Zenith Comp Co., Ltd.Reading your messageBy defualt, message will display in bold black text when message is unread. You can open message by use the following step:1. Open your mail box and then double-click on your message.

2. You can click Display Conversation for display or not disply conversation message.

3. You can specify for display or not dislay conversation message be relate selected message in Inbox. Click select message and click Expand for display conversation message or click Collapse for not display.

Creating a messageYou can create a message by use the following step:1. Open your mail box and then click New Message.

2. Fill recipients e-mail in To, Cc, Bcc or choose recipients e-mail from Domino Directory by click To.

3. Put your subject in Subject.4. Enter the body of your message, and then you can send it now.

Click Send for sent message and save your message to Sent box.

Click Send & File for sent message and save your message into your specific folder.

Click Save As Draft for save message to Draft for edit later.

Setting Delivery OptionsYou can specify delivery options by use the following step:1. Before sent your message, click Delivery Options.

2. Choose options.

Importance: specify importance of your message (High, Normal or Low).

Delivery report: specify delivery report when; Only on failure Message cannot sent to recipient. Confirm delivery Message sent to recipient complete. Trace entire path For want to know message route to

recipient. Delivery priority: specify delivery priority of your

message (High, Normal or Low). Return receipt: specify to return receipt if recipient open

message. Prevent copying: prevent recipient to copying your

message, send to someone or print your message. Auto spellcheck: specify to spell check automatic before

sent your message. Mark Subject Confidential: specify to add Confidential

in your mail subject.

Office: specify to not receive notify if recipient is Out of Office.

Do not expand personal groups: specify to not expand group membership when use the Personal Group.

Mood Stamp: specify stamp mark for your message. Sign: specify to attach your digital signature into your

message. Encrypt: Encrypt your message. Save these security option as the default: specify to

attach your digital signature into your message and encrypt your message when create new message..

3. Click OK.

Replying a messageYou can reply message by use the following step:1. Open mail box and then double-click message you want to reply.2. Click Reply or Reply To All by;

Click Reply when want to reply to sender only. Click Reply To All when want to reply to sender and all

recipients.

And choose option in list. Reply with History Only: Reply body of original

message only. Reply with History & Attachments: Reply body and

attachments in original message. Reply: Reply by not use body in original message. Reply with Internet-Style History: Replay all of

original message in Internet-Style (attachment removed).

3. Enter the body of your message and then send by; Click Send for sent message and save your message to

Sent box. Click Send & File for sent message and save your

message into your specific folder.

Forwarding a messageYou can forward message to other user by use the following step:1. Open mail box and then double-click message you want to forward.2. Click Forward and select;

Forward with Attachments: forward body and attachment in original message.

Forward: forward body of original message only. Internet-Style Forward: Forward all of original message

in Internet-Style (attachment removed).

3. Enter recipients e-mail in To, Cc, Bcc or select from Domino Directory by click To.4. Enter the body of your message and then send by;

Click Send for sent message and save your message to Sent box.

Click Send & File for sent message and save your message into your specific folder.

Click Save As Draft for save message to Draft for edit later.

Attaching files to your messageYou can attach files into your message by use the following step:

2. Choose your file and click Create (can attach file more than 1 file).

Adding signature to your messageYou can create your signature and adding to your message automatically when create new message by use the following step:1. Open mail box and click More Preferences.

2. Click tab Mail Signature.3. Select option Automatically append a signature to the bottom of my outgoing mail message.

4. You can create signature by; Put message when you want to specify signature in

character. Click and select Graphics and then click and choose

picture when you want to specify signature in picture. Click and select Attachments and then click and

choose attachment file when you want to specify signature with attachment file.

Click and select Text and choose character form when you want to specify character form.

Click and select Past when you want to specify signature with data from clipboard.

Click and select Import and then choose file when you want to specify signature with file import.

5. Click OK.6. When create new message, signature as you specify will attach to your message automatically.Deleting and Restoring messageYou can delete message in different way. 1. Select message and press Delete.2. Right-click on your message and then select Delete.

