Monday November 20, 2017 Dear Parent/Guardian The January school holidays are fast approaching it’s time to enroll your children in Kingston’s Epic School Holiday Program! The children and educators have put together some wonderful experiences for the next holidays. Enrolment We commenced annual enrolment in the March 2017 program. Forms A, B & C are now available on Kingston’s website as an editable PDF. If your child has attended a School Holiday Program since April 2017, you only need to fill out Forms B & C and sign. www.kingston.vic.gov.au/schoolholidayprogram Reminder Please ensure you provide any additional information (eg medical plans, action plans, risk minimisation etc) to support your child’s application for enrolment. Dear Parent/Guardian

The January school holidays are fast approaching;; it’s time to enroll your children in Kingston’s Epic School Holiday Program! The children and educators have put together some wonderful experiences for the next holidays.

Enrolment We commenced annual enrolment in the March 2017 program. Forms A, B & C are now available on Kingston’s website as an editable PDF. Reminder Please ensure you provide any additional information (eg medical plans, action plans, risk minimisation etc) to support your child’s application for enrolment. If you have provided this information previously and it has been signed by a doctor in the past two years, it is still current;; you do not have to supply it again.

Commonwealth Child Care Benefit (CCB) and the Child Care Rebate (CCR) are available to eligible families.

LATE BOOKINGSAll enrolments received after 5pm Friday 15 December will be classified as a Late Enrolment and will incur an administration fee of $39.30.Late pick up fees are $20.00 per 15 minutes or part thereof.

Bookings are not accepted at any School Holiday Program venue.

ONCE PROCESSED, ALL FEES ARE NON-REFUNDABLE AND NO CREDIT DAYS GRANTED. Children will not be accepted into any of the Kingston School Holiday Programs unless a booking has been made and fully paid with the School Holiday Program Team. All outstanding fees/amounts owed to any of the City of Kingston Children’s Services programs must be paid in full to eligible to attend the School Holiday Program.

CHILD CARE BENEFIT / REBATERegister with the Family Assistance Office (FAO), 13 61 50, to determine eligibility to receive Child Care Benefit (CCB) and/or the 50% Child Care Rebate (CCR).

SUPPORT FUNDINGFor a child who requires support for inclusion in a program we ask that forms are submitted by 1 December to allow time to apply for support funding.

ABSENCESIf your child is sick or not attending a booked session, please call and notify the program supervisor before 8.30am. Refund/credit will not be granted for absences.

IMPORTANT INFORMATION• Children must be at the venue by 8.30am on

excursion days, unless instructed otherwise by educators to ensure they are accounted for, prepared and ready to go by the departure time.

• Children must bring their own lunch, morning and afternoon tea and a drink bottle. Send your children with a healthy lunch and snacks. We encourage children to lead a healthy, active life styles supported by healthy eating. We seek your support in this endeavour. A fresh fruit and vegetable platter will be available as an additional snack in the afternoon.

• Please ensure children are dressed appropriately for the weather and ensure suitable shoes are worn for playing outside, on play equipment and for walking distances when on excursions. No thongs or open toe shoes.

WORKSHOPS & EXCURSIONSIf attending an excursion, participation is compulsory.

WHAT TO BRING• Hat, water bottle, lunch, drink, snacks

(in line with anaphylaxis and heallthy eating policies)

• Appropriate clothing and footwear (covered shoulders and closed shoes) for seasonal change and excursions

MEDICATIONChildren cannot attend the program unless medication has been provided. Please provide all necessary medications, asthma inhalers, spacers, epipens/anapens, etc. Speak to educators and complete necessary paperwork on arrival.

Action plans are to be completed and submitted with enrolment forms.

AGE REQUIREMENTTo qualify for enrollment in the Kingston School Holiday Program children must be attending school from prep to 14 years of age.

BEHAVIOUR MANAGEMENT POLICYKingston School Holiday Program has the right to remove or refuse further participation of any child whose behaviour is deemed to be inappropriate. Bullying, bad language, and harassment of other children or educators will not be tolerated under any circumstances. For further information see our Policy and Procedures Manual.

CHILDREN WITH ADDITIONAL NEEDSIn accordance with the Application for Enrolment procedure we may be able to provide additional educator support to include children with additional needs and children from culturally and linguistically diverse backgrounds.

ANAPHYLAXIS POLICYParents and/or carers of a child/children diagnosed with anaphylaxis please note:

• it is conditional of your application for enrolment into the Kingston School Holiday Program that you agree to your child/children’s anaphylaxis action plan being displayed in the main room of the venue they are attending. This is to ensure the safest possible environment for the child, and that relevant information is readily available to the community at all times.

All parents are to be aware that children with anaphylaxis will be attending the School Holiday Program. When providing food for your children please do not send food containing specified allergens or ingredients as identified on the children’s displayed Action Plans.

Please note: A risk minimisation plan is required to be developed for all children who have been diagnosed with anaphylaxis, asthma, diabetes or any other medical condition in consultation with educators upon enrolment.

PRIORITY OF ACCESSKingston’s School Holiday Program is offered to the general community.

Priority of Access will be given to:

1. Children at risk of abuse or neglect and families in crisis.

2. Children with parents who are working, seeking employment, studying or training.

3. Children not identified in any of the above priority care groups.

LAWFUL AUTHORITY: Parents: All parents have powers and responsibilities in relation to their children that can only be changed by a court order. The Education & Care Services National Regulations 2012 refer to these powers and responsibilities as “lawful authority”. It is not affected by the relationship between the parents, such as whether or not they have lived together or are married. Children will not be accepted into any of the Kingston School Holiday Programs unless a booking has been made and fully paid with the School Holiday Program Team. All outstanding fees/amounts owed to any of the City of Kingston Children’s Services programs must be paid in full to eligible to attend the School Holiday Program.
