ProposedStandingRules 1. Members

4.NominationsandElection

5.ComfortIssues

a. Comfortandpersonalneedsissuesoftheattendeesaretobeaddressedtotheushers,notthemoderator.Ifaddressedtothepresidingofficer,theremarkswillberuledoutoforder.b. WhiletheAnnualMeetingisinsession,obstructingitemsthatmayinterferewithan-otherindividual’scomfortorabilitytoseeshallnotbewornordisplayedinthemeetingroom.c. WhiletheAnnualMeetingisinsession,useofelectronicdeviceswiththeexceptionofbattery-poweredlaptopswithspeakersturnedoffandpersonaldigitalassistantswithsoundturnedoff,shallbeprohibitedfromuseinthemeetingroom.Examplesofprohibitedelectronicdevicesarecellularphones,beepers,andpagers.Electronicdevicesthatareauxiliaryaidsforindividualswithdisabilitieswillbepermitted.

6.Procedures

Minutes of 2013 annual meeting

Meeting called to order 11:00 am

There were 90 individuals in attendance 5 of whom were non-members

A quorum was declared by moderator

Opening words with reading of FBPA covenant by Board President Paul Provencher and Moderator Cindy Baker

Point of order called from the floor to address agenda

Moderator ruled to defer after brief discussion

Opening Invocation and lighting of the chalice performed by Cindy Baker

The Necrology was led by Cathy Stackpole, speaking the names of Ferry Beachers who have passed away in 2013 followed by a moment of silence.

Sound issues identified and addressed

Motion from the floor ‘to approve minutes of 2012 annual meeting’ second from floor and approved by voice vote – unanimous

Point of order from the floor to alter the agenda to include old and new business – discussion held and alteration denied by moderator

More annual reports were printed and distributed.

Clarifying discussion of point of order focused on opposition to the agenda as found in the annual report as being different to web published agenda of the week before

Motion from the floor ‘to move the nomination committee report to be given after the board president, executive director, and treasure reports are given

Wendy von Zirpolo Moderation called for voice vote. As is tradition, the slate was voted on as one. Voice vote with approximately 15% nay – 85% yea The slate of nominees was declared by moderator to be approved by membership. Installation of new board and committee members. Responsive reading lead By Paul Provencher Gratitude expressed to board members who were terminating. Recognition of volunteers: Executive Director presented plaques to three outstanding volunteers

Each was presented with a plaque commemorating the citation. A duplicate will be hung in a public space for display.

Members responded with standing ovation for each individual.

The speech was shortened due to time constraints and concerns expressed from the floor regarding desire to hear the financial report and to discuss the current status of FBPA relationship and lease negotiation with FBES

Highlights: awareness of the future and how we are here due to those before us and others will follow us. Acknowledgement of how difficult change can be and at this is one of those moments Vision for future site development and community integration.

Board Treasurer responded reporting the limitations on our ability to discuss details due to the arbitration status and the legal restrictions inherent in the process

There was a request by the motioner to modify motion, motioner given opportunity to rewrite motion while discussion continued

Executive Director of FBES spoke to defeat of motion in agreement with FBPA treasure’s comments. He added commentary including some history of the relationship and financial expenses/payments to FBPA such as the amount of rent paid over the time of the relationship.

childrenbetweenus,andourkidslovetheirFerryBeachfriendshipsandthefull-onexperienceofnaturethroughrusticcampingintheGroveandthehoursspentontheocean.Iplayguitaranddrums,andIalwayslookforwardtothemanyFerryBeachjamsessionsandthespiritualexperienceofmusicattheChapelintheGrove.IhavebeeninvolvedinUUsocialjusticeworkatAllenAvenueUUinPortlandformanyyears,andIbelieveitisanimportantgoaltoincreasetheeconomicandracialdiversityoftheFerryBeachcommunity.Ihaveexperienceinprogrammanagementandbudgetoversightthroughparticipationonothernon-profitboards.Iworkatanon-profitagencyinsouthernMainethatserveshomelessmen,womenandchildren,andIhavethreedecadesofsuccessfulexperiencewithfundraising,programdevelopment,supervisionofvolunteers,proposalwritingexpertise,budgetandoperationsmanagement,affordablehousingdevelopment,andoversightofarchitecturaldesignandconstructionmanagement.

