To Our Valued Session Chairs, The Energy Matters Summit Team is calling for session chairs to participate in the upcoming 2014 conference. As a Session Chair, you will lead one of five workshop tracks, direct workshop speakers and summarize two days of discussion during the Panel Discussion. The 2014 theme is Learning from the Past, Innovating for the Future and workshop sessions include: + Facilities – Building a Sustainable and Energy Efficient Future; + Energy Infrastructure – Developing Tomorrow’s Power Network; + Transportation – Inspiring a Carbon Reduced Future; + Health – Designing Sustainable, Healthy Communities for Tomorrow; and + Consumers – Strengthening Commitment to Social Responsibility. The Energy Matters Summit showcases how
local governments, public, and private
organizations from around the world are
employing energy conservation, reduction, and
efficiency measures to build sustainable
communities and take ownership of
environmental initiatives. Our objectives are to:

models, and emerging initiatives and

History of the Energy Matters Summit
The first Energy Matters Summit was held in 2005 as an out-reach program to educate and promote awareness of sustainable energy management practices in public sector agencies. Over the past decade, the conference has gained a tremendous reputation and has become one of the leading forums within the energy industry, attracting delegates from around the world. Hundreds of public and private sector organizations such as municipalities, provinces, universities, colleges, school boards, healthcare organizations and consulting organizations, come together to promote strategies that manage energy costs, control consumption, and explore the leading tools and technologies available to shape policies on these matters.
The Energy Matters Summit:
Provides a platform for public and private sector organizations to access quality energy management information from experts in the industry;
Advocates sound public policies for the promotion and implementation of sustainable energy management solutions;
Cultivates a culture of energy conservation and sustainable development;
Introduces the latest technology in energy management; and
Facilitates personal and business networking opportunities.
About the 2014 Energy Matters Summit
The 2014 Energy Matters Summit theme will focus on Learning from the Past, Innovating for the Future. Five workshop tracks will be held and include:
+ Facilities – Building a Sustainable and Energy Efficient Future + Energy Infrastructure – Developing Tomorrow’s Power Network + Transportation – Inspiring a Carbon Reduced Future + Health – Designing Sustainable, Healthy Communities for Tomorrow + Consumers – Strengthening Commitment to Social Responsibility
Topics to be discussed in each workshop track include:
Case studies: obstacles and achievements;
Energy market and future outlook;
International regulations and reporting requirements;
Emerging energy conservation and efficiency initiatives;
Green technologies of the future;
Strategic planning for the future;
Financing new capital investments and payback incentives; and
Implementing sustainable and energy efficient solutions.

SESSION CHAIR RESPONSIBILITIES
Workshop sessions are comprised of four presentations linked by a common theme. Session Chairs are responsible for the overall planning
including identifying speakers, having speakers submit material by the prescribed deadlines, and chairing the session over the two-day
conference. Following the four sessions, a Panel Discussion will be held where all Session Chairs will collaborate and present conclusions and
recommendations from the workshops.
As a Session Chair, you agree to:
1) Advertise and promote the Summit and your workshop session among your colleagues and peers;
2) Design and assemble the overall look and feel of your workshop sub-theme curriculum;
3) Invite high-quality speakers to submit abstracts suitable for your workshop sub-theme;
4) Assist in the review of speaker abstracts for quality, relevance and theme balance;
5) Submit all final speaker biographies, abstracts and photos for the Conference Programme by the prescribed deadlines;
6) At the conference, manage your workshop session by introducing speakers, tracking time, facilitating discussions, engaging the
audience;
7) Collaborate with other Session Chairs prior to the Panel Discussion to prepare a cohesive and comprehensive summary of your
sub-theme and in relation to the other sub-themes; and
8) Lead the Panel Discussion, summarizing your workshop session presentations and making recommendations for community
action.
WORKSHOP SPEAKER IDENTIFICATION
As a Session Chair, we are counting on your expertise and experience with well-versed speakers who can deliver high-quality and
meaningful presentations to our attendees. We are looking for motivated and resourceful Session Chairs that will identify and invite
workshop speakers for the 2014 conference. Identified speakers will be screened through the Energy Matters Summit speaker
selection committee and assigned to workshops appropriately.
Speaker research: identify speakers fit for workshop sub-themes
Speaker outreach and solicitation: make contact with speakers to determine their interest in speaking and invite to participate
Speaker management: maintain regular relationship and manage speaker queries and concerns
Note: Case-study presentations are preferred
WORKSHOP SESSION FORMAT
Arrive at each workshop session 15 minutes prior to the session start.
Identify the speakers in advance and introduce yourself. At that time, make needed introductions and help them feel comfortable with
the room arrangements and fellow participants.
Remind each presenter of the time limits that apply, and describe the method you will use to alert them of time limits during the
presentation.
At the start of the session, introduce yourself to the audience, announce the session title, and offer a brief overview indicating how the
presentations are related.
Introduce each speaker. It is recommended to give a brief introduction of the speaker. You may wish to use the published abstract and
biography.
During the presentations enforce time limits so that no speaker (or audience member) monopolizes the allotted session time of one (1)
hour:
10 minutes for Q&A period.
50 minutes divided equally among speakers.
PANEL DISCUSSION
A wrap-up Panel Discussion will take place on the afternoon of day 2 of the conference.
Material presented at each of the four workshops in your sub-theme should be consolidated and discussed with the objective of making
overall conclusions and recommendations.
Using the information presented during workshops, Session Chairs will analyze problems from different angles, identify values,
extrapolate ideas and thoughts and suggest courses of action.
EVALUATION CRITERIA
The Energy Matters Summit team will review proposals in the order that they are received. Preference will be given to presentations that best
align to the Summit’s central theme and topics and provide a strong sense of education, innovation, and motivation.
TERMS AND CONDITIONS
Individuals or groups who submit a speaking proposal must agree in writing to the following:
Allow the Energy Matters Summit team to publish the presentation in multiple formats in the 2014 Energy Matters Summit Proceedings,
upload onto the Energy Matters Summit website, be recorded while presenting and post audio and/or video presentations on the Energy
Matters Summit website.
VENDOR NEUTRAL CONTENT
Presentations are not to include sales pitches or marketing related content. Content should strictly focus on substantive matter that the
audience can use and benefit from without having to purchase a specific product or professional service.

Deadline for Session Chairs to submit speaker presentation proposals to EMS
speaker selection committee.
February 1 Speakers notified of acceptance status.
March 31 Submission deadline for speaker biography, abstract, photo, and
presentation title for inclusion in Conference Programme.
April 15 Submission deadline for speaker.ppt
presentation to EMS staff.
