University of Limerick’s Grading Procedure Welcome to the University of Limerick’s Grading Procedure. There are many processes, which contribute to the grading procedure in its entirety such as Module Grade Entry (MGE) & Progression Decision Entry (PDE). Module Grade Entry (MGE): The Module Grade Entry process is the University grade submission process. This system allows the module leader to submit grades directly to the Student Records System using an on-line application. An instruction manual has been created on how to login to the system and input grades via MGE: http://ulsites.ul.ie/saa/sites/default/files/saa_moduel_grade_entry_instruction_manual_0.doc Please ensure all grades are submitted by the grading deadline. It is important that the grading deadline is adhered to as we have a significant amount of calculations and adjustments to do prior to being able to facilitate the various faculty exam boards with performance reports. This short window also includes the preparation for opening the PDE system, which forms the critical part of the progression process in advance of Academic Council Grading Committee meetings where all grades and decisions are ratified prior to being issued to the students. If grades are not submitted by the grading deadline the following applies:

- NG grades will be inputted for all modules once the grading deadline has passed - All these students will appear on the PDE system requesting a progression decision by the

course leader. - In exceptional cases Grade Alteration Forms will have to be submitted to SAA for each

student for each module to change the NG grade. Note: these Grade Alterations cannot be processed until they are signed by the module leader and the Head of Department.

Progression Decision Entry (PDE): The objective of the Progression Decision Entry system is to gather the progression decisions for students. This system allows course leaders to submit academic regulations approved progression decisions directly to the Student Records System using an on-line application. Each faculty shall convene meetings of its Faculty Examination Board to review the student performance prior to the Academic Council Grading Committee meeting. Once decisions are reached on the progress of the students, those decisions must be entered by the Course Director to the Student Records System. An instruction manual has been created on how to login to the system and input the progression decisions – http://ulsites.ul.ie/saa/sites/default/files/saa_moduel_grade_entry_instruction_manual_0.doc If decisions are not submitted by the PDE deadline the following applies:

- A student may erroneously be allowed or prevented from progressing to the next semester. - The changing of an incorrect Progression Decision requires approval from the VPA&R

Please ensure all progression decisions are submitted online by the deadline.

1. INTRODUCTION The objective of the Progression Decision Entry system is to gather progression decisions for students. This system allows the Course Director to submit academic regulation approved progression decisions directly to the Student Records System using an on-line application. Each Faculty Board shall convene meeting(s) of its Faculty Examination Board to review student performance prior to the Academic Council Grading Committee meeting. The Course Director along with the rest of the Faculty Examination Board shall decide on the progress of students within the marginal performance limits and submit these to the Student Records system once an agreement has been reached. (The Faculty Examination Board shall comprise the relevant Heads of Department, course directors, specialist faculty and appropriate faculty responsible for teaching the modules graded in the semester under consideration. See section 4.3.2 of the Handbook of Academic Regulations and Procedures for further details). The software being used is part of Tribal Technologies who developed the Student Records System that UL operates. The facility is widely used by their UK customers and therefore the display is not custom built for UL. We appreciate your participation in advance and hope that you find the process to be beneficial and easy to use. Any queries or suggestions can be directed to the [email protected] email account. General Progression Information from the Handbook of Academic Regulations and Procedures: NOTE: It is very important to be familiar with any relevant Programme Specific Regulations also Progression Following Autumn Semester (4.3.5) - Only students due to start Cooperative Education placement or other professional placement in the Spring semester are subject to critical review. Once a student has progressed into the year in which the Cooperative Education or other professional placement takes place, progression to such placement is automatic except in those cases where students who are required to repeat the year or part thereof would be prevented from doing so by the timing of the placement.

Students who have not met the minimum standards will, on the recommendation of the relevant Examination Board, be required to do one of the following:

. Take annual repeats for a maximum of two modules (excluding I grades) from the Autumn semester

. Repeat a full semester

. Repeat the full year

. Have their enrolment terminated

Eligibility for access to the annual repeats is based on a residual QCA of at least 2.00. Faculty Examination Boards may specify modules to be repeated by non-progressing students. Progression Following Spring Semester (4.3.6) - All students are subject to critical review in the Spring semester. Progression to Cooperative Education placement is automatic except in those cases where students who are required to repeat the year or part thereof would be prevented from doing so by the timing of the placement. However, prospective graduates are dealt with via the Academic Council Examination Board process.

