    Tender Checklist

    It is always a good idea to use a checklist when tendering, to make sure you cover allthe aspects required. This is a typical checklist, but you should develop your ownchecklist based on the requirements of each tender.

    Planning your Response

    Have you registered yourinterest in this tender?

    If you receive your copy of the tender documentfrom a third party, register your interest with thecontracting agency so that you receive anyamendments.

    Do you understand all therequirements?

    Make sure you have read the tender documentand highlighted important points.

    Do you need clarification? If you do not understand something, talk to the

    agency contact.When is the closing date? When does the tender close and where should

    it be lodged? Late tenders will not usually beaccepted.

    Are you fully informed? Make sure you attend any pre-tender briefingsessions.

    Can you complete theentire contract in-house?

    Can you complete the contract in-house or willyou need to sub-contract or form a consortium?If you need outside help make sure you giveothers enough time to provide input into thetender.

    What are the evaluationcriteria?

    Determine the criteria against which yourtender will be evaluated and note any weightingplaced on each of the criteria.

    Do you need a tenderresponse strategy?

    For high value tenders you may wish todetermine at an early stage if you can provide acompetitive solution.

    What are the contractterms and conditions?

    Read the contract terms and conditions andmake sure you can comply.

    Have you identified how to

    respond?

    How does your response need to be submitted

    - in a paper format, (and if so how many copiesare required?) or is electronic lodgementavailable?

    What format do yourespond in?

    Are there any mandatory tender forms to becompleted?

    If there are, and they have not been included,your tender will be considered incomplete andwill be eliminated.

    Preparing your Response

    Are there tenderers

    response schedules?

    If tenderers response schedules have been

    provided, use them.

    What numbering has beenused in the tenderdocument?

    If no set format for responding has beenspecified, follow the general format andnumbering of the tender specification.

    Is your response in asimple format?

    Your tender will be evaluated on content not onan elaborate presentation.

    Have you answered all thespecified requirements?

    Prepare a checklist and tick each of them off asyou answer them.

    Have you provided all theinformation requested?

    Have you been requested to supply otherinformation and documents?

    Have you demonstratedyour ability to meet all ofthe selection criteria?

    Make sure you have clearly demonstrated (notjust asserted) your ability to fulfill all themandatory criteria.

    Have you have completedthe price or cost schedule

    for all items you aretendering?

    Have you included your costing for all itemsand followed the GST requirements?

    Have you indicatedwhether you comply withthe conditions of contract?

    If you exceed the requirements, or only partiallycomply, have you provided a detailedexplanation?

    Have you contacted yourreferees to confirm theyare willing to be a referee?

    Are referee contact details correct?

    Are there QualityAssurance requirements?

    Are any supporting documents required? Arethey attached?

    Is this an alternativetender?

    Have you clearly identified that this is anAlternative Tender? Check with the agencyfirst to confirm that an alternative proposal willbe considered.

    Have there been anyamendments?

    Have there been any tender amendmentsissued and have you addressed these?

    Are you offering value formoney?

    Have you pitched competitively?

    Submitting yourResponse

    How can you send yourresponse?

    Can a fax or electronic lodgement be sent or isa hard copy required? How many copies arerequired?

    Have you signed all theappropriate forms?

    Have you correctly signed all appropriatetender forms?

    What needs to be on thetender envelope?

    Check to see if specific information is requestedto be on the tender envelope - back and front -and how this is to be presented.
