1. Call to Order 8:13p

2. UpdatesLamba: I have been in meetings all day. I met with Principal Joe. I also met with the Gala Coordinators. They are working on venues; one of the venues was nice but it would be too expensive to hold the event there. They hope to have the venue finalized by next week. I chatted with them regarding subsidizing tickets for the award winner and they said they’d prefer the award recipients be charged something for revenue purposes and that the tickets not be given out for free. I also did office orders and I am going to staples to buy office supplies as well. The code to arm the office has changed; it is the same office code for the room next door as well. Forgas: Ryan & I met with WiNC yesterday regarding a budget issue. We were notified in late November/December about this. There was a difference between what was given to them and what they received and there was an issue with allocation. I will speak more to this in the agenda item. Secondly, we are on track for the audit and it should be done by the 31st or this Friday. Finally, I will be meeting with Daniel Peel about his random act of kindness event. We are also good with day to day production. Bear: I have been making posters, promoting events. I have also been getting a lot of PR requests. I have my meeting with the PR committee tomorrow so hopefully they can help out with the promotions. Jeong: It has been quiet for external. There were issues with WiNC’s finances and we will have this issue resolved shortly. The Howl is going great. The Editor in Chief is moving along great and getting her team ready. I am also still working on the ASL club constitution then I will send

it to the PRC and if it is all good, I will get it approved at the Board Meeting. Khan: If the Howl can send us and the Dean’s Office information about what they are looking for in the team we can promote it using our platforms. Secondly, your external committee needs to approve this constitution not the PRC, then you bring it to the board to strike the club. Medrero: I have been working on Winterfest which has finished, turnout was great. I visited the venue for the semi-formal on Friday. Please keep promoting the event, I want a good turnout. I will be having my taco burrito collaboration night with the WRC tomorrow. Also, I will be having a social committee meeting on Thursday. Khan: I had a bunch of meetings this week. Principal Joe informed us that Room 25 can be booked by WCSA once it is ready for use in the next 2 weeks. Room 302 in the Dean’s Office can also be booked through Christina for meetings. However, please note that the room is not accessible. We chatted about getting the elevator near WCSA fixed to make our office more accessible. We can also book rooms in the Dean’s office through Christina. In other news, the College is in the process of establishing scholarships for International Students for Summer Abroad using external donations collected via the Boundless Campaign. Sarah and I also had a meeting with our Equity Chair – Aakanksha will be launching her own blog on an external website. Her blog will still be associated with WCSA and will be used to by her to introduce herself and how she can help students at Woodsworth etc. She will also be scheduled 4 Equity and Community Meetings this semester, the one in January is on the 31st. I have also scheduled my PRC meeting for tomorrow to discuss and finalize the descriptions of the new positions we hope to add to our Board. The SGM to approve these positions is scheduled for February 14th and I would please ask that all of you attend the meeting. I will order WCSA Wear as soon as the new Directors are internally elected. I had meetings with all my mentees last week – I am helping Kerry plan the ‘UofT Let’s Talk’ event for WCSA Wednesdays and chatted with the Off Campus Directors to start planning Commuter Appreciation Week. Lastly, I attended the Alumni Association Meeting today and will attend the Bronfman Awards Dinner reception tomorrow. Li: MLSE sent me a contact for the tickets. The Raptors game will be March 1st. They are different types of tickets and I am going to ask you what you want to charge for them in the agenda items. Leaf tickets were too expensive so I had to go a different route. I am thinking about re-routing the hockey tickets money to TFC tickets. I’m in the process of setting up a meeting for Blue Mountain trip as well. Finally, Russell sent in a PR request for intramurals.

3. Relay for LifeJeong: I received an email from the Relay for Life coordinator and it read:

“Dear Mr Jeong,

I am the co-chair of the campus group "Relay For Life at the University of Toronto." Each year in March, we host a fundraiser for the Canadian Cancer Society, held by post-secondary institutions across the nation with the ultimate goal of raising hundreds of thousands of dollars to support cancer research and current treatment. Students sign up in advance and create teams in order to participate in team-building activities as well as

competitions while at the event. U of T students and cancer survivors alike attend to celebrate and remember those who have battled cancer. For more information, please check out this page: http://convio.cancer.ca/site/PageServer?pagename=RFL_CAN_NATL_abouttherelay&pw_id=25382Logistically, it is a 6-hour event, where there will be live performances, karaoke, pie-in-the-face, dance instruction, and more relaxed activities such as colouring and a movie. The exact time and details of these activities are yet to be confirmed. Overall, there will be the need for AV set up (sound and video) as well as tables for serving food. "Relay For Life" is a full planning committee composed of 17 members, all of whom will be in attendance in order to ensure the event runs smoothly and will perform clean-up.

We have been searching to book a venue for this event, but unfortunately many of the large locations on campus are out of our budget, given that we are a non-for-profit event, and all proceeds go to the Canadian Cancer Society. We are expecting approximately 150 participants, and hoping to hold this event on March 10th 2017 from 6pm to midnight, with registration and set up in the hours beforehand.

We believe Kruger Hall would be an ideal space for the activities we plan on hosting. We also believe this is a wonderful cause that WCSA would be interested in supporting. Last year's event on March 11th 2016 proudly raised $14,421. I am wondering if it would be possible to meet to discuss potential collaboration for this event?

I look forward to hearing from you,

Emma LeckeyCo-chair, Relay for Life U of Thttps://www.facebook.com/RelayForLifeUTSG/”

I am personally for collaborating with them. The participants will only be U of T students who have been affected by cancer. I think this is a great cause to get behind and this is a big organization that would look good on WCSA for supporting. Khan: Did you check if Kruger was available? Jeong: Rotman has it booked till 6p. So I thought to suggest a 7p start time to still have Kruger. Lamba: How many people are they expecting? I think it’s a great cause too. Jeong: Around 150 if I am not mistaken. Christina also said she would be interested in helping too. Khan: If everyone is okay with it, Ryan you can go ahead and contact them further about booking and time.

4. WiNC BudgetForgas: In the WiNC budget, there was an issue with the google doc. They were only given $2930 but we had allocated and should have given them $3320. Something went wrong and we weren't advised about this earlier on. Ryan and I met with them yesterday. They had an issue with allocation & how much they can spend. There's a discrepancy of $390 that needs to be given to them. I can move money towards that. The second thing that was brought up was creation of events without approval or budget lines. They created events then moved money to create lines under a budget line of campaign supplies. They completely changed the structure of their budget so we are trying to bring it back to what it was. They’ll be working using the updated budget now. Jeong: I have some funding left as well to help give them the $390. Forgas: I think I have more from my audit budget line so it makes sense to re-allocate the money to WINC using the line. I think you might need the extra funds for the External portfolio in the future. Lamba: Why can’t they add a new budget line? It should not be under campaign supplies. Forgas: They have eliminated budget lines to create this one new event. The nature of the event is not the issue but the budget is an issue. Lamba: Where will these funds go? Specifically, what budget line? Forgas: So they reduced other events’ budgets to create new events. They will have the same original budget but the total amount will be what it should have been originally. Lamba: Is this $390 necessary to their functioning? Forgas: The issue is that we approved this set amount but only gave them a set total that did not add up to the same thing. That was not their fault so we need to give them the $390 which should add up to the full amount of $3320 initially promised to them. total. Khan: Myself, Ryan & Sarah met with WiNC before they scheduled a meeting with you and they asked that WCSA give them $100 for ‘End the Ban’. Does the $390 cover this amount? Jeong: This event was not discussed during the meeting with Dylan and I. Forgas: The $390 is going to the original events not extra events. They did not discuss the End the Ban campaign but did ask for $100 for their intersectionality panel. If we pass this at the board meeting, I will not be giving them the additional $100 since the amount covers all costs for the latter event. Jeong: I am not for giving anymore funding because we have allocated enough funding. They have already budgeted for PR and more. Like Dylan said, there was an error with their google

