Cloud Computing – Hype Cycle or just Hype

• IT services delivered via the Web in a massively scalable format▪ Computing (EC2)▪ Storage (S3)▪ Applications (Salesforce)

• Flexible & Elastic▪ Significant economies of

scale

• External & Internal Clouds▪ Google Apps▪ Xythos

Industrialized IT Services

Adapting to a changing world

Satisfies mainstream

and early adopter needs

Legacy

• Core applications that stay in place

• Leverages emerging applications and trends• Addresses

infiltration of new technologies• Limits lock-in

Services

• Services that make sense to put "in the cloud" (learning, e-mail and conferencing)

Best of Breed

Does a cloud have benefits?

• Minimum capital expenditure• Device and location independence• Easier integration with other cloud-based

systems• Shared resources and costs among large

pool of users• Good option for disaster recovery• Meets scalability demands quickly• Central data store and better resource

utilization

Why move my documents to the cloud?

• Reduce storage and transportation costs

• Minimize errors and loss

• Avoid archive deterioration

Page 11: Scanning To Cloud Presentation

Why move my documents to the cloud?

• Accelerate discovery and re-use

• Improve responsiveness and speed

• Achieve business and IT flexibility

What does this mean for my organization?

“Don’t assume that scanners are all you

need to go ‘paperless.’ Document imaging technology has two main components; a

capture solution and a repository where

images are stored to await further action.”

Page 17: Scanning To Cloud Presentation

Evaluating your options

• Desktop scanners▪ Best for individual document-heavy scanning responsibilities▪ HP, Kodak▪ Scan to the cloud with Xythos through Xythos Drive, Xythos Filer

• Network scanners▪ Best for small businesses, transactional-based processes, etc.▪ Fujitsu, Xerox▪ Scan to the cloud with Xythos through Xythos Filer

• Multi-function Printers (MFP)▪ Best for ad-hoc scanning and workgroup situations▪ Brother, HP, Ricoh▪ Scan directly to the cloud with Xythos

• High-volume imaging solutions▪ Best for document-heavy workflow, processes, etc.▪ Captiva, Kofax, Lanier▪ Scan directly to the cloud with Xythos

And it’s green…

“Citizens are able to search through meeting minutes online instead of going to the city office to submit a request for the minutes, pay a fee and wait for it.

This is a more responsible use of taxpayer dollars. The city is not just

using less paper and saving trees, they are saving the citizens themselves

money as taxpayers.”City of Temecula, California

Recommendations

• Test the cloud▪ Encourage consumer technology experimentation

• Data first - not applications▪ Preserve investments in training, software, etc.

• Avoid vendor “lock-in”; look for solutions that provide an open repository

• Remember that it's not what you buy; it's how you use it▪ Use the cloud to eliminate barriers

• Design around outcomes, not products

External cloud computing

• External Cloud: A cloud computing environment that is external to the boundaries of the organization. Although it often is, an external cloud is not necessarily a public cloud. Some external clouds make their cloud infrastructure available to specific other organizations and not to the public at-large.

Page 24: Scanning To Cloud Presentation

Internal cloud computing

• Work with existing physical and virtual resources in data center

• Let you specify whether apps are virtualized or not

• Wouldn’t require that sensitive data be hosted outside

• Internal security and configuration management processes
