1 Quiz Night – Ask teams to pay to enter a quiz for Chestnut Tree House. If you would like us to send you a quarterly quiz, ready to go with updated questions, please contact the fundraising team.

2 Theme Nights – From Elvis to Rocky Horror Show, pick a night that will be themed. Fancy dress, entertainment and fundraising can all be incorporated.

3 Collecting Tin/Swear Box – Have a collection tin on the bar for customers small change.

4 Karaoke Night – For a small entry fee invite customers to sing their hearts out for Chestnut Tree House.

5 Family Day – Family fund days are a great way to incorporate more people. If you have a garden It’s a Knock out is always a winner.

6 Dart Competition – Teams compete for a trophy whilst raising money for Chestnut Tree House.

7 Pool Competition – Teams compete for a trophy whilst raising money for Chestnut Tree House.

8 Raffle – Hold a raffle for customers and staff. The better the prizes the more you can raise. Ask customers and local business to contribute.

9 Fill the bottle – Place the largest empty bottle you can find on the bar. Label the bottle small change for Chestnut Tree House. When the bottle is full take bets on the amount of money raised.

10 Pub Crawl – To involve more than one Pub, what better way than a pub crawl for Chestnut Tree House.

those competent to do so. Check the strength and stability of any tables or displays Avoid lifting heavy loads: use trolleys where possible

First Aid and emergency procedures:

Have adequate emergency and first aid procedures for your type of event Do you need to notify the police or fire brigade? Will you need a qualified first aider or will a first aid box suffice? Make sure you have access to a telephone Make sure you know where fuse boxes, turn-off valves and fire extinguishers are located

Having a first aid box and qualified first-aider present at any event is good practice. For larger events refer to The British Red Cross Association www.redcross.org.uk or the St John’s Ambulance www.sja.org.uk for further information.

Evacuation:

Regardless of where your event takes place you need an evacuation plan. In existing buildings seek advice from the landlord or owner (they may well have their own evacuation plan) Speak to your local fire brigade The evacuation plan must be communicated to all involved in your event including attendees. Emergency exits must be well signposted.

Communication:

Communications between the organisers, helpers and emergency services is vital. It must be reliable, tested and loud enough to be

First aid provision is necessary at all events:

The level of provision will vary from event to event, depending on the nature of the activity and the number of people taking part. If you are unsure what you should provide, speak to a recognised organisation (eg St John’s Ambulance, on 020 7324 4000) that will be able to provide advice. Also, if you are hiring caterers and venues, check that they have the relevant and current certificates (including insurance) before you agree to use them. Make sure that you think through the possible issues/dangers of your event and that any risks are eliminated or reduced to an acceptable level. The top priority is to keep you, and the people who are attending your event, safe!

Risk Assessment:

A risk assessment is now a legal requirement of the Charity Commission. Here are some things to think about when making a risk assessment:

Venue:

Is it suitable for your event, does it have good access, adequate lighting and sanitary facilities? Is there disabled access? Check the fire exits are not obstructed and well signposted Does it have parking; will you need people to direct parking? If it is an indoor event can people move freely around the room without bumping into hazards or tripping over cables? Make sure you have enough helpers and that they are aware of all the above Ensure everyone is aware of emergency procedures in case of fire etc

Equipment:

It is a lawful requirement that all portable electrical equipment has been tested and is safe to use. Locate the equipment safely to avoid trailing cables Ensure all equipment is in good repair and is operated by

People with disabilities:

Your arrangements must make provision for people with disabilities – access, comfort areas, comfort facilities, safe viewing areas, carers, emergency procedures etc. See the British Council of Disabled People website at www.bcodp.org.uk for more information.

Food and refreshments:

Events where food will be supplied or offered for sale either by you or a catering company, must comply with a number of regulations:

External catering companies must be registered with your local council. Ensure that you have a copy of their licence and insurance It is the legal responsibility of anyone selling or processing food to do so to a minimum hygiene level therefore please ensure that at least one helper has a foundation level food hygiene certificate If no one has this certificate, ensure that all food handlers have read the Food Standards Agency (FSA) leaflet Guide to Food Hygiene (it can be downloaded free of charge from http://cleanup.food gov.uk/data/guide-food-hygiene.htm) Similarly for BBQs follow the guidance in the FSA leaflet Beat the Barbecue Bugs Label all food which contains nuts or other allergens Keep children and animals out of food preparation areas Provide appropriate protective clothing (plastic gloves, aprons etc)

Children:

Ensure that children are adequately supervised Never allow children under 16 to collect money from the public without an adult Do you need provision for lost children at your event?

Be Legal

Licenses and Permissions:

It is best to inform your local authority and check with them for any legal permissions you should consider when planning your event.

Depending on your event you may well need to license your activity eg you may need a public entertainment license for events such as sporting events, plays, films or dances. Your local authority can advise you about this.

