Training & Open Lab Outline

Limitations to the old funding change business process:◦ Job Change form tied to employee so funding changes were

limited to filled, benefit eligible positions. Unable to change vacant or pool position funding using the Job Change form.

◦ Not able to change funding on vacant positions prior to submitting a Hire ePAR.

◦ Old process to change funding on pool positions was very time consuming: request new position from Budget, Hire in to new position, Term from old position.

◦ Not able to initiate funding change using Job Change form if another ePAR for employee was pending.

Why a new Funding Form?

Because the new form is tied to position rather than employee you can:◦ Make funding changes to Vacant positions.◦ Make funding changes to Pool positions (if all or most of the

employees in the pool position are changing).◦ Make funding changes to a position that has an ePAR pending

for the employee in the same position.

Additional functionality:◦ Multiple effective date funding changes per form.◦ Different funding for Earnings versus ERE.◦ Project End Dates to help manage funding on grants/projects.◦ Make future dated funding changes up to two fiscal years out.

Funding Form Basics The same payroll deadlines for the ePAR also

apply to the new Funding Form.

Approval routing is the same as the old Job Change ePAR (with funding only changes).

No new security roles are required to access the Funding Form. If you have the NAU_HR ePAR Initiator role, you will have access to the new form.

Like the ePAR, the positions and forms you are able to view are based on HR department security.

Update funding on Benefit Eligible position effective 9/15/14 (first day of current pay period).

Update funding on Student Wage position effective 9/15/14.

Update funding on Mobile Phone position using future effective date 10/1/14.

Update funding on a grant funded position using multiple effective dates 9/15/14 and 10/31/14.

Update ERE funding on a grant funded position effective 9/15/14.

Demonstrate several Funding Forms

New HR Payroll - Position ReportUse this ERS report to see who is funded on positions used in Additional Pay (such as Mobile Phone Allowance and PT Temp positions used for Supplemental Pay)
