Creating an account and logging in Go to the library catalogue on the student portal and search for ‘RefWorks’.
Then click on the ‘Resource’ link.
On the next screen, sign up for RefWorks by inserting your university email
address into the search box in the middle of the screen and then click ‘Check’.
Follow further instructions on the screen.
Once you have created your RefWorks account, log into your account at the
top right hand corner.
Importing references into RefWorks There are different ways of importing references into RefWorks.
Save to RefWorks:
A very useful way of importing references, especially from websites, is to use
the ‘Save to RefWorks’ functionality. You will have to install it first on your
device. In order to do so, go to the Tools section on the RefWorks platform,
which then allows you to select the option to ‘Install Save to RefWorks’.
3
Click on this and go through the installation process by following the
instructions on the screen. Once the installation has been successfully
completed, you will find the ‘Save to RefWorks’ add-on in your browser’s
Favourites bar.
If you now want to use this newly installed functionality, go to the resource,
e.g. a website, which you want to import and click on the ‘Save to RefWorks’
add-on. A screen will now open on the right hand side of your page with the
resource’s details on display. If they look correct to you, you can click on the
‘Save to RefWorks’ button at the bottom of the page. The details will now be
imported into RefWorks. If you go back to your RefWorks page and refresh it,
you should find the reference in the ‘Last imported’ section.
Direct Export:
One of the easiest ways of importing references is using the ‘Direct Export’
method, which can be employed with a lot of online material, especially with
online journal articles. Here is an example of how to do so from our EBSCO
interface, which hosts a high number of our databases such as CINAHL or
Business Source Complete. Run a search on one or more of these databases
and then click the folder symbol next to the results that you want to export.
Then click on the ‘Folder View’ on the right hand side of the page.
4
5
You now see the selected articles and have an ‘Export’ option on the right hand side.
Click that option and choose ‘RefWorks’.
When prompted to sign into RefWorks again, do so and complete the import.
In RefWorks, you should then get confirmation that the import has been
completed and you can click on the ‘okay’ button. Your imported references
will be displayed.
Many databases and online applications have this direct export functionality.
Google Scholar offers it as well, but you might have to adjust the settings first.
You can do this by going to the ‘Settings’ icon at the top of the page and then
going to the ‘Bibliography manager’ at the bottom of the screen. You can then
adjust the options by clicking on the ‘Show links to import citations into
RefWorks’ option. You might have to select RefWorks from the drop-down
menu. Click on ‘Save’.
6
If you now run a search on Google Scholar, the results will display with ‘Import
into RefWorks’ links at the bottom of each entry. By clicking on it, you might
be prompted to click on the right version of RefWorks. Choose the Proquest
RefWorks one and then complete the process in the same way as described
above.
Uploading a document or dragging and dropping it:
If you have a document stored somewhere, you can upload it by clicking on
‘Upload document’ at the top of the options list under the plus symbol.
7
Alternatively, you can just click on the document and drag it into the middle of
the RefWorks screen. Whilst you are doing this, an icon will come up that
prompts you to drop it in the middle of the screen.
Manual Entry:
If none of the above options work with the reference you want to import, you
can click on the plus symbol at the top and then choose the option ‘Create a
new reference’. This allows you to put the details of your resource in
manually.
Managing your references
Editing and deleting references on RefWorks
Deleting references in RefWorks is easy. You merely have to tick the boxes
next to the references you want to delete and then click on the paper basket
symbol at the top and then on ‘Delete’ in the drop-down menu.
You can amend the details of a reference by clicking on the reference, which will
bring up a side panel on the right hand side where you can click on the pen icon,
which lets you amend the reference details. After amending the reference, don’t
forget to save it.
8
Using Tags
You can use tags to describe your references further by content. Imported
references will automatically be tagged when they are imported and you can see
these tags underneath the title of each reference. You can assign further tags to
a selected reference by clicking on the tag symbol at the top of the screen and
then either assign it to an already existing tag on the drop-down list or create (a)
new one(s).
9
Creating folders and assigning references to folders
It is useful to organise your references for different projects in different folders.
Click on the ‘My Folders’ link on the left hand side and you will then get an
option to add a folder. You can then name and save it so that it will be ready
for you to import your references into.
You can now assign your imported references to these folders by selecting
them first, then clicking on the folder symbol at the top of the screen and
afterwards by clicking into the box next the folder that you want to import the
references into. Finally, click ‘Apply’.
Your references are now in your selected folder.
In-text citing
Creating citations in RefWorks
You can create citations to be inserted in your assignment in RefWorks by going to
the icon that shows the quotation marks and clicking on ‘Quick cite’ in the drop-down
menu.
10
It will then prompt you to set the citation style you need and then to select the
reference you want to use a citation for. Copy the citation that then appears
and paste it into your Word document.
Installing the citation add-on Write-N-Cite
Installing a citation add-on on your own device allows you to have a direct
connection between RefWorks and the document you write no matter whether
you use Microsoft Word or Google Docs. This means that you can insert in-
text citations taken from RefWorks into your working document as you go
along.
In order to install the add-on, first go to the Tools section that comes up when
you click on the icon with the three dots at the top of the page.
On the following page, you can now choose to install the Microsoft Office or
the Google Docs citation add-on depending on what you use.
11
You will now see a RefWorks add-on in Word or Google Docs when you open
it.
Using Write-N-Cite for in-text citations Make sure you click on the RefWorks add-on in Word or Google Docs and sign in to RefWorks.
In Word, make sure you set the correct citation style, i.e. LSBU Harvard.
On the left hand side, you have an ‘Insert citation’ icon, which you can click on whenever you want to insert an in-text citation into your document. Click on the ‘Insert new’ option.
12
A new window will now appear with your folders on the left hand side. If you click
into one and then click on the reference you want to use, this reference will be highlighted and you will get a preview of the in-text citation.
Once you click on the okay button the citation will then be pulled into your word document.
Exporting and generating a bibliography
Exporting a bibliography from RefWorks
In order to create your bibliography in RefWorks, go to the icon that shows the quotation marks and click on ‘Create bibliography’ in the drop-down menu.
13
Make sure the correct citation style is selected before you export the list. You might have to go to the drop-down list of citation styles at the top and then either select the correct one if it is displayed or search for it, e.g. LSBU Harvard, and then select it. Once the reference list is displayed in the correct citation style, you can click on the ‘Copy to Clipboard’ link and then paste it into your Word document.
Generating a reference list in Word:
Inserting in-text citations into your document will allow Word to create a reference list at the end. Once you have put the last citation into your document, you can go to the Bibliography Options icon and then click on ‘Insert Bibliography’.
14
You will now see your reference list that is based on the in-text citations you used in the LSBU Harvard style that you have set previously.
