COMMITTEE MEETING

Monday 13th July 2009, The Black Swan, Ravenstonedale

Present:  Fraser, Steve C, Sally, Jenn, Angela, Tanya, Alex, William, Simon

Apologies:  Steve M

Treasurer’s Report:  NatWest bank account balance currently £780.00.  There are now 101 members and only 5 or 6 who have not paid their subs.  Three new members have recently joined.

Website:  William gave a presentation of his proposals for the new website.  The website will provide services to three distinct constituencies:  the general public, the members and the committee.

For the general public it will promote a positive image of the club, provide information and be a method of contacting the harriers.

For members it will provide up to date information on all aspects of the harriers, be a means of communicating with other members and facilitate the building of positive social relationships within the club.

For the committee it will provide a means of communicating and interacting with members, be a tool to manage membership and other administration and provide a platform to manage the external profile of the harriers.

William is still working on a few areas of development but most are ‘ready to go’ and potentially the site will be up and running in a few weeks.

Content Ravenstonedale 10K:  Saturday 28th November 2009.

Jenn has had a favourable reply from Garth Steadman regarding his possible sponsorship of this race on the condition that his requirements are met.  Jenn will liaise further with Garth and report the outcome at the next meeting.

Howlers:  There was a breakdown in communication regarding the howler on 12th June from The Marton Arms, Thornton in Lonsdale with Jenn being the only member to turn up!

The howler on 10th July was cancelled due to the clubs busy schedule, the summer social being on the 11th and a club championship race being on 12th.

Fraser is organising a howler on Friday 31st July from Murthwaite (his home) at 7.30 pm.  There will be routes available for all abilities, everybody welcome.  He will organise a BBQ for after the run, take own drink!  Sally will email all members with the above details asking them to contact Fraser if they are going so he has a rough idea of numbers to cater for.

The Great Westmorland Trail Race:  Pauline Tyson attended the meeting to help finalise the details of this event.

The Yomp flags are to be used to mark out the course.  Tanya will arrange these from Mountain Rescue.

The course will be marked out on Wednesday evening with the top path being used to avoid bog in Bents Farm region.  Pauline has arranged helpers with quad bikes to assist in course marking and she will check the flags are still in place nearer the race time.

Trevor will clear the lane of stones/branches ready for the race.

So far 52 pre-entries have been received.  (120 entries in total were received last year so on course to match that).

Website:  After a few initial problems and a few simple changes the website is now up and running.  Thanks to William for all his hard work over the last few months setting up the new website and thanks to Tom for assisting with the changeover and all his hard work over the last few years.

William stressed the importance of using the website to its full capacity to open up the club to a wider audience and to make all members aware of the value of the website as a means of communication.

He encouraged us to post information ourselves, eg:  pictures, asking help for events, meeting places for runs, profiles, minutes, adverts for hoodies/vest, etc.  The younger members of the club also need to be encouraged to post information.

Steve C sent a message via Alex to say that the website was excellent but why did it not fill whole screen?  Best practice not to!

Ian Hodgson Relay:  Angela has received only 1 entry for Howgill Harriers into this relay and has been told to expect a £20.00 refund. 2 entries were applied for and Fraser will speak to the organsiers (Jon Broxap, c/o Pete Bland) about the allocation of another entry.

K May and S Fisher (junior members) are keen to run in a team and will be eligible as long as their running partners are over 18.

Ravenstonedale Red 10K:  Jenn has been liasing with Garth

Fraser has included his sponsorship on the entry form along with The Black Swan and Stonedale Holidays sponsorship.

Sally will put the race details in the running magazines and on the website, complete the application for race permit and inform the Police and Council of the event.

Steve M will contact the local farmers to inform them of the event.

Tanya and Alex will get 200 entry forms printed.

Howlers:  Steve C sent an email informing members of the Howler on Friday 4th September from Tebay, starting at 7 pm.  He will be asked to post future dates of Howlers on the website.

List of Runs/Venues:  Monday 7th September meet at KSGS, 6.30 pm.

William will put the list of runs/dates on the website replicating venues from the previous list.  See website for more information.

He will also confirm the Thursday night Sedbergh meeting place on Busk Lane at 6.15 pm.

Further Events:  Tanya is keen to organise a fell race to benefit the Mountain Rescue Team with the Howgills as a possible venue.  The Mountain Rescue Team now have a public relationship committee who would help with organisation.  Tanya will liaise further with them.

Fraser is keen to organise a short series of 3 runs, 1 in Sedbergh area, 1 in KS area and 1 in Orton/Tebay area with childrens events running alongside.