LydiaHempelGibb,Barkhamsted,CT(3yearterm)ThankyoutotheNominatingCommitteeforchoosingmetobeontheslateforreelectiontotheBoardofDirectorsofFerryBeachParkAssociation.IamgratefulfortheopportunityIhavehadtoserveontheboardofaninstitutionthatholdssuchadearplaceinmyheartandlookforwardtothechancetodosoforanotherthreeyears.Itisimportantthattheboardreflectthemembershipofbothnewcomersandoldtimers.Iamofthelatterandbringanhistoricalperspectivetoboarddeliberations.Becauseofmygreatgrandmother,IamafourthgenerationUnitarianUniversalist.Iamalsoamathirdgeneration,lifelong,FerryBeacher.MygrandfatherwassentbyhischurchtoREWeekin1946,thusbeginningour

family’slongrelationshipwithFerryBeach.IgrewupatFerryBeachasachildofparentsontheCrew,thenattendedDiscoveryandSeaBreeze,andlivedintheGroveduringthesummersofthe70’s,whichincludedabriefstintonthecrew.Iintroducedmyhusband,George,toFerryBeachandhefellinlovewithitaswell.Westartedbringingourownchildren,GeorgeBrianandMatthew,campingintheGroveofcourse.OurfamilyattendedFamilyandFriendsforseveralyears,andhavebeencomingtoHomecomingonLaborDayforever.Professionally,IamDeanofTalcottMountainAcademyofScience,MathematicsandTechnology,aschoolfor“intellectuallyexcited”studentsingradesK-8.IholdanMAinEducationalPsychology/GiftedEducationandaBSinEnvironmentalScience/WildlifeBiology.Iserveinleadershipandasamemberofseveralorganizations,includingtheNationalScienceTeachersAssociation,theConnecticutAssociationfortheGifted,andtheConnecticutInventionConvention.IamanAcademyFellowoftheConnecticutAcademyforEducationinMathematics,ScienceandTechnology,andaGlobeScientistfortheUniversityCenterforAtmosphericResearch.IservedasPrincipleInvestigatorontwoNationalScienceFoundationgrantsfocusingonwomenandminoritiesinscience.AsanenvironmentalscientistandeducatoritisimportanttomethatweatFerryBeachliveour7thPrinciple,fromourprogrammingtoourcampus.IamcurrentlyoneoftheboardmembersontheteamthatmeetswiththeboardrepresentativesoftheEcologySchool.IamalsothechairoftheFerryBeachProgramCommittee.Becauseofmyfamilyroots,IamamemberoftheFirstUniversalistChurchofOrange,MAwhereIwasdedicatedandmarried.However,sinceIdonotlivenearenoughtoanyUUChurchestoattendregularly,FerryBeachismy“church”andspiritualhome.IampleasedtosupportFerryBeachthroughservice.

UnitarianUniversalistChurchinsouthernMaine!IamalsotheExecutiveDirectoroftheReligiousCoalitionAgainstDiscrimination,astatewidenon-profitwhosemissionistoeducateandpubliclyadvocateforthecivilandhumanrightsofallpeople,includinglesbian,gay,bisexual,andtransgenderpersons,indiverseMainecongregationsandcommunities.Iamimmersedinthecommunity,the“smallworld”thatISMaine.IthasbeenaprivilegetoserveasMinisteroftheWeekforthelast4or5summersduringFamilyandFriendsI,II,KidsWeek,MusicWeekandWorkWeek.(Iamnotfussy,anyreasontobeattheBeachisagoodone.)Mykids(andI)LOVEtheBeachandtheymakeittheirnumberonesummerpriorityeveryyear.IseetheBeachasessentialandworthyofeveryaspectofmysupport.IamthrilledwiththepossibilitiesandopportunitiespresentedbyhavingarelativelynewExecutiveDirectorandthetransformationalworktheBoardhasbeenengagedtomoveFerryBeachintothe21stcentury.Theirworkwillensurethatwestayrelevantandthriveformanyyearsintothefuture.Finally,withelevenyearsofministryinsouthernMaineandanimmersioninthejusticeandpoliticalcommunities,Ihavemanycontactsandalong"reach."TheseresourcesextendtocolleaguesacrossalldenominationsandfaithcommunitiesaswellasUUsandpeopleoffaiththroughoutthestateandcountry.Iamcomfortable“selling”FerryBeachandwouldlovetheopportunitytorecruitstrongleaderswhowillbringtheirgiftstotheBeach.

JohnRobinson,Portland,ME(2yearterm)MyconnectiontoFerryBeachstemsfromadesiretohelptheorganizationsucceedinthefaceofchangingtimes.InadditiontomyfulltimecareersellingandleasingcommercialrealestateinSouthernMaine,IteachliteratureattheMaineCollegeofArt.IhaveservedontheBoardoftheMaineGreenBuildingCouncilandTheTateHouseMuseum,asacommitteememberfortheMaineRealEstateDevelopersAssociation,andIsitonthesteeringcommitteeforPortlandCommunitySquash(attemptingtobringyouthsquashtoPortland).IgraduatedfromHarvardCollege,andreceivedaMasterofFineArtsfromBrownUniversity.Iamalsotheauthorofseveral

wellreceivedworksoffiction,aswellasoneHollywoodmovie.WhileIamnotaUnitarianUniversalist,IbelievethatGodIsLove.MywifeandIhaveraisedfourchildreninablendedfamilyandsentallofthemtocollege.ByvolunteeringforFerryBeachandtheNominatingCommittee,IhopetoofferagreaterconnectionbetweentheFBPAandthelocalcommunity.

