Compressing Images

• Presentation can become a large file with many images

• Harder to email and copy

• Can compress images and remove cropped portions to reduce file size

• Optimize images for print, screen or email

• To compress pictures:

– click File, click Save As, and click Tools. Click Compress Pictures; or

– select a picture, then under Drawing Tools, on the Format tab, in the Adjust group, click Compress Pictures.

• Package for CD to easily

distribute presentation

and viewer

• Package multiple presentations

in one folder or disc

• To package a presentation to a

CD, click File, click Save &

Send, click Package

• Broadcast presentation over internet

• Use Microsoft PowerPoint Broadcast Service or similar service

• Viewers watch as you deliver show

• Disadvantages:

– No audio

– All transitions shown as Fade transition

– Cannot add ink or highlighter annotations to slides

– Cannot hyperlink to web sites

– Cannot broadcast videos within presentation

Using E-mail

• Can email a presentation from within PowerPoint

• Can send as

– an attachment

– a link

– a PDF or XPS file

– an internet fax

• On the File tab, click Save & Send, then Send Using E-mail, then send option

Saving to the Web

• Can save presentation to web-based storage

• e.g. Microsoft SkyDrive

• allows others to easily access shared presentation

• On the File tab, click Save & Send, then Save to Web.

• Microsoft SharePoint is a web-based collaborative work environment

• Can share entire presentations via a SharePoint server or publish slides to a Slide Library for others to reuse

• On the File tab, click Share, then click Save to SharePoint.

Saving in Other Formats

• Save as PowerPoint 97-2003 when working with others with earlier versions.

• Save as a PowerPoint Show to play but not edit a slide show.

• Save as PDF or XPS to make easily emailed and viewed but non-editable version.

• Save as images to incorporate slides into other programs or a website.

• Save as a video to broadcast or embed on a web page.

• Click File, then Save & Send, then click Change File Type, then click the desired format, then click Save As.

• From beginning:

– On the Slide Show tab, in the Start Slide Show group, click From Beginning

– Press F5

• From current slide:

– On the Slide Show tab, in the Start Slide Show group, click From Current Slide

– on the status bar, click the Slide Show View button

• Full-screen vs. window

• All slides or selected

• Advance manually or with timings

• Loop continuously

• With or without narration

• Use multiple monitors and presenter view

• Save timings to advance slides automatically

• To rehearse timings, on the Slide Show tab, in the Set Up group, click Rehearse Timings.

• View timings in Slide Sorter view, or on Transitions tab, in Timing group, under Advance Slide… After
