I know many would agree with this statement: it seems our working days blur into weeks, weeks quickly turn into months, and in a blink of an eye, we have completed another academic year.

It has been only two years since I asked the division to focus on the strategic priorities of Access, Service, and Engagement to ensure that a successful student experience remains our most important responsibility. The dedication and commitment by which the staff have embraced this new strategic framework has been humbling and inspiring.

However, in our quest to keep pace with our internal goals as well as the many critical campus-wide changes, we do not always pause to celebrate the countless individual and collective contributions. We honor and acknowledge that while much lies ahead, much more has been accomplished. As a community of practitioners and educators, we have welcomed new staff members that re-energize us with diverse perspectives and bid farewell to others we considered family. We have won awards, received national acclaim, and achieved countless professional and personal milestones.

The 2011-2012 Divisional Highlights is not the dense annual report of last year. It does, however, paint broad strokes of a very comprehensive picture of the living and learning environment our students benefit from day in and day out. I encourage you to take a few moments to appreciate this body of work, then congratulate your colleagues as you learn more about the depth and breadth of their efforts.

Berkeley Middle Class Access Plan (MCAP)Division of Student Affairs

The groundbreaking Berkeley Middle Class Access Plan (MCAP), unique among public universities, launched in December 2011 and received extensive national media attention. This new financial aid program begins in 2012-13 and caps the contribution middle income parents make toward the total annual cost of a UC Berkeley student’s education at 15 percent of their total income.

ASUC Auxiliary Transition Planning ProcessDivision of Student Affairs

A committee of 14 administrators and student leaders met over the course of the academic year to review and recommend new structures, programs, and services for the successful transition of the ASUC Auxiliary as a unit within the Division of Student Affairs. The resulting outcome was a report with 40 student-centered recommendations such as the creation of a new student organization leadership development center that couples the ASUC Office of Student Advising and the campus Center for Student Leadership to provide more streamlined and comprehensive services. In the next year, efforts to implement the recommendations will be prioritized and monitored to ensure success. Vice Chancellor Le Grande applauded the committee for working together in a genuine spirit of open collaboration and trust to collectively create a vibrant undergraduate and graduate student experience and noted the committee’s work as an example of an effective campus and student partnership for the common good.

New Student ConvocationDivision of Student Affairs

The reconceptualized New Student Convocation was a resounding success, drawing over 4000 new students, faculty, deans, and staff to the Greek Theater. Principles of Community and other themes for student success at Cal were shared by keynote speaker, Professor Robert Reich, who is the Chancellor’s Professor of Public Policy.

THANKS TO YOU CelebrationDivision of Student Affairs

The first annual “THANKS TO YOU” employee recognition event drew over 1,500 employees and family members. A committee of staff volunteers organized the event to appreciate divisional staff for their commitment and hard work. The afternoon event was filled with games, food, and opportunities for community building. Staff noted how valued they felt and the boost in morale it provided. The next “Thanks To You” event will be held on August 15, 2012.

OE Student Services Initiative ImplementationAdmissions & Enrollment

This year marked the beginning of the implementation of the recommendations made by OE Student Services Initiative sponsors Harry Le Grande and Cathy Koshland. Executive Director Laura Willoughby has been hired to lead student systems technology implementations. Laura reports to the Associate Vice Chancellor for Admissions and Enrollment and is building a team of project managers, analysts, and outreach specialists to bring our vision for enhanced student services to reality. The first step in that process is to create a comprehensive roadmap of all student-related technology projects both in progress and planned for the future to allow us to prioritize how to move forward. New technology projects will begin implementation during the 2012/13 school year.

New Leadership in Admissions & EnrollmentAdmissions & Enrollment

Following the retirement of Susie Castillo-Robson, Anne De Luca was named Berkeley’s Associate Vice Chancellor of Admissions and Enrollment. Anne brings 19 years of experience in the enrollment management field and deep knowledge of the inner workings of Admissions and Enrollment at UCB. Prior to serving as AVC she was Acting AVC for the unit, and has served as both the Deputy Director and Acting Director of Undergraduate Admissions at Cal as well as serving as University Registrar for four years.