sheet that did not total up correctly but we are giving them what was initially promised to them. Bear: Is their required need for $100 for the End the Ban campaign coming from the $390 though? Lamba: If they stick to the reduced budget and use the $390 towards the ‘End the Ban’ campaign instead of requesting an additional $100, shouldn’t they be fine? Forgas: They reduced the amounts allocated to their original events because of the discrepancy but created new events and added funds to them without informing us which is the issue. Lamba: So with the additional $390, they get to increase the budgets for their main events anyway which means they shouldn’t require more funds? Khan: The issue is not the events or funds, they can create new events and change the budgets allocated to them whenever. The problem is that they did not discuss the changes with us & that we did not see the discrepancy. The $100 for End the Ban campaign is a separate issue. Let’s focus on giving them the $390 first. Are we all okay with this? WCSA Executives agree to move forward with allocating WiNC the $390 pending Board approval. Bear: Regarding additional funding, they asked for $100 for the ‘End the Ban’ campaign and $100 for the intersectionality panel? Forgas: They asked us for $100 for the intersectionality panel during our meeting, but asked you for a contribution towards the End the Ban campaign. I was not aware that they asked for 2 separate $100 contributions. Lamba: Since they are asking for 2 separate $100 contributions, could they not use the $390 towards these 2 separate events? Khan: During our meeting, they stated that they would like WCSA to collaborate with them for the End the Ban campaign and would like us to contribute $100 since they were short on funds, and I agreed. However, this meeting was prior to Dylan and Ryan’s meeting with them to discuss their finances. If they still require this amount, I’d like Dylan and Ryan to discuss this event specifically with them. In light of the additional money being given to them, they’d have to present a case to us again if they still require the $100. Bear: I agree, I also suggest that we table this and discuss this later.

5. Dean’s Office Multi-Cultural Event Khan: I posted the proposal for this event sent by the Dean’s Office in our executive group.

When I talked to Aadil regarding funding the event, I told him WCSA can offer no more than $300 if they were to collaborate with the Dean’s Office for this event. Are we still willing to fund them, and if yes, how much? Li: What does it mean by group reimbursements in the proposal? Khan: They are providing each cultural group and club $50 for the event to showcase their culture, bring cultural food, etc. Li: Do clubs not have their own budgets? Khan: I’m not sure about the details, but I was told that the Dean’s Office offered to reimburse them for their costs. Forgas: I am willing to fund other items like DJ & photo booth but not other clubs. Khan: How much are we willing to give for DJ and photo booth? Li: We could give them $450 which would be half of the budget lines combined. Forgas: Any amount we agree to give can come out of the audit budget line. Khan: I agree with $450 Lamba: This event is in Woodsworth and gives Woodsworth students an opportunity to participate in and learn about a multitude of cultures. I am fine with giving $450. Jeong: I agree. Khan: Okay let’s put this to vote. WCSA Executives agree to contribute $450 towards the Dean’s Office Multi-cultural event pending Board Approval.

6. Raptor Ticket PricingLi: We have seats in the lower section and upper bowl area. I want to sell the lower section tickets for a higher price since we will we purchasing them for a higher price. I would also like to reserve those seats for Woodsworth students only. I will do 2 separate lotteries. Forgas: Can you enter both lotteries? Li: Yes Forgas: What if their name is drawn for both?

Li: Not going to happen. Whichever lottery their name is drawn from first will be the valid one and if their name is drawn from the other pool, it will be void. Khan: You mentioned the lottery system didn’t work well before, why use it again? Li: The lottery worked well but people didn’t pick up tickets. They will have 1 week to pick up tickets after which they can not purchase or collect them. Lamba: We could have a set date and if they do not come by to pick it up then we can resell it. Also we could have a waitlist. Li: A waitlist sounds great!

7. Other Business

Medrero: I need sober leaders and people to sign up for shifts. I will bring it up to the board as well. If you can be a sober leader please let me know and if you know what shift you can stay for, please sign up for it on the google doc I posted in the Board of Directors Facebook group. Also, we get a private room at the venue to leave our stuff in during the semi-formal. Li: Can we bring non-woodsworth students to the event? Lamba: Yes, tickets are $10 for non-Woodsworth students.

9. Appendix Woodsworth Multicultural Fair Event Information: In appreciation of Black History Month and the idea of cultural diversity, several programs from within the Office of the Dean of Students' at Woodsworth College are collaborating to work on a large scale event that will be open to all students. The goal of the event is to educate attendees on different cultures as well as to appreciate all of the great cultures that have shaped Canada into what it is today. From 4:00pm to 8:00pm, Kruger Hall in Woodsworth College will be transformed into a cultural fair. We have invited all 51 culture-based groups from ULife. We currently have 16 groups confirmed. For the fair, we have asked groups to showcase their culture. This can be done through food, art, interactive activities/games, clothing, music, dance, and so on. Some groups have even expressed interest in performing dances for us and we are extremely receptive to the idea. To make the event more enticing, we plan on having a DJ, a photobooth and refreshments. The DJ will have specific requests from the culture-based groups attending, so it will be great to have music from all over the world ring through Woodsworth College. Again, the event will be open to all

students and anyone who walks through Woodsworth College on February 16th. Strategically, we planned the event for the Thursday before Reading Week. Typically, Thursdays are the best for attendance and being right before reading week, many people will not have assignments/midterms to worry about. We expect at least 150-200 people to pass through the event. The idea behind the fair came from an event held by the UTSU at Woodsworth College last year, which worked very well but is not being held again. However, the event last year served as a great celebration of cultural diversity and decided to plan it ourselves. While maintaining a positive environment and having fun, the goal is to educate participants to create a more open and culturally diverse society. The University of Toronto specifically, and Canada as a whole, is a beautiful place with people coming from all over the globe and we want to create an event that would be representative and appreciative of all our cultural backgrounds. Here at Woodsworth College, we want to honour and promote this unique diversity. All in all, this project will help to lift the UofT Spirit and create a united identity. Proposed Budget Photo Booth: $750DJ/Photographer/Videographer: $150Refreshments: $500Group Reimbursements: $750Total: $2150 Please keep in mind that some groups have funding from UTSU, while others do not. We are still in the process of determining exactly which groups will need money from us, it is likely that Group Reimbursements will be closer to $200 (but for the sake of the Grant Applications, we set it at $750). Also, groups are bringing ethnic/cultural food and have been told not to be concerned with dietary restrictions, in the hope that the event is able to provide general refreshments for all. Lastly, if WCSA has any contacts for the Photo Booth, DJ, Photographer or Videographer, please do let us know. We may also ask for some help with Public Relations. WCSA can feel free to add its logo to our poster.

