Records Request

When a school district requests special education records (more often than not through the school’s registrar), please ask them to fax a request to Special Education Records at the Administration Building. They may contact either:

This process will be the same for any school districts within the state of Oklahoma requesting a records transfer through Ed Plan. If this is the case, please refer them to Special Education Records above.

Ed Plan

Please ensure that all students at your school site have a designated caseload. If you find students missing, please send those names to either you Special Education Department Chair or Instructional Supervisor.As a caveat, “Caseload Setup Wizard” is now working which allows you

access to setting up your own case manager list.

There are more Ed Plan trainings being scheduled. Please refer to Generation Ready for further details.

Initial Referral Watch List

Special Education Teachers, please record on the log:Students for whom general education classroom teacher

has requested a Special Services Response to Intervention (RtI) Packet for the purposes of a referral.

The only time a teacher would request the packet is when considering making a referral for testing, since all other RtI documentation is accomplished through the district's Intervention Delivery Model (IDM) / RtI process (i.e., green folders in elementary schools and AA or Enhancement in secondary schools).

REDs Required for Initial Referral

Please remember, an initial referral is not complete until the classroom teacher sets a meeting with the team including the school psychologist at which point the team signs the completed REDs.

It is a misperception that the referral is complete when teacher turns in the RtI packet. The RtI packets are documentation, and like other documentation (e.g., hearing / vision screening, language dominance, test scores, etc.), it is not a referral.

Frequently Asked Questions Regarding Language Dominance Testing

When can an English Language Learner (ELL) be referred?Students PreK-12th grade can be referred when the classroom teacher and other school professionals believe the

student is exhibiting academic difficulties that may not be related to learning a second language. The Tier 1 process must be implemented.

When should a student not be referred for a Language Dominance Evaluation?Students should not be referred if their WIDA scores are 4.0 or higher, and the Home Language Survey information

states that English is the primary language spoken in their home.When should a Language Dominance Evaluation be requested?Language Dominance Evaluations should be requested within the six-week period of Tier 1.

Behavior and Progress MonitoringWhat is progress monitoring?

A quick but a reliable measure of student performance on specific skillsCollects data for purposes of developing valid, useful Behavior Intervention PlansProvides information to IEP team to adjust instruction / intervention Why collect it?Progress monitoring is collecting data on behavior interventions. We assess to determine

the efficacy and success of our behavioral plan. goals, interventions, etc.In other words, are we providing the support the child needs to build useful skills, become

independent in those skills, and generalize those to other settings?There are three focal points of progress monitoring for teachers:

1. Documentation2. Consistency3. Review and plan based on data

Behavior Progress Monitoring - FormsCurrently, there are two (2) behavior progress monitoring data collection forms in Ed Plan.

Both forms can be located on the “Main Menu Documents” under the “District” tab.Either form can be used and tailored for both the student and teacher’s needs. Both forms will provide valid, reliable data if used according to instructions.Instructions are printed at the top of each form.If you need further assistance, ask your instructional supervisor or school psychologist.

Both Elementary Curriculum Website and Secondary Curriculum Website offers not only the required pacing guides for the district, but also, a myriad of instructional strategies that you can begin implementing in your classroom.

PSAT - Information

Oklahoma City Public Schools will now be affording the PSAT 8/9 to all 8th and 9th graders as well as the PSAT/NMSQT to all 10th and 11th graders.

Per College Board and the Services for Students Disabilities Division, when submitting accommodations requests, SSD Coordinators will be asked for the most recent information regarding academic testing and intellectual/cognitive testing.

Special Education Services is requesting that when you create your caseload list and review your students files, please note beside each student name the date of their last academic and intellectual/cognitive testing and the

name of the test administered.

Once determined, you can note this information in EdPlan under

“Personal → Notes.”

Mandt - Certification

Mandt Certification is coming.

Special Education Services only certifies Autism, ED, ID, and ID/LD teachers. Certification will begin late September and go through May 2016. Please be on the look out for an email providing logistics for your training date.