The Financial Aid and Scholarships Office is now directed by Rachelle Feldman. Rachelle began working in FASO in 2000, and she successfully led the implementation of Berkeley’s Middle Class Aid Program this year.

The Office of the Registrar has also seen a transition to new University Registrar Walter Wong. Walter has worked in the Office of the Registrar since 1997, and earned his Master’s degree in Public Policy from Cal. He is a strong advocate for improving service for students, both through technology enhancements and changing business processes.

Celebrating the Legacy of Cindy Franco and Tony LooAdmissions & Enrollment

This year we celebrate the exceptional work of two long-time A&E family members, Cynthia (Cindy) Franco and Anthony (Tony) Loo, who both passed away this winter. While their deaths have left us with sorrow we are dedicated and energized to continue their amazing work serving Berkeley’s students. Cindy dedicated her working life to Berkeley, most recently serving in the area of Academic Records. Tony began his career as a student employee and served as the campus Residency Deputy at the time of his passing. Cindy and Tony will be missed and have left all of us in A&E an inspiring legacy of service.

Green Initiative FundASUC Auxiliary

Milestones for The Green Initiative Fund include awarding the most projects (22) in one grant year, funding the greatest number of student internships (56) in a year and reaching the $1 million mark in total grant awards funded since inception five years ago.

Meditation CenterASUC Auxiliary

In the first year of operation for the Meditation Center (mid-October through mid-May), there were 6,625 visits averaging over 50 visits per day.

Lecture Notes Sold Through the Cal Student StoreASUC Auxiliary

A partnership has been entered into with the bookstore to sell Lecture Notes Online in the Cal Student Store beginning this summer.

Peter E. Haas Public Service Leaders ProgramCal Corps Public Service Center

This spring, Cal Corps launched the Peter E. Haas Public Service Leaders Program, which works with outstanding student leaders who are engaged in off-campus service activities. In 2012-13, up to 20 undergraduates will participate in the program. Leaders will receive need-based scholarships in the range of $2,500 to $5,000 that will enable them to volunteer 12 to 15 hours a week in off-campus service activities. Peter E. Haas Public Service Leaders Program is made possible through a generous endowment from the Mimi and Peter Haas Fund which will eventually fund 100 need-based scholarships each year.

Shinnyo-en Peacebuilding Leadership ProgramCal Corps Public Service Center

Cal Corps launched the Shinnyo-en Peacebuilding Leadership Program in partnership with Peace and Conflict Studies. Funded through a $100,000 annual grant from the Shinnyo-en Foundation, more than 70 students participated in this year-round program in which cohorts of 30-40 students develop tools to translate their ideas into meaningful action. Participants take a PACS course called Leadership, Dialogue and Actualization, and then receive resources to implement a significant project including Cal Corps advising, training and a mini-grant of up to $5,000 to carry out their project.

BUILD Fellowship ProgramCal Corps Public Service Center

Cal Corps created a new post-graduate BUILD Fellowship and hired former student director Jacque Roby to support the growing literacy initiative. Jacque finishes up her year in August and will go on to Mills College to study Educational Leadership and Business Administration in a joint masters program. Next year, Cal Corps will have two BUILD Fellows, Ingrid Villarreal and Marlena Reimer.

Callisto Goes Mobile!Career Center

We launched the mobile version of Callisto that provides “on the go” access from a smartphone or tablet from http://callisto.berkeley.edu This mobile site allows our students and alumni to:

• Search for and apply to jobs• Search for and sign up for OCR interviews• View and RSVP for workshops and employer info sessions.• Get information about career fairs and participating employers • View and update their profile.

The launch of this mobile site supports our strategic theme of leveraging technology and provides greater accessibility to many of our online services.

Letters & Science Career ConferenceCareer Center

The inaugural “Letters & Science Career Conference” was held in partnership with L&S Advising, ASUC and RSSP. Keynote speaker Jefferson Coombs (’89 Psychology), newly appointed California Alumni Association Executive Director, shared his insights on the value of a liberal arts education with over 200 students as part of a full day of activities that helped L&S students explore career paths, articulate the value of their Cal degree, and define their marketable skills--all of which contribute to better positioning them for today’s challenging job market.