2. UpdatesForgas: I have been busy writing checks since we got back. got back. didn’t meet with me yet about charging stations but hopefully I can get in touch with her & we can move forward with that this semester.

Lamba: Happy new year everyone. Great to be having our executive meetings again. With internal, before we left, I dealt with some honorariums. Currently, I have been responding to emails. 3 people have showed interest for the Mature Students’ Director position and I will contact them soon regarding the Board Meeting soon. However, no one has applied for the Woodsworth Residence Director position. I will talk with the residence dons to put a word out. I have been working on the office. I will be checking for WINC in the basement for items that

they need for their conference. Since it is the first week back, I will add to the supplies in the office.

Bear: I have been making posters, posting on social media, and sending out the newsletter. The PR committee meeting is upcoming.

Li: I contacted MLSE to sort out Raptors and Leaf game tickets. I haven’t heard back but I hope to sort that out soon. I contacted Blue Mountain resorts for our day trip. I have also been working on intramurals, mainly the men’s soccer team. I have also been busy helping out free agents get in contact with different teams in different schools.

Khan: I have been meeting with various directors and clubs ever since I have been back. For this semester, instead of 1 town hall, I am scheduling 4 mini town halls which will take place in the student lounge. I will be entertaining questions regarding the budget, our policies and governing documents. I had a meeting with Dylan to discuss how the financial portfolio can assist me during the mini town halls. I have scheduled meetings with my mentees to discuss any challenges they have faced this semester and how I can help them overcome them.

Medrero: I have confirmed and booked Second Floor venue for the semi-formal which will be happening from 7p-2a on the 26th of January. Also, the Pharmacology Student’s Association reached out to me, I will discuss this further in one of the agenda items. Winterfest is happening right now which I have been working on. Taco & Burrito night with the WRC is next week. Also, my social committee will be meeting next week. Finally, a collaboration with New College will be occurring soon.

Jeong: I had a meeting with the BSA regarding their event this Saturday which is free for all WCSA executives. I will be meeting with the Japanese Students’ Association this weekend about their event in March. I am also currently working on the Howl.

3. Semi-Formal UpdatesMedrero: The one thing I wanted to talk about is the price of tickets. We could keep it at $5 for Woodsworth students & $10 for non-Woodsworth like red party. My thinking was to make it $10 for Woodsworth students & $15 for non-woodsworth because we would have a guarantee of more people to come if they put more money towards the event.

Forgas: We had no planned sales for this event. We really do not need to even sell tickets. I do agree if you put in bit of money, you are more likely to come. We want to make it accessible. If you can’t afford Gala, this is another option.

Khan: We have a few choices. We could sell it for free or $5/$10 or $10/$15. I personally think it should be $5/$10.

Lamba: It could be more chaotic if it was free and it could be logistically hard in terms of registration. I think $5 for Woodsworth students and $10 for non-Woodsworth is the best and most affordable option.

WCSA executives unanimously vote to sell semi-formal tickets for $5 for Woodsworth students and $10 for non-Woodsworth students.

Khan: When do promotions start?

Bear: On the 16th.

Forgas: Can we start to post on social media sooner?

Bear: We can post information on social media by Friday.

Medrero: Also, I am visiting the venue at 4p on Friday so if anyone would like to join me that would be great. In addition, please promote the event, I want a better turnout.

Lamba: Can we get a run down of the event?

Medrero: I will be there by 4p. 7p is when people can start to arrive. Sam is in charge of registration later in the night because of her class. Registration will be set up like red party. Food will be circulated. There is a dance floor as well. We will go on till 2a.

Lamba: In terms of executive support, what would you like?

Medrero: 1 or 2 executives arriving there a little earlier would be appreciated.

Forgas: On the way out, I think we can allocate money to those who are not sober to pay for a taxi or give a TTC token.

Medrero: I would like to have sober leaders at the event as well. 1-2 execs and some directors.

Khan: Any other questions, comments or concerns?

Medrero: Message me if you want to be a sober leader.

4. Gala Awards & BursariesKhan: In the president’s transitions reports, they mention how a lot of gala award recipients found out about their awards after tickets were sold out. Is it logistically sound if award winners are allowed to attend Gala for free?

Lamba: I think this is better to discuss this with the gala coordinators. I will be meeting with them soon but I think they should know for their logistics reasoning.

Khan: We can check the number of awards and make sure it can work with their budget.

Bear: Could we notify people who win that they have tickets on reserve or a discount?

Forgas: I agree. Half price and on reserve would be ideal for recipient winners. For clubs and teams, could we make it just the captain or leader of the team that gets the award?

Lamba: We should have a deadline for reserve tickets.

Khan: Are we all in agreement of this? Any questions?

WCSA executives unanimously vote to sell reserve and sell discounted tickets to Gala Award winners.

Forgas: Make sure you give the details and talk it over with the gala coordinators because they have a target of what they need to make from gala.

Khan: My other question is regarding the Gala Awards Committee. I am skeptical of the process. It has been expressed many a times that individuals win based on their names and not necessarily merit. I was thinking of changing the composition of the committee to make it more accountable whereby it would be chaired by the President & SLC and the committee would consist of Woodsworth students who can not be nominated for awards. The President can also not be nominated for an award.

Lamba: Participation is what I am worried about. What incentive will students have to be a part of this committee if they can’t be nominated for an award? Accountability could still be an issue because individuals could be chosen based on their names and recognition around the College, and not necessarily their merit. We can try it out but I don’t know how many people will actually volunteer.

Forgas: We could promote it during WCSA events. People will vote for their friends, no matter what though. However, if everyone is informed, I think we are trying our best.

Bear: I do not think we can ever make the process truly fair no matter what the composition. However, if you are nominated and on the committee, you could leave the room when they are discussing whether you should get the award?

Lamba: Since we are going down this path, like Sarah said, we can find a modification of what used to happen.

Khan: Modifications such as?

Lamba: Was the SLC present in the room last year?

Khan: No, she was not in the room during the selection, but she is a part of the committee and sent her suggestions in later.

Lamba: I think the SLC should be present and that it itself would guarantee accountability.

Forgas: What’s the basis of someone getting an award?

Khan: The quality of their contributions based on the award.

Forgas: The reason I am asking is because as long as there is a thorough statement as to why someone won, there is no reason why accountability should and would be compromised.

Jeong: What if we made the entire process anonymous, we make the committee and expand it to the entire WCSA BoD. We do not tell people names but we put statement and the number they were voted.

Khan: If we make it available to the whole board, the only issue is that it might consume a lot of time, but I agree, I think making the entire process anonymous might ensure fairness.

Lamba: Why don’t we do that within the gala’s committee setting? So it is easier to deal with logistically and it is fair. Also have the SLC present to monitor the whole process. The fact that we are taking measures is important.

Khan: I agree. However, I would still like some non-wcsa people.

Medrero: It may take longer but it will be more fair and useful.

Lamba: We need to take measures to make sure that people are not voting multiple times for

themselves and accept 1 submission per email address.

Khan: Sounds good! We’ll keep the same committee, make the names anonymous and look into adding more Woodsworth students in the future.

5. In-Depth MeetingJeong: First meeting to plan the conference is tomorrow. Their meetings will be weekly on Monday at 4p. I can attend bi-weekly or monthly meetings. If you would like to attend any meetings, you are more than welcome to attend.

