Greetings Women of Color in STEM Partners
This year marks the 23nd Annual Women of Color STEM Conference. Again
for the second consecutive year, it will be held at the Detroit Marriott
Renaissance Center on October 11-13, 2018. This year’s Conference
promises to be an unforgettable experience. This national event for
Women of Color, hosted by Career Communications Group, Inc., is the
premier event recognizing outstanding women in science, technology,
engineer-ing and mathematics (STEM) fields from across the nation. It
offers a unique opportunity for professional development, networking and
recruiting.
Today’s rapidly changing global marketplace requires that we continue
to develop our pipeline of highly skilled, diverse, technical talent.
Unfor-tunately, the representation of women in STEM professions falls
woeful-ly short of the demand. Through your Conference partnerships,
we are working together to close the gaps and create a new reality. Your sponsorship support will help to ensure that women continue to participate in STEM educa-

Gender based bias remains high in the workplace (28.5% in 2011) according to
EEOC statistics
Women are less likely than men to be employed
in STEM jobs, fostering the need to nurture those already there and those aspiring to be employed
in a STEM field.
According to EEOC, in 2011, only 8 % of women profes-sionals were employed in the relatively high-paying computer and engineering fields compared with 44% of
male professionals
Several studies show a strong correlation between recognition
and retention
U.S. Department of Labor cites lack of apprecia-
tion as the number – one reason employees leave
their jobs
The conference creates an informal trusted community
that supports the professional women in their career growth
and development
Who does the Women of Color steM Conference serve?
Although this is a conference about women, roughly 18 percent of the attendees are men. 20 percent are college students who attend from colleges across the nation. The av-erage GPA of the college students attending is over 3.0. Among the professionals attending, 59% are in engineering and other STEM fields, 21% are in management, and 13% are in business and financial operations.
Additionally, we host roughly 300 middle and high school students, engaging them in hands-on activi-ties such as robotics and interactive workshops.

Cancellation:ExhibitormaynotcancelthiscontractorreducetheamountofassignedexhibitspacewithoutwrittennotificationtoCCG.Intheeventofcancellationorreduction,Exhibitorshallbeliableforanamountequalto50%ofthetotalfee.AnybalanceremainingfromthetotalfeethathasbeenpaidbyExhibitorshallberefundedtoExhibitorbyCCG. There are no cancellations or reductions of assigned exhibit space permittedafterSeptember30,2015,atwhichtimeExhibitorshallremainliable for the total fee stated in this contract.