3. If you want to restore all messages in Trash folder, click Restore All.

Recall message You can recall a message that you have already sent and saved in the Sent box by use the following step: 1. In your mail box, open the Sent box.2. Select message you want to recall and click Recall Message.

3. If the message was sent to more than one recipient, select the recipient to recall the message from or click Deselect All for cancel selected all recipient.

4. To recall the message from a recipient even if the recipient has already opened, select Recall the message even if it has been read. (This option will not working if do not enable this option on server too)

Click OK.Managing your messageYou can manage message in Inbox for convenient by create folder, copy message to folder , move message to folder and can rename name of folder.Creating a folder1. Open mail box and then click Folder and select Create Folder or;

2. Right-click on Folders view and select New Folder.

3. Enter Folder name and then click OK.4. When you want to create folder under old folder, click on old folder and click OK.

Moving message to a folder1. Open mail box and select message you want to move.2. Click Folder and select Move to Folder or;

3. Right-click on message and select Move to Folder or;

4. Click on message and drag to your folder.5. Select a folder.

Move for move message to your folder. Add for copy message to your folder. Cancel for cancel.

Rename a folder1. Open your mail box and select folder you want to rename.2. Click menu Action Folder Options Rename or;

3. Right-click on folder you want to rename and select Rename Folder.

Deleting a folder1. Open your mail box and select folder you want to delete.2. Click menu Action Folder Options Remove Folder or;

3. Right-click on folder you want to delete and select Remove Folder.

4. Click Yes for confirm to delete folder or click No to cancel.

Mark a message for follow upYou can mark message to follow up. You can specify from 3 importance is Urgent, Normal and Low-priority. When message is follow up, message is display in Follow Up folder.Note When delete message in Follow Up folder, message in your Inbox must deleted. You can follow up message by use the following step:1. Open mail box and then select message you want to follow up.2. Click Follow Up and choose option;

Add or Edit Flag for specify option of your flag. Quick Flag for add flag to your message by use setting

from your preference.

4. Specify importance.5. Enter detail of follow up in Enter a Follow Up action.6. Specify date and time. 7. If you want to alarm, choose Set an alarm on this message, specify time and type you want to alarm.8. Click OK.9. When message is follow up, message is display icon by importance of follow up. Remove the follow up flag from a messageRemove follow up make message not display in Follow Up folder. Message is display in Inbox or other folder.You can remove the flag by use the following step:1. Open mail box and select follow up message you want to remove flag. 2. Click Remove Flag.

3. Message is removing from Follow Up folder.Sorting message in a folder or viewYou can sort message in a folder or view by use the following step:

Managing Junk MailYou can configure IBM Notes 9.0.1 to block message from some sender. When you receipt message from sender you specify, message will not store in Inbox but store in Junk folder instead. You can block message from sender by use the following step:1. Open mail box and then click select message from sender you want to block.2. Click More Deliver Sender’s Mail to Junk

3. Select sender you want to cancel block and then click Remove or click Remove All for cancel block all senders.

4. Click OK.Filter message with ruleYou can create a rule to reject incoming message, store message in other folder automatically or change message importance or etc. You can create a rule by use the following step: Create a rule1. Open mail box and then click folder Tools Rules or click More Mail Rules.

3. Enter details of rule.

Select component for use to create condition ex. Sender or Subject.

Select condition ex. Contains or Is. Contains is mean your message contain the condition some part but if select Is your message must contains all part.

Specify details. Click Add.

4. If you want to create the condition more than 1 conditions. You can add by select (AND) or (OR).

5. In Specify Actions can choose action. Choose Move to folder or Copy to folder and select

folder when you want to move or copy message to specific folder.

Choose Send copy to and enter e-mail address when you want to receive and send copy of message to other person.

Choose Set expire date and specify expiration date when you want to specify expiration date of message for archiving message.

importance of message. Choose Stop processing when you want to stop process

of rule by not consider other rule. Choose Delete (don’t accept message) when you don’t

want to receive message.6. Click Add Action. 7. Click OK for save rule.

