Customers who already work with the Smartdoc software know how easy document management can be. Partner company Anrova developed Smartone especially for Smartdoc. The Smart one connector enables Smartdoc to communicate with SAP Business One.

Smartone extends the standard functionality of SAP Business One with functions to support the administrative processes.

Smartone provides a seamless connection to the administrative processes in the office environment and document management. Documents are processed quickly, automatically, and efficiently within SAP.

Incoming documents When a supplier sends you an invoice, you can very easily import it into Smartdoc. The documents can be imported from e-mail, scan, photo, all Office documents or a folder.

Smart one in turn ensures that the document is automatically and correctly imported into SAP Business One. No manual action is required within SAP Business One to book the invoice.

Smartone is fully customizable so that it can be quickly and easily determined which fields need to be checked or validated. This guarantees the correctness of the operations.

It also provides feedback of the required information to Smartdoc for further administrative and financial processing. You therefore have the information available in both Smartdoc and SAP Business One.

Outgoing and recurring documentsWith outgoing and recurring documents, we think of sales orders, for example. The customer order is sent from SAP Business One to the customer and at the same time digitally stored in Smartdoc. When the customer returns a signed version, it can be reimported into Smartdoc.

Outgoing documents Delivery notes and invoices are an example of outgoing documents. These are sent from SAP Business One to the customer and are also stored digitally within Smartdoc.

• User License The user license allows the user to control everything within SAP Business One. Think of the dashboard screen and the logging.

Check Within SAP Business One, a Smartdoc dashboard appears. This dashboard immediately shows which documents have been read into SAP Business One and where further action is expected from the user.

Smartdoc analyses the invoice and takes care of the legal archiving.

The invoice information is read out and linked to the document.

Workflow incoming invoice

Smartone transfers the invoice information from Smartdoc to SAP Business One.

SAP Business One receives the invoice information and automatically links it to the corresponding pending goods receipt within SAP Business One.

When the invoice matches the goods receipt, it is sent as a pre-entry within SAP Business One.

If there is no match, action is requested.

SAP Business One sends an update to Smartdocwith the correct booking information for the related invoice.

The standard Interface Logging allows you to check whether a document has been read correctly in SAP Business One. If the document cannot be read due to circumstances, the user receives a warning to check the data.