Possibly to be held in spring time prior to Round the Howgills or later in the year as evening events.  The events would replace 3 Monday night runs instead of training.

Members are asked to post ideas/suggestions on the website about any of the above or contribute further ideas.

Present:  Fraser, Steve M, Sally, Jenn, Angela, Graham, Tanya, William, Richard Staley,

Apologies:  Alex, Steve C

Matters Arising:  A number of emails have been received regarding the Westmorland Trail Race thanking the club and Crosby Garrett Village Hall Committee for an excellent event however there were a few gripes directed at the club regarding the delay of the publication of the results.  For future events the results must be posted on the website within 24 hours.

Content Ian Hodgson relay and the club has gained 2 new members as a result.  Two teams (1 mens and 1 mixed) ran successfully in the event.

Eves Wood trail race has been confirmed as 22nd November 2009.

Fraser is still looking to see if he can find out the clubs date of formation.

Sally has received a letter of thanks from KS Mountain Rescue for the donation.

Treasurer’s Report:  £2000.00 balance in NatWest account at date of meeting.  This includes the £800.00 due to be handed over to Crosby Garrett Village Hall committee as their share of the proceeds from the trail race.  Fraser suggested purchasing more Howgill branded merchandise to sell.  Sally will see what is available from our current supplier but suggestions included gillet, buff, car sticker, hat, bum bag and active top.

Ravenstonedale Red 10K:  Richard Staley attended the meeting to represent the Ravenstonedale Millennium Committee.  The Black Swan are involved again this year and have very generously donated prizes and will provide refreshments (soup/rolls) after the race.  Stonetrail Holidays have declined to sponsor the event this year.  Spot prizes have been donated from Room 19, Kendal. Further prizes will be obtained either via donations or purchasing vouchers from Pete Blands.

It was decided to use the Village Hall as the base for registration to avoid the congestion in the Black Swan before the start of the race. This will probably cost around £12.00

Sally will order the race numbers (Ravenstonedale Red 10k, Steadmans Butchers, Sedbergh and the number) from Running Imp. G Steadman to be given No 1 for his shop.

Richard is organising parking and race marshals.

The Police and Eden DC have been informed and have replied.

Pete Bland is going to attend with the mobile shop.

Sally to print fliers for Fraser and Steve to distribute at Pete Blands and Cumbria Run.

Jenn to write an article for the Westmorland Gazette and the C&W Herald promoting the event.

After the race a swift turn around of race results/photos/report is needed for the website.  Jenn will write a report and Pauline will take photos for the website.

Westmorland Trail Race:  Excellent event taking £1200.00 in entry fees plus £230.00 sponsorship less £195.00 expenses (vouchers & numbers) leaving £1235.00 profit.

Crosby Garrett Village Hall Committee are to be given 800.00 and Howgill Harriers will keep £400.00.

A slight increase in the entry fee was proposed for 2010.

Next years event will be held on Saturday 11th September 2010.

Website:  Improving all the time but members must be encouraged to use it.  The committee members have been asked to add profiles to encourage others to do so.  Five new members have joined via the website but Angela needs to chase payment of membership fees. As new members have to join online this process automatically generates their log on and adds their email to the list ensuring that their details are included in future correspondence.

A few members say that they don’t receive the emails but William suggested that they check their spam.  William is also in the process of creating an advert for the hoodies/tshirst/vests and is looking into the possibility of new messages that are added to the message board being shown first.  Members are to be encouraged to add photos of races/runs that may be of interest.

Spinning:  A spinning class is being organised for a Monday evening starting after half term up until Christmas.  10 bikes are available to be booked on a first come first served basis.  Sally will get the details from Jayne Bland and put them on the website.

Circuits:  Fraser is hoping to run a circuits session on a Thursday evening in Sedbergh starting after half term up until Christmas

Content depending upon the availability of the sports hall.  5th November would be the first session.  Jenn is going to enquire about this booking again, hopefully 7.00pm/7.30 pm for 1 hour.

Winter Social:  Tanya made enquiries at Nateby Pub regarding the winter social.  They can accommodate 40/45 for a sit down meal or more for a buffet.  The Xmas menu is £18.00 a head or they could do a 2 course menu for £12.00 a head.  The possibility of hiring a village hall, organising caterers, bring own booze, booking a band is also being looked into.  Fraser is looking into hiring a hall (Newbiggin) and Angela will contact the Garsdale Street Band about booking them to perform.  Sally will ask Lonsdales about the catering (pie and peas) for 50/60 people.  The 30th January was suggested.  Tickets would be one price, around £10.00 each.