Please read the rulesand regulationsenclosedwiththis contract. This contract is not binding until ac-cepted. When so accepted, it will constitute a bind-ing agreement between CCG and your organization subject to its terms and conditions, including, but not limited to, the Rules and Regulations which are listed below.Itistheresponsibilityoftheexhibitingcompa-ny to be fully familiar with the Rules and Regulations and to ensure that each member of the company at-tending the exhibit show is also familiar with the Rules and Regulations.
COntraCt fOr sPaCe
The request for booth space, upon acceptance byCCG, constitutes a contract for rental of the space assigned between CCG and the exhibitor company, provided, however, that CCG shall be released from theobligationsintheeventofstrikesorothercircum-stancesbeyondCCG’scontrol.
sPaCe assignMent
CCG has sole discretion in the assignment or reas-signmentofboothspace.Exhibitormaynotreassignor sublet assigned exhibit space, in whole or in part, without prior written permission from CCG. Booth assignmentsarebasedonthedateofpostmark,ex-hibit booth requirements, and other criteria deemednecessary to ensure the overall success of the annual conference
PayMent fOr exhiBit sPaCe
Applications must be accompanied by a 50% de-posit made payable to Career Communications Group Inc.,andfullpaymentmustbereceivednolaterthan September 30, 2018.IntheeventtheExhibitorfailsto fulfill, or violates the contract agreement, orwith-draws from the event after September 30, 2018, no monies shall be refunded. CCG reserves the right to makechanges in theprogram, locationof the booths, or hours of exhibition when it is deemed necessary to ensure the overall success of the conference.
aUxiLiary serviCes anD LaBOrTheofficialservicecontractorwillhandledecorating,drapery, furniture rental, drayage, sign painting, and labor.PaymentforservicesprovidedtotheExhibitorbytheofficialservicecontractoristheresponsibilityoftheExhibitor.AllservicesnotorderedinadvancemustbeprocuredthroughtheExhibitor’sServiceCenter.Alllabor requirementscanbeacquired from theofficialservice contractor.
CCg’s rights
CCGreservestherighttomakesuchadditionalcondi-tions, rules, and regulations as is deemed necessary to enhance the success of the conference, and to de-cline or prohibit any exhibit which, in its judgment, is not inkeepingwith thecharacterof theconference,this reservation being all-inclusive as to persons,things, printed matter, products, and conduct.
DisPLay COnstrUCtiOn anD LiMitatiOns
a Booth Construction: CCG must approve anycanopies or ceilings over the front half of the ex-hibitboothareanolaterthan30dayspriortotheexhibition.
b. Booth Signage/Decorations: Nothing can beposted on, tacked, nailed, screwed, or otherwiseattached to columns,walls, floors, or other partsof the building, booth structures, or furniture. Bal-loons,stickers,anddecalsarenotallowed in thebuilding.Eachexhibitorisentitledtoareasonablesight line from the aisle, regardless of the size of the exhibit.
c. Space Restrictions: Aisles and other spacesin theexpositionarenot leased to exhibitors.Nobooth is to extend into this space. All displays, in-terviews, lectures, demonstrations, or other type ofactivity shall be conducted inside the contractedspace.Limitedprivateinterviewspaceisavailableata separate cost through CCG sales representatives.
d. Prize drawings and promotions:Prizedrawingswill be allowed within the guidelines furnished byCCG. Distribution of trade publications, invitations,circulars, business cards, novelties, etc. may bemade only within the space assigned to the exhibi-tordistributing suchmaterials andmust fit into agiveaway bag.
e. Sound:Exhibitorsoperatingsoundequipmentwillbe expected to keep the sound at a reasonablevolume. No sound effects that carry to adjoiningbooths are permitted. Headsets with videos areacceptable.Showingofvideos,slides,transparen-cies,opaquematerials,etc.willonlybepermittedwithintheconfinesoftheexhibitorbooth.
f. Lighting:Spotlightsandfloodlightsmustnotinter-ferewith,distract,orannoyothers.Clip-on typesare not allowed.
g. Safety Provisions: Exhibitor must provide thenecessary shielding or safety items to protect at-tendees, other exhibitors, and all others fromequipmentthat isoperableorfromanyotherma-terial, processes, or operations that might causebodily harm.
h. Food:Exhibitormayservefoodattheirboothonlyif provided through the designated representativeof CCG.
seCUrity/gUarD serviCe
Although CCG will provide twenty-four (24) -hoursecurities for Friday andSaturday, protection of theproperty and insurance are the Exhibitor’s sole re-sponsibility.ExhibitoragreesthatCCGhasnoobliga-tiontoprovidesecurityservicesandCCGmakesnorepresentation whatsoever with respect to the security of the premises.
nOn-LiaBiLity
Itisexpressed,understood,andagreedbyeachcon-tractingexhibitor,his/heragents,andhis/hergueststhat neither CCG, nor its employees, nor its contrac-tors shall be liable for loss of or damage to the goods or properties of exhibitors. At all times, such goods
and properties remain in the sole possession and custody of each exhibitor.
inDeMnifiCatiOn CLaUse
Eachpartyherebyagrees to indemnify,defend,andhold the other harmless from any loss, liability, costs, or damages arising from actual or threatened claims orcausesofaction(hereinafter, the“Claims”)result-ing from the gross negligence or intentional miscon-ductofsuchpartyoritsrespectiveofficers,directors,employees, agents, contractors, members, or partici-pants (as applicable), provided that with respect to officers,directors,employees,andagents,suchindi-viduals are acting within the scope of their employ-ment or agency, as applicable. In the event Claimsare asserted against either party, each party agrees to providewrittennoticewithinten(10)workingdaysofthe existence of such Claims to the other party. More-over, both parties agree to cooperate and coordinate in the defense of such claims so as to avoid unneces-sary expense and fees. The parties further agree that their liability for attorney fees incurred by the other party in the defense of any Claims shall be limited to those reasonable fees necessary for the defense of the party.
exhiBitOrs aDMissiOn CreDentiaLs
Exhibitors shall furnish CCG with an advance listof their representatives by September 30, 2018. Representatives must register upon arrival and are requiredtowearidentificationbadgescontainingthenameofthefirmthatcontractedspace,atalltimes.The badges are not transferable, and CCG reserves the right to withdraw the use of the badge used to gain admission to the exhibition by any person other thantheoneforwhomitwasissued.ExhibitorswillbeadmittedtotheExhibitHallatleastone(1)hourbeforethe opening of the hall, each show day. Any special arrangements must be made in advance.
exhiBit hOUrs, instaLLatiOn anD DisMantLing
The hours during which the exposition will be open are outlined in theExhibitorsServiceManual.Under nocircumstances may dismantling occur before the dis-mantlinghoursspecified.Allfreightmustberemovedfromtheexhibitionfloorby6:00p.m.Saturdaynight.These hours are subject to change.
COnferenCe POstPOneMent anD/Or CanCeLLatiOn
CCG, at its discretion, shall have the right to postpone or cancel the conference and exposition and shall be liable in noway to theExhibitor for losses resultingfrom such delay or cancellation. CCG will not be liable forthefulfillmentofthiscontractastothedeliveryofexhibitspaceifnon-deliveryisduetoanyofthefol-lowing causes:By reasonof the facility beingdam-agedordestroyedbyfire,actofGod,publicenemy,war,orinsurrections,strikes,theauthorityofthelaw,postponement or cancellation of the exposition, or for any cause beyond its control.