6. Fix the SixJeong: This is a student group that is devoted to aid the homeless individuals in Toronto. They want to discuss topics like homeless, poverty, etc. and they would like WCSA’s support. They are starting a re-gifting program. They provide us a box and people can drop off new or used gift cards and they will be used by the organization to help the community. I think the Community Outreach Director should be involved in this as well.

Lamba: How exactly do we support them?

Jeong: They just want to put a box in any area in Woodsworth like the WCSA office or student lounge with high traffic.

Lamba: I think we can definitely support this. I will also forward this email to the Community Outreach Director to get her portfolio involved.

Jeong: Yes, I think that is appropriate.

7. Pharmacology Students’ CollaborationMedrero: A student contacted me about collaborating on a event at a winery. They would want to advertise it on our social media platforms and add WCSA as a sponsor. No money is required by us, just promotions.

Khan: As long as the WCSA logo is on their promotional materials and they send them to Sarah, I don’t mind promoting them. I like that WCSA is collaborating with external groups this year. It’s a great way to get our name out.

Bear: As long as they send me exactly what I need then I am good with it.

8. Anti-Islamophobia Week

Khan: The UTSU is hosting ‘Anti-Islamophobia Week’ in February and was wondering if WCSA would be interested in collaborating. Again, all they need from WCSA is to help them with promotions and attend the events that they can.

Lamba: I am okay with this.

Forgas: Yes.

Medrero: I agree as well.

Li: Yes.

Khan: Sounds good, I will email her and let her know.

9. The HowlJeong: Our new editor-in-chief asked me if there is anything specific from WCSA we want them to cover. Thoughts?

Li: If they are independent, we should not influence them.

Khan: Is it still only published online?

Jeong: Yes.

Khan: It would be much appreciated if they could promote WCSA events and initiatives.

Lamba: Can you clarify what you mean by what we want them to cover?

Jeong: She asked if we want them to cover/write any articles specifically.

Lamba: Just adding what events we have going on would be great.

10. Constitutional Amendments & ElectionsKhan: We have been approved for internal elections by the UTSU. We need to have a special general meeting to add those positions to the constitution. Here are some other changes that I would like to propose be made. I think the Full Time Students’ portfolio can be removed since it doesn’t target a specific audience and it is thus hard to plan events. I would also propose only having 1 Upper Year Students’ Director and Mature Students’ Director instead of 2.

Bear: I think the Upper Year has expanded a lot since last year and it would be very hectic to

handle for just one person.

Khan: Who do you think your target audience was last year as Upper Year Students’ Directors, Kristine and Sarah?

Bear: We were responsible for providing upper year students with the means to develop professionally and take the next step to graduate studies.

Khan: My reasoning behind this is that Erica as a Professional Development Director can handle planning one major event and a couple of other for both semesters alone, and the Upper Year Directors who are in charge of the same amount of events will be able to do so too. We can definitely reconsider if you believe the latter have a lot of events to plan and execute.

Lamba: The Upper Year portfolio is a lot more active and does a lot. I am okay with mature & fulltime being removed but both positions for upper year should stay.

Forgas: I agree with keeping 2 upper year positions. What is the turnout for the Princeton review events by the Upper Year portfolio?

Bear: It was low but we need to keep the event to keep the discount so we abide to our contract by keeping the events. We need to maybe restructure the Upper Year portfolio.

Khan: I agree. I think all portfolios need to remember who they are catering to and tailor their event/initiatives accordingly otherwise they will not get the desired turnout.

Jeong: I agree with getting rid of the fulltime students but what about adding a 3rd upper year position? I think an additional representative is required to represent students enrolled in second, third, fourth or fifth year?

Forgas: Other events always cater to upper year students anyway. The directors need to rethink the way services and opportunities are provided, not add an additional representative. Maybe it is not the services but they are consistently opportunities.

Bear: VP Social also plans a lot of events to cater to both first years and upper year. A third Upper Year Director is not necessary. Khan: Whoever is currently mentoring the Upper Year portfolio can have a conversation with them regarding how they can better tailor their events to Upper Year students.

Forgas: What other positions were you planning on adding?

Khan: I propose that we add the following positions: 1 International Students’ Director, 1 Mental Health Director, 1 Equity Director. I would also like to replace the Chestnut Residence Director to someone who is in charge of Woodsworth students in all non-Woodsworth residences (UC, Chestnut, SMC, etc.)

Bear: The title of the last position could be On-Campus Director.

Lamba: I think it would be a lot for 1 person. I think Woodsworth residence director should still exist and we could have another position for the other 3 residence spots.

Li: Maybe the 1 person could collaborate with dons to get things done. They could directly contact dons to make events.

Medrero: We could have 2 on-campus directors or 1 chestnut residence director, and 1 UC/SMC residence director.

Lamba: Adding positions for each residence might make it redundant though, and we still can’t expect one person to get in touch with Dons from all the residences to inform Woodsworth students.

Khan: I’ve lived in SMC since first year and if it wasn’t for the Dons in my residence who had ties with Woodsworth I would not have been informed about the positions here.

Lamba: I agree but I still think this role would be overwhelming for one person.

Jeong: We could have two on campus positions, one for Woodsworth and one for other residence to ensure that one person is not in charge of all on-campus students.

Bear: I agree. They could even have their own committee to help them reach out to these students.

Khan: Okay sounds good! I will take these recommendations to the PRC and the Board. The final positions would then have to be approved at the Special General Meeting on the 14th of February before they are added to the constitution. We need at least 50 Woodsworth students to be present at the Meeting.

Lamba: For the mental health director, would they work with directly VP Internal?

Khan: Not necessarily, but VP Internal could still help them if they’d like to.

Forgas: What would the budgets be for the new roles?

Khan: It is up to the new VP Finance but I’m thinking we can recommend at least $100 for each. am thinking around $100.

11. Relay for LifeJeong: Relay for Life is hosting a fundraiser for cancer. Many other schools also participate in this event. I received an email from this organization asking if we’d like to collaborate. Additionally, they were wondering if they could use Kruger Hall for their event? I think it would be great for WCSA to be involved with. Their event starts at 6 but Kruger Hall is booked till 6 that day as well.

Khan: I think this is a wonderful event. If they’re willing to change the time for their event so that they have ample time to set up, I see no problem with collaborating with them.

Jeong: Sounds good. I will bring this up at the Board Meeting as well and let the Community Outreach Director know.

12. Other BusinessForgas: There has been a red bag of books outside 105 for a while now? Who do those books belong to?

Khan: Not sure, please post in the Board of Directors group to check if they belong to someone.

Medrero: People have been asking when will graduation photos be for Woodsworth students.

Lamba: In February and March. An email will be sent out to everyone from the Registrar shortly.

Khan: SPC cards are here, we need to promote them & sell them.

Forgas: Are we selling Frost Week concert tickets?

Khan: Yes. They will be dropped off by a UTSU representative soon.

Forgas: We will also need to track it within the office staff modules then

Khan: Can we add in Orientation 2017 please?

Lamba: Can we also add in a motion for the Orientation 2017 Hiring Committee?

Forgas: One final agenda item to add in, can we also add in a motion for amendments to the mature portfolio budget and part-time portfolio budget?

