    Cleaning PM visit

    The service engineer/techniciancleans the copier of toner and dust,and checks all major functions.This includes for example:

    cleaning toner and dust from the optical system (mirrors, lenses, etc.)

    cleaning toner and dust from the charger cases

  • Toshiba offers a complete range ofsupplies and parts for each of itscopier models. These supplies areproduced with the same meticulousattention to quality control that isapplied to the design and manufac-ture of all Toshiba products.

    Advertising for non-genuine sup-plies and parts usually proclaims'equivalent reliability and perfor-mance at low prices'. We, at Toshi-ba, are unable to comment on thequality, or otherwise, of non-gen-uine supplies and parts, as it isimpractical to test them all. How-ever, we should point out thatsometimes incompatibilities arisewhen using so-called 'equivalentproducts'.

    For these reasons we strongly rec-ommend that customers use gen-uine Toshiba supplies and parts.

    What follows will explain how youcan distinguish between such imita-tive products and Toshiba originals,through package comparison andso on.

    Why the use of genuine materials is of benefit to dealers and serviceengineers/technicians

    First and foremost, Toshiba sup-plies and parts are developedtogether with the machine forwhich they are intended. It must beremembered that no industrial stan-dards exist for supplies and partssuch as toner, developer, photocon-ductor drums, heat rollers, etc.Copier manufacturers develop theirown individual specifications forthese materials in order to achieve100% compatibility with the corre-sponding copier model.

    The reason for such secrecy is easi-ly understood. The production of anew copier requires the investmentof millions of dollars in researchand development, which quite nat-urally has to be recovered throughproduct sales.

    Toshiba selects materials and tech-nology for its genuine productsaccording to strict criteria.

    Material selection is made accord-ing to the latest technology, bestsuitability and utmost environmen-tal friendliness.

    Long before production begins,sample tests are carried out withcopier prototypes, often underextremely stringent conditions.These include:

    climatic test under extreme conditions

    storage test life test with security factor health test more than 50 individual tests step-by-step optimization of

    materials, parts and procedures.

    Thus, quality control begins withthe strict regulation of all incomingmaterials.

    Moreover, the entire productionchain is subject to 'in process-inspections', and product spot-checks to avoid the multiplicationor extension of errors. If errors dooccur, the supplier responsible iscontacted and the source of theerror is analyzed and remedied toavoid repetition.Each genuine Toshiba item bears aspecific lot number which makesthe identification and tracking ofdefective items easier. This numberenables suppliers to trace the pro-duction date, plant, raw materialcharge, production layer, etc., ofthe item in question.

    OPC PhotoconductorDrums

    With nearly 10 years experience inthe manufacturingof OPC drums,Toshiba hasdeveloped andrefined productiontechnology until ithas become anexact science. Forexample, the opti-mization of manu-facturing andlayer parameters demands the stip-ulation and control of more thanthirty directly susceptible variables.

    Toshiba OPC drums are coatedwith the best organic photoconduc-tors available. These photoconduc-tors have a spectral sensitivity thatis adjusted especially for the partic-ular machine concerned.

    Heat Rollers

They can only be guaran-teed through competent system andcontrol management. Over the pasttwenty years Toshiba has consis-tently demonstrated it has such asystem in place.Unfortunately, toner consistency isnot something visible to the nakedeye. Consequently some customerssuffer unreasonably high toxic con-sumption through copier pollutionemission and deterioration of copyquality through the use of non-authorized products.

    All Toshibatoners havepassed theAMES Testwhich governscarcinogenicity,as well asToshiba's ownMSDS testing.Toshiba lists thetoner contents on the label, alongwith the name of the manufacturingplant (be it in the U.S.A., France,or Japan). Our toners fully complywith current environmental safetylaws and knowledge.

    Genuine Toshiba toner is submittedfor appropriate testing, and thecontents and manufacturer detailsare clearly displayed on the label.The same cannot always be saidfor non-genuine toner.

    As of the time of writing, Toshibahas a number of different partsordering systems in operation at itsvarious locations around the world.In the future, however, it is hopedthat a single solution can be estab-lished.

    The time taken to fill an ordervaries from system to system, but itis our objective to dramaticallyreduce the turnaround time so thata purchase order placed one daywould be delivered the followingmorning. This would make itunnecessary for dealers to maintainlarge inventories as they presentlydo, to name only one benefit.

