Overview

Virginia Business Systems, headquartered in Richmond, VA, supports branch offices throughout theCommonwealth. VBS has its own management team spread end to end of the operation and ownership inRichmond. Our determination since the acquisition of Virginia Copiers in 1993 is to provide this company with the localized resourcesand decision making to promote consistent and sustainable growth. This model has served us well as we have grown over 4000% in the last twenty years while many of our competitors have sold to larger consolidators or disappeared during the same period. Remaining an independent company has been integral to our success and will serve us well in the future.

VBS has subsequently made multiple acquisitions of smaller companies, one in Roanoke (Image.Tec) and two in Richmond (Select OfficeSystems, Levere Business Products) and two in Virginia Beach (Apex Technologies and JMD Solutions). With each acquisition, we welcomedthe new clients and employees and many have increased career opportunities with our larger organization.

The Company(ies) We Keep: As one of the largest independent dealers in North America, we support some recognizable clientswho demand excellence, accountability and a fresh way of doing business. A few of our larger clients in the Greater Richmond regioninclude Virginia Commonwealth University and VCUHS, Genworth Financial, Markel, Chesterfield County and Henrico County Public Schools.We have also been the largest vendor on the Virginia Information Technology Association (VITA) printing devices contract for the last six years.

Innovative Programs: As a thriving successful small business, VBS understands the importance of this sector on the local economy.To this end, we offer many unique programs to help small businesses grow and succeed. VBS takes the time to understand the needs ofsmaller firms to customize programs for them. Richmond has lost its fair share of large employers, and in their wake many smaller compa-nies have grown as employees have roots in the area and/or do not wish to move to a new city. When the entrepreneurial bug bites, VBS offersunparalleled initiatives such as:

Start Up & Incubator Programs- how does a new businessknow what they need when they are first starting out? VBS offersflexible rental programs that provide solutions that are scalableand can be easily upgraded without buying out expensive contracts when needs change. It is our experience that theseorganizations will go through rapid changes and do not want tobe saddled early on with too much equipment or too much debt.Our program offers a perfect combination of low cost, scalabilityand flexibility.

Flexible Financing- how does a new business find a fundingsource for the type of program outlined above? VBS offers inhouse financing for rentals for certain clients requiring flexibilitysuch as Start Ups. Try this with a bank or a nationally ownedcompany and you will not find a sympathetic ear.

In House Expertise- While many companies are outsourcing,VBS is cultivating and developing talent in house to service ourclients. From deliveries to on-site technicians to our help deskknown as First Pass, we provide these services directly with VBSemployees. This allows us to completely manage the relationshipwith the client and not leave it to chance with an outside party.

Print+ allows us to assess a company’s current document output environment by collecting and analyzing data, identifyingproblem areas and uncovering areas of opportunity for increasedproductivity and improved cost savings. The program helpsdeploy the right products in the right places, thus allowing companies to maximize their productivity while minimizing output expenses.

Economic ImpactRichmond RegionEconomic downtimes have impacted everyone, especially smallbusinesses. Higher utility bills, increased expenses and fewer customers have left many organizations trying desperately to cutcosts anyway they can. The results? Downsizing, layoffs and spending freezes. While other companies were cutting back, VBSwas reinvesting in our infrastructure by purchasing and/or renovatingour own locations in Richmond, Lynchburg, Roanoke and now inVirginia Beach in order to enhance the experience for our clients.

VBS is headquartered in Henrico County in an 18,500 squarefoot facility that supports our company operations which encompasses Richmond, Charlottesville, Lynchburg, Roanoke,Tidewater, New River Valley and Shenandoah Valley. The executive management, administrative and logistics teams are here as wellas the central warehouse and local service and sales teams. The facility also features a large demonstration floor, office space, multiple conference rooms, warehouse and set-up facility.

The building was acquired in 2006, completely renovated and was ready for occupancy in 2007. Virginia Business Systems took whatwas once a worn down 8,500 square foot concrete structure with wood wall panels and turned it into a state-of-the-art office buildingfeaturing contemporary metal. Not only did the building acquisition and renovation foreshadow the beginning of the economic redevel-opment of the Deep Run Office Park, VBS President Jim Dotter also became President and member of the Architectural Review Boardfor the Deep Run Owner’s Association helping breathe new life into this area which was once dominated by Circuit City. The building,designed by Richmond architects Irby & Papit Inc. with the general contractor Conquest, Moncure & Dunn, also of Richmond, receivedan award from Metal Architecture Magazine for the renovation.

We have remained strong through changing economic conditions by continuing to provide exemplary service and innovating programs to our clients. VBS has invested in ongoing training for our support team on the latest technologies available, to help our clientsimprove business processes while streamlining costs.

Industry ImpactMany companies claim that they have the "Best service in the business" but few even have a way to measurehow happy customers are. Here at Virginia Business Systems we have a system that allows us to capture feedback after every service call. We use the Net Promoter Score system www.netpromoter.com. The average N. American company has a Net Promoter Score® of 10. VBS has a 2015 NPS score of 85.13, higher than manywell-known organizations such as USAA, Costco,, Nordstrom, Apple/iPhone, Amazon and Southwest.

Virginia Business Systems won the Konica Minolta Top 10 Pro-Tech Service Award again this year. Virginia BusinessSystems was also awarded the 2015 Deal of the Year from Xerox during our first year as an Authorized Dealer.

Virginia Business Systems and its parent company, EBM, Inc. are heavily invested in providing document management solutionsto our clients in the marketplaces we serve. In addition to working with our primary manufacturers and their product offeringsand technological advancements, we are pursuing expansion of key initiatives that we believe will continue our success foranother sixty years. VBS has been awarded the prestigious Elite Dealer Award by This Week in Imaging for the last 12 years, demonstratingour leadership in the industry.

Our sales process has always been predicated on a “How can we help you?” mentality. The Managed Print Services piece of ourProfessional Services group is a significant part of our business as we take over the service and supply portion of our client’s laserprinter fleets from IT departments and help desks that are ill prepared for this type of repair and whose initiatives are usually moresensitive than fixing a printer that will not work. The field service team is already in place, strategic alliances are in place, it nowcomes down to our Document Management Consultants to assist clients with creating a Document Management Strategy.

Why is a Document Management Strategy Important?Printing has been identified as the last unaudited frontier of corporate expense.

Virginia Business Systems is dedicated to giving back to thecommunities we serve. Since Richmond is our largest market and office, this impact is far reaching as we support a number ofphilanthropic, community and athletic organizations all designedto make the Greater Richmond area a better place to live andwork. We ask that all of our employees volunteer with at least oneorganization of their choosing outside of work to more fullyingrain themselves in the community and live one of the tenets ofour Mission Statement “…and to be contributing members of thecommunities we serve.”