FRA Relay:  A mixed team is being entered and Jenn, Carl Bell and Steve M have said they will definitely run but three more members are required.  They must have navigation skills.  Alex and Tanya are sorting out the team.  The event is in Ennerdale so requires an early start!

List of Runs/Venues:  Monday 12th October meet at Nateby, 6.30 pm.

William will put this on the website.

Junior Training at Kirkby Stephen:  Philip Cooper is keen to promote a junior training session on a Monday night and he will be asked to write a suitable advert/promotion for this training and William will put it on the website.  Hopefully juniors will be encouraged to sign up for a training session.  Other members will be asked to help on a rota basis.

The meeting closed at 10 pm.

Howgill Harriers Club Championship Report 2009 Season:

2009 saw the 2nd consecutive year of our best 5 from 8 Club Championship format.  Here is a  summary of some of the statistics.

Page 21: howgillharriers.co.ukhowgillharriers.co.uk/wp-content/uploads/2012/06/Minute…  · Web viewContent 13 July 2009 2009-07-13 HOWGILL HARRIERS COMMITTEE MEETING Monday 13th July 2009,

The 8 counting races were split into two categories road and fell - in order to force a bit of variety. They were :

Round the Houses Keswick Road

Two Riggs St Johns in the Vale Fell

Blencathra - Fell

Hawkshead 10k Road

Bampton - Fell

Summer 10k Ulverston Road

Whernside Fell

Eaves Wood Silverdale Fell

The final Championship standings are attached.

We chose to avoid Howgill organised events so that members did not have the dilemma of choosing whether to marshall on the day or run. We also avoided events such as the Yomp which many entered because it was the Yomp rather than a Championship event. These changes from 2008 resulted in a reduction in the total number of members who ran in Championship races from 39 to 32. However if you discount those who ran the Yomp / Ravenstonedale etc in 2008 but ran no other Championship event then the year on year comparison is 25 to 32 a reasonable increase.

The 2009 Blencathra race clashed with the Yomp week resulting in only 2 Howgill entries something to avoid next season.

In 2009 we introduced LV40 and LV50 championships as well as a Ladies Club Champion to compliment the Mens. we now have 8 Championship categories plus the Champion Howler Trophy.

As in 2008 there were only a few members who completed 5 or more events and not many more attempting to.

I would not recommend the lowering of the number of counting events but rather continue to fine tune the choice of events and to encourage participation. Maybe the introduction of a small prize for 2nd and 3rd would help with participation.

May I take this opportunity to thank all those who competed in the Championship and those who supported them on the day.

The cricket pavilion at Sedbergh school proved to be an ideal venue.  If it is available next year a proposal for provision of a post race meal (eg chilli) was put forward by Jon Richardson.

In order to get to the end of second leg/start of third leg runners have to cross a field.  This access is via a public footpath but as the footpath is not the most direct way across the field nobody followed it.  The farmer pointed this out to a number of runners and for future events the footpath must be followed.

Monday Night Venues:  The following have been arranged

Orton 12 April, Soulby 19 April, Cautley 26 April, Brough 3 May, Pendragon Castle 10 May, Fat Lamb 17 May, Crosby Garrett 24 May, Weasdale 31 May, Sunbiggin 7 June, Great Asby 14 June, Borrowdale 21 June.

Website:  John Chapman proposed that key contacts be made available on the club members part of the website, after login.  It was agreed that a contact list for all committee members will be put on.

Sally will post the list of future Monday night venues on the website.

Sally will diary the date & venue of the next committee meeting on the website.

Howlers/Club Championship:  Steve Crook had sent his apologies but will post the venue for the April howler on the website asap.

Juniors:  Discussions are still ongoing.  If parents are present at the event no CRB check is necessary for helpers but Fraser, Jenn & Juliet all have these in place.

Westmorland Trail Race:  Fraser will email Sally the race details and she will put these on to Runners World & Running Fitness websites.

The Fat Lamb has once again agreed to sponsor the event by providing all competitors with a 5.00 voucher to be redeemed against the purchase of food at The Fat Lamb.  They have also generously donated 50.00 towards the race.

Westmorland Services will again donate a hamper.

Two previous competitors from Brighton have sponsored the race, donating 100.00.  Many thanks to them.

The entry fee will be increased slightly to reflect the high standards of the race and refreshments available to all competitors.

Pete Bland Sports will also attend the event with their mobile shop.

