Opening PowerPoint Clicking on a new Finder Window can open PowerPoint,

clicking on the hard drive icon,

or using the icon on the dock. AutoContent Wizard Once PowerPoint opens, a menu comes up giving you the options for the type of presentation you would like to do. Select the AutoContent Wizard.

Using the AutoContent Wizard will take you through a step-by-step presentation plan. Menus will help you customize your presentation.

The PowerPoint Window

Special Menu Bar – is located on the top of the PowerPoint Screen. The

Special menu bar contains all of the menus and options available in PowerPoint.

Standard Toolbar – shows icons of the most frequently used commands,

functions or options. This bar can be customized to display the commands, functions or options that are used most often. The Standard Toolbar deals mainly with options that are used to develop a file or document.

Formatting Toolbar – shows icons of the most frequently used commands,

functions or options. This bar can be customized to display the commands, functions or options that are used most often. The Formatting Toolbar deals mainly with options that are used to edit a file or document.

Title Bar – displays the name of the opened program, and changes to the name of the of the presentation file when it is saved.

View Buttons – allows the document to be seen in different views such as

Normal, Outline, Slide, Slide Sorter, and Slide Show.

Number of Slides – indicates the slide number in the presentation window and number of slides.

Working with Different Slide Views Normal view – has three panes. These panes allow you to work on all

aspects of the presentation in the same view. The pane borders can be adjusted to different sizes.

Slide View – previews each slide without the presentation or notes page. Allows the slide to be worked on without the interference of the other views.

Slide Sorter View – shows the organization of all of the slides. This view

also has the Slide Sorter toolbar. The Slide Sorter toolbar helps to add and control the presentation by using slide transitions. Slide transitions will show you an icon that indicates an action that will take place in between the slide during the slide show.

Outline View – the outline view helps to develop the content of your presentation. If you click on the numbered slides you will get a thumbnail sketch of the slide. You can see the content of the slide, thumbnail sketch of the slide, and the notes field. You can add to the notes field as you move through the slides.

Slide Show View – this view presents your slide as a full screen. You can use this view to check your presentation. Clicking on the screen or using the Enter key will move through your slide show. To exit the slide show at any time the escape key will take you back to your presentation layout.

Developing A Slide Show Presentation We will make a slide show presentation without working with the AutoContent Wizard. This will give us the feel for how you can maneuver in PowerPoint. Going to File on the PowerPoint Menu Bar, slide to New Presentation.

Clicking on New Presentation will bring up a slide in Normal View. If you would like to change the layout of the slide, click on the Slide Layout icon located on the Standard Toolbar.

Slide layout will bring up a menu of different slide layout options.

We will select the Blank slide layout.

By using the blank slide layout, we will insert and place graphics without using any set type of layout. Go to insert and slide to Picture and move to From File. We will insert the Ann Arbor District Library sun graphic.

Selecting the “AADLSun, insert it into your slide. The star may have to be moved into place. The star is active when handles appear around it. Click on the star and it should become active. The star is active when handles appear around it.

Drag or move the star to the upper left portion of the screen

Let’s stop and format this slide to start developing what out presentation will look like. First, a background with design will be added. Go up to the menu at the top of the screen. Select Format and slide down to slide design.

A menu will come up with a list of all the slide designs. We will select “chute”. As you move down the list, stop and take a look at other designs.

Now your slide should look like this.

Click on the Ann Arbor District Library star. Go up to Edit and select copy. Now go up to Edit and select paste. Paste the star 6 times. We will move the stars into the darker chute. We will layout them out in a line. Once they are in place, we will format each star to fit in the chute. In other words, the star on the bottom of the chute will be larger than the one on the top of the screen. We will change the size of the star by clicking on Format and sliding down to Picture.

A text box will be added to the slide. If you do not have the drawing toolbar open, go to View from the Menu Bar at the top, click on View, slide down to Toolbars and click on the drawing Toolbar. The Drawing Toolbar should now

be present on your screen. Select the textbox icon and draw a textbox next to the stars.

We will make three textboxes. In the first one type “Soar”. In the next textbox type,

“To New Heights”, and the final one type “With Your Library”. Soar is Monotype Corsiva with size of 32. To New Heights is Monotype Corsiva with size of 48 With Your Library is Monotype Corsiva with size of 60.

Insert a new slide either by using Insert on the top Menu Bar or using the icon on the toolbar.

The new slide will come up with the background design that was selected. We want to change the layout of the new slide. We must select either Format from the top Menu Bar or the layout icon on the toolbar. We will select the PICTURE layout. In the click to add text on the top of the new slide, we will type, “Your Library Opens the Door To…” The text defaults to Tahoma, size 44 in white. We will use the default settings. After typing the text in the top text box, we will insert a picture in the box that states, “double click to insert object.”