Students who do not achieve the minimum standard outlined in academic regulation 1.5.3 shall, at the discretion of the relevant Faculty Examination Board, be permitted to do one of the following:

. Take annual repeats for a maximum of four modules in any two-semester academic year (Academic R 1.4.20)

. Repeat a full semester

. Repeat a maximum of two modules with deficient or compensating fail grades in any one semester on a link in basis.

. Repeat the full year

. Have their enrolment terminated

Eligibility for access to the annual repeats is based on a residual QCA of at least 2.00. Faculty Examination Boards may specify modules to be repeated by non-progressing students. Progression Following Annual Repeats (4.3.7) - All students who registered for annual repeats are subject to critical review following the annual repeats. With the exception of students on Cooperative Education placement who are not required to repeat any Autumn semester modules and provided the Examination Board has not required their enrolment to be terminated, students who have not achieved the minimum standard cannot proceed to the next year of study.

2. How TO ACCESS THE STUDENT RECORDS PORTAL TO SUBMIT PROGRESSION DECISIONS

a. Open your web browser and access the following web address: http://www.si.ul.ie/urd/sits.urd/run/siw_lgn b. You will then be presented with the logon to the Student records portal

c. Enter your ID/Username e.g. BLOJOE1 and pin/password. The username structure is normally the

first three letters of your surname followed by the first three letters of your first forename followed by the number 1 (but can be 2 or 3 depending of the number of people with the similar names).

i. Please note: This is not your UL network id and password.

ii. Please note: If you wish your pin/password to be reset or changed please email

[email protected], from your UL Staff email account, to request this. The “Forgot your password?” link is only for students.

d. Click on the Log In button. A general note when using the Student Records portal page is not to use the browser back button when navigating through screens as you may lose your work. Use the navigation buttons in the application ONLY.

3. ENTER PROGRESSION DECISIONS – HOW TO ENTER A DECISION FOR YOUR COURSE ON THE WEB NOTE: Prior to commencing you are asked to familiarise yourself with the Handbook of Academic Regulations and Procedures both for Progression related regulations and also any Programme Specific Regulations. Please also be aware of any program changes which may take affect for the next. academic year that may apply to ensure you comply with these when entering your progression instructions. It is very important you do not select a progression instruction which is against regulations for your programme as the PDE system may not be able to identify this and prevent it. a. Click on the button “No Decisions Made”. b. The following page will appear:

Search enter the Student ID number in the Student code to jump to their Progression Report Record Bar click on the Numbers to look through the students requiring decision Student Information: Course details the Course Code and Title Block shows the Year and Semester the student is in i.e. 31 is Year 3 Autumn Semester Option shows the Route the student is taking Student details the Student ID and Name. Click the Student ID to view the Residual Transcript Advisor shows the Advisor to the student Q.C.A and Credits shows both the To Date QCA and Credits along with the Term QCA and Credits Performance to date details the modules and grades from the current academic year. Bad grades details the deficient grades from the current academic year. Residual QCA is the QCA if the student receives a C3 in the module(s) listed in the “Calculated using” section Calculated using lists the modules being used in the calculation for the “Residual QCA” Warn count – is a count of the number of deficient grades and gives guidance with regard to the decision most appropriate. If the Warn Count is above 2 for the Autumn Progression Report or above 4 for the Spring Progression Report then the decision of Annual Repeats is not an option. See example below. Minutes – details some RQCA examples when a student has I grades. A student with an I grade is not capped at a C3 grade and so this cannot be calculated in the normal capped RQCA. Decision drop down list of various decisions available for selection for that student.** Please note that if a student is linking in and fails a link in module byt the RQCA is over 2.00 the annual repeat option is not available so you will have to click Supplementary decision and input AR in the notes field Notes - This is a free text area which you can specify supplementary decisions. Please be mindful that the information written in this text box is viewable by the student as it appears in their progression decision letter that they are emailed.