Ravenstonedale Red 10k:  Date set for 2010, 27th November.

AOB:  Circuits will continue in Sedbergh on a Wednesday evening but for the summer months will be held outside on the sports field followed by a run.

Jenn will look into the possible resurrection of the newsletter.

Suggestions are needed for the summer social, a Friday night in July.  Fraser is willing to host a BBQ.

Fraser is keen to see if the cricket club in Kirkby Stephen would allow a 400m running track around the perimeter of the field.  He uses the track at Sedbergh for training and finds the timed runs beneficial to improvement especially for encouraging juniors.

Steve Crook knows a lady who is keen to try the club out and is looking for somebody to pair up with her to help with training for the Great North Run.

Running some of the classic Lake District routes was suggested for weekend club runs.

Sam Fisher (1st) & Katie Mai (2nd girl) are to be acknowledged by the club for their excellent results in the Sedbergh School Wilson 10 mile run.  Angela will purchase 2 x 10.00 Pete Blands vouchers for them.

The Kendal winter league has finished for this season, Sam Fisher

Club Championship:  So far well supported.  A run still has to be chosen for the 6th event.  Suitable suggestions considered for a fell/trail race, between 5 10 miles long sometime during August, September or October.  Steve will email William the results table spreadsheet attachments so he can post them on the website.

Juniors:  The club will continue to discuss the possibilities for junior development but is unable to develop this further at the present time.

Westmorland Trail Race:  Sally has put the race details onto Runners World & Running Fitness websites.  Juliet will double check the details are correct.  Fraser needs to be present for further organisation of this race.

Newsletter:  Jenn has sent an email to club members asking them to contribute an article/photo suitable for the newsletter.  She is gathering these articles together and will then produce the newsletter which will be put on the external side of the website with a separate link for access.  Juliet will download pictures for Jenn and email them to her for use in the articles.

Relays:  Sally will contact Alex regarding him starting to drum up enthusiasm for the relays later in the year.  If members who are keen to take part in the relay events sign up now definite dates can be set to reccie  the various legs of the races.

AOB:  Jon Broxop has approached Howgill Harriers (Angela) to see if the club would be interested in hosting the Sedbergh Hills race from 2011.  This is usually held the day after the Weasdale race which Fraser organises so will have to be discussed at a future meeting when he is present.

Relays:  Only one team entry has been accepted for this years event the open team.  (The entry for the mixed team is on a reserve list).  Sally will let both Alex and Steve know this as they are responsible for organising the team and course reccie.

8 races as usual with 4 new ones Fell End, Wray 10k, Killington and Dentdale.

Hawkeshead most popular with 20 entrants and Dentdale being the least with 5.

41 club members took part the most since we resurrected the Championship in 2008.

16 ladies and 27 men with the biggest change being the increase in MV50.

First and second in each category were generally a lot closer than in previous years.

Winners will be awarded trophies at the social

This years Championship race calendar will be available at the social in February.  It will include some old favorites and some new.

AOB:  Fraser would like to see the club hold a new race/event in Sedbergh.

KSGS are fund raising for the new Sports Hall and it was suggested that the club make a donation of 500.00.  Further enquiries will be made into this to see how the club would be able to utilise the new hall.  Pauline Tyson suggested the club hold a race to raise funds for the Sports Hall but holding a one off event was thought to be too complicated.

A formal back runner is needed on the Monday night run to ensure nobody is left behind.

Fraser thinks the club is nearing its 25 year anniversary and that something should be done to mark this.  A club photo was suggested.

Treasurers Report:  Balance held at 31st July 2011 was 275.95. Relatively low but funds will be generated when the club holds its annual events in the next few months.

Angela has been in touch with Emma, England Athletics rep about possible funding from the Club Innovation Fund for a new timing clock.  She will report back when she knows what is available.

The club has a stock of clothing available for sale and a push will be made to sell items.

Website:  A lot of photos are available to go on the website and John will contact William to ask his advice on improving the site in terms of speed/user friendliness in order to download the photos. Everybody to look at other club websites for ideas for improvements, to be discussed at next meeting.

Sedbergh Sports:  2400.00 raised.  2000.00 for the school and 400.00 kept aside in a kitty as they want to hold the event again next year!  The school governors have thanked the club for all the hard work and support given and they are delighted with the result. The event has also raised the profile of Howgill Harriers in the area and it is hoped that the number of runners in the fell race will grow upwards of 40.  A wet weather contingency plan is in place for 2012 thanks to Mr Airey.  Mr A Pratt is finalising a date for next year for use of his land after the folk festival.