Statutory notice periods to your local authority depend on the type and size of your event. In general:

Small sized events (village hall quiz, auction, book sales) – 28 days Medium sized events (carnivals etc) – 28 days Large sized events (over 5,000 in attendance, involving road closures, entertainment licences) – six to nine months

Insurance:

Remember that the Health and Safety at Work Act 1974 applies to volunteers as well as to paid workers. You will need to consider whether and how your event could be harmful to organisers, guests, volunteers and the public – how can you minimise any risk?

Check that any third party suppliers are adequately and currently insured. Any reputable supplier will have Public and Product Liability Insurance so just ask to see it. The amount insured for will differ depending on the size of the company.Any activity you do must be covered by an insurance policy. As a minimum this will usually be Public Liability Insurance.When using a venue check the capacity and do not exceed this number of guests.

Please note that Chestnut Tree House cannot accept responsibility for accident, injury, loss or damage as a result of your event. We therefore strongly recommend that you check that you have adequate insurance and that you take all reasonable steps to ensure the safety of all concerned.

Alcohol and Entertainment

Bear in mind that you cannot sell or provide alcohol at an event without a liquor licence. Speak to your local authority if you are in need of one saying that the event is in aid of Chestnut Tree House and quoting the Registered Charity number 256789.

If you are running an event such as a dance, sports event, or play, you may need a Public Entertainment Licence. You will need to check this with your local authority again saying that the event is for Chestnut Tree House and our charity number. If you are hosting a live performance or playing recorded music, you will need a licence from the Performing Rights Society (PRS). The obligation for having this licence usually falls on the owner of the venue. Further details can be obtained from the PRS website: www.prs.co.uk

Collections:

To collect on private property (university campuses, hospitals, shopping centres etc) you need the permission of the owner - ask for it in writing.

To carry out a collection in a public space (eg: street collections and house-to-house collections)you will need a special licence from your local council, at least two months notice is required.

Important information: You must take along a copy of the letter or licence granting permission to collect Every collector must wear a collectors badge at all times (this must have the collector’s signature and that of the collection organiser) All collectors must be over the age of 16 You are representing Chestnut Tree House. Do not place pressure on people to donate.

Collection tins must be sealed with stickers provided and not shaken. It is best that money collected in tins is counted by 2 people, the organiser and one other. Store the money safely

Security tips

The following are best practice security guidelines to assist you with your event:1. Provide adequate numbers of lockable cash boxes and

identify a safe place to secure the boxes, eg office or storeroom

2. Issue a float to each stall holder, signed and accounted3. If you need to carry money around, ensure the container

is not too obvious. You should always carry money with an escort

4. Cash, cheques, raffle prizes, tickets, etc should be regularly checked

5. Ensure you have arranged overnight storage – night safe facility. NEVER take money home as you may not be insured for its subsequent loss

6. Bank money as soon and as often as possible, certainly after the event

7. Ensure at least two people are present when the takings are counted. You should prepare a form for signature by both, certifying the amounts counted

8. If you are operating a cloak-room, ensure you have a good property system and that the service is staffed at all times

9. If you are arranging a large event, the sums of money taken may require the services of a security company, so you would need to make arrangements

10. Never close up your venue alone – arrange for at least one other person to be present

11. Ensure you escort one another to cars and/or offer lifts home

12. Stall holders are advised to wear zipped money belts at all times. Loose containers can go missing.

Collecting Funds

There are strict and complex laws relating to raffles and lotteries and you should consult one of our community fundraisers before organising a raffle or lottery.

Events

Ensure that your event is organised efficiently and safely. We cannot accept any responsibility for your event nor for anyone who participates in it. You should conduct a risk assessment to ensure that you have proper plans for the safety of participants. The Health and Safety Executive has further information (www.hse.gov.uk). Ensure that participants are fully briefed about the event, including (where relevant) any risks, fitness requirements, special equipment or clothing required and standards of behaviour expected. Ensure that your event is properly and adequately supervised. Where children are included, this includes:

Providing proper adult supervision Checking that the child’s parents/guardians have

given their permission for their child to take part Carrying out appropriate background checks if

adults are to have unsupervised access to children. Consider what insurance cover you need for your event. Check whether you need any special licence; e.g. a public entertainment licence or licence to sell alcohol.

Gift Aid

Please ask donors/sponsors to sign a gift aid declaration. This enables us (and higher rate tax payers) to claim tax back from the Government and increases the overall benefit to the charity. We can provide you with [model] forms.

Fundraising Materials and Publicity

All of your fundraising should make it clear that you are fundraising in our aid but that you do not represent the charity. We enclose style guidelines to help people become familiar with our fundraising material and to help generate interest in fundraising activity/event.

Transfer of Funds

All funds collected should be sent to the charity within [number] weeks of collection. Expenses must not be deducted from the sums collected unless you have approved this with us and provided us with a receipt.