The Insiders--Diversity Recruiter Panel & MingleCareer Center

Our Diversity Counseling Team hosted this new event for over 100 first generation, underrepresented, and non-traditional students and the advisors that serve them. The event helped students and staff understand how their academic and personal experiences translate to transferable skills that are valued by employers and provided networking opportunities for our students to connect with employers who value their diverse experiences and skill sets.

CareerQuest for TransfersCareer Center

Building on the CareerQuest for Freshmen program, in fall 2012 we extended CareerQuest to transfer students for the first time. Its five well-attended events provided essential steps for finding employment and internships or getting into graduate programs of choice, plus advice from employers and successful transfer students.

New Mission and VisionCenter for Student Conduct

The Center for Student Conduct implemented a new mission and vision, practices, and philosophy.

Gold CouncilCenter for Student Conduct

The department created the Gold Council, a student leadership program designed to educate students on the skills and tools that may be useful when serving on a conduct committee hearing panel. In addition, the Gold Council Ambassadors provide outreach presentations and programming to educate the campus community about the Principles of Community and the Code of Student Conduct.

Responsibility Marketing CampaignCenter for Student Conduct

This year marked the launch of the “Responsibility Marketing Campaign.”

Greek CarnivalCenter for Student Leadership

CalGreeks sponsored a very successful Greek Carnival during Welcome Week. They brought together approximately 4000 students (2900 non-affiliated students and 1100 fraternity/sorority affiliated students) for a late night alcohol-free carnival prior to classes starting. Students picked up free cotton candy, participated in a variety of carnival games like fishing booths and bean bag toss games, and got to know our CalGreeks students.

Cal Debate Finishes the Year Ranked in Top TenCenter for Student Leadership

Cal Debate began the year ranked 25th in the country, but through hard work and perseverance they became a top ten team by the end of the year. Seniors Andres Gannon and Sarah Weiner were champions of the tournaments held at Gonzaga University and the University of Pittsburgh.

McDonald Cadet Leadership ConferenceCenter for Student Leadership

UC Berkeley was selected to send two undergraduate students to participate in the inaugural McDonald Cadet Leadership Conference at the United States Military Academy at West Point. The leadership conference will bring together 84 undergraduate student leaders from 20 of the top US academic institutions and 10 top international universities with 12 senior fellows from Fortune 100 companies and international non-government organizations to explore, discuss, and challenge their perspectives related to Education, Health Care, Media, Global Economy, Environmental/Disaster Relief, and ConflictResolution.

Cal Facilitation Team (CFT)Center for Student Leadership

CFT is a team of student facilitators who provide workshops and team-building experiences to student groups to help them improve their leadership abilities and their organizational capacity. CFT offers workshops on Team Building, the 5 Dysfunctions of a Team & Building Trust, Leadership & Improv, the Art of Giving Feedback, and Strengthsquest. This year, CFT provided 35 workshops to student groups reaching approximately 1000 students.

1,314 Student OrganizationsCenter for Student Leadership

UC Berkeley had 1,314 registered student organizations for 2011-2012. Organizations ranged from tango to taiko, from fair trade to improv and comedy troupes, from fellowship groups to spiritual organizations, and from honor societies to service groups.

Bears that CareDean of Students

This year marked the launch of the Bears that Care Initiative. This initiative strives to create a Cal community free of violence by becoming active bystanders who care for one another. Every step counts no matter how small you think it is; the impact can be larger than you know. There are now 45 trained staff/faculty BTC facilitators ready to run BTC workshops this Fall 2012.

Students of Concern CommitteeDean of Students

The Students of Concern Committee is a multi-disciplinary body of stakeholders from across the University which receives referrals pertaining to students of concern, collects additional information, and identifies and enacts appropriate strategies for addressing the situation. From October 2011 to May 2012 there were a total of 211 referrals, which average 26 per month. Referrals include: Mental Health, Severe Injuries, Possible Threat to Others, and Displaced & Distressed.