You will insert the picture from the S: drive. Go up to Insert and slide down to “from file.” Identify Sandbox on the S: drive. Open Sandbox, open the folder PowerPoint and select the file

DSC0001.jpg. The photo should snap into the size of the box which states, “double click to add photo.”

Slide 2 is done.

We will insert a new slide into the presentation. Remember to insert a new slide, you can go to Insert, and slide down to New Slide. You can also click on the icon on the toolbar.

Once a new slide is inserted, a new layout can be selected by going to Format and slide down to layout.

For the new slide we will use slide layout with bullets.

Once the new slide is up, click in the text box to add a title. In the title box type in a “A World of…”

Move to the text box with the bullet. Type in the word “Imagination.” Highlight the word, go to Font on the toolbar and change the font to

Monotype Corsiva. On the Menu bar, click on Format and slide to Bullets and Numbering.

Select the bullet that looks like a four-sectioned star.

On the same menu, change the size of the bullet to 100 and change the gold coloring to white.

Resize the text box to fit just the word Imagination. To resize the text box, click on one of the handles and begin to reshape the box.

Insert a new text box from the Drawing Toolbar and type in the word “Knowledge.”

Format Knowledge just as you did with the word Imagination. Repeat the same formatting with the words Enjoyment and Resources.

Your slide should look like this. Slide 3

The layout for Slide 4 will be the previous layout that was Picture. In

the title box type in the words “The Door Opens to…” In the placeholder box double click to add picture. We will use a

picture from the PowerPoint folder on the s: drive. The s: drive was reached by going to Insert and sliding to File and over to Picture. Select in the PowerPoint folder the file titled books.jpg.

Once the picture snaps in place in the placeholder box, the picture will be cropped using the cropping tool from the Picture Toolbar. Click on the picture, if the Picture Toolbar does not come up; use the combination of the Ctrl key and clicking on the picture to bring the toolbar up.

Go below the picture and add a text box from the Drawing Toolbar. In the textbox type “…the imagination of books.”

Change the font to Monotype Corsiva and change the font size to 40. Slide 4

Insert another new slide for Slide 5. The layout will be Picture from the slide layout menu.

Repeat the title of “The Door Opens to…” in the title box of the slide. In the placeholder box insert the file Knowledge. jpg from the

PowerPoint folder on the s: drive. After the picture is inserted, move the picture to the left side of the

slide.

Add a text box from the Drawing Toolbar to the right of the picture and type “…knowledge of People, Place and Events.” Change the font to Monotype Cursiva if it doesn’t come up. Change the size to 40.

Slide 5

Insert a new slide for Slide 6. The title is the same as the other slides. In the placeholder box the file Enjoyment.jpg will be inserted from

the PowerPoint folder on the s: drive. Once the picture is inserted, it may be best to crop the picture from

the bottom to give room to add a text box. Probably crop the picture up toward the top of the sleeve of the red suit.

Below the picture add a text box from the Drawing Toolbar and type “…enjoyment of sights, sounds, and moments.” Remember to change the font style if it does not type in Monotype Cursiva. The font should be 36.

Insert another slide for Slide 7. Again repeat the title “The Door Opens to.” In the placeholder box insert the file DSC003.jpg from the PowerPoint

folder on the s: drive. Crop the picture from the bottom up to where the doors begin. Below the picture insert a textbox from the Drawing Toolbar and type

“…resources for the young and…” Again the Monotype Cursive font should be used with a font size of 40.

Slide 7

Inserting a new slide for Slide 8, the title will be “The Door Opens

to…” The file from the PowerPoint folder on the s: drive is everyone.jpg. It is probably best to crop the picture from the bottom to make

room for the textbox. Add a text box from the Drawing Toolbar and type “…resources

for everyone.” Again, we are using Monotype Cursive in size 40.

Slide 8

Slide 9 will have a design change since it is our last slide. We will stay with the Picture layout but rearrange the slide slightly different.

Insert a text box above and to the left of the text box that is part of the Picture layout. Type in that text box “Best of All.” This should be Monotype Cursive in font size 24.

In the text box below, type, “The Door Opens to…” In the place holder box insert the picture globe.jpg from the

PowerPoint slide on the s: drive. When the picture snaps into place, crop the globe so it does not look

like it is on a stand. In fact, slightly crop all sides of the picture. Move the picture to the left side of the slide.

Add a text box from the Drawing Toolbar in the lower right side of the slide.

Type the text “…The World.” The text should be Monotype Cursive in font size 72.

