Still Ahead! Training Plan for View Only Training Plan Note: HRS is a UW System-wide implementation. The HRS training curriculum that was developed by the project Training Team reflects this, as it is intended to address training for campus-level administrative staff. For UW-Madison we have had to repurpose elements of this training to address business processes in our divisions and departments. Our intent is to make the training match as exactly as possible the roles and responsibilities identified in the divisional Work Flow Project Plans of Action. However, there may be instances where the training provided includes information on a business process that specific departmental or divisional staff will not be doing when we “go live” with HRS. Wherever possible we will address this in the course of classroom training. Please be aware that this situation exists, and help us ensure that your staff understands the exact nature of their roles and responsibilities.

UW-Madison HRS Training Plan for Departments Some unique elements of the departmental training are:

In order to create enough access for departmental staff at UW-Madison, two strategies will be used to ensure the availability of learning opportunities. We will use a “department week” approach for staff in the College of Letters & Science and the School of Medicine and Public Health (the format for these is at the end of this section); all other departmental staff have access to the courses that follow; and

To be efficient and focused, training will be role-based and directed by the Work Flow Project Plans of Action, examples are the Task-Focused Modules.

As with the training plan the Global Professionals and the training plan for the Divisions, the first three online course series are available to staff in departments. The sequence of courses for preparing UW-Madison departmental staff is:

1. HRS Security Awareness (online) 2. HRS 100 Series (online) 3. HRS Fundamentals (online) 4. Hiring Using JEMS for Departments (classroom – computer lab) 5. UW-Madison HRS Task-Focused Modules for Departments (classroom – computer lab)

a. HRS Task-Focused Module on Student Hiring b. HRS Task-Focused Module on Time & Leave Entry c. HRS Task-Focused Module on Funding

(Two Weeks in the Life of a Payroll Coordinator) These are web conference presentations so that you will not need to travel. Appendix A. UW-Madison Human Resource System (HRS) Implementation Learning Plan for Division-level Staff Introduction: This is your individual learning plan for the HRS implementation. It was developed based on your division’s Work Flow Project plan of action. Your divisional plan of action identified one or more HRS roles that you will hold once the system has been implemented; these roles were then mapped to the learning that is appropriate for that role. A note on modes of training delivery: The HRS Training Team is using a blended approach to delivering HRS content to end-users of the system. Much of the training is being delivered via the intranet, using the Desire 2 Learn (or D2L) system: http://www.uwsa.edu/d2l/ . D2L uses self-registration to access HRS courses; to enroll, simply log into D2L, navigate to the self-registration page, and enroll only for the courses listed in your learning plan below. Instructions for logging into D2L and registering for HRS courses are attached to this message. Other courses will be delivered in a face-to-face classroom session. Due to limited space we are asking that you register for these courses on-line, using the Office of Human Resource Development’s registration system. The registration links are provided below, next to the name of the face-to-face courses identified as part of your HRS curriculum. Your Learning Plan:

Web Courses (self-register in D2L): http://www.uwsa.edu/d2l/ HRS Security Awareness: You are required to take this course.

What is this? Successful completion of this course is necessary prior to receiving security access to HRS. It provides an opportunity to learn about best-practices relating to cyber security, and how to best protect sensitive HR data.

HRS Awareness Training (‘HRS 100’): You are required to take:

• HRS 101 • HRS 102 • HRS 103 • HRS 104 • HRS 105

What is this?

‘HRS 100’ is a series of awareness courses. These courses will be the foundation for ongoing HRS training. Think of the HRS 100 series as building blocks. They will form a sturdy base upon which the HRS Training Team can deliver software training.

The HRS 100 series features five courses:

1. HRS 101 - general overview; 2. HRS 102 - HR focus; 3. HRS 103 - Benefits focus; 4. HRS 104 – Payroll / Time and

Labor/Absence Management focus; 5. HRS 105 - Finance focus

Depending on your role you may not be required to

take all five courses. HRS Fundamentals: You are required to take:

• HRS Fundamentals • Human Resource Fundamentals • Benefits Fundamentals • Payroll Fundamentals • Time & Labor Fundamentals for Employee

Self Service • Time & Labor Fundamentals for Manager

Self Service • Reporting Fundamentals

Note: the Reporting Fundamentals course is not yet available. When it is available for registration we will let you know. We strongly encourage everyone to take this course; it is not required.

What is this? These are web-delivered courses; they provide the chance to become familiar with the basic concepts of these HRS module areas:

• HRS Fundamentals • Human Resource Fundamentals • Benefits Fundamentals • Payroll Fundamentals • Time & Labor Fundamentals for Employee

Self Service • Time & Labor Fundamentals for Manager

Self Service • Reporting Fundamentals

The courses you will take will depend on your role(s) in HRS.

Classroom Courses (register on OHRD site): http://www.ohrd.wisc.edu/reg/catalog_course.aspx?groupcoursekey=33285 You are required to take:

• Hiring Using JEMS • HR Essentials • Payroll Essentials

A note on the registration for these courses: We are offering two sessions of the Essentials courses for Madison staff; these are noted in the OHRD catalog as ‘Session A’ and ‘Session B.’ In turn, each of these classes is made up of a full-day of classroom instruction and a half-day of hands-on practice in the computer lab. You have two different options for when to take your lab, labeled ‘Option 1’ or ‘Option 2’ in the OHRD catalog. So – if you are required to take ‘HR Essentials,’ first register for either ‘UW Madison Session A’ or ‘UW Madison Session B’ and then register for one of the two lab options associated with that session (e.g. ‘UW Madison HR Essentials Session B Lab-Option 2’)

What is this?

UW-Madison will be using the Job and Employment Management System (or JEMS) to process new hires. We are therefore offering this classroom course:

Hiring Using JEMS

Other classroom courses, called ‘HRS Module Essentials,’ will take the information from Fundamentals one step further by providing the opportunity for hands-on work that really tests and demonstrates the concepts learned in the Fundamentals.

There are three HRS Module Essentials courses:

• Human Resources (HR) Essentials • Benefits (BN) Essentials • Payroll (PY) Essentials

Depending on your role(s) in HRS you may not need to attend all these courses.

Help / Support: Have questions about the HRS courses, or about D2L? Need help with the registration? Direct your questions / calls to Gareth Green at [email protected], or by phone at 265-5882.

Entry • HRS Task-Focused Module on Funding