New Executive Director of the ASUC AuxiliaryDean of Students

Kelsey Finn has been selected as the new Executive Director of the ASUC Auxiliary. She joins the Cal community with over eleven years of experience in higher education and a wealth of experience in the management and leadership of student union environments. For the past five years Kelsey has served as the Director of the Student Union and Event Services at the University of Nevada, Las Vegas and has direct experience in the areas of contract negotiation, event and student union operations, facilities management, construction/renovation management and direct staff supervision.

Enhanced Stewardship of Smaller-Gift DonorsDevelopment Office of Student Affairs

As part of our enhanced stewardship efforts for smaller-gift donors, over 450 donors who gave gifts below $5K to the Berkeley Undergraduate Scholarship, Regents’ and Chancellor’s Scholarship, Middle Class Access Plan, UC Dream Act, and Memorial funds were individually acknowledged through postcards from students from our Student Ambassadors program.

Bergeron Scholars ProgramDevelopment Office of Student Affairs

Cal parents Sandra and Doug Bergeron’s new commitment to Berkeley has resulted in the creation of the new Bergeron Scholars Program, providing financial support and professional mentoring opportunities for young women in the STEM majors.

New Transfer Student Scholarship FundDevelopment Office of Student Affairs

Two generations of the Banatao family came together to establish a generous scholarship fund to support transfer students in the STEM majors.

Stamps Foundation Expands Its PortfolioDevelopment Office of Student Affairs

A new commitment from the Stamps Foundation expands its portfolio to the Berkeley campus, benefitting high-achieving Regents’ and Chancellor’s Scholars.

The Financial Aid & Scholarships Office leveraged technology by automating online applications for Parent Loans. Parents now apply online at the Department of Education website and receive an instant credit decision which interfaces directly with ProSAM, eliminating the need for supplemental paper forms.

Lowest Graduation DebtFinancial Aid & Scholarships Office

The average debt level of graduating seniors is among the lowest of all four year public institutions in the United States.

Service ImprovementsFinancial Aid & Scholarships Office

The office dramatically decreased wait times for in-person, phone, and email customer service!

New Counseling LocationsFinancial Aid & Scholarships Office

The office increased partnerships across campus by providing counseling services at other locations including Athletics, SLAS/EOP, and the student parent center.

100% of Pre-collegiate Acadamy Admitted to 4-Year UniversitiesIncentive Awards Program

100% of the Pre-collegiate Academy 12 cohort students were admitted to four-year universities, including UC Berkeley, Brown University, and UCLA. 14 out of 22 admitted to UC Berkeley will be starting in the Fall.

IAP ExpansionIncentive Awards Program

The IAP program expanded to two schools in the Sacramento School District, McClatchy High and Sacramento High, due to a 2010 gift from IAP donors Jim and Betty Huhn. This fall two of the inaugural students will matriculate to Berkeley as IAP/Sacramento Scholars.

IAP Participates in National Promotion VideoIncentive Awards Program

IAP was selected to participate in a national promotional video for the Strong Interest Inventory assessment. Three IAP Scholars and Academic Counselor, Rod Santos, were interviewed and highlighted for their use of the Inventory at IAP’s First Year Transition Seminar during the Fall 2011 semester.

Class Planning at Students’ FingertipsOffice of the Registrar

In October 2011, the campus launched ScheduleBuilder, a tool that helps students plan their class schedules each term. The tool also enables students to view a course’s grading history and buy books (via the Cal Student Store), as well as view the locations of their classes on a campus map. ScheduleBuilder is based on Ninja Courses, a popular website that was developed by a Berkeley graduate. The Ninja Courses code was purchased by Berkeley and adapted for the campus by IS&T, in collaboration with the Office of the Registrar, which serves as the functional owner of the system. ScheduleBuilder has been hugely successful since its inception, with usage steadily rising each day--over 24,000 class schedules for Fall 2012 have been generated and saved by students as of this writing.