Note: WCSA BoD approve amendments to the agenda.Motion passes.

4. Approval of the Previous Executive Meeting MinutesMoved: Khan Seconded: LambaMotion passes.

5. Approval of the Previous Board of Directors Meeting MinutesMoved: Khan Seconded: LambaMotion passes.

6. Approval of Board ReportsKhan: Hi Everyone, thank you for coming out to the meeting. It has not been too busy for my portfolio since we last met. I will be giving you all updates regarding Orientation later on. I have also been working on amending the constitution and I hope to pass the amendments at the AGM.

Lamba: For internal, it has not been super busy either. I have been sending out the holiday cards, updating my budget and the office is now closed for the fall semester. I am in the middle

of sending my PR requests for our events and other things that will be happening next semester. That’s everything for internal so other than that, goodluck on your exams and see you in January!

Forgas: I have been pretty busy getting closer to finishing the audit. It is going at a really good pace which is great.

Li: The past month has been pretty relaxed for the athletics portfolio. We just added 2 new teams and we are getting ready for the Winter intramural season. Thank you to Russell & Radha who co-facilitated and organized our event during WCSA Wellness Week. We are starting to plan new events for next semester, one of which will hopefully be a ski trip so we are looking forward to that.

Sharma: Victoria and I had our first event a month ago and it was a good experience. We hope to learn how to plan better events and we will be coming up with events for the next semester.

Bear: December has not been too busy for the PR portfolio. We were mainly just focused on promoting events. We also finally put WCSA wear on sale and I can say that it has been extremely successful so far. I am working on the December newsletter now and will have it out by early next week so if you have anything to include, please send me a blurb as soon as possible.

Zelnicker: Akshika and I are looking forward to next semester. We are in the middle of looking to plan cool events and we are open to collaborations as well.

Jeong, E: For the professional development portfolio, the committee has now formed. We are ready to start working from second semester. Also, the venues for all the events have been booked which is great. The first event will be the Resume Building Workshop on January 19th so please register!

Davis: My report is very similar to Kristine’s. We had a very successful Red Party and we are working towards a semi-formal in January.

Lowe: I have collaborated with the Off-Campus portfolio for the Hart House $5 lunch and we were surprised with the turnout. On Wednesday, I will be collaborating with Ryan and we will have a hot chocolate stand in the Woodsworth Residence. We will have a raffle to raise some money for Warm Hearts and we will be asking for volunteers to help us create Winter Survival packages in the new year. Mainly, I want to get interest in community outreach and get students to want to volunteer.

Yahya: I am planning to host an event for Chestnut residences in January. I have not decided on specifics but I will keep you all updated. If anyone wants to collaborate on this event, just message me or email me.

Moved: Khan Seconded: LambaMotion passes.

7. January Semi FormalMedrero: So, originally, I thought I have $5000 to plan a semi-formal but it turns out we do not. So this is why I want to motion to approve getting $5000 added to my budget. The reason we want to have this semi-formal is to a re-introduction into Woodsworth and welcome our students back. We think it would be a great way for students to relax and if it is approved and liked WCSA can have a semi-formal in December as a goodbye for the semester then a welcome back in January and a finishing off formal with Gala. Our plan for this semi-formal is to have it outside of Woodsworth. It will cost us $10 189.49 to have the semi-formal but it is completely budgeted for. I will tell you all how I re-allocated my budget to make this happen. We have a lot of money saved from past events. We have $51 from the September Welcome Back Social, $200 from the Self-Defence classes, $1300.43 from from the October Streetcar Pubcrawl, $600 from the October Coffee Crawl, $351.72 from the November Wine & Cheese Event, $100 from Red Party. That totals to $2603.15. For the reallocation of funds, we are going to move $1000 from the Wing-a-thon. Originally, we would double the funds for this events but we realized that there was so many leftovers after this event so we will lessen our contribution. We are still contributing $500 which is more than last year but we don’t want to be wasteful. We are going to move $1000 from the March Art Showcase between us because we booked Hart House for this event so the venue was free, hence we have extra funds. We are also going to move $94.32 from our social committee which is money we saved from events. This gives us another total of $2094.32. Combined we have $4697.47. With the added budget line of $5000, we would have $9697.47 and then we would get $492.02 from the buffer which then totals to $10 189.49. This depends on the $5000 budget line being added in. Like, Red Party, we are open to collaborations with any portfolios as well.

Khan: With the money that you allocated and shifted and with the additional $500 0, you cover the entire budget?

Medrero: Yes.

Forgas: An important thing for the board to know is that we are requesting $5000 from the bank to then be added to the social portfolio budget. This is not money that is allocated

already. So basically, we need two thirds of everyone here to approve it, in order to request the funds, as per the financial policy.

Khan: My question to you then, is are there any drawbacks from this?

Forgas: No they are not. We are in good financial standing and we have the funds to draw out to allocate towards this event. Only note that I had about this was that originally, it was close to gala but that is not an issue anymore. If this does go through, you will have to update your budget immediately because there are a lot of changes here.

Munro: I am not sure if this is an issue but the SGRT Mental Health Committee is planning an event for January 26th. We chose January 26th because it is the day after Bell Let’s Talk so this can be an issue.

Forgas: Is it the conference?

Munro: It is the event where AJ & I were planning to hold an event in Krugar hall.

Khan: Do you know the time? Because the semi-formal will begin after 7p.

Munro: It will be in the evening.

Khan: Okay so what is the nature of your event?

Munro: AJ is actually the one to contact about the details, I am just supporting him.

Khan: We can definitely work this out if it is clashing.

Medrero: Just one important thing to note, is that I did look at other possible dates for this semi-formal and the next week is available, however, prices increase making it more expensive. That is my reasoning for choosing this date.

Lamba: Also, really quickly, if you did want to book Krugar, it is booked until 7p on January 26th. I would suggest looking at other spaces and communicate this to AJ as well. You can always let me know if you want help looking for spaces.

Forgas: One question are we making sales for the event?

Medrero: Yes we do, it will be slightly more than Red Party. Sam and I still need to finalize it but our tentative pricing is $10 for Woodsworth students and $15 for non-Woodsworth students.

Forgas: Can I ask how you came up with that price?

Medrero: Just because it is more expensive so we decided to double it from what Red Party was.

Jeong: Just a quick question, if we were to hold this event we would need to pass the budget line today correct?

Medrero: Yes and the deposit is due on the 13th.

Lamba: What is the capacity for the event?

Medrero: 150 which again is more than Red Party.

Khan: So I see no drawbacks from getting the funds from the bank or holding the event, the only issue is the date. We could submit the deposit and work out the date after.

Forgas: Only issue with that is that another date makes it more expensive.

Davis: Could there be a way for you to put it on the 25th and join Bell Let’s Talk?

Munro: See I cannot say because AJ has the specifics on what will happen. Also we all voted on the date. I will email Brianna and let her know the update and see what we can do from there.

Forgas: Is this event run by the SGRT.

Munro: It is the mental health roundtable which is a sub-committee of the SGRT.

Forgas: Okay I have one more question. Is it okay to have 2 events on the same day?

Munro: I think it would be an insult.

Forgas: In what way?

Munro: It would make people have to choose one or the other.

Forgas: I’m just going to follow up because with Red Party, it was the same night as New College’s formal and people were still put in a position to choose one or the other. Again, we can talk more about it and work it out.