KSGS Sports Hall Fund Raising Run:  Saturday 3rd September.

The course has been measured and Philip is waiting for the official confirmation of the distance.  Once this is received Sally will add it to the licence application.  The application is on going with the club in correspondence with Noel Hakeman (licence officer) about a couple of points which will hopefully soon be resolved.

About 100 runners are needed to make the event a success but so far no pre-entries have been received.  A push for club members to pre-enter is needed and Philip will bring fliers to Beetham Sports on Saturday.  He is also going to do a press release.

Weasdale:  Fraser attended a Ravenstonedale Show committee meeting and they are happy for the 2012 fell race to be a championship event.

About 60/70 entries are expected for 2011 event.  A registration team and a time recording team are required.  Adele and Angela (& possibly Laura Smithson) are available to help.  Angela will put out a message asking for additional helpers.  Terry will marshal Randygill Top.  The Mountain Rescue Team are around on the day but cant commit to marshalling the route.  Fraser will purchase prizes as normal.  There were 40 bottles of beer/cider/larger left over from Sedbergh Sports so the club has bought these from the committee for 80.00 and some of these will be used as prizes.

Kirkby Stephen Circuits:  The sessions were extended to KS Hockey Club and a few players attended but have now started pre-season training again!  John will approach Mountain Rescue to see if any members are keen to join in.  They must pay the 12.00 joining fee in order to be covered by the clubs insurance.  Sally will contact Gary to make sure the gym is available all summer. Hopefully numbers attending will build up.

Content Present; Phil Cooper, Frazer Livsey, Angela Shuttlesworth, Adele Roche, Carl Bell, Leanne Cooper.

Kirkby Stephen 10KM Race ; (Harriers 25th Anniversary) 03/09/11, 1.00pm fun run ,4.oopm start for 10Km. So far there has been limited interest, the committee was asked by Phil Cooper to encourage pre- race entries, Leanne was promoting the race via Facebook, and it was hoped that write ups in both the Gazette and the Herald would also be useful. There was a degree of concern that information in the Gazette posted after the Weasdale Fell race, may have been unclear regarding the date of the race. Phil cooper has worked hard to organise the race, securing 500.00 sponsorship and generating welcome donations /support from local businesses to provide prizes for all the various race categories and spot prizes for the fun run. Numbers will be needed for the BBQ afterwards. Phil still needs volunteers to help with entries, marshalling and timing.

Westmorland Trail Race; 10/09/11,2.30pm start. Frazer is set to organise prize, timing, markers etc, again members were asked to encourage pre-race entries.

The Ian Hodgson Race is scheduled for 2/10/11. Angela confirmed that the Harriers have only been allocated one open team. Carl will organise a team for the race, Angela will forward a list of contacts to make this easier. There will be recci of the route on 18/09/11 for anyone that is interested.

The FRA will be organised by Bingley Harriers this year, the event will take place in Wharfedale and requires 2 teams of 6,( this includes two solo legs.) Check points can be found on the web site.

The Ravonstonedale 10 Km has a flier to promote interest, the race cost 82.00 to be measured and still needs a licence (to be organised by Adele as club secretary).

Club Website; it was felt that the website needs to be updated, Tom Higgs may be able to help achieve this and it was proposed that he be approached by Phil and William initially then be invited to the next meeting  to discuss further options.

8.00pm 1ST DECEMBER 2011 THE  BULL SEDBERGH

Present; Steve Moffat, Juliette Proctor, Fraser Livesay, Carl Bell, Angela Shuttlesworth, John Chapman, Adele Roche, Phil cooper.

Apologies; Eddie Close.

Ravenstonedale 10 Km: V good feedback, despite the weather, the race was a success.150 runners completed the course. Fraser has written a short report for the Gazette and Adele; one for UKA. Photos from the race will be delivered to Terry so some can be uploaded to the website.

The school made 110.00 from the sale of refreshments.

1127.00 was taken in entry fees

177.00 expenses

200.00 made from sponsorship. (The new owners of Steadmans butchers seem keen to continue to commit to the race. It was suggested that they might raise their profile further by supporting a BBQ next year.)

800.00 of the proceeds will be donated back to the Millenium fund in Ravenstonedale. Consideration was given to :

1)    Charging a reduced entry fee to HH club members (?5.00).

2)    Breaking down the age categories still further

3)    Keeping back some of this years proceeds to pay for prizes next year.