    In fact, Toshiba hopes to imple-ment a system in which dealershave zero inventory due to thespeed at which their requests forparts are met.

    A system introduced in the U.S.and in Europe that is enjoying greatsuccess, utilizes the Internet.

    Toshiba America went online inOctober, 1997 with an Internet sitefrom which their 350 independentdealers now order parts and sup-plies, as well as machines andoptions.

    Europe also has a parts onlineordering system via the Internetcalled "TOPAS" - Toshiba PartsAssistant System. All subsidiaries,distributors and German dealerscan access this system, order partsand follow order status.

    Orders for parts placed on theWorld Wide Web by 5pm are filledand returned by overnight delivery,expediting the process significant-ly. Dealers and service personnelhave indicated they greatly appreci-ate this overnight service. Movingonline has also proven so popularwith dealers, it has received an85% endorsement rate as their pre-ferred method of ordering. The suc-cess of this approach certainlymakes it an attractive option in thesearch for a unified solution to theordering and dispatch of parts andsupplies.(In Germany an overnight deliverysystem is also in place, in which

    parts reach their destination beforethe opening of the following day'strading.)

    Our goal is total customer satisfaction

    To achieve total customer satisfac-tion with the order and dispatch ofparts and supplies, three importantcriteria should be met:

    1. Delivery should occur in the shortest lead time possible. Cus-tomers want any interruption to their copier's productivity kept toan absolute minimum.

    2. Inventory should be reduced to what is essential only. This will serve to reduce costs while eas-ing the demands on service tech-nicians who often have limited storage space in their vehicles, as well as minimal space at the dealership warehouse.

    3. The above two points should be realized in a cost-effective man-ner.

    Usually service parts flow fromToshiba, through the distributorsand dealers, to the service techni-cians and then on to the customer.

    In order to achieve this movement

    as smoothly as possible, an under-standing of the unique characteris-tics of service parts is required.Here, in brief, are a few of thosedistinctions:

    (i) Even after a copier has been dis-continued, service parts should be kept in stock for the number of years stipulated in the service warranty.

    (ii) There are a tremendous numberof parts (more than 80,000).

    (iii) While a customer may be pre-pared to wait for a new copier if delivery is delayed, they are unhappy about delays in the delivery of service parts if their existing machine breaks down. Delays give Toshiba a bad imageand tarnish customer purchase motivation for future replace-ment copiers, and so can have far-reaching consequences.Furthermore, if replacement pur-chasing makes up a large part of sales in a given market, then this

    could have a major nega-tive impact.

    (iv) It's difficult for anyone in the chain to predict demand for parts, including service techni-cians.

    Orders should be based on realdemand and not on guesswork.They should also be processed bycomputer so that related informa-tion can be most effectively man-aged. This is essential due to thelarge volume of parts and suppliesinvolved.

    Service technicians, dealers, dis-tributors and those at Toshiba arerequired to use electronic media,rather than handwritten correspon-dence, so as to eliminate misunder-standings that result in errors andincorrect input. This is the reasonRIBON/ESPOS was developed(see section to follow).

    Presently, some service techniciansand small dealerships don't takeadvantage of this system, prefer-ring to send orders by faxed orderform. It may be that they aren'taware that RIBON/ESPOS is avail-able at their level.

    Service technicians should regular-ly review stock they carry in theirmotor vehicles. If they receive newparts from their dealer/distributoron a daily basis, they should carryout a stocktake on a daily basis.

    The do's and don'ts ofparts and suppliesordering

    Dealers and service technicianswhose area operates under a week-ly delivery system should placeorders for High Demand parts asthey would for Regular Orders,while Low Demand parts should berequested as per the EmergencyOrder system. If your area uses amonthly ordering system then deal-ers and distributors should requestthe institution of a weekly system,remembering that the ultimate goalis ordering on a daily basis.

    When placing orders we ask thatyou don't:

    (i) ....order unnecessary quantities of stock. Base your orders on real demand and not on guesswork.

    (ii) ....handwrite orders.(iii) ....place bulk orders for small

    parts (such as screws) as it makes it difficult at Toshiba to predict production vol-ume requirements.