Create a QuickRuleQuickRule is manage and create simple rule by specify condition of sender, domain and subject. Condition are prepare automatically from selected message. You can create QuickRule and specify condition by use the following step:1. Open mail box and then click select message to create QuickRule.2. Click More Create QuickRule.

3. Enter your QuickRule details.

Click selects the conditions to match ex. Sender (When Sender), Domain (When Domain) or Subject (When Subject).

Specify QuickRule to work when message contain the condition at least one (When at least one of the selected conditions is met) or all (When all of the selected conditions are met).

Select action of QuickRule when message met your condition; Move to Folder and select your folder when you want

to move message to specific folder. Change importance to High when you want to

change importance of message to high. Do not accept message when you don’t want to

receive message.4. Click OK.

2. Select rule you want to enable or disable.3. Click Enable or Disable for enable or disable rule or;

4. Right-click rule and select Enable or Disable for enable or disable rule.

Note Enable rule is mark symbol and disable rule is mark symbol Edit Rule1. Select rule you want to edit.2. Click Edit.

Move a rule1. Select rule you want to move.2. Click for move up 1 level or click for move down 1 level or;

3. Right-click rule and select menu Move Up or Move Down

for change position of rule.

Delete a rule1. Select rule you want to delete.2. Click or;

3. Right-click rule and select Delete.

Setting up out-of-officeOut of office is setting for reply message to sender automatically when you are out of office. You can set out of office by use the following step:1. Open mail box and then click More Out of Office.

2. Specify time you leave in Leaving and time you return in Returning.3. Select Specify hours if want to specify time period of your out of office.4. Choose I am unavailable for meetings for tell other user you are out of office.

5. Tab Standard Notification for specify format of message reply to all sender.

Click Reset Defaults for restore default settings. Enter your subject in Subject. Choose Append return date to subject for specify time

you return to message subject. Enter your detail of out of office in Additional body text.

6. Tab Alternate Notification for specify format of message reply to specific sender.

Click Reset Defaults for restore default settings. Enter sender name in To or click To for select from

Domino Directory. Enter your subject in Subject. Enter your detail of out of office in Additional body text.

7. Tab Exclusions for specify condition to don’t reply message to sender.

Click Reset Default for restore default settings. Select Do not automatically reply to mail from

Internet addresses setting for don’t reply message to sender when message come from the internet.

Enter sender in Sent by or click Sent by to select from Domino Directory for don’t reply message to sender in list.

Enter message in A message subject contains any of these exact phrases and click Add Phrase to setting for don’t reply message to sender when subject contain text or select text and then click Remove Phrases for cancel this setting.

8. Click Enable and Close. 9. Click OK when display setting out of office.

Cancel out-of-office1. Open mail box and then click More Out-of-Office.

2. Click Disable and Close.

3. Click OK when display cancel out of office. Archiving MessageArchive is you can move or copy messages to other location. You can specify rule to archive message ex. If you not modify messages or messages are expired. Then you can select messages to archive by yourself. You can set archive by use the following step:

2. Click tab Basics for specify Server or Local to perform archiving.

3. Click tab Criteria and choose condition of archive message. Click Create for create condition to archive. Select criteria and click Edit for edit criteria of your

archive.

archive. Select criteria and click Enable/Disable for enable or

disable criteria of your archive.

4. When you want to create new criteria, click Create.

Enter description in Descriptive name of these archive criteria.

criteria. Click Selection Criteria for select detail of criteria;

o Not modified in more than for message not modified more than specific time.

o With expiration date older than for message expired.

o Selected by user for archive message manually.o Older than for message older than specific time.

Click OK. Select Copy documents into… and specify folder and

file if you want to copy document are met condition to specific folder and file.

Select Just clean up… if you want to delete document are met condition without archiving.

If select Copy documents into… you can specify to delete documents in this database or reduce the size of documents in this database.

Click OK. Click No for setting schedule archive later.

5. Click tab Advanced and select Log all archiving activity into a log application if you want to save log for check archive activity later.

join the meeting because on this time you get other meeting is high priority. You are still available in this time and you can comment to the meeting.