NOTE: For further detail on the situations for each progression decision please see Appendix “PROGRESSION DECISIONS – FURTHER DETAILS” at the end of the document c. There is a separate page for each student requiring a progression decision. The “Records Bar”

details how many students you need to make a decision for. The record bar is located on the bottom right had corner of the screen

d. Check the students performance, as normal, once you have identified the decision select the correct one from the dropdown list at the bottom left of the screen.

e. Click on “Store and Next” at the bottom right of the page to save this decision and move to the next student. You should receive the below Store Successful message. NOTE if you do not store the page you will lose this decision and have to re-select it.

f. You can also move between students by: clicking the page number, the next page button or entering the page number in “Go to Page” box and hitting “Go” in the Records Bar.

g. If you need to check through the decisions you have already made you can do this by clicking on

“Return to courses” at the bottom right of the screen

h. You will be brought back to the “Course Listing” page, here you can select to view students with “Decisions Made” or students with “No Decisions Made” for your course.

i. Click on “Decisions Made” to view /amend the decisions you have “Stored” previously. Only the

students you have stored decisions for will appear now. You must click “Store and Next” again on each students page if you make any changes so as these are not lost.

j. Click “Return to courses” at the bottom right and click on “No Decisions Made”, this will allow you

view only the students outstanding decisions.

k. Continue entering decisions until you have completed all pages/students that are displayed on the screen, you will not be permitted to submit until all decisions have been given for all students listed.

l. In the event none of the decisions available are appropriate for a particular students’ case you

should select the Supplementary Decision option. You must then add the decision in the notes field.

m. Should you wish to view the students full Residual Transcript to assist you with your decision you can view this by clicking on the Student ID number

This will open a new window with the following:

Click on “View” at the far right to open the Full Residual Transcript for the student. The top section (in blue text) will detail performance in the current Academic Year to date. This is the same information as is displayed by the Progression Report itself. Use the Browser Scroll bar on the right to scroll down through the students’ full Residual Transcript to see their full progress across all years.

When you have scrolled to the very end you will see the Residual QCA, this is the same detail that is shown on the Progression Report itself

When you are finished viewing the Residual Transcript simply close down this screen by clicking the X on the view Generated Correspondence

Go back to the browser window containing the Electronic Progression Report to complete any outstanding decisions.

4. REVIEW DECISIONS Once you have Stored decisions for all students you can Review these by either: a. Click on “Return to courses” at the bottom right of the screen (if you are in a students Progression

Report screen)

Then click on Decisions Made button under the Course Listings heading

This will bring you back to the Progression Decision Reports for the students. You can click through the pages of these to review the decisions. If you have not yet submitted you will still be able to make changes at this stage, select the new decision and click on Store and Next to save.

You must enter the Course Code – If you do not know this code Click on List to the right of the text box. If you are only assigned as Course Leader for 1 programme the text box will populate automatically, if you are Course Leader for multiple programmes you can select the relevant programme from the list

The following report will detail all of the students which appear on the Progression Report for this programme along with their QCA, Residual QCA and the Decision Stored for that student.

If blanks appear in the Decision column then no decision has been Stored for this student yet. This report can be selected and pasted into Excel for any further analysis or for distribution as appropriate.

This brings you back to the “Course Listing”. Here you can either review your decisions by clicking on “Decisions Made” or you can submit your decisions to the system. b. Once you are happy with the decisions you should submit them to the system by clicking “Final

Submission” at the bottom right of the “Course Listing” page. You are asked to click Final Submission again to confirm you want to submit the decisions. NOTE: you will no longer be able to amend your decisions after final submission. It is recommended you complete this step either at your Faculty Examination Board meeting or directly after.

6. FREQUENTLY ASKED QUESTIONS

Q: Is it possible to change a decision online after I have already submitted? A: No if have click on “Final Submission” you can no longer make changes via the online system and so you should email [email protected] immediately with the reasons for the change and full details of same. Q: Can I log in to the website remotely – e.g. from home or via the University Wireless network? A: Yes – access http://www.si.ul.ie/urd/sits.urd/run/siw_lgn through your Internet browser. Q: The website is hanging / sticking. What should I do? Q: Can you recommend a combination decision of Link In and Repeat Semester at the Autumn or Spring Progression Report periods? A: Link In instructions (and combinations of these) are available for the May & Annual Repeats Progression Report period (in line with Academic Regulations). Should other instructions be necessary at other times of the year the decision of “Supplementary Decision” should be selected and the notes field should be completed Q: Final submission at the faculty board meeting is mentioned. How does this happen? A: A laptop and projector would be required for this to allow the Course Leader log into the Online Student Records - decisions could be discussed and decided at the meeting. The actual submission of the decisions could be completed at the meeting itself or by the Course Leader following the meeting. The specifics of this is something each Faculty / Department could decide themselves.