    RIBON/ESPOS(Reference Information BaseONline system/Express SpareParts Operating System)

    RIBON/ESPOS is the digital spareparts catalog developed by Toshibathat is currently used by our autho-rized distributors and dealers. Itconsists of detailed lists of themodels, Supplies, Consumable Ser-vice Parts (CSP), Maintenance Ser-vice Parts (MSP), Repair ServiceParts (RSP), Preventive Mainte-nance Kits(KIT), and Unit Service

    Parts(USP), and has several advan-tages including parts search capa-bilities and parts order creation atthe touch of a button. Once created,the order is sent by fax or EDI(Electronic Data Interchange) tothe next person in the parts supplychain. RIBON/ESPOS is particu-larly useful for searching and locat-ing parts and their order numbersthrough its computer graphicalinterface.

    In the USA and Latin Americancountries, RIBON is used in con-junction with the TABS FYI Online

    General ordering procedure

    Presently orders for the morethan 80,000 different copierparts and sundry items requiredto maintain the smooth operation

    of the Toshiba copier businessare channeled through a hierar-chical network. The systembegins with the service techni-cian and dealer, proceeds to thedealer/distributor and then con-tinues on to the Toshiba headoffice of the country concerned.

    Notes: The main parts and supplies categories aredefined as follows:

    Consumable Service Parts (CSP) are those with a determinable life expectancy and include such things as Heat Rollers, Silicone Rollers, Blades and so on.

    Maintenance Service Parts (MSP) are those parts replaced upon conclusion of a designated stage of the PM cycle (e.g. Scrapers, Charger Wires, Rollers).

    Environmental protection is amajor consideration for the entirescope of operations at Toshiba.This is reflected in the carefuldesign of all our products.

    Recycled materials are used when-ever possible - such as for the man-ufacturing of toner cartridges anddeveloper bottles - with compo-nents clearly marked to identifycontents for later recycling.

    Recent Toshiba copier models fea-ture an Auto Energy Saver modethat reduces power consumptionduring periods of copier inactivity,in accord with US Energy Starstandards (Tier 2). Additionally, auser-adjustable Auto Power Offfunction shuts the copier downafter a predetermined period ofinactivity.

    Toner cartridges carry embossedinformation (in Europe only) -rather than paper labels - therebyassisting in disassembly for laterreuse.

    Reductions in the level of noise andozone emission ensure the harmonyof the working environment

    remains undisturbed.

    Whenever possible cardboardpackaging is used, with the use ofStyrofoam kept to an absolute min-imum.

    In Europe, genuine Toshiba rollersare collected and recycled by oneof our authorized manufacturers.

    All these things we do as part of agenuine commitment to environ-mental protection.

    The "Swan Mark" environmental awards

    Toshiba copiers meet with stringentenvironmental regulations whichinclude the marking of plastics forcontent identification purposes andlater recycling, the prohibition ofthe use of certain flame retardants,AMES Test examination of tonersto ensure the absence of carcino-genic substances, the selection ofmaterials without health risks, andthe use of recycled paper.

    Moreover, all copiers that havebeen awarded the Scandinavianenvironmental "Swan Mark" are

    Recycling of used supplies and parts

    In recent years, Toshiba has been atthe forefront of the copier manu-facturing industry in implementingthe recovery of used supplies andparts for recycling.

    We are firmly committed to reduc-ing the use of non-recyclable mate-rials during the manufacturingprocess, in order to lower theamount of material requiring wastedisposal.

    In Europe, Toshiba is preparing forthe introduction of new regulationsgoverning electronic waste. Cur-rently we are working togetherwith specialist disassembly andrecycling companies and the expe-rience gained through this coopera-tive effort will be taken into con-sideration when we develop futurecopiers.

    Europe shows the way

    European manufacturers are active-ly involved in environmentallyfriendly recycling, setting a fineexample for others to follow. Forexample, in Germany a consistentsolution for the reduction of wastematerials has been achievedthrough the introduction of recy-cling containers. Similar systemsexist in other European countries.

    In this system all used materialsgathered either by Toshiba dealersor service engineers/technicians,

    are put into containers that are col-lected regularly by a Toshibaauthorized agent. The materials aretaken to a central collection point,where they are then sorted andgrouped according to manufactureror by recyclable type.

    Manufacturers participating in thissystem recycle what materials theycan and dispose of the non-recy-clable parts in the most environ-mentally friendly way.

    Toner container recycling in the U.S.A.

    Toshiba America Business Solu-tions, Inc.-Electronic ImagingDivision (TABS EID) located inIrvine, California, and the TonerProducts Division (TPD) located inMitchell, South Dakota, each havelong-standing records for environ-mental awareness.