Khan: If I can just add, mental health is very important and we want to bring focus to it but having a mental health event after 7p, is really inaccessible to commuters. I will also reach out to Brianne to see if we can find an alternative and work it out so both will not clash. We can still have events on the same day.

Forgas: On that note, if anyone else has any other questions, please ask. Otherwise can we bring this to a vote?

Khan: Any other questions or concerns?

Sharma: I just have a question about how this works. If we were to do this annually, would you have to request $5000 from the bank every year or would it already be included?

Forgas: Next year, it would be added into the budget.

Sharma: The money from the bank where does it come from.

Forgas: Basically, it is funds from past boards that we try not to use because we are not profit. Basically, it is just sitting in the bank so we can request to take it.

Khan: Mainly, we are requesting because this is a new event. But does anyone have any questions, comments, or concerns?

8. Social Portfolio Budget Motion that the WCSA BoD approve adding a new budget line of $5000 in the Social Portfolio budget for the January Semi-Formal.Moved: Medrero Seconded: ForgasMotion passes.

9. Orientation 2017Khan: So this is just an update in regards to orientation 2017. As you all know, there was a referendum done by the ASSU to add in a fall reading week which passed. This means that next year the University of Toronto will have a full reading week in November rather than the 2 days. This means that Orientation will be cut short. Next year, classes would start on the 7th which is a Thursday which means we have Monday, Tuesday, Wednesday and Saturday for boat cruise. For external factors, UTSU will not be holding events that week but rather the week after. The only potential factor that could affect us is that Pre UofT may hold events during the same week as us. Move in as well may be slightly different. I just wanted to update you all and as I know more information, I will keep updating you all. Any questions?

Munro: Does this mean the cost for orientation will be reduced or stay the same?

Khan: Hopefully, it will be reduced.

Forgas: That is up to the OCs and VP Finance so it is up to their discretion.

Shah: So school would start on the 7th and boat cruise would be on the 9th?

Khan: Correct. Any other questions? Okay thank you!

10. Orientation 2017 Hiring CommitteeBIRT that the WCSA BoD appoint Khan, Lamba, Medrero, Davis & Lowe to the 2017 Orientation Coordinator Hiring Committee.

Lamba: In January, we will be striking a hiring committee to select our new Orientation Coordinators. It will consist of Novera, myself, the social portfolio and 1 director. The call-out will be sent out before we come back. The hiring process will be slightly different because we want more people to apply. The interview process will start in February and we will have out OCs in March.

Khan: Any questions? All of you are welcome to apply but then you cannot run for anything on the board.

Forgas: Are we striking a committee?

Khan: Yes, we are. I am going to ask all who are interested to tell us why you are interested in the committee and what you can contribute to the committee.

Lowe: I have been involved with orientation for the past 2 years. I went from a leader to a head leader so I believe I could give insight on what it is like to be a leader and insight on what an Orientation Coordinator should be doing.

Riar: Just in general, I have been involved in different aspects of orientation. I know that this upcoming year, I will not be able to be involved so I want to be a part of it in some way and contribute in some areas. WCSA BoD select Darby Lowe to be the 1 director on the hiring committee.

Moved: Lamba Seconded: Khan

Motion passes.

11. Amendments to Mature & Part-time BudgetsBIRT that the WCSA BoD reallocate $2000 from the Mature portfolio’s budget to the Part-time portfolio’s budget.

Forgas: So this motion is about the mature and part-time budgets. Kerry is hosting an event in collaboration with APUS.Kerry has requested funds for this event. In the mature students’ budget, there are funds allocated for a collaboration with APUS. It has been discussed with AJ ad Kerry that it would be best to re-allocate these funds to the part-time budget since the event is now happening under this portfolio.

Khan: Is the mature students’ portfolio collaborating in any way with APUS?

Munro: I have reached out to AJ and as far as I am aware, AJ is not. I have not gotten a confirmed yes from AJ.

Forgas: I have spoken to AJ and he was fine with this re-allocation. The consen however, was not given to me in email or in writing just so you are aware. If there are any issues moving forward, I will bring it to all of your attention but I think we will be fine.

Khan: I would just ask you to double check with AJ again to make sure he does not plan to collaborate with APUS this year and maybe see if he wants to get involved in the planning process. Any questions or concerns? Okay, thank you!

Forgas: Great can we proceed with a vote?

Khan: Yes.Moved: Forgas Seconded: MunroMotion passes.

12. Other BusinessKhan: In light of what has been happening on campus this semester, I just want to say that WCSA is a very inclusive organization. I know we have been elected to our respective portfolios but we are also here to advocate. If you someone in the Woodsworth community has been affected in any way or distressed, it is our responsibility to refer them or direct them to resources on our campus. Yesterday, I sent you all a document with a bunch of resources. If you have anyone who needs support, please refer them to these resources or myself, our equity chair or Christina. All of us are here to support them. WCSA or myself will not tolerate any

comments or actions that are transphobic, homophobic, racist, or islamophobic. That is not acceptable in any shape or form. If you also see any member of the community taking such actions or making any remarks, please report them to me immediately because they affect a large portion of the student body. Finally, if any of you have been affected in any way, let me know because I want to make sure that we are all being supported in the best way possible. Lastly, I am very proud of how all of you carry yourselves around the college and interact with students. Woodsworth is known as a very inclusive college and community, as well as WCSA, and that is your doing. Thank you very much!

Board Reports

PresidentHi Woodsworth,

Happy New Year! I hope all of you had a restful and joyful holiday break.

WCSA has been working really hard to introduce wonderful new events and initiatives for you this semester. One such event is ‘Lunch with WCSA’, which entails a series of mini town halls to be held in the Student Lounge once every month till the end of this semester. The first ‘Lunch with WCSA’ is scheduled for January 30th from 4-6PM. I, along with your VP and Associate of Financial Affairs, will be available to chat about WCSA’s constitution, budget, services and policies over some delicious lunch. As well, there will be an anonymous suggestions box placed in the Student Lounge for you to drop off any questions, concerns or suggestions that you may have regarding WCSA.

Additionally, we have been very busy amending our governing documents - our constitution, by-laws, election and award policies - to be more inclusive and representative. We will be passing these amendments during the Special General Meeting (SGM) on 14th February, 2016 from 4PM-6PM in Waters Lounge. This will be the perfect time to ask any questions about the upcoming elections since we will be adding and removing some positions from our Board of Directors. If you are attending the SGM, but know someone who isn’t, please ask them to proxy their vote to you by signing the SGM proxy form, which is due at 4pm on February 14th to WW103 or at [email protected]. Food and refreshments will be provided!!

As always, feel free to email me at [email protected] if you have any questions or concerns.

Sincerely,

Novera Khan

Vice-President of Internal AffairsHello Woodsworth!

I would like to wish you all a very happy new year and hope that you all are having a great semester till now. As for the Internal portfolio, I have been working with the Office Staff to make sure the office is efficiently conducting its operations. I have been meeting with the Gala coordinators as well as attending the weekly Executive meetings. Further, I have been working on OC applications (which are due February 1!) as well as the Spring General elections. I had a meeting with the Policy Review Committee as well! All in all, it's been going great and I look forward to the final semester!

1LoveWW!