Unlimited Documents for LifeOffice of the Registrar

The Office of the Registrar eliminated several miscellaneous fees and replaced them with a one-time document fee, thereby reducing the time and simplifying the process for many student service transactions. For example, the Office of the Registrar now automatically mails diplomas to all graduate students receiving degrees, rather than requiring students to order and pay mailing fees or to come in-person to pick up a diploma.

Supporting the Campus CommunityOffice of the Registrar

The Office of the Registrar, the Financial Aid and Scholarships Office and the Office of Undergraduate Admissions sponsored a contest to generate final examination “goodie boxes” for students in the Cal Independent Scholars Network (CISN), a program that provides support to students who have recently emancipated from foster care, or are orphaned and certified as independent by FASO. Over 150 staff donated approximately 2,900 individual items to the CISN students. FASO staff won the friendly competition and a coveted giant stuffed bear wearing a T-shirt signed by students in the CISN program. This initiative demonstrated the staff’s commitment service to students while building staff engagement.

New Registrar AppointedOffice of the Registrar

After a nationwide search, Walter Wong was selected as the permanent University Registrar.

Reduction in Expenses = No Increases in Room & Board RatesResidential & Student Service Programs

2011-12 was a positive financial year for Residential & Student Service Programs (RSSP) due to higher than anticipated occupancy and continued diligence in creating reductions in expenses. Conference Services, University Village Recreational Sports, and Cal Dining continued to increase their respective number of clients and customers, bringing in additional revenue. RSSP will not increase room and board and rent rates for the 2012-13 year, the third year out of the past four with no increases.

Campus ContributionsResidential & Student Service Programs

RSSP staff co-facilitated and were heavily involved in two important campus groups this past year, the ASUC Transition Planning Team and the First Year Experience Task Force. Both groups completed their assignments successfully, forwarding recommendations to Vice Chancellor Le Grande.

STARS Standards Customer Service TrainingResidential & Student Service Programs

All RSSP units completed STARS standards customer service training. The STARS standards (sincere, trustworthy, attentive, resourceful, and successful) help advance RSSP’s mission through high quality customer service. STARS training has now been embraced by others in Student Affairs and on campus.

Cal Dining + Cal AthleticsRSSP - Cal Dining

Cal Dining entered a fifteen year partnership agreement with Cal athletics to provide exclusive concessions and catering services for Memorial Stadium and Haas Pavilion.

Seafood SustainabilityRSSP - Cal Dining

UC Berkeley became the first public university in the nation to be awarded Marine Stewardship Council (MSC) certification for Cal Dining’s commitment to seafood sustainability.

StopWaste! GrantRSSP - Cal Dining

Cal Dining was awarded a $35K StopWaste! grant from Alameda County to implement the LeanPath waste management program which will result in approximately 40% less food waste.

Increase in Freshman = Increase in OccupancyRSSP - Living @ Cal

This year we had over 98% occupancy for residence halls and over 97% occupancy in apartments in 2011-12, due in part to an unexpected increase in freshmen acceptances in the fall semester.

Maximo Martinez Commons to Open in Fall 2012 RSSP - Living @ Cal

UC’s newest housing facility currently under construction in the Anna Head parking area will be named in honor of Maximino “Max” Martinez, a long time student affairs employee who passed away suddenly while playing lunchtime basketball at the Recreational Sports Facility in 2003. Martinez Commons will provide housing to 416 continuing students with priority on sophomore student housing.

Smyth-Fernwald Apartments to Retire After 65 Years of ServiceRSSP - Living @ Cal

Smyth-Fernwald Apartments closed at the end of 2011-12. After providing UC students and families with housing for more than 65 years, the buildings have reached the end of their useful lives and will be demolished.

Resident Faculty ProgramRSSP - Office of Student Development

The Office of Student Development continued to enhance services and programs for students in university housing, especially in academic support programs and community development. Professor Mahasin Mujahid joined the RSSP staff this past year as a member of the Resident Faculty Program in Unit One.

New Student Convocation ReturnsRSSP - Office of Student Development

After a brief hiatus, New Student Convocation returned to the Greek Theater to host new Cal students. Professor Robert Reich provided keynote remarks to a large, enthusiastic crowd.