    In February, 1996, they announceda national toner container (car-tridge) recycling program that pro-vides dealers and end users witheverything necessary to take partwith a minimum of inconvenience.

    Dubbed the COLUMBUS System -the COLlection of Used containersin the Market which Belongs to theU.S. - it has achieved the wide-spread participation and support ofend users.

    The COLUMBUS System cameabout when Toshiba decided tomove from an "open" to a "closed"recycling system. State laws alsorequired the use of PCRs* in themanufacture of toner containers,and an expected shortage of recy-cled plastic led TABS to collectempty toner containers themselves,directly from end users (bypassingdealers), and recycle them at spe-cialist recycling centers.   • also changed the color of cartridgesfrom white to black, due to the useof PCRs of various colors.

    All cartons of TPD-made, EID-dis-tributed Toshiba copier toner nowinclude a pre-paid UPS (UnitedParcel Service) label that is pre-addressed to the designated recy-cling center. All the dealer or end-user has to do is place the emptytoner containers in the originaltoner carton, affix the label andship it during their normal UPSpickup.

    A further refinement occurredwhen it was found that the removalof paper labels necessitated anunnecessary step in the recyclingchain. The label material is nowpolystyrene, the same as the car-tridge, so the label and cartridgecan be ground up and recycledtogether, without need of a step toremove a paper label.

    The COLUMBUS System is yetanother example of Toshiba's will-ingness to take positive action onenvironmental matters and adapt asconditions demand.Note:*Factories in the U.S.A., France and Japan began using PCRs (Post Consumer Resins) in the manufacture of toner containers in January, 1995. PCRs are composed of plastic materials that have already served their intended end use. These plastics are collected, sorted and reprocessed for further use, thereby reducing landfill.

    The International Energy Star Program

    The "International Energy Star Pro-gram" sets down energy conserva-tion standards for office automationequipment. Effective since Octo-ber, 1995, under an agreementbetween the Japanese and U.S.governments, this program wasenacted due to serious environmen-tal concerns (including globalwarming) closely related to ourdaily energy consumption. Officeautomation equipment in particular,is being introduced at such a rapidpace both in offices and homes,that energy conservation hasbecome an urgent issue. Therefore,efficient energy usage is achievedby automatically lowering thepower when the equipment is idle.

    Five types of equipment - copiers,facsimiles, printers, monitors, andcomputers - were selected for thisprogram. Products qualify for reg-istration after certain energy con-servation standards are met, andsubsequently the InternationalEnergy Star logo may be displayed.

    The standards were raised for thesecond phase of the program whichbegan in July, 1997. However,products that qualified under theformer standards may continue to

    display the International EnergyStar logo after July 1, 1997, untilthose models are gradually takenoff the market.

    ISO 14001 - the International Standards Organization's certification for environmental management systems

    ISO 14001, which went into effectSeptember 1, 1996, sets forthguidelines for corporate environ-mental policy, and is also the coreof the ISO 14000 series of stan-dards. These standards governenvironmental management sys-tems and environmental audits.ISO 14001 is also the only certifi-cation standard in the ISO 14000series, and encompasses all itemsthat concern environmental man-agement systems.

    Furthermore, ISO 14001 sets spe-cific targets which require constant

    environmental efforts, althoughunlike the Energy Star system itdoes not set targets for reducingpower consumption levels.

    ISO 14001, although not legallyrequired by any country, is consid-ered an integral standard by com-panies throughout the world.

    Unit Service Parts (USP), based on the Unit Replacement Concept, are a design initiativebeing introduced from the DP4580/5570/6570/8070 onwards. Image quality related itemsthat can cause unexpected problems have been designed as individual units so as to enablequick and easy replacement for periodical maintenance or in the event of machine failure.Each unit can be refilled and reused once the original supply parts have been exhausted.

    The expected implementation of the Unit Replacement Concept is as follows:1. A Quick New PM ProcedureService technicians will carry a new set of Unit Service Parts (USP) to the user site andreplace the units and other PM parts. Maintenance time at the user site is expected to bereduced by 40%.2. Key Operator ReplacementOne USP set will be stored at the user site. When unexpected image failure occurs, a keyoperator who is trained in the procedure will replace all units. Users will not have to wait fora service technician. Downtime will be reduced by as much as 70%.

    The Unit Replacement Concept is a supplement to your service activities. The procedure forthe Unit Replacement Concept depends on your system.