2014President’sReportByPaulG.Provencher,PresidentAsIconsiderthisAnnualReporttotheMembership,IamremindedofabookIreadlastyearthatrelatedwritingreportstolikebeingina“RowboatSociety”.Thatis,wefacethistaskofwritingreportsbytrying“tomoveforward,whilelookingbackwards”.I’vealwayshadahardtimewiththatconceptoftherowboatandI’vethoughtthatthereshouldbesomesophisticatedsystemofrearviewmirrorstohelpuswhilewearelookingbackwardstomakesurethatwedon’trunintosomeswimmersorworstyetalargeboatorship.Inlookingbackwardsovertheyear2013,IcanreporttoyouthatthefollowingoccurredatFerryBeachforwhichyoucanbeproudandhappy.Theseinclude:

1. Thesuccessfulnegotiationofa3yearcontractwithPangeaforourfoodservicedelivery.

2. Wesuccessfullynegotiateda5yearpropertyleaseagreementwiththeEcologySchool.ThisutilizedanarbitrationprocessinwhichFerryBeachwasabletoshareitsneedtorecoupourfairshareofexpenses.

3. AnAwesome2013Summerseasonoccurredwhereweincreasedourrevenuebyabout10%.Weincreasedourrevenuefromvacationers,doublingwhatwedidinvacationrevenuein2012;andwereducedouroverallcomplimenttocoordinatorsandworkshopleadersbyabout25%.

4. ByrenovatingandopeningupClaflinandtheMetzVillagecabinstomembers,wehave

generatedanadditional$58,000inrevenuenotavailablepriortothistime.

5. ReligiousEducationandFamilyandFriendsweeksbothhadhigherregistrationsthantheirpreviousyear.Severalothersummerconferenceseitherjustbrokeeven,orhadaslightincrease.

7. WeaccomplishedsomeofourSocialJusticeGoalsbyprovidingtheMainePeople’sAlliancewithsomehousingforcollegestudentscanvassinginthisareafortheneedsofpeopleinpoverty.Aswell,theSierraClubwasprovidedsomehousingastheyworkedonanenvironmentalproject.

Ourmembershiphassteppeduptothedonationplateastheyhaveprovidedover$40,000insustainingmembershippledges.Thatis,theymakeadonationmonthly,automaticallyfromtheircheckingaccount.ThesearecontinuingtogrowandweseethisasagreatwayformemberstomoreeasilysupportFerryBeach.Aswell,wereceivedagiftof$9000fromMr.PaulBelyeatorepairQuillenporchthissummer.

Well,I’vefinishedrowingouttoEagleIslandandhaverowedback.NowI’mgettingoutoftherowboat,restingonthebeachandgettingreadyforthenextjourney.Ibeginbyenteringasleek,multi-coloredkayakwiththeFerryBeachlogoinscribedonthehull.Ihaveallmygearandamostefficientpaddle.Yes,Iwaswelladvisedonequipmentselectionandpropertechniquesbyourresidentkayakinstructor,MartyBurgess.NowIwanttomoveforwardbylookingstraightaheadatalltheopenwaterandthehazardswemayface.Lastyear,IreportedtoyouaboutavisionthatIhadforthenext5to10years.Ibrokedownthevisionpossibilitiesintofourcategoriestoinclude:physicalplant,leadership,programmingandfinances.Wehavebegunmovementintheseareasbutatthispoint,Ibelieveourgreatestchallengeishavingtheleadershipandthestructureinplacetoactuallymovethisorganizationforward.MuchliketheUUAgovernance,I,asyourpresident,amworkingtomovethisBoardofDirectorstoapolicygovernancemodel.ThisiswheretheBoardfocusesitseffortsonleadingtheorganizationandlettingtheCEOmanage.TheBoardconversationsshouldbefocusingonresults,policydevelopment,ethics,CEOleadership,andboard&organizationalself-assessment.Thismeanscreatingmanymoreleadersandanticipatingleadershipneedsratherthanhopingtofindhelpwhentheneedarises.Asanorganizationweneedtonavigatethe“whitewaterrapids”withgreaterintegrityandtransparencythaneverbefore.Asanorganization,FerryBeach,musttransformitself,notsimplychange,andwemustdrivethetransformationratherthanjustreacttooutsideforces.Iwouldliketogiveyouacontextforthispolicyandstrategygovernancewhichprovidesareviewofourgeneralboardaccountabilities:

• Ourmissionistoprovidevalueandpositiveimpactforourmembershipcommunity.(whydoweexist?)