Slide 9

Adding Animation Now that are slides are completed, it is time to add animation to some of our slides. The design on slide one will be fun to animate. However, it will be easier to animate slide one if we become familiar with the animation menu. Instead click on slide three. We will not animate slide two. Once you have slide three selected, go to Slide Show on the top menu bar and move down to Custom Animation.

The custom animation menu will come up.

As you can see, there are quite a few selections on the menu. The very first field is Select to animate. Inside the Select to animate field are the choices from the selected slide that can be animated. Next to that field is the Animation order. Once you identify a Title, Text or Shape from the Select to animate field and click Add Effect the selection will appear in the Animation order field. Once an item is selected to animate, the Add Effect button will become active. Clicking on the Add Effect button will bring up a menu of animation effects that can be applied to the item that you selected.

Once an animation is selected the Start (On click, With Previous, After Previous), Property (where on screen animation begins) and Speed (Very Slow, Slow, Medium, Fast , Very Fast, Custom Timing) options will become active. Below those options is the Effect Options tab.

The Description window will fill in automatically with the choices that have been selected. The final section of the Animation menu is Preview. Preview has Play and Stop buttons that shows you how the selected animation works.

When we are done the custom animation will look like the image below.

Let’s finish up animating the slides by going back to slide one. On slide one we want the Ann Arbor District Library stars to fly in a certain order with a certain and timing. The largest Ann Arbor District Library star on the bottom will come in medium speed. The next two stars will come in fast and the rest of the stars will come in very fast. The words will Dissolve with slow speed.

Before we move on to Slide Transitions, change your presentation to the Slide Sorter view. The Slide Sorter view will allow you to rearrange the slides, delete slides, and duplicate slides. It is a good step to go to the Slide Sorter view and take a look at your completed presentation. This is the time to look for any problems such as consistency of font, capitalization, use of subtitles and bullets. Of most importance is to check your spelling!

One other feature in the Slide Sorter view is the function to hide a slide or slides. If you don’t want to keep up with different presentations for different

audiences, you can maintain just one presentation and hide slides for one audience and unhide when you want all of your slides.

A hidden slide is indicated by a square with a slash through the slide number.

Slide Transitions The very last tool we will use before our show is complete, is deciding on how one slide moves to another slide. This is called Slide Transition. Slide transition can be found under Slide Show.

Be sure you have selected the first slide in your presentation. Go to Slide Transition and select a move for Slide 1 to Slide 2. Select a transition for each slide.

As you can see, there are many, many choices under the Slide Transition menu. Once you are done with the transition selections, be sure and take a moment to save your work.

You can begin the slide show by clicking on Slide Show and selecting View Show.

You can also click on the slide show button in the lower left corner of the screen. The button will be identified as Presenter Tools.

As you are viewing the presentation, you can stop viewing the slide show by clicking on the ESC key on the keyboard. Movement through the presentation is done either by clicking with the mouse or using the enter key on the keyboard. Remember SAVE, SAVE, SAVE and make a backup copy.

Terms Animation – is the movement of text, pictures or graphs during a presentation. Animation is applied to text, pictures or graphs one at a time. During the presentation animation can be timed or done by clicking the mouse. AutoLayout – opens when a new slide is selected. The AutoLayout option provides different layout features such as bulleted list, title slide, chart, table, etc. It is important to select the right slide for the development of each slide. Autocontent Wizard – presents ideas and suggestions for presentation type, delivery format, and slide options. The Autocontent Wizard provides categories or presentation types. Clip Art and Pictures – can easily be inserted into PowerPoint by selecting the Object layout in new slide AutoLayout. When inserting Clip Art and Pictures through the Insert menu and down to Picture, the Picture layout will hold the picture to a certain size on the slide. Drawing Toolbar – provides options that will enhance graphics to the slide. The Drawing Toolbar is a vertical floating toolbar. New Slide – to add a new slide to a presentation, use New Slide under Insert, click on the New Slide icon on the Toolbar or add the Common Tasks toolbar. Slide Transition – is the movement of one slide to another. As one slide moves to the next slide different effects can be applied to each slide. The same effect can be applied to all of the slides. Clicking with the mouse or setting a time can set slide Transition. Views – the slides can be seen in several different layouts.

Normal view has three panes. The panes allow you to work on all aspects of the presentation at the same time.

Outline provides a larger view of the content of the presentation as it is being developed.

Slide Sorter shows all of the slides in the presentation. This view allows for the adding, deleting and moving of slide in the presentation. This view gives the organization of the slides in one view.

Slide view diminishes the outline and notes view to give a greater area to work on the slide.

Slideshow View begins the slide presentation.