Best,Radha

Vice-President of Financial Affairs Hi team! Late December and January have been busy for Rohan and I as we have been completing the auditing process from our end. I am happy to announce that we are going to meet the hard deadline of January 31st, as the auditing team from Gil & Co emailed us yesterday to tell us that they require no more information from our end. In addition, I have personally (along with Ryan), met with WiNC regarding some budgeting issues. As for the charging stations, I have made the attempt to schedule multiple meetings with the Dean of Students office to no avail. With this being tabled as one of my later priorities, Rohan and I will now be working on smaller projects such as revisiting the Financial Policy, helping to facilitate the weekly mini town hall's with the President, and preparing documents for next year's team so they can finish the audit process far sooner. Lastly, it was part of my platform this past election to make sure that all information was accessible and more streamlined and that has been done with creating a comprehensive system on google drive and the USB drive. I want to personally thank certain execs and Rohan for making the being abundantly helpful and cooperative.

Vice-President of Social AffairsHey Woodsworth! Welcome back to UofT! I hope you've all settled back into classes! The Social Portfolio has been pretty busy, mainly dealing with the finalisation of upcoming events. Since the last board meeting, most of my focus has been dedicated towards working on Winterfest, in collaboration with all the other colleges and faculties on campus. The week went extremely well, and I wanted to give a huge round of applause to Brianne and Stuart, the presidents of Innis and Victoria, respectively, for all their hard work on Winterfest. After that, Sam and myself have been working on our two January events, the Taco & Burrito Night in collaboration with the WRC, which happened on Wednesday, January 18th and went extremely well, as well as our first Winter Semi-Formal, "New Year, Same Woodsworth", happening on Thursday, January

26th from 7PM-2AM at 2nd Floor Events, on 461 King Street West. I really hope that you can all come to it! Other future events include our Superbowl Wing-A-Thon on Sunday, February 5th at the Duke of York, our Art Showcase/Coffee House on Saturday, March 25th in the East Common Room in Hart House from 7PM-12AM, as well as our Beer Tasting at the Duke of York's BrewHaHa on Thursday, April 6th from 4-6PM. As per usual, if you have any concerns, questions, or suggestions, please feel free to contact both myself and my Associate, Sam, at [email protected] and [email protected] respectively. Best wishes,Kristine Sarah Medrero

Vice-President of External Affairs Hi Woodsworth! I hope you’ve had a great winter break, and I hope you are enjoying your first month back. It has been a busy month for the External portfolio, where, I along with the external committee have been working on various tasks. First off, I am delighted to say that we have been planning, and working on many collaborative events with multiple organizations on, and off campus. For instance, we’ve recently collaborated for the “Acoustic Night” event with BSA U of T, where live bands were invited, and amazing food was served to students of Woodsworth College, and many more. I’d like to thank BSA for hosting this great event with WCSA. In addition to the collaboration with BSA, we are also planning to collaborate on a Japanese cultural event with UTJA. WCSA, with UTJA will be holding a large-scale event where 200 + participants are expected to come. Please check our social media platforms for details about the event. There will be traditional Japanese food, and live martial arts performances will be held! We are also collaborating with “In Depth” for an upcoming conference, which will be held some time in March. This is an exceptional opportunity, where our students and students from all across the campus will get a chance to learn about some pressing issues in South East Asia. In terms of ASL, we are excited to announce that the establishment of ASL’s constitution has been completed, and we are waiting on the external committee’s approval for the club’s recognition. This item will be brought before the WCSA board of directors to finalize the recognition of the club. For further updates, please check out our social media platforms, as well as our monthly news letters. I am also delighted to announce that The Howl’s executive team has been firmly established, with strong leaders leading our periodical. If you are interested in writing for our student periodical, please email myself, or Chantel Ouellette, our Chief Editor for the Howl. We are hoping to have the Howl active by the beginning of February. For the upcoming months, the external portfolio will be working on finalizing ASL’s recognition, and searching for The Movie Club’s new team members. On a final note, please feel free to send me an email or visit me during my office hours if you have any questions or concern!

Vice-President of Public Relations Hey Woodsworth! I hope the semester has been treating you well so far! January has been a pretty busy month for the PR Portfolio, as a lot of directors have planned some amazing events for you all. This month, we've been keeping track of our PR requests and promoting everything accordingly. We also had our first PR committee meeting of 2017 on January 18. We've been selling our WCSA sweaters for 5 dollars in room 103, so make sure you grab yours before they're all gone. If you have any questions or concerns regarding our portfolio or general inquiries, please feel free to drop by during my office hours or contact me at [email protected].

Associate Director of Social AffairsHi Woodsworth!

Everything is going smoothly with the social portfolio! Kristine and I have met and organized what we need to do for the rest of the semester in order for it to be successful!

We have our taco/burrito night coming up and our semi-formal, which are both ready to go! In early February we will have the Super Bowl event at the Duke of York. Hope to see everyone there!

Right now, we are working on organizing meetings for our social committee so they can start to plan a second event! We are also beginning to think about our art showcase event in March. So, if you know anyone who would like to contribute, or if you would like to contribute, please contact us!

Thank you!

Professional Development Director

Hi Woodsworth! I hope you've had a relaxing winter break, and although it's mid-January, I wish you all a happy new year! January has been a busy month for the Professional Development portfolio. First off, the Professional Development committee had our first meeting this week to discuss, and plan for upcoming events. We are very excited to work with each other throughout the semester! We invited a workshop facilitator from the career centre, and for our first event, we had the Resume Workshop on Thursday January, 19th. I hope your resumes are all in good condition and wish you the best of luck with your summer job applications! On Friday January, 27th, we are planning to have the annual “Are You Woodsworthy?” Leadership Conference. For this year’s conference, we have invited SLC to facilitate leadership workshops. Some of you might remember that we had great speakers in previous years’ conferences. We will be inviting speakers on separate dates this semester, and I will update further details in the coming days! Have a great rest of January Woodsworth, and please ensure to keep yourselves updated with WCSA's events by checking our social media platforms, and our monthly newsletter. Sincerely, Erica

Community Outreach DirectorHey Everyone! In mid-December, I collaborated with the external affairs to host a hot chocolate stand in WW residence. This was to raise money for Warm Hearts as well as collect emails and interest for a monthly email that I will be sending out! The email will include group volunteer opportunities (the first few opportunities are in collaboration with Yonge Street Mission where a group of WW students will go and help with their meal program on Tuesdays). I also will be outlining other opportunities for volunteer experience and participation opportunities for fundraisers that exist in Toronto and at U of T! I also am trying to voice resources that will help students in terms of finding volunteer opportunities that work best for them, which include meeting or corresponding with myself to help with this process! As for events, I am hoping to collaborate with other committees this semester to incorporate different community-based projects and fundraising for these organizations. With that said, I am very open to suggestions and opportunities in terms of collaboration! If there are any questions or concerns, please email me at [email protected]!.

Off-Campus Students’ Directors Hey Woodsworth!

Happy New Year! We hope that you all had a relaxing holiday and your classes are going well. The Off-Campus portfolio is planning a number of events and initiatives for the second semester!