• Ourvisionidentifiesthenewhorizonoforganizationalimpactwhereyouseekto

• Ourlegalresponsibilitiesincludefiduciaryaccountabilitytoadvancethemission

ExecutiveDirector’sReport–2013FromCathyStackpole,ExecutiveDirectorOverall:Fromnewsoftwaretochangesinourmarketingmaterials,wearecreatingsystemsthatwilleventuallymakeiteasierforourmemberstoparticipateinourorganization.WearepartneringwithinitiativesoftheUnitarianUniversalistAssociation,churchesandoutsidegroups.Thesepartnershipsenhanceandsupportourmissionandserveourcommunity.Mission

• WeopenednewspacesoncampusforfamiliesandpeoplewhoneededmoreaccessibleplacestolivewhiletheywereoncampusbyrentingClaflinandthecottages.WehopetodothesamewiththeHopkinsHouse.

• WehavereachedouttonewministersintheUUAwhowillbecomingthissummer.WehavealsopresentedaboutFerryBeachtomorechurchesandtoDistrictmeetingsthaninthepreviousyear.

• Wearemovingtoa2-yearcyclewithourconferences,whichwehelpwillcontinuetobuildourrelationshipswithothersaroundourmissionandvision.

• WehavemadeapartnershipwiththeStandingontheSideofLoveinitiativeoftheUUAandhopetocontinuecultivatingmulticulturalinitiativesaswellassupportingministerswhoarebeginningtheirservice.

• Anincreasedpresenceonlinethisyearincludedanonlinebookgroupthiswinter.• WewereabletoprovidetheMainePeople’sAlliancestudentvolunteersaplacetostayfor

aweekwhiletheyworkedoncanvassingourcommunity.• WewerealsoabletoassisttheSierraClubintheirconservationeffortshereintheareaof

southernMaineandwecontinuetohosttheSacoShorelineCommissionfortheirmeetings.

Membership

• Wehad1700members,whichrepresentabout1000individualorfamilymembershipsandcloseto700lifemembers.

• WepassedaCommunicationPolicytostrengthenourtransparencyinsharinginformationwithourmembersrelatedtogovernance.Upgradestoourwebsitemakeitmucheasiertofindinformation.Wenowhaveamemberhomepage.

• WebegansendingtheDiscoveryeveryothermonthinsteadof3timesayeartosharemoreinformationwithourmembers.

• Wesaidgood-byetolongtimeFerryBeachersJoyceLamb,BobbieGreen,AndyGuy,MarionEmeryandCathyPackardwhoallmadetheirtransitionthisyear.

FundDevelopment

• Wearegratefulforthesupportthatwehavereceivedfromourdonors.Lastyearourcontributionstotaled$81,256.

• Wecontinuetobuildoursustainingdonorsandthelistofindividualdonors.• WeopenedourHarvestBanquetinNovembertoallofourmembersandwereableto

sharemoreaboutstewardshiptoalargernumberofpeople.Asaresult,theHarvestBanquetincreasedrevenueby$12,000,(someofwhichwillshowupin2014asthesewereeithernewmonthlypledgesorsustainingdonors.)

• Wewentover2000likesonFacebookandwereconsistentlypostingeachdaythroughouttheyeartogenerateadditional“looks”atourwebpageaswellasourFBpage.

• WetookanadoutintheUUWorldforthefirsttimeinmanyyears.• WealsoareconnectingwiththelocaltourismsitesinMaineandNewEngland,something

FerryBeachreliesuponthephilanthropicsupportofourmembersandfriendsforprogramsandoperations.Nononprofitorganizationmakesendsmeetonincomefromprogrammingalone.Annualgiftsandothercontributionshelpsusfillthegapbetweenwhatwereceiveforroom,boardandconferencefeesandwhatitactuallycoststorunFerryBeach.Annualgivinghelpsensureconferencesareadequatelystaffed,ourcampusismaintained,andwehavelightsandhotwater.

TheStewardshipCommitteeandtheFBPABoardcontinuetobuildoneffortsinpreviousyearstoencouragepeopletobecomeSustainingMembers,contributingaregularamounteachmonthorquarter,oftenautomaticallythroughabankdraftorchargetoacreditcard.

Thankstoyourgenerousresponsetotheseefforts,weraised$81,256inannualcontributions,alittlemorethanhalfagainasmuchasraisedinFY2012.Wehad194donorsinFY2013,80ofthemSustainers.

Ourincomefrommembershipsreachedabout$10,000from1700(annual)members.

InFY2013weopenedupourfalleventforLifeMemberstoincludeandcelebrateotherdonorsandtalkaboutupcomingprojectsforwhichtheBeachneedssupport.WewouldespeciallyliketothankGAYLAbrotherPaulBelyeawhosteppeduprightawayandcommitted$9,000torebuildtheQuillenporch.