4)    Provision of a shelter over the prize giving area, (using the school was an option though it was felt that this would be to the detriment  of the Black swan.) David Ramsbottom was suggested as a contact for fold-away canopies.

5)    Improving the results method by using a longer funnel at the finish and  using a laptop as the race was in progress to collate the

Page 70: howgillharriers.co.ukhowgillharriers.co.uk/wp-content/uploads/2012/06/Minute…  · Web viewContent 13 July 2009 2009-07-13 HOWGILL HARRIERS COMMITTEE MEETING Monday 13th July 2009,

Content names etc.

6)    Using the entry forms rather than vest numbers to draw the spot prizes.

7)    Improving the co-ordination of race volunteers by using e-mail to let people know whether or not they were required. There was feedback re the value of the prizes given to the 3rd overall, as compared to winners of the different age categories. It was agreed that this would not be changed.

Recruitment; John was concerned that the club missed a recruitment opportunity by not organising the family 3 mile run from the cricket ground in Spring. Fraser suggested using the Sedbergh speed session/circuits as a good example of how things might work. Adele is keen to encourage new female runners who might feel intimidated about joining a club. John will send an e-mail requesting any ideas/suggestions as to how we might improve things. It was felt that a sweeper be appointed on each club run so that no individuals were left behind.

Circuits: Will continue to be in KS school gym on Weds 7.00 to 8.00pm. The new sports hall is more expensive and is fully booked. Plans to put spinning bikes in the gym are on hold as the club has already prebooked the space. John was given the go ahead to purchase more heavy bars.

Relays: The Pennine Bridleway will be 5th Feb. Legs range from 5 to 10 miles. Ten people are required for a team.(over 18yrs) Carl will send e-mails to rally the troops.

Crosby Ravensworth Race: We have been asked to promote this race which will be in early Jan, approx 6 miles on rolling fell it was suggested that we use it as an early championship race.

Weasdale:  Will be an England championship race, as such we need to be considering effective systems for recording finish time and results. Suggestions were made re using Sportident; though the 3.00 cost per head for this was felt to be excessive. Thoughts

Page 71: howgillharriers.co.ukhowgillharriers.co.uk/wp-content/uploads/2012/06/Minute…  · Web viewContent 13 July 2009 2009-07-13 HOWGILL HARRIERS COMMITTEE MEETING Monday 13th July 2009,

Content were given to purchasing a system, maybe using recording chips, so this could then be leased to other clubs to make it more cost effective. Sponsorship and provision of a marquee were also discussed.

Winter social: First choice of venue was the Rugby club, suggested date Friday 20th Jan, with food provided by Farm Harvest ( Adele to contact re menu and availability). Fraser will contact his birthday bash band in Carlisle as it was felt they did such a good job!

AGM:  Will be Friday 13th Jan at the Fat Lamb. The meeting will start at 7.45/8.00pm (after the Howler at 6.30pm). Steve Moffat will contact Angela re availability of food.

Howlers:  The next Howler is 9/12/11, meeting 6.30pm in KS market sq, for a 7.15pm start in Murton. Recovery and refreshments will be in the Royal Oak afterwards. All welcome, including those just wishing to walk.

Round the Howgills:  17th March and afterwards at the Methodist Hall. Juliette will check availability and again organise food.

Sports Relief; A national event on the 25th March. Suggestions were that the Harriers use this as a promotional event to encourage new members by organising a 3 mile run from KS Market square around the Hartley line. Jeanette Cooper will contact sports Relief to gather more details.

Club sponsorship:  Suggestions were made that we encourage local firms to sponsor the club, this might include logos on our club vests etc.

The meeting closed at 10.00pm

1.    Relays    Ian Hodgson2nd October.  Due to weather conditions and course changes, we definitely only have one team.  From those who expressed an interest in taking part, Carl selected what he feels is our strongest team:

WEBSITE    Tom Higgs has kindly agreed to help revamp the Harriers site, though he will be unable to start until after the New Year. Various packages could be considered to suit the clubs needs. It was acknowledged that the Domain name will need to be renewed in Jan. Good example of sites which seem to work well are Dallam and Helm Hill.

KIRKBY STEPHEN 10 KM RACE SEPT      A deficit of 100 prize money needs to be validated ; Angela will write a cheque to the Grammar school to cover this. Suggested dates for next year will be discussed further at the next meeting.

LEAGUE TABLE     This does not appear to be working well at the moment. Juliette pointed out that Pauline Bainbridge had not been acknowledged for running in the Beatham Sports, when this is corrected, Juliette will need her points reducing.

