8. 2. Website Design Anthony McGinn, Director of Communications, gave an overview of the process in choosing and recommending the new website design company, Blackboard.

8. 3. Strategic Plan Update Superintendent Fred Heid and Chief Financial, Operations Officer Susan Harkin and Anthony McGinn reviewed the current status of the Strategic Plan goals and initiatives.

8. 4. Relay for Life Lindsay Sharp reported that the 2016 Relay for Life at Hampshire High School raised $90,000 for the American Cancer Society.

8. 5. Graduation 2016 Anthony McGinn updated the Board on the details for 2016 Graduation.

8. 6. CMS Update Assistant Superintendent of Operations Chuck Bumbales updated the Board on the construction project at Carpentersville Middle School.

8. 7. Online Registration Anthony McGinn and Jason Emricson, Director of Technology, reviewed the launch of the new online registration process for returning students and the number of families who have signed up so far, almost 17% in the first week.

10. Legislative Update Kathleen Burley gave a report on the legislative bills she is following: HB 696 property freeze tax bill and Senator Menar’s SB 231 for education funding. She recommends the Board revisit the D300 CDB funding resolution.

BOARD of EDUCATION MEMO DATE: April 13, 2015 TO: Fred Heid, Superintendent FROM: Jason Emricson, Director of Technology RE: Approval of Computer Purchase Background There are approximately 7,700 desktop/laptops in service throughout the District. In Attachment A, I have provided an in depth breakout of the computers broken out by year purchased and by model type. The Data shows the District has over 46 different models, which has decreased by three models from the 2013 RFP. Additionally, the District still has an aging fleet with 47% of them in service for over five years. In order to continually have the best pricing for computers and devices, the Technology Department decided to release another RFP. In this RFP laptops, desktops, Chromebooks, Android tablets, iOS tablets, and Microsoft equivalent were requested. The last RFP was back in April 2013. The process, as indicated below, was followed to solicit the best value in computer vendors: Legal Ad 2/5/2015 Specifications Released 2/6/2015 Bid Opening 2/24/2015 Bid Results The complete bid results are in Attachment B. Decision Matrix for Laptop The decision matrix was based on comparing different vendors with the same component baseline, listed below. Processor 4th Generation Intel Core i5 RAM 8GBs DDR3 Display 13in Hard Drive Size 500GB 7200 RPM (Non-SSD)

Price: The lowest price that met the minimum requirements outlined was awarded the maximum value. Other scores were determined by ratio of cost difference. Benchmarks: The two benchmarks were valued equally. Each was measured independently and accounted for half of the points available. The highest score in the individual benchmark received the maximum points available. Other scores were determined by ratio of performance difference. Warranty: This was broken into two sections. The first was the price of the 4th year of warranty. The lowest price was awarded the maximum value. Other scores were determined by ratio of cost difference. The second section was determined by response time to failure. Response time was put into three options (Same Business Day, Next Business Day, Longer than NBD). Same Business Day was awarded the maximum points; Next Business Day was awarded half of the maximum points; Longer than NBD was awarded no points. Asset Tagging: Scoring for this category was broken into three options. If the company offered asset tagging for no cost they were awarded the maximum points. If the company offered asset tagging for a fee they were awarded half of the maximum points. If the company did not offer asset tagging they were awarded no points. Parts Closet: Scoring for this category was broken into two options. If the company offered a parts supply or spare workstations they were awarded the maximum points. If the option was not offered no points were awarded. Technician Training: If the company offered a training program or a self-maintainer program to our employees to aid in service of the workstations purchased the company was awarded the maximum points. If the option was not offered no points were awarded. Educational Integration: This was broken into two sections. The first section was if the company offered a K-12 specialist team. If the company offered resources for the technology department or administration to speak about the growing trends of technology in K-12 education they were awarded the maximum points for the section. If the company did not offer this no points were awarded. The second section was if the company offered an Educational Enrichment Program. If the company offered on site resources to our teaching staff about how to integration technology into their lesson plan and daily activities they were awarded the maximum points. If the company did not offer this no points were awarded. Look & Feel: The devices were examined by sample groups of teachers in elementary, middle and high school education levels. Points were awarded based on the feedback received from these groups. Advanced Features: This is the measure of specific feature sets that are offered by the individual manufactures. Points were awarded based on model specific options that are unique to the computer and the value they bring to the end user. Each category has different points awarded, based on how the device matches up to the criteria. The total points awarded are out of 100. The complete decision matrix can be referenced in Attachment C.

The maximum points were awarded for the lowest replacement cost, and the minimum points would be allotted to the highest replacement cost. Other scores were determined by a ratio of the cost difference. Look & Feel: The devices were examined by sample groups of teachers in elementary, middle and high school education levels. Points were awarded based on the feedback received from these groups. Advanced Features: This is the measure of specific feature sets that are offered by the individual manufactures. Points were awarded based on model specific options that are unique to the computer and the value they bring to the end user. Each category has different points awarded, based on how the device matches up to the criteria. The total points awarded are out of 80.

Recommendation Administration recommends awarding the laptop portion of the RFP to Lenovo L450 model in the amount of 691.00 per laptop. This is a savings of $18.00 compared to last years pricing. Administration recommends awarding the Android tablet portion of the RFP to Samsung Galaxy Tab 4 Education in the amount of 333.00 per device. Administration recommends awarding the Chromebook portion of the RFP to ASUS C200MA in the amount of 217.00 per device.
