SEAZNA Area Service Committee Minutes 11 November 2017 Call To Order: 2:07pm Joe read the Serenity Prayer to open the meeting. Bohdi read the Service Prayer and the Statement of Purpose. coming in, like sales of t-shirts, and outgoing money. lots of changes in how we do things when handling money, and obtaining contracts such as DJs, jumping castles etc. Roll Call: Roll call of groups done by Leslea. Total Active Groups =35. GSR’s present= 30. Required for a Quorum=17. Old Business: -Adoption of regional money handling policies was adopted, no opposed

-MLB Chair election, Dan B (Bear) stepped up, ballets were handed out. He was voted in by majority vote. MLB -------

-Meeting next 19 Nov at 1pm at Dan’s [phone number] -Vice Treasurer election; Paul R, stood up. He has been here just 5 months, has 26 years clean. Ballets were handed out, Paul was voted in by a majority New business / Idea Requests (IDR): No new business

Vice Chair Report:

I will be visiting the subcommittee meetings over the next 12 months. I will try to be of service to each regarding budgets and the new TARSC guidelines. Thank you for allowing me to be of service, Ward S RCM Report: Good afternoon trusted servants, I attended the regional meeting on November 19, held at St Luke’s Hospital in Phx AZ. There were many items for the committee to discuss. One of the items of discussion was the Opioid epidemic and what N/A can do as a whole to help spread the message about a solution to the problem. We came up that we could try and educate all entities ie fire, police, first responders, and medical staff maybe leaving some information about N/A with them at their departments. Annual CAR/CAT review and vote is coming up. There will be two new pieces of literature being approved. There will be a presentation held on January 13, at Trinity Lutheran Church located at 3104 W Glendale Ave., Phoenix Az. MACCNA IX is slowly coming upon us. This year theme will be: "SHATTERING THE ILLUSION". Preregistration (post

marked before 2/10/2018) is $95.00 after that time it will be 105.00 if you sign up early you have a savings of

$10.00. They are doing something different this year in that you will NOT be able to use credit cards for mail-in

registration. If you would like to use a credit card or Paypal you must go online to WWW.MACCNA.ORG. We are having a fundraising BBQ for Western SERVICE LEARNING DAYS January 27th from 1-5pm. It will be held at Our Saviors Lutheran Church 1212 E Glendale Av. in the back in the Serenity Garden. There will be both local and out of town speakers. Please come and join us for this event. The New Year is just around the corner, and there will be a New Year’s Eve Celebration. It will be held at Phoenix Airport Marriott 1101 N 44th St in Phoenix. Narathon Meetings starting at 12pm on 12/31. Banquet starts at 6pm doors will be open at 5pm and the cost of the banquet is $50 do not know if this is a couple or person. As we know that all meetings are covered by insurance but did we know that if you have not requested a

certification to hold a dance that is not part of regular of what we have told region we are not insured. We need to request at least 2 months out in order to have it in place by the time your event is held. Edmond Literature Report: MLB Report Good afternoon SEAZNA

Okay, again I would like to say the Bash was very successful-Thanks to all that participated!

However, I am sorry to say that we have not had a Bash committee meeting since last Area. No one involved could meet on the same day. Dan even offered to buy pizza for everyone (that was active on the committee of course) and that still didn’t get them together. I, myself, was not very aggressive in the insistence of a meeting due to medical emergencies with two separate dogs which required eight trips to the vet including two surgeries etcetera, etcetera. Plus, I had my own annual event to host. Not to worry though our Bash account balance is currently at $4843.50. (I went in debt for the dogs.) I have $50.00 cash from shirt sells after the event. There is an outstanding reimbursement for $300.83 on the preorder sweats and around $148.00 for a currently misplaced food receipt. If it is not found I will eat that one. That brings the balance to between $4592.67 and $4444.67. Plus, we still have merchandise to

sell so the account bAlance only goes up from there. My intention was to recommend the committee request to hold $2500.00 for next year’s expenses we did not meet so no formal request is being made at this time Area website still has a link with lost items from the Bash. So please check it soon as I may start charging storage. I need to pay for the dogs somehow. Also, sweatshirts and tees ordered at the last fund raiser in August have not all been distributed so if you ordered any please contact myself or a committee member. Yours truly,

Outreach: Going to Catalina, could use support. Flyers out on next trip Phone Line

In October 2017, phone line received 68 calls, 13 were forwarded to an addict phone line volunteer. These numbers seem very low, especially since we normally get more calls during the holidays. I will be making random calls to phone line throughout the week to make sure everything is working correctly and to make sure your numbers are correct. This situation has occurred before and the committee should have the issue corrected by the

end of the week.

Making c lls is the only way I can determine if things are working correctly, and as chairperson, it is my

responsibility to reach out periodically. Apologies for any inconvenience. If you would like to discuss this in more detail, feel free to call. Phone line is looking for a vice-chairperson and currently has some open slots. If anyone is able to take on more shifts, please let me know asap. Thanks to Emily, Fawn, Andy and Gary for stepping up for more shifts. Need help with evenings.

Judy C PR Subcommittee Report Public Relations Subcommittee Meeting was attended by Mariel M, Maggie Q, Judy C, Mariel M, Steve S, Jody P, Frank, & Wayne. Attended the Homeless Connect on October 20. Went really well. Really well attended, gave out a lot of literature. Mariel M will get an estimate on a new vinyl sign and talk to Logan. For right now, Mariel will continue taking care of the Literature, Maggie will serve as back up if needed. What we will do: Mariel will inventory the suitcase, she will pick up the Meeting List and arrange with Victoria so she doesn't have to pay out of pocket for other literature, Mariel will fill out a Literature Form and get it at Area. Nothing in the radar of upcoming events for November and December. PR Learning Day our budget is 300$, Mariel will bring to Area that we would like an increase to 500$. If there is any money left we will refund it to Area. PR Learning Day presents "A Love of Recovery" on February 10. So far the subcommittee for the Learning Day is Judy, Mariel and Maggie. Our new PR Subcommittee Meeting time will be at 11:15 on the 2nd Sunday of the month. Steve S will bring the PR Subcommittee Guidelines that were approved in June to our December meeting for review. 11/19/17 Treasurer Report Recap Ward: One job of vice chair is visiting subcommittee. At least once so he will be doing that over 12 months starting with SEAZNAC. Chairs can ask questions regarding budgets etc. Glad to be here and happy to be of service and wants to conduct business in calm and reasonable fashion. Lit- 1026.55 Bash-4843.5 Victoria: Gave report Explained budget definition Sub com. Projected income in budget Question: Kathleen: t-shirts income. Asked about writing budget with Vic. Ward: TARSC- Guidelines to follow to join nonprofit. Region not ready to join yet but in the next few months. Region asking us to change guidelines to Treasurer from 1 to 2 years. This will also effect SEACNAC chair and treasurer, and Bash Chair and Treasurer. Condense and oversee money positions so that there is more control. Visit subcommittees with treasurers first. Contracts must be signed off on a regional level, CFO. Campsites, hotels, etc. Must give receipt to get money. If you do not have one you don’t get money. Selling shirts, etc, must write and offer receipt. Not sure about 7th tradition. He is going to ask. They will file our taxes for us. Chris- asked if CFO, who signs off on contracts, is a member. Ward: of course. Explained they do not get to say if and where we send money. They are just to check regarding liability for NA. They are here to help us.