Apologies:  Adele & Terry Roche, Angela Shuttleworth, Jen Mattinson

1.     Races/RunsMondays at KS 15-20 runners most weeks.  Need to encourage new runners and youngsters.  Consider putting beginners running with Wednesday night circuits session.  A ladies only session as also been suggested as they may feel daunted running with men/experienced runners.

Thursday at Sedbergh a regular core of 12-14, with many more some weeks (sometimes 26 or more).  Sessions are inside in winter and out on field in summer with speed sessions.

KS circuits are going well.

S Moffat has received letter from Young Farmers asking HH to help organise a race at their Field Day on 19th May.  Good PR for us.

Discussion about whether we need to do more to promote HH.

Howlers it was suggested a Club mobile phone be purchased to make meeting up easier.  There have been a couple recently when only one person turned up would be useful to know there would be at least someone to run with and save wasted trips. Also, maybe make Howlers more local for time being.

Round the Howgills 17th March, 12.30 for 1pm start at Loftus Hill car park, Sedbergh.

Content Pennine Relay 5th February.  Carl has sorted the team.

Weasdale August 2012.  Championship race this year.

K S 10k went well in spite of the weather.  Discussion about changing date for this year suggested Sunday 27th May.  Need to check if this clashes with other major races.

Sedbergh Sports went very well last year.  Date for this year, Friday 1st July.K S Primary School are very interested in doing something similar.

Need to try to share the workload more evenly at events so that the same people are not always doing it.

Coops has managed to secure 1,000 of sponsorship for 2012 from A T Atkinson, to be used for prizes, etc.  A T Atkinson will be promoted on race numbers, banner, press releases, etc.)  A main cash prize was suggested for the best runner who participates in all the races organised by HH (Trail Race, 10k, etc.) open to anyone, they do not have to be club members.  Also consider prizes (t-shirt?) for those who compete in all the races.

Ian Hodgson and FRA it was suggested that we choose the race with best chance of success and the captain selects the best team possible from club members.  For other races, perhaps choose teams from those who would like to run but may not be the best.  A ladies team was also suggested.

2.    Club ChampionshipNumbers of those taking part have been fairly constant over the last 5 years.  In 2011 a lot more did 5 out of the 8 races than previously. Results to be announced at Winter Social on 20th January.Suggested potential races for 2012 championship: Long Marton 10k, Settle Hills, Hawkswick, Ingleborough, Eaves Wood, Dockray Hartside, Round the Houses.

3.    Financial StateFinances fairly healthy at the moment.  2012 will generate extra income from Weasdale entries.Suggestion to spend something on incentive for juniors - possibly vouchers.  Perhaps they could be offered to those juniors competing in races. It was also suggested that money be invested in overhauling the website.

4.    Membership FeesAngela will be sending emails re subs for this year shortly. There was a discussion about what constitutes family membership

Content and fees.  Agreed no increase in subs for now but suggested a small increase every other year rather than nothing for several years, then a big increase.  To be decided by newly elected committee.

5.    Impending Costs/PurchasingNeed to order more club vests.Club mobile phone.  Juliet has one for sale which club can look at and decide if suitable.

6.    ElectionsThanks to last years committee and club success, especially the Chairman.Graham Moffat stood down as President.  Juliet resigned from the committee but will continue to be Sedbergh Rep and attend meetings when necessary and is happy be a helper if needed at events.

Elections for new committee as follows:

COMMITTEE MEETING

8.00PM MON 14TH MAY, THE FAT LAMB SEDBERGH

Present; Phil Cooper, Angela Shuttlesworth, Jenna Woods, Rob Moffat, Steve Moffet, Adele Roche, Frazer Livesey, Terry Roche, John Chapman, John Hosker,  Alvina Labsvirs.

Apologies; Eddie Close, Carl Bell.

Website Design;  Alvina Labsvirs was invited to outline suggestions for the design of a new Harriers Website. The idea most favoured was to use a word press template as a start point then adapt it to suit  the Clubs needs; keeping it simple and easy to use. A list was made of specifications and design features required. The committee felt that work on the site should start as soon as practicable, Avira felt that a couple of days would be required to undertake most of the changes. The Domain name will be unaffected, William will e mail the name of the Web Host through so work can start.

Kirkby Stephen 10 km race; Scheduled for May 27th, Phil has a meeting this week with Dave Keetley, since proceeds from the race are offered to the school, we have been given permission to use of the sports hall. Joyce Keetley may organise cakes etc but if not, then Harriers may need to start baking. Race prizes will be funded from the 1000 donation from Atkinsons, though it was felt that the school should also contribute .Adele has the race License. So far there are only a few pre-race entries; hopefully there will be more on the day.