We have many exciting WCSA Wednesdays in store for this semester and will be giving away more TTC tokens, metro passes and other prizes during our weekly commuter contests. Our first WCSA Wednesday this semester was on January 11th and we collaborated with the Social portfolio and Winterfest for the Pancake Brunch Crawl. We also worked together with WiNC during their

#ConsentisBAE (Before Anything Else) campaign on January 18th where students enjoyed free pancakes and learned about consent culture. We will be collaborating with other campus groups during WCSA Wednesdays and providing off-campus students with valuable resources.

Our OCC meeting was on January 23rd and we have been meeting with members of our OCC Council to discuss upcoming events and initiatives. We are working hard to prepare for Commuter Appreciation week and will be collaborating with other colleges to create a week of fun events for commuter students across campus. Next month, we are also hosting a board game night with the First Year directors. This will be a great opportunity for students to hang out in a stress-free environment and enjoy some food.

Lastly, we will be introducing our Off-Campus Student Directory in February and sharing weekly commuter tips. The Off-Campus Student Directory will allow us to reach out to more off-campus students and let them know about available resources and opportunities. We are also working with Novera on the WCSA survey and will be asking off-campus students to provide us with their feedback and suggestions to improve our events.

If you have any questions or concerns, please email us at [email protected] or [email protected].

Best,

Valerie and Haya

First Year Students’ DirectorsThe school year has been great so far for the First-Year Student Director Portfolio. Our first event was the First Year Student Mixer. We had many Woodsworth students come to enjoy a night of games and fun!

Our current plan for the year is to help the social portfolio with their first ever Semi-Formal, and help out with the WCSA Wednesdays. We are planning to help with the Semi-Formal, that is being held on the 26th, by helping out with the photo-booth at the event. We will help out with the WCSA Wednesdays by serving hot chocolate with the pancakes. We are also looking out for other opportunities to work with our fellow WCSA members and expanding our portfolio.

Full-Time Students’ DirectorsHi everyone, I hope you had a great break. It’s been a slow month so far as I have been contacting places for puppy therapy but none have responded yet. On the bright side, Justin is planning an event at Nando’s. All the details will be provided soon. Justin will be playing songs during the semi-formal so feel free to suggest any songs.

Part-Time Students’ DirectorHi all!

I'm very excited to announce the WCSA-APUS collaborative event: Singles Mingle, Partners Welcome. It is a Valentine's themed event that will have food, board games, raffles and it's a great way to meet other

WCSA and APUS members. This event is not just for part time students. It is open to all U of T students, plus one guest! I am definitely looking forward to this event. Another event I am currently looking into is a mini-mixer in March. This is meant to be a fun event, more details to come! If anyone has any questions, please email me [email protected].

Upper Year Students’ DirectorsHi folks,

It’s good to be back, and we hope everyone enjoyed their break.

January has been quiet for us, as we don’t have any events planned for this month. Currently, we’re in the process of planning our events for the rest of the semester.

We’re in the process of finalizing our Stress-B-Gone exotic animal event. Instead of balloon-popping, we’re planning to bring a kangaroo to Waters Lounge for your enjoyment. It’s like puppy therapy, but with a kangaroo. Kangaroo therapy. Marsupial therapy.

We are also planning to hold some events with The Princeton Review here at Woodsworth, like LSAT and MCAT strategy and info sessions. We have not yet set a date for these events, but the details will be finalized soon.

Additionally, we won’t be having a Cram Jam next month; rather, our two Cram Jams for this semester will be held at the beginning of March and April.

That’s all for this month. Until next time,

Ashley and Bhavroop

89 Chestnut Residence DirectorHey!

Since the last meeting I have been working on an event for the Woodsworth students at Chestnut to just casually meet and get to know each other on 2nd February. I have organized a sort of cupcake social, where students can come out to eat and decorate cupcakes as well as getting to know each other. This event is taking place at Chestnut Residence, simply because it’s easier for students at Chestnut and I have already booked the space and will be submitting a PR request as soon as I get approval. I am working on trying to limit the event to Woodworth students only but let’s see how that goes. I am excited about this event as it is my first one and I’ll keep you guys updated. Also please let me know if you would like to inform Woodsworth students at Chestnut about any specific event.(Any help or advice is welcome!)

Feel free to email me at [email protected].

Equity ChairOver the past month as Equity Chair, I’ve been working to understand best how to take the portfolio forward given the sensitivity of time and the need to leave a strong foundation for such a new position. As a result, the priorities I have been building off of include being available for WW students online through the **new** equity blog Our Woodsworth and in person through my office hours. I am in the process of reaching out to and building relationships with those working on equity and community within the 8 major colleges and several prominent groups on campus that do great work on issues of advocacy, social justice, and access. I will also be making myself available to WCSA’s numerous portfolios as they plan their events as equitably as possible. Finally, I am making it my mission as Equity Chair to welcome, support and encourage new voices and minds into the fold in existing spaces and programs, be it events within the college or like those included in Indigenous Education Week outside it. We must have uncomfortable conversations, break down popular terms and barriers, and ultimately develop a sustainable social consciousness among our college community around. To do this, I am requesting the WW community to put their faith in what will be a collective effort to show up for the rights of all our students, especially those that are racialized and marginalized while not excluding those who wish to learn and educate themselves further in these matters. Come to our first Equity and Community Meeting on Jan 31st from 5-7pm at Waters Lounge to make a headstart! Email me at [email protected] for any accommodation requests and/or questions.

Appendixa. Internal Elections Statement of Intent

1. Susan Murray

Greetings All!

My name is Susan Murray and I am a current 4th year mature student here at Woodsworth College. As a mature student, I know first hand how important it is to socially connect with fellow mature-student constituents. For the past three years, I have been personally involved in conceptualizing and planning several campus events that were geared towards mature and parent-students, and meeting and socializing with my peers has greatly enhanced my university experience. I would welcome the opportunity to continue this work with WCSA in the capacity of mature-student director and I have no shortage of ideas for future events!

2. Prilly Bicknell-Hersco

To whom it may concern,

Thank you for taking the time to read my letter of intent. I am interested in the opportunity to

become the mature student’s director at U of T. I came to the University of Toronto through the

Transitional Year Programme where I really got to learn how to navigate university life. TYP provided me

with a rich understanding of diversification and acceptance of all people who seek higher education

regardless of age, gender, or ethnicity. I successfully graduated from the program with high academic

achievement and entered into the faculty of Arts and Science, now in my first year I will have earned a

combined total of 7 credits towards my degree. This is to highlight my strong work ethic and love for

academia.

I have a lot of relevant experience in volunteering and organization. In the past, I have

volunteered for the salvation army and the Baycrest Centre for geriatric care. I am currently a

homework mentor for TDSB middle school children and will be starting the Saturday Program at U of T

as a core volunteer. Additionally, I successfully completed the ASL workshop at Woodsworth as well as

the leadership program where I gained valuable knowledge and insight into leadership, management,

directing, and organization of large projects.

I am also a mom of two so time efficiency and organization are my expertise! I would love this opportunity to exercise my old and new skill set to help create an inviting, accepting and fun space for all other mature students like myself.

3. David McDaniel

As you may already know, I already ran for the part time students director and almost won by 1 vote. I consider myself an active participant because I know that the roles and responsibilities for this position are similar to that of the part time director, henceforth easier to manage.

Due to my current schedule, I will be able to attend board meetings on a monthly basis and discuss events that are related to every other member.

I look forward to working with everyone.
