by JAKIM and other JAKIM’s

Recognised Foreign Halal CBs; for CBs, Halal industry

players and consumers to source for Halal products or

ingredients. The HAAS system has a function to sync

certificates to HVE. CBs are able to choose from two

options for this function. One is auto sync, auto publish

and download while the other is auto sync, permission

based publish and download. The former allows for

public viewing of certificates while the latter restricts

viewing to JAKIM only.