Frazer and Phil will mark the course, Frazer and Adele registration,

Content timing  Terry and Steve, about 12 marshals will be needed; Angela and John have volunteered so far.

Health and Safety; It seems that a Risk assessment will be required, Adele has info from UKA regarding this, she and John Chapman will try to draft a working document.

Kirkby Stephen sports; Friday 13th July at the cricket ground. Some sponsors, fliers and press releases have been organised. Helpers will be required on the night, Donald Marsden was suggested as a compare. Adele will approach the Marsdens regarding this.

Sedbergh sports ; Fri 6th July . Has been well publicised and is coming together. Again, helpers will be required on the night, races start at 5.30pm.

Weasdale Horseshoe Fell Race; Frazer has numerous pre-race entries already. There will be separate male and female races, no entries on the day,HH members race for free! Timing will be with traditional clock and Terrys Laptop system as back up. The Brownies are unable to do refreshments; suggestions are required for other groups/organisations that might want to use the opportunity to fund raise.

Ravenstonedale 10km race. The Black Swan will be unable to host the event on that date though they will still be supportive and offer prizes. The kings Head has agreed to co-sponsor the event and also provide soup. There is a query regarding Steadmans Butchers sponsorship (we are still owed last years 200). Registration will be at the primary school, Adele will organise the race license.

AOB;  KS  juniors have started meeting 5.45pm at the Grammar school, numbers are low so far. It was felt that numbers might be boosted if we amalgamated a warm-up session with the juniors prior to the usual 6.30pm runs.

Killington sports will be 7th June starting 6.30sedbergh and pm.

Howlers; Friday 8th June 7.00pm Jos Lane CP Sedbergh, and Friday 27th July, meeting in KS market square7.00pm

A number of Dallam runners have just run the coast to coast in 5 days raising money for MS. The committee agreed to make a 200 contribution to the fund from the Harriers.

London Marathon:  The committee agreed to continue to discuss the way club places might be allocated at a future date.

Juniors: As part of his Duke of Edinburgh Award, Alistair Hannah is to start a session for junior members, this will be at KS prior to the normal club run on Mondays.

Sedbergh Sports: Will be Friday 13th July 2012, races starting at 5.30pm, the fell race at 7.00pm. This will be advertised in the local press (Frazer to organise this week), and the website. The headlining event this year will be   the traditional Westmorland Wife Carrying championship race, complete with obstacles. It was suggested that Sally Davies be contacted to promote in Lookaround. As usual, volunteers will be needed to help.

Kirkby Stephen Sports:  Will be Fri 6th July at the cricket club. Possible suggestions for a short fell race were discussed; including running to Birkett common (Paul Brittleton to seek permission from landowner).Volunteers will be required and a compare for the event is still needed.

Kirkby Stephen 10km Road Race: 27th may 2012. Flyers have already been printed and distributed by Phil. It was felt that a press release would be useful, plus extra publicity via the school newsletter, Runners word, athletics weekly and direct links to other running clubs;  (William possibly has a list of contacts). Details are also on the John Schofield Website. Mike Sutherland at the school will be asked to be involved with organising food.

Westmorland trail race; Sponsorship has been confirmed, and a flyer sent to UK athletics.

Kirkby Stephen 10KM Race;  May 27th. On a very hot day for competing, 36 senior runners and 22 juniors were registered and timed by Terrys electronic system. It was generally felt that although the Grammar School had provided a few helping hands and cakes; there had been rather a lack of commitment and communication considering they were set to benefit from the proceeds of the race. It was decided to discuss details of how the fixture will be managed next year, at a future meeting. Phil suggested a mailing list for publicising events might be useful.

The HSBC has donated 500, and storey homes 1000.The fell race route has been sorted and will be marked by Steve and Paul; approx 7 marshals will be needed. (Details on website). Mountain Rescue are to use the event as an exercise, Scouts will man the gates, Adele and Terry will be on the registration team, Angela and Terry timing, all help appreciated.

Angela has at last received the 200.00 from Steadmans for last year, they will again sponsor the race in 2012, it was suggested that they could make more of the event by providing BBQ?

Sedbergh Club Meetings; Frazer taking responsibility, new mats are requested.

Howlers; Next meet 27th July. This is the same day as the Olympics open and there is a suggestion that there is an Olympic theme to the run. Exact route is still to be confirmed.