Student Affairs Information Technologies LaunchedStudent Affairs Information Technologies

The new divisional IT organization launched in July of 2011. A year later, Student Affairs Information Technologies (SAIT) has made significant progress integrating the IT support service model and moving toward its goals of a developing a comprehensive technology program. Key milestones include the:

• Implementation of a client technology service desk (CTS)• Creation and launch of a portfolio management office (PMO)• Completion of an application inventory which looked at fit and risk and a set of

management dashboard tools• Initiation of a division wide IT governance structure, the SA IT Council

CalCentral Pilot Support, Student and Campus GatewayStudent Affairs Information Technologies

SAIT continues to support ETS’ multi-year development efforts with the CalCentral gateway initiative that will provide a new teaching and learning platform and a way for students to seamlessly navigate to academic, administrative, and campus life resources. Students from the Cal Online Student Experience (COSE) group and SAIT’s Student Technologies provide vital input and feedback on student-related features and functionality.

UCOP Investment to Replace UC’s SystemsStudent Affairs Information Technologies

The UC Office of the President (UCOP) has made a significant investment to replace UC’s systems for centrally accepting and processing undergraduate applications for each campus, formerly Pathways and UCAP, with a new system, applyUC. SAIT has offered the work it has done in developing Berkeley’s new undergraduate admissions system to UCOP and the other campuses, using the Berkeley admission system to read the new applyUC file and generate the older format UCAP file for each campus. This is a critical component to UCOP’s efforts providing the other campuses time to transition to the new admissions system. Berkeley was in a unique position to contribute since the new applyUC format is based on work Berkeley had already done as part of the development of a new admission system and was already planning on creating a UCAP formatted file to continue feeding the UGA mainframe system.

In addition, SAIT has provided a hosted solution for UC Santa Cruz’s comprehensive review for freshman admissions applications. Both efforts were examples of leveraging work across the campuses.

Launched Social Media CampaignUndergraduate Admissions

On Cal Day, April 21, OUA launched its Social Media efforts in Facebook, Twitter, and Pinterest. Due to these efforts, we not only drew lots of awareness, we also managed to drive about 800 viewers to our student blog, Golden Bears Blog.

16% Increase in ApplicationsUndergraduate Admissions

OUA had a steep mountain to climb in the 2011/2012 freshman application season: Read and evaluate 62,000 freshman applications - a 16% increase in apps from last year! To accomplish this feat, we hired, trained and managed 75 external application readers - the largest number of external readers to date.

Our 2012 yield figures are impressive: As of June, we have yielded 5,421 freshman (40.9% rate) and 2,615 transfer students (68.5% rate). We are upholding the division strategy of “access” among undergraduates, particularly underrepresented students, with an overall freshman total of 38.4% and overall transfer total at 68.7%.

Harry Le Grande served on a panel discussion “The Changing Nature of Student Demonstrations” at the National Association of Student Personnel Administrators (NASPA) annual meeting. Susie Castillo-Robson was honored with the Berkeley Citation, an award given for faculty and staff whose work represents the most distinguished and extraordinary service to the university. Prior to her retirement in January of 2012, Susie worked for 32 years in multiple UC departments, including at UC San Diego, UC Office of the President, and beginning in 1994, as University Registrar at UC Berkeley. Susie was named Berkeley’s Associate Vice Chancellor for Admissions and Enrollment in 2006, and her commitment to diversity, access, and college affordability will stand as the hallmarks of her career.Admissions & Enrollment

Megan Voorhees, Director of the Cal Corps Public Service Center, was selected as the recipient of California Campus Compact’s 2012 Richard E. Cone Award for Excellence & Leadership in Cultivating Community Partnerships in Higher Education.Cal Corps Public Service Center

Sarah Backes-Diaz, Interim Assistant Director of Counseling, was selected as one of eight participants for the highly competitive National Career Development Association (NCDA) Leadership Academy. Debra Behrens, Career Counselor, was asked to contribute an article that she wrote about international careers to an English textbook entitled Everyday Writing that was released in November.
