Here you will see all the details of your customer, any that are unset you can set.

• First Interaction, Last Communication and Lead Quality • This will be where you can: • Under Sales Dropdown:

o Quotes- Area to push customer to sales system, same button when updated Name or Address for Contract o Sales- Will Display All Sales

• Sync Homesoft o Updates all Customer Information from CRM to Sales System

• Under Actions Dropdown o Create All Appointments (this includes walk ins) (Your traffic reports will be based off of this) o Send Email Directly from CRM- you can add multiple emails plus realtor if needed. o Log Phone Calls- Any inbound or outbound call o Change to Realtor- If a realtor was entered under a lead database, you can change to Realtor database o Transfer- This is simple way to transfer to another new home specialist o Notes- Any note that is relevant to the potential buyer, once note is added it will be displayed. o Add Reminder- This is a reminder for you, Callcustomer, email customer etc… This will go onto your main dashboard. o Add Referral- Referred by Past Customer (within 24 months)

Creating Lead-Walk In Traffic/ Phone Call

1. Click on Create a Lead (green button on topbar of dashboard ) It will let youtoggleCustomer or Realtor(ifrealtor is with customer use customer create lead)

2. First Step is to Check for Customer in Database a. You must enter First Name, Last Name, Email and Phone

3. Click Check for Customer, if customer is already in system it will show you a popup screen that says (A customer record was

found, this ensures we do not duplicate leads in MarondaCRM). 4. Once added it will take you to the engagement screen, please add associated community, How did you meet the customer?

And how did they hear about us? 5. Realtor YES or NO, if NO record activity (this will directly take you to the customer details page)

6. Realtor Yes or NO, if YES 7. Search For Realtor (Last Name or Company or Email)

a. No results from Search for Realtor? Create New Realtor a. Realtor Company, First name, Last Name, email and phone

Note- There will be more steps to properly register realtor, you have only added therealtor to the database at thispoint. A photoid/realtor licensepicture and realtor coop contract must both be provided to ensure proper payment to realtor. An appointment is needed to move to the next step of realtor registration.

Adding realtors to database without customer:

Add a Realtorwhowalks in, calls in or emails in without a customer the in same manner as a leadwhich will add to your traffic report(Thiswould be any realtor whom does not have a customer)

1. Click Top Right in the Green Bar Create Lead and Select Realtor When realtor brings in clients, log as customer and attach a realtor to the customer

2. Search by First Name, Last Name, Email and Phone

If it does not appear, add Realtor Company, Associated Community, How did they hear about us?

This willaddthem to yourrealtordatabase,whereyoucanconnectthemwithfuturecustomers.(Everytimeyouconnectarealtortoadifferent customer they must be registered)

How to Set an Appointment Set an Appointment- through Customer Detail Page- Appointment button is located under actions dropdown

This is also how you will manage walk in traffic

Add Community of Interest – This is the community they are looking to purchase in

1. In-person- Coming to Model or Phone Meeting 2. Community for Appointment- This is where you will be meeting them. 3. Location You are meeting- Choose From

1. Model Address 2. Spec Address 3. Custom Address- 100%Fillable

b. Date and Time c. Duration of Appointment d. Travel Time- This will allow you to block your calendar 30 minutes to an hour before and after appointment e. Upcoming Events will show you live calendar for 5 days after your date and time selected f. Note for Customer- This is anything you would like to go out in the initial not email and reminder email. g. Internal Notes- Will live in the CRM only. h. Check box for send email notification and text notification (Sends immediately and also 3 hours before appointment).

Steps to Register Realtor: THIS MUST BE DONE ON CELL PHONE

After customer and realtor are entered into CRM with an appointment, you will receive an email to your maronda.com email within 15 minutes of theappointment a link to qualify realtor for future appointment. (If walk in realtor and customer please follow Quick Walk-in Guide on Page 21)

Click Link in email, if email does notappear. Go to CRM, CustomerDetail, StartRealtor Registration Process,Resend Link

This must be done on your cell phone

• Select Community you are physically at(Even if they are interested in another community) • Click Take Picture- You may use a valid driver’s license or realtor license only • Take Live Picture and Process Registration • Realtor will then be registered for 90 days

Have realtor and customer sign Realtor Cooperation and Guideline Program- (Agent and Buyer will have 90 days registration period)

No matter the new home specialist, once realtor is properly registered and attached this information will be shared. If they have already visited another community the realtor will carry over. This must be completed for payment to Realtor.

Maronda Homes policy is: Realtor must accompany customer to first visit of community or modelhome. Thiswill hold truefor ISCAppointments that saytheyhave no realtor and show up during the firstvisit. Youcan add and register Realtor during the appointment up to 12 hours after appointment. Doing this from you cell phone will be the easiest. Click Blue Button Add a Realtor to Customer

You can then search for agent by email, name or company. If none are found after search you can create.

Once you have added therealtor it will thentake you to thescreen below. If youhave done theprevious steps on your computer you will need to click the Orange Button Resend Registration (This will send an email to your Maronda account and you will need to click a link to continue the process) Any photos processed via computer will automatically remove the realtor.

Select Community you are currently standing in.

Take Picture of Driver’s License or Realtor License. Realtor is then registered for 90days.

Quick Step by Step for Walkin with Realtor 1. Create Customer Lead- First Name, Last Name, Email and Phone- Click Check for Customer

2. Add Associated Community, How did you meet the customer and How did they hear about us

3. Realtor Yes, search for realtor, if you do not find create realtor

4. Record Activity

5. In Customer Detail Page set appointment: This does three items, says the realtor is at the appointment, tracks for traffic report, and blocks off your calendar so other appointments will not be added.

6. If the appointment was set at least 15 minutes prior you will receive the link email to your maronda email.

If it is a walkin or set within 15 minutes ,The simplest way from your Phone

You will need to go to your CRM on your phone , Customer Detail Page and Start Registration. Select Community you are standing in and Take the photo there.

Or you can use this function as well.

You will need to go to your CRM on your computer, Customer Detail Page and Start Registration. You can then send registration email to your maronda email. Click the Link on cell phone, select community you are standing in and take the photo.

Internet Sales Appointments and Properly Linking Realtors

If the ISC sets an appointmentfor a Realtor (with customer), thecustomerwill be listedin their customer tab under realtors detail page. That realtor will then be listed in the database. Your job is to then getall the customer information in thecustomerdetailscreen.

Click on upcoming appointments on your dashboard with the Realtors Name

It willthen take youto theappointmentpage: with detailsof thecustomer’sname in Red.

Click details at the top and it will take you to the Realtor Detail Page.

An appointment set for a realtor through ISC will not register realtor and customer!

If there is a circumstance that a realtor will need to be added or removed, the Division Manager will be the only person with authorization.

Create QUOTES and SALES- You will see detail for sales and quotes under the Sales Dropdown in the customer details page. All quotes will start with the CRM. Once all information has been entered click sales dropdown and select quotes, Click Update Customer Info in Sales System (First Name Middle Name and Last Name and Address, all secondary buyer information if needed)

Login to sales system at this point, you will begin the quote. You will also do this process for any updates to the name, address, phone, email etc…
